Position Description
Position Title: Equipment Coordinator
Department: Equipment / Logistics
Reports to: Group Equipment Manager / NZ Equipment Manager
Location: Auckland, New Zealand
Position Summary:
Support the New Zealand and Fiji Equipment team to ensure empty containers stocks are able to satisfy
customer demand, working closely internal and external stakeholders to ensure alignment.
Assist with the accurate and timely allocation of all Equipment/Logistics Cost to support informed decision
making. This involves using multiple databases, aligning costs with supplier contracted rates, verifying
and processing supplier invoices in a timely manner, on-charging cost, handling claims and credits, and
generating regular reports on expenditures and Key Performance Indicators (KPIs). The Cost Analyst will
collaborate with all Equipment teams and the wider NPDL business to identify process improvement
opportunities and cost-effective options,
Key Responsibilities:
Ensure Container Movements are accurately updated, prioritizing the resolution of
EDI errors while also identifying the root cause to prevent any potential reoccurrence.
Complete stock reconciliations to align systems with physical stock and to balance
vessel load and discharge. Identify discrepancies and drill down to root cause,
making recommendations to avoid reoccurence
Verify daily container movements are accurately recorded in the required tracking
systems. This includes (but not limited to) LARA, CargoWise, Interport, LMS,
ContainerChain, Daily Depot reports/EDI reports, Wharf reports, Monitoring of
Load/Discharge Report entries by Agents. Ensure all EDI errors are cleared on a
timely manner.
Equipment Tracking container stocks at origin and destination, identifying deficits and surpluses,
and determining corrective action
Providing support for inbound and outbound vessels:
- Providing port company, border control and stevedores with accurate and
timely discharge lists
- All empty biosecurity lodgements and monitor clearances & inspections
- Monitoring delivery of empties ex-wharf by the nominated transport
company.
Analyse and reconcile supplier invoices, disbursements, and recharges.
Analyse spends trends, identifying patterns and insights to help optimize cost
Document key processes and specific supplier agreements.
Cost Analysis Review and approve supplier invoices in line with agreed contracted rates, including
but not limited to Storage, Handling, Container Rent, Quarantine, Transport, and
Container Maintenance and Repair
Liaise with internal and external stakeholders to verify information, resolve
discrepancies
Role Requirements and Skillset
Bachelor’s degree in Finance, Accounting, or related field preferred.
Approx 3 years of relevant experience in a similar role.
Strong analytical skills, thorough understanding of MS Excel and similar.
Structured approach, ensuring work is prioritised in line with agreed parameters.
Collaborative team player, strong relationship-building, and active partnership with cross-
functional teams
Hands-on approach, working with the team to produce high quality work.
Able to work to agreed deadlines, ensuring all assigned work is completed on-time / in-full.
Outstanding verbal/written communication and presentation skills.
