For instance: Engineers submit reports on the progress of their projects to their
superiors. Architects attach explanations with their design plans for the information of their
clients, and presidents of corporations report periodically or annually to their stockholders.
So, to be an effective professional, one should have enough knowledge on making
technical reports, for him to communicate with his superior. (Manalo,P. E. & Fermin, V. E.
Technical and Report Writing 2007, p. 1)
Using the process-genre approach to writing, this learning material will enable
learners experience the step-by-step process in writing through planning, collaboration,
peer feedback, revision and editing leading them to master the target technical document.
This approach makes the learners recognize how, why and for whom the documents are
written.

2. Knowing the purpose of each technical report
The technical paper must be organized a central theme. The reader should
understand the main purpose after reading the paper. The purpose may be is to describe a
thing, to report on a specific problem or project, or to analyze and solve a problem.
4. Writing objectively
A good technical writer must emphasize the facts and the data. The impersonal
style is basic to an effective technical writer. He represents facts, figures and statistics
skillfully woven around the subject matter or central theme and written in an impersonal
manner.
The format and syle of a technical report attract the attention of the readers first.
Companies require neatly-typed communications, reports and project proposals and
feasibility studies. The current trends require that such communication be computerized or
typed.

Context
Context refers to the situation in which technical writing exists. It may include
personal relationships with the intended audience, time and place and
interferences that may influence the writing.
Message
Message refers to the content. It includes facts, issues and relevant details
for clear and effective communication.
Language
Language is the channel used to convey the message. It may be formal or
informal. However, in the context of technical writing, langugae is usually
formal and standard.
Purpose
Purpose refers to the reason why the technical writer is communicating and
the motives and reactions he/she wants to elicit from the target audience.
Generally, the purpose is two-pronged: to inform and to persuade. To inform
means helping the audience understand a concept or idea while to persuade
means influencing the attitudes or actions of audience.
Audience
Audience is the receiver of the information. The recipient can be classified as
primary (e.g. the addressee in your letter) or secondary e.g. the cc in your
letter). To understand the audience, you need to know their purpose, desires,
motivations, attitude and level of understanding about the subject.
Product
Product refers to the physical form of the message influenced by context,
purpose, message, language and audience. These products may include
letters, memos, reports, proposals, abstracts and summaries and rèsumès.
