 About the Guidelines
This guideline encompasses key aspects of the preparation and presentation of written training report
and discussion content, structure and layout.
 The importance of the reports
Your studies and performance appraisal all come in the form of written report. The ability to recognize
good quality and poor report should be seen as a key element for the successful training. A report, which
is poorly presented, can undermine or even negate good content. So your attention should of course be
focused on achieving high quality substantive content.
 Getting Started
There is a tendency to put off report writing because writing and preparing material is a difficult task
which could have been attended too much earlier in the process (you should write information every day
after your training otherwise you will miss the important ports). There are often large parts of any report
which can be written before finishing your training. (E.g. Introduction, statement of objectives outline of
theoretical framework etc.)
1. Contents
Report generally includes some standard components/contents and the basic contents are discussed as
follows
I. Cover page

The cover page should include minimal information, such as title, purpose, course name, and student’s
name, ID No, Emblem of the University, Department, and School.

IX. Main body of the report


This part contains the different units on the basis of your training. Usually all report is starting with an
introduction chapter and ending with conclusion and Suggestions.
Chapter 1: Introduction
This usually is the first unit of the report and should contain the information on background of the
organization, the nature, objective and outline of the report.

 History and Growth of the Organization

Chapter 2: Management and Training Information
 Was there a trainee orientation when you first started? Discuss.
 From the time you were accepted, until the time you started, did you receive proper and timely
information and treatment?
 Discuss the quality and quantity of training/practicum that you received while on this
practical attachment. Who trained or mentor you, and how was it done, etc.?
Chapter 3: Job background and Information
For each major area /department in which you were involved in, discuss the following
 Description of the including hours, number of employees, and specific areas within that
department, etc.
 The department supervisor/trainer in relation to background and abilities, the
management philosophies and functions?
 What were the tasks/works you had trained in this area?
 How does the department accept its trainees?
 Were there any specific requirements for the trainees who were hired?
 For each job you performed, describe what you did in detailed summary. Daily Activities,
journal/Report.
Chapter 4: SWOT Analysis: Strengths, Weaknesses, opportunities and Threats of the
Organization
Chapter 5: Evaluation, Conclusion Recommendation
 Difficult situations/Problems encountered (if any)
 General evaluation of the total experience and training within the organization
 Feelings about the value of training/practical attachment
 Things to suggest or recommend for the practical attachment program.

X. Bibliography
This portion of the report contains the detailed information of the books, journals, articles you referred of
the completion of your training and preparation of report.

The bibliography includes some standard components. This includes name of the author, year of
publications, title of the book, place of publication, publisher’s name. If it is a journal, the biography
contains Author's name year, title of the article, name of journal, volume number.
