1. About the User Manual
This user manual helps to understand the Applicant Portal module easily. The document provides step-by-step instructions
to operate the functionalities of the module. The topics in this guide are structured based on the menu listed in the system
to give a clear understanding and hassle-free navigation for the users. The topics are divided into two sections as follows:
System Guidelines
This section describes the functionality of various commonly used buttons and icons in the Applicant Portal.
System Descriptions
This section provides the descriptions and functionalities of the pages and the fields present in the module.
About the Applicant Portal
It is a simple and user-friendly portal to register new applicants. This module is interconnected with the New Applicant
module in PAL, which displays the registered information submitted from the Applicant Portal. The profiles displayed in
the New Applicant PAL module will be approved/rejected by a crewing officer. Major Functionalities included in this
module are Add, Edit, Save, and Submit the following:
• Profile
• Experience
• Travel Documents
• License Details
• Additional Courses

2. System Guidelines
• Screens are designed and best viewed in the resolution 1280 x 960.
• The officially supported browser is Google Chrome 50.0 and higher versions.
• The browser session will be timed-out if the application is kept idle for 2 hours.

3. System Descriptions
3.1 Applicant Portal
Besides being an essential part of preparing and submitting a new applicant profile, this page also works as a medium to
add and modify the data appearing on the screen. This portal serves as a platform to add profile details, experience, travel
documents, license details and additional course details of the applicant before submitting the application. The submitted
application will be reflected in the New Applicant PAL.
3.1.1 Applicant Portal Workflow
3.1.2 Register and Login
The applicant can log in to the portal with the registered email ID and password. The new applicants can register on the
portal using the Register Now link. Forgot your password and Resend Confirmation are available on the login screen to
change the password and to resend the verification email while registration.

Procedure to register into the applicant portal
1) Open Applicant Portal
2) Click Register Now on the screen
3) Enter:
a) Name
b) Email ID
c) Passport Number
d) Seaman Book Number
4) Select the closest centre
5) Set a password for the application
6) Check I agree to the terms and conditions
7) Click Register
Note: A verification mail will be sent to the given email address once the Register button is clicked. Verification should
be confirmed from the email ID.
Procedure to login to the applicant portal
1) Open the Applicant Portal
2) Enter:
a) Email ID
b) Password
3) Click Login
Note: Forgot your password option can be used in case if the password needs to be changed.
Resend Confirmation can be used in case if the verification email is not received.

3.2 Profile Details
The profile details of the applicant can be updated using the Edit Profile button. All the mandatory details need to be
entered for the completion of the profile.
Procedure to add profile details
1) Click Edit Profile on the screen
2) Enter:
a) Surname
b) First Name
c) Middle Name
d) Place of Birth
e) Street
f) City
g) Country
h) State
i) Postal Code
j) Phone
k) Mobile
l) Landmark

3) Select:
a) Select the closest centre
b) Rank Applied For
c) Date of Availability
d) Nationality
e) Marital Status
f) Gender

4) Click Save

3.3 Experience
The experience details of the applicant can be updated using the Add experiences button on the right panel of the portal.
Multiple experiences can be added in the order of the period of working.

Procedure to add experience details
1) Click Add experiences
Note: On clicking Add experiences, a panel to enter the experience details will be displayed.
2) Enter:
a) IMO number
b) Employer
Note: When the IMO number is entered in the Vessel Name, the system will list the vessel if it is already available in
the database. If no vessel can be found with the IMO number entered, then the applicant need to use the New
Vessel button and enter the details of the vessel.
3) Select:
a) Rank
b) From Date
c) To Date
4) Click Save
Note: Once the experience is added, it will be listed under the Experience frame. The Add Experience button placed in
the Experience frame or Experience panel can be used for adding multiple experience details, whereas for the first
time the applicant should use the Add experiences button from the panel as the frame will not be available.

3.4 Travel Documents
The applicant can add the travel documents using the Add travel documents button in the right panel. Any travel
documents including visa, identity card, work permits can be added to the Travel Documents. Attachments can be also
added along with the details using the Add Attachment button.
Procedure to add travel documents
1) Click Add travel documents
Note: On clicking Add travel documents, a frame with the following screen will be displayed.

2) Enter:
a) Number
b) Issued Place
3) Select:
a) Document Name
b) Issued Country
c) Issue Date
d) Expiry Date
4) Select whether the document is national or not
Note: The selection is No by default but can be changed manually according to the document selection.
5) Click Save
Note: Clicking on Show Attachments will display any attached file till the date.
The Edit button will enable the user to edit the details entered and also to add or update the attachments if any.
Note: All the travel documents will be listed under the Travel Documents panel. Passport details and Seaman Book
Number provided at the time of registration will be automatically listed in Travel Documents. The documents
can be added either added using the Add travel documents button at the right panel or Add Travel Document
button on the Travel Documents pane.

3.5 License Details
The license details can be updated using Add licenses button in the panel. Attachments can be added along with the
details of the license.
Procedure to add license details
1) Click Add licenses
Note: On clicking Add licenses, a panel to enter the license details will be displayed.

a) Number
b) Issued Place
3) Select:
a) Type
b) Name
c) Issued Country
d) Issue Date
e) Expiry Date
4) Select whether the document is national or not

3.6 Additional Courses
The additional courses completed by the applicant can be entered here, along with the certificate details.
Procedure to add additional course details
1) Click Add additional courses
Note: On clicking Add License, a panel to enter the license details will be displayed.

3) Select:
a) Course Name
b) Issued Country
c) Issue Date
d) Expiry Date
4) Click Save
Note: Clicking on Show Attachments will display any attached file till the date.
The Edit button will enable the user to edit the details entered and also to add or update the attachments if any.
Note: The additional courses added by the applicant will be listed under the Additional Courses panel. Multiple course
details can be added either using the Add additional courses button in the Additional Courses frame at the right
or from the Additional Courses panel.
5) Click Submit once the profile creation is completed
Caution:
Once the application is submitted by the applicant, it cannot be edited unless it is rejected by the office user.
Note: Submit button will be enabled once the necessary sessions in the profile are completed. The profile completion
percentage and application status are highlighted on the top right side of the portal.
On clicking the Submit button, the profile created in the portal will be submitted to New Applicant PAL >
Received Applicant Profile. Users who hold the rights can Accept/Reject/Hold the profile.
The status update mail will be received to the applicant’s inbox if the application is rejected by the office user
in the New Applicant module.
The Notification icon will show the list of available notifications regarding the application status after
submission.
