Symptom

This SAP Note publishes a list of frequently asked questions and recommendations that relate to Magnetic
Media compliance reports for Colombia.

Although every effort has been made to provide a thorough set of FAQs in this SAP Note, this document is
not exhaustive. If additional FAQs arise, this SAP Note will be updated to reflect the most current and

A. Documentation for Magnetic Media reports is available in the system, in the SAP Help Portal, and in
the SAP Community.

System documentation (such as field help, customizing, messages) is delivered via Support Packages.

Accounting (FI) > Accounting and Financial Closing > Apps for Finance in Colombia > Advanced

2. Q. What are the prerequisites to install Magnetic Media compliance reports?

A. Before installing Magnetic Media reports, make sure you have gone through the following steps:

• You have installed SAP Fiori. For more information on how to install SAP Fiori, see SAP Fiori
Implementation Information.
• You have installed ACR framework. For more information on how to install ACR framework, see
question 4 of the General section of this FAQ.
• You have applied Magnetic Media SAP Notes in the order listed in question 1 of the SAP Notes
section of this FAQ.

3. Q. Can I run Magnetic Media reports in my backend system (ABAP GUI transaction) without needing to install
SAP Fiori?

A. No, Magnetic Media reports can only be run in the Run Compliance Reports app in SAP Fiori.
Therefore, the installation of SAP Fiori is a mandatory prerequisite to run Magnetic Media reports. For more
information on how to install SAP Fiori, see SAP Fiori Implementation Information.

4. Q. I have to install ACR (Advanced Compliance Reporting) framework. Where should I start?

A. Refer to SAP Note 2584083 - Documentation for SAP S/4HANA for advanced compliance reporting -
Administrator's Guide and Extensibility Guide.

5. Q. Where can I find information about ACR framework in SAP S/4HANA?

A. You can find information about ACR framework in SAP S/4HANA in various SAP channels.

8. Q. Where can I find information about the 1005 and 1006 report formats?

9. Q. Why does the 1005 report format not comprise minimum amount reporting?

A. DIAN 68 Resolution from October 2016 states that sales under 500.000 COP in which a third-party
cannot be identified can be reported as minimum amount. However, ACR Magnetic Media reports are
developed to only consider journal entries with third-party identification (invoices with a specified
customer or supplier). Journal entries without third-party identification are excluded from the data
extraction.

13. Q. How should I proceed when creating my business partners' names in the system?

15. Q. I execute a run in ACR app and after some time the run status keeps In Process. When I check SM50
transaction, there is no job executing ACR app request. What should I do?

A. Access DC10 transaction and check if the SRF object is configured according to the Run
Compliance Reports app settings related to document management and attachment services. You can
find the app settings in SAP Note 2584083 - Documentation for SAP S/4HANA for advanced compliance
reporting - Administrator's Guide and Extensibility Guide.

16. Q. I have executed an ACR report and the Log tab shows a message “Cannot access repository
DMS_C1 by HTTP”. What does this message mean and how should I solve it?

A. This message means that you https server is active but there is no port maintained for it. This is
causing an issue.

In case you would like to continue using the https protocol, please perform the steps below in your
system:

1) Run OAC0 transaction.

2) Select the DMS_C1 repository.
3) Enter %https on the transaction prompt and choose enter.
4) In the HTTPS on frontend and HTTPS on backend fields, choose the option HTTPS required.

After you have performed these changes, run the ACR report again to confirm if the output file is now
accesible in the frontend.

17. Q. My company uses a currency with decimal places, but DIAN expects round values in the XML output
file. What should I do?

A. Follow the instructions contained in the guide ACR – Colombia Magnetic Media: Round Decimal
Amounts that is attached to SAP Note 2996620 - ACR - Colombia Magnetic Media: Round Decimal
Amounts. With that, you will be able to generate the XML output file correctly with round values as
expected by DIAN.

18. Q. My company uses Contract Management to posting periodic rebates and my accounting documents
are not being considered in the 1001 Report Format. What should I do?

A. Functionally, this type of discounts that is paid to the customer-supplier through Contract
Management is used in countries like USA, but is not common in Colombia. For the mentioned scenario,
the reference document type of the corresponding transaction is “VBRK”, which is currently not being
used in the ACDOCA read because it has potential to affect the performance of most customers in
Colombia, as sales invoice database is being included in the data extraction process.

However, you can include the use of “VBRK” reference document type in the data extraction process by
proceeding with the steps described in the SAP Note 3109893 - ACR - Magnetic Media: Including
Additional Reference Document Types in the Data Extraction Process of 1001 Report Format.

19. Q. I executed a Magnetic Media compliance report, and the status of the run is Generation Failed. In the
run log, I can see the error message: Query DIAN_SPLIT_FILE has errors and cannot be generated. What
should I do?

A. Go to: SAP menu, under system > User Profile > User Data. Then, select the Default tab. After this, in
the field Decimal Notation, set the number 1,234,567.89 for your user.

20. Q. I realized that Colombian Compliance Reporting Entity (CO_RPG_ENT) is not present in my system,
under SAP Customizing Implementation Guide > Financial Accounting (FI) > Advanced Compliance
Reporting > Setting Up Compliance Reporting. What should I do?

A. The standard configurations (including CO_RPG_ENT Reporting Entity) are delivered by SAP via the

BC Set for Advanced Compliance Reporting: Premium Version (BCS_FIN_LOC_SRF_PR). You can
modify the entries delivered by SAP, however, if you apply a new BC set in your system, this new BC set
may overwrite the changes that you have made.

To activate these settings, access SCPR20 transaction and activate the BCS_FIN_LOC_SRF_PR BC
set by selecting the Expert Model option. For more details on activating BC sets, refer to Activate
Business Configuration Sets.

21. Q. There are missing specific Magnetic Media configurations in my system, for instance: DIAN Report
Formats, DIAN Item Types, DIAN Amount Classifications and Map System Country Key to DIAN Country
Code. What should I do?

A. The Magnetic Media configurations are delivered by SAP via the Colombia DIAN BC Set (
FICODIAN_BCSET). You can modify the entries delivered by SAP, however, if you apply a new BC set
in your system, this new BC set may overwrite the changes that you have made.

To activate these settings, access SCPR20 transaction and activate the FICODIAN_BCSET BC set by
selecting the Expert Model option. For more details on activating BC sets, refer to Activate Business
Configuration Sets.

22. Q. I realized that I cannot add Tax Number information in GLO_REF1 field for 1005 and 1006 report
formats. What should I do?

A. It is possible to created a substitution rule to enable GLO_REF1 field for 1005 and 1006 report
formats. For more details, refer to SAP Note 3254039.

23. Q. I'm not able to load the analytics. It displays an error on the ReportingTask-displayGrid. What should I
do?

A. We recommend that you implement the SAP Note 3153210 - DRC - Magnetic Media: Missing Role for
Analytics in your Fiori system.

2. Q. I am trying to install the Magnetic Media SAP Notes, but the objects activation is failing. What should I
do?

A. Consistency issues are being faced by customers when implementing SAP Notes due to ABAP CDS
Views (DDLS) and ABAP Data Control Language (DCLS) object dependencies.

The SAP Note 2728100 should fix issues like the one described in SAP Note 2607137 when activating
DDLS and DCLS objects via SNOTE, so SAP Note 2728100 should be installed before any Magnetic
Media SAP Note installation.

If you were not able to solve the inconsistency, do not proceed with the installation of other SAP Notes
related to Magnetic Media and log a customer message in SAP Support Portal under the FI-LOC-FI-CO
component.

3. Q. I executed a Magnetic Media compliance report, and the status of the run is Generation Failed. How
can I troubleshoot the error?

A. Generally, a Generation Failed status happens due to a technical error. Some SAP Notes (for
example, SAP Note 2640906) contains the creation of BRF+ objects and if the manual steps of the SAP
Note are not followed, a dump in the CL_SRF_QUERY_WA_RANDOM class in ABAP Runtime Errors
transaction (ST22) will be found. So you need to review the last SAP Notes you have applied to your
system to check if they have manual steps that were not followed. If you find that you applied an SAP
Note without performing the manual steps contained in the SAP Note, de-install this SAP Note and
install it again following the manual steps contained in the SAP Note.
