CHAPTER I

INTRODUCTION

Project Context

School is a formal educational institution where students receive instruction, guidance,

and opportunities for learning. It typically includes a structured curriculum, a set of teachers or

instructors, and a physical or virtual environment for students to acquire knowledge, skills, and

competencies. Schools can vary in their levels of education, from preschool and elementary

school to middle school, high school, and higher education institutions like colleges and

universities.

Abulalas Elementary School, founded on January 1, 2000, is dedicated to delivering

quality education to a diverse student body. As of 2023, the school, with pride, consists of

educators aged between 22 and 55. With 479 enrolled students, the institution offers a

comprehensive education from Grades 1 to 6, including 3 sections for Kindergarten (Kinder) and

an Adult Learning System (ALS) for learners of all ages. The school’s teaching staff comprises

17 female teachers and 2 male teachers, ensuring a balanced and diverse educational

environment. The dedicated principal, an admin professional, and a school clerk are leading the

administrative efforts, supported by a team of four additional staff members.

Abulalas Elementary School has embarked on an ambitious project to modernize its

administrative processes to keep up with the ever-evolving technological landscape. This

initiative aims to create a web-based system that streamlines various school operations, such as
enrollment, announcement, request documents, lost and found, etc. Adapting to the technological

advancements, the school aims to provide faster, more reliable, and effective services that benefit

the parents, teachers, students, and administration.

The current school system faces challenges and inefficiencies in enrollment and

attendance processes. Traditional methods often result in errors, document loss, and delays. Also,

the parents are worried about their children’s welfare inside or outside the school due to the lack

of security in the school. To address these issues, the Student Portal will serve as a centralized

and helpful platform for the students, parents, teachers and administrator.

Upon successful implementation, developers anticipate smoother enrollment and more

accurate location and attendance tracking. The system will incorporate a QR code-based

attendance tracking system to expedite recording and promote punctuality and accountability

among students. An online enrollment system will simplify the application and registration

process, reducing paperwork and administrative hurdles, and allowing teachers to focus more on

teaching and less on administrative tasks.

The system will also include features like document requests feature for students to

request academic certificates and allow teachers to print the student’s attendance that can be seen

through the portal. Parents and students can enroll through the portal. It also enables the users to

access their information which is included in the QR code-based attendance monitoring. The

feature also includes an announcement which can be seen by the users knowing what the

important things are to be announce by the administrator and will be updated of what are the

latest information in school even if they are in their respective homes. The researchers also added
a monitoring system that identifies the location of the students inside the school which can be

seen by their parents when they log in to the portal using their student’s account.

This approach involves a thorough assessment of current processes, consultations with

educators and students, identification of pain points, and the development and deployment of the

Web-Based Student Portal System using modern technological solutions.

The proposed system is an online platform for various aspects and will be implemented

specifically at Abulalas Elementary School benefiting students, teachers, parents, and school

administration.

Purpose and Description

The system being proposed is a web-based system that aims to feature enrollment,

document requests, announcements, lost and found, attendance, and a monitoring to determine

the location of the students. The goal of this project is to create a complete Web-based Student

Portal and Monitoring System which will require the information of the students, teachers, and

administration for them to access the portal. Users can provide their information to the portal and

will be implemented in Abulalas Elementary School. The system’s main goals are enrollment

processes, document requests, an announcement section, lost and found feature, an attendance

system (accessible by teachers, students, and parents), and finally a location tracker (accessible

by parents, students and administrators). The research also intends to assess the system’s

usability based on important criteria.

This study will discuss the beneficiaries of the proposed Web-based Student Portal and

Monitoring System. The primary stakeholders of the school which are the students from

Abulalas Elementary School, will greatly benefit from this system. On the other hand, teachers

and administration will also benefit from the proposed study as well.

Students: This study will benefit the students, as one of the vital parts of the school, it will help

them access the following online: their important documents such as grades, enrollment, good

morale, and other relevant forms and documents. Also, lost and found will be a great help for the

students in case they lose something vital, also all the things that need to be announce by the

admin posted in the announcement section. Additionally, enrollment will be made easier as it

will also be done online, which promotes hassle-free and fewer in-person transactions.

Teachers: The researchers’ main goal is to lessen the traditional ways some teachers are still

practicing. With this system, the teachers will be able to easily track the attendance of the

students. Since it is automatic, the teachers will easily know the number of present students

which can also be seen in the portal that they can print.

School Administrator: One of the system’s goals is a paperless transaction and easily managed

records of the students, the school administrator will be able to manage the students’ information

and easily verify their details online. The dashboard feature can easily identify the number of

students and teachers, knowing the total male and female students and teachers and their school

map as well as monitor the location of the students and easily process the requested documents

of the students.
Parents: One of the concerns of the parents is ensuring the safety of their children when they are

at school. With the help of this system, parents can view the location of their children in the

portal, which will allow them to know the time in and time out of their children in the school,

including timestamps for entry and exit.

Future Researchers: The researchers’ goals and objectives for this study are only limited,

therefore the future researchers can use the same project study by adding different features and

conducting it in a different school. Giving them some ideas and maybe improving some of the

given features with regards to the portal and monitoring system.

Scope and Limitation

This study aims to create a web-based portal and monitoring system for Abulalas

Elementary School which promotes relevant benefits for the school, teachers, administrators,

students, and parents. The system is designed to improve the efficiency of the school by allowing

the management to monitor and manage the teachers, administrators, and students remotely. It
also provides parents with the ability to track their children’s attendance and monitor their

location.

The portal consists of three (3) different displays from different users: for the students,

the portal includes five (5) modules, including dashboard encompasses the announcement and

lost and found, request document, my class which include their unique own generated QR code

with their details, and their attendance, the enrollment and lastly monitoring which can be

monitor the location of their children inside the school. For the teachers, the dashboard including

the announcement and lost and found system, attendance which can be seen their student

attendance and my class which can be seen all the students are the three (3) systems included in

the teacher side. And lastly, for the administrator, it includes nine (9) modules including the

dashboard which shows the total number of students and teachers, charts and statistics and the

school direction, student request which the admin could be able to see the request of the student

and the admin itself can also request a document for documentation, enrollment which makes it

easy to add an enrollee of the students, if the admin approve the enrollment accounts where the

admin can view all the accounts of the students, teacher accounts where the admin can add a

teacher and assign a section, monitoring which can view all the locations of the students, school

year which can add a new school year for the upcoming new students, announcement which can

create an announcement and lastly lost and found which can also view the lost and found items

inside the school.

However, the study has limitations that need to be considered: Creating a subject and

schedule would not be included in the portal, the student no. will be used to login the portal
replacement of LRN, and the canteen and restroom are not included in having a scanner since

there is no one to handle the scanner. The system is designed for educational institutions and

may not be applicable to other industries or organizations. Only the teachers, administrators, and

students of Abulalas Elementary School should have access to the portal.

CHAPTER II

REVIEW OF RELATED LITERATURE AND SYSTEMS

This section of the study will present the review of related system on local and foreign

countries which will add relevance and depth of the research study.

Technical Background

HTML: HTML (Hypertext Markup Language) is a text-based language used to define the

structure of information included within an HTML file. This markup tells a web browser how to

display text, images, and other forms of multimedia on a webpage.

CSS: CSS stands for "Cascading Style Sheets". CSS is a computer language that is used to

layout and structure web pages (HTML or XML). This language incorporates coding

components and is made up of "cascading style sheets" (.css files).

Bootstrap: is a free, open source front-end development framework for the creation of websites

and web apps. Designed to enable responsive development of mobile-first websites, Bootstrap

provides a collection of syntax for template designs.

Sass: is a CSS preprocessor, which adds special features such as variables, nested rules and

mixins (sometimes referred to as syntactic sugar) into regular CSS. The aim is to make the

coding process simpler and more efficient.

JavaScript: JavaScript is a scripting or programming language that allows programmers to

implement complex features on web pages, such as displaying timely content updates, interactive

maps, animated 2D/3D graphics, scrolling video jukeboxes, and so on.

PHP: a recursive acronym for PHP: Hypertext Preprocessor is an open-source server-side

programming language that many web developers utilize. It is also a general-purpose

programming language that may be used to create a variety of applications, including Graphical

User Interfaces (GUIs).

NodeJS: Node.js (Node) is a cross-platform open-source runtime environment for running

JavaScript code. Node is widely used for server-side development, allowing developers to utilize

JavaScript for both client-side and server-side code without learning another language. Node is

frequently referred to as a programming language or a software development framework,

however, none of these descriptions are correct; it is only a JavaScript runtime.

JQuery: is a small, lightweight and fast JavaScript library. It is cross-platform and supports

different types of browsers. It is also referred as? write less do more? because it takes a lot of

common tasks that requires many lines of JavaScript code to accomplish, and binds them into

methods that can be called with a single line of code whenever needed.

MySQL: MySQL is one of the most well-known technologies in today’s big data world. Often

referred to as the most popular database and presently in extensive, successful usage across

industries, it is evident that everyone dealing with business data or general IT should strive for a

basic understanding of MySQL.

Foreign Literature

A web portal is a webpage on a website that combines information from various sources,

each in its section. Users can choose what to display. Portals may include a search engine, email,

news, stocks, and more. They help maintain consistency and access control for various apps and

databases within an organization (inettutor, 2019).

The proposed system is web-based and fully responsive, accessible on mobiles, tablets,

and computers. It ensures secure storage of attendance records for all classes, reducing

calculation errors. The database allows easy access to both current and past year attendance data

(Lal, Pradhan, Sharma & Limboo, 2019).

Traditional student attendance methods can be inefficient and prone to errors. This study

presents an automated attendance monitoring system (AMS) that offers a user-friendly and cost-

effective solution for schools, particularly in developing countries as stated by Adeniran, Sanni,

Faruk, and Olawoyin (2019).

The goal is to create an online web portal to provide information and facilitate

communication between students and teachers. This system allows students and teachers to

interact easily and efficiently, accessible from anywhere in the world via the internet (Bhuta,

Phadnis, Khare, Verma & Rajput Web, 2021).

The traditional method of taking attendance can risk the spread of diseases and viruses.

To address this concern, a web-based application was developed, providing a contactless

attendance solution. This system automates attendance tracking, offering both teachers and

students a hassle-free way to monitor attendance without the need for personal interaction

(Shendge, Patil, and Tejashree Shendge, 2022).

Local Literature

Researchers aim to create a web-based student portal for a smaller school to enhance

efficiency and facilitate easy access to information for students. This digital approach not only

reduces paperwork and saves money but also benefits the environment by minimizing resource

consumption. Additionally, it enables students to access crucial information at their convenience

(studocu, 2023).

One prevalent issue faced by busy parents is the challenge of accessing their children’s

school-related information. While schools have made strides in improving communication,

essential details regarding students’ academic and financial matters may still experience delays.

Some children intentionally conceal negative information, such as failing grades, unpaid fees, or

hidden expenses, which can pose challenges for both parents and schools (Dela Cruz & Diaz,

2019).

Teachers rely on Attendance Monitoring to track student presence at the beginning of

each class. However, some students may not be aware of their frequent absenteeism, potentially

causing issues with the system. To address this concern, researchers propose the development of

an online application that aids teachers and school staff in managing student attendance. This
application would also streamline the collection of parents’ contact information during the

enrollment process, enhancing convenience (Gabaig, Pangelinan, Papat-iw, Pasing and halover,

2019).

In line with this goal, Alpasan, Maligang, and Esimos (2021) developed the Web-based

Attendance Monitoring System for Public High Schools with SMS notification. This system was

specifically designed to efficiently track student attendance, particularly within a large student

population. According to their data, this system offers class advisers a convenient tool for

managing attendance records.

The innovative system employs QR codes to improve attendance monitoring in schools.

Its eco-friendly, cost-effective, and efficient nature simplifies attendance tracking. Furthermore,

it has the potential to motivate students to attend classes regularly, making it a valuable resource

for school staff. This technology aligns with 21st Century skills and can serve as a model for

other educational institutions seeking to implement similar QR code-based attendance systems

with ICT integration for educational purposes (Maleriado & Carreon, 2021).

Related Systems

Foreign System

The paper titled “Implementation of a Web-based System to measure, monitor, and

Promote School Engagement Strategies. A Chilean Experience” in the year 2022 talks about a

computer system used in Chilean schools to help students do better in their studies. The system
was made by a group of people from universities, tech experts, and the government. It has six

steps and helps teachers, students, and parents communicate about how engaged students are in

school. It looks at how well this system works in real Chilean schools. It found that while there

were some problems with how it was managed, most people liked using it because it was easy to

understand and helped with everyday school tasks. There are suggestions for making it even

better, like making it work on more internet browsers, but overall, it is seen as a helpful tool for

schools in Chile and other countries in Latin America.

The ATIS department uses a website to help teachers and students with their learning. To

make it better, they want to add online tests for different subjects. They also want to create a

special tool (like a cube) to show how well students are doing. This tool will help everyone

understand the student’s progress better and find out where they need more help. It is like a fast

way to look at information and make reports to see how students are doing in different areas of

learning (Charikov, P. N., & Fokin, S. Yu., 2020).

In Alsolais's study “Development of a Web-Based Student Internship Portal for Students

of Health Colleges” conducted in 2022, the aim was to assist students in improving their nursing

skills during their internships. To achieve this goal, they developed a website consisting of four

main components: students, supervisors, industry professionals, and coordinators. This website

serves various purposes such as sharing information, creating schedules, facilitating internship

registration, maintaining records, and storing data. To build this website, they utilized computer

technologies like PHP, Bootstrap, and others. The results indicated that the website effectively
benefits students, supervisors, and coordinators by making internship management easier and

improving communication among all parties involved.

The study conducted by Pinho, Franco, and Mendes (2018) investigates the significance

of web portals in Higher Education Institutions (HEIs) as essential interfaces for communication

among academic staff. Through a systematic literature review (SLR) encompassing various

studies published to date, the research highlights several key themes: (1) The software employed

in web portals, (2) Both internal and external benefits associated with these portals, (3) The

acceptance of technology in HEIs, and (4) The management and storage of information within

these systems.

The E-College Monitoring System was made to make it easier to keep an eye on students

coming in and out of dorms or college residences, especially at UiTM Machang Kelantan. With

this system, there is no need for the students to ask for permission from the staff when they go

out, which makes it better than doing it manually. Students using the system need to provide

contact information for their parents or guardians in case of an emergency. When a student says

they are going out, both the staff in charge and their parents are informed about it. The system

also helps the dorm or college staff know where students are and reminds students about the time

they need to be back at UiTM. This system is a big improvement for managing dorms because it

helps keep track of students and important information, like rules and student behavior. The old

way of doing this with paper forms was hard for everyone, but the E-College Monitoring System

makes it easier and safer (Mat Nawi, et al., 2022).

Local System

Eliamedy,2020 discussing a web-based classroom platform, emphasizes its ease of use

and accessibility. This platform provides various features like online classes, discussions, and

assignments. It allows learning from anywhere with an internet connection, making it convenient

for different activities. Users found it effective and satisfying, although a strong internet

connection is necessary to avoid slowdowns, as the study reveals (Franciso & Barcelona, 2020).

Discussing the impact of artificial intelligence (AI) on interactions in online learning

highlights potential benefits. AI can customize learning, offering students tailored content and

guidance. Additionally, it can provide feedback to enhance learning and automate tasks for

facilitators like grading assignments. This technology holds promise for improving interactions

in an online learning environment, making them more personalized and efficient. However,

challenges exist, such as the need to ensure fairness and privacy when using AI systems in

education (Seo, Tang, Roll, Fels & Yoon, 2021).

Exploring web-based school management systems: software for admin and academics,

from records to communication. They are efficient and accessible online, ideal for remote or

multi-location schools. Specific features include registration, scheduling, grading, and

communication (studocu, 2022).

The Community-Based Monitoring System (CBMS) is a tool that helps policymakers

keep track of how different policies affect vulnerable groups in society at a local level (Reyes,

2021).
Synthesis

The researchers look for the data and information that they gathered through other studies

and literature. This will result into development of a system that will greatly help the users with

what problems they encounter. These led to the creation and implementation of a Web-based

student portal and monitoring system at Abulalas Elementary School. This research needs to

know what are the things that need to be considered and avoided when creating an effective and

efficient student portal.

Based on local data and interviews, school portals are found to be efficient and effective

in terms of the needed in the process of school. The student portal is essential to institutions,

according to the relevant systems and literature that the researchers in this study found. As time

passes, school portals have improved and become effective for users. Aside from this, the

required time for the students to process their enrollment by going to school and be able to line

up to enroll will be lessened and can now be done online without hesitations, request important

documents such as their grades, certificate of enrollment, and other documents in the portal

without going to school, this will also reduce the workload and lessen the paperwork of the

teachers and administration which means everyone will benefit from the system.

For certain studies, a student portal should be easy to use. The user can easily navigate

and utilize the portal without any confusion and hesitations. So, the developers must create a

user-friendly student portal.

CHAPTER III

Data Collection and Data Gathering Procedure

The researchers personally conducted all the interviews with the respondents such as the

administrator and teachers. Since they are the ones who can explain to the students and parents

how the portal functions. Permission to the principal to conduct an interview to gather

information and data on of the students is also considered. However, the data privacy Act of

2012 RA 10173 states that “It protects the privacy of individuals while ensuring free flow of

information to promote innovation and growth”, the principal did not allow the gathering of the

students’ data. Hence, the principal decided to give only the data relevant to the system that the

researchers need to create such as the processes of inputting the grades, documents that the

students have and the total number of students, teachers and the school’s overview map.

The respondents such as the teachers and administrators were well-oriented and informed

as to why the study is conducted and were guided for the effective and productive

accomplishment of the interview, the purpose of the study then was explained to them. The

researchers assured them that all of the collected information will be kept private and will be

used for research purposes. Besides, all the data gathered during the interview were coded

written and the participants double-checked the data that the researchers wrote.

During the data collection process, the researchers rely on the answers given by the

respondents to devise a plan to create a student portal. The respondents also answered the
questions of the researchers to prevent missing data. Data collection lasts for 15-20 minutes, it is

also done twice a week to ensure that all the needed data is being collected.

Participants (Population and Sample)

To be able to identify the respondents in the study, the researchers will use stratified

sampling. Stratified sampling is a type of probability sampling method in which getting a

representative sample from a population separated into approximately comparable

subpopulations (strata) by researchers. The advantages of using this sampling method on this

study is to ensure that there will be representation of all groups of interest while retaining the

complete variety of the population in the sample.

The researchers explicitly choose individuals who are related to the field of software

development. The key respondents were fifty (50) students/parents of Abulalas Elementary

School, nine (9) teachers, one (1) administrator and three (3) IT professionals.

Description of Prototype

Implementation Plan

The web-based student portal and monitoring system are intended to be implemented in

Abulalas Elementary School. The researcher must develop a plan for implementing the system to

make sure that the timeline will be followed even in case of unwanted circumstances. The
researcher communicated with the school stakeholders to gather the portal’s requirements to

meet the expected output from the school stakeholders. During the implementation phase,

researchers will demonstrate the system to the school administrators to show the system’s design

and functionality. After the approval from the administrators, the researcher will ask consent

from the school to conduct a presentation of the new system of Abulalas Elementary School to

the stakeholders. While doing the presentation and demonstration to the parents, the researchers

must give a handout or manual for navigation and instruction to the portal, and make

documentation about the progress of the implementation to make sure that the schedule is on

time. Additionally, the researchers ensure that the web-based student portal and monitoring

system will have quality compliance under ISO 25010.

CHAPTER V

SUMMARY OF FINDINGS AND RECOMMENDATION

This chapter of the research paper will contain the summary of findings and

recommendations based on the respond from the stakeholder. It will also help to identify the

researcher and stakeholder to identify the progress and future development of the research.

Summary of Findings
The Development of Web-based Student Portal and Monitoring System for the use of

students, parents, and school administrators at Abulalas Elementary School aims to help the

parents and school administrators to facilitate the students from the school. Most of the public

schools in the Philippines still use the manual method of getting the attendance and monitoring

the student inside the school premises, posting of sorted student grade, section, and room where

the present parents or students should go to the school before the school year start to know the

information, the parents is rely on the information that was being given by the teacher to the

messenger about the sort of announcement at the evening before the school starts the next day

that cause some parents that cannot read the announcement. When the parents need a students’

documents the parents should go to the school to get the document but sometimes the admin or

the person that will give the document is not available.

The research gathers data and information from the Abulalas Elementary School

administrator, teacher, and students’ parents. The stakeholder respond to the questions that the

researcher have prepared to identify any resolution can be made to improve the school

processing of the documents of the student and relief the worries from the parents if their

children are safe from the school and also if the school accept the integration of the technology

to their procedures that will give the school of an advantage to be more effective and efficient for

their teachers, students, parents and school on its own. After gathering all the necessary

information, the researchers carefully analyzed the situation of the school and developed a plan
to help the school and its administration to make the schools’ procedures more effective and

efficient.

The researcher finds that having a school portal for the teachers, students, parents, and

administrators will be helpful to improve the procedures of the school such as having an

appointment through the portal to get the students’ document so that the parents will be not

wasting money for the fare and the admin was not on the school instead the parents will be

notified when the documents can be picked up. The portal can also help so that most of the

transactions to the school will be remote or online like the enrollment of the schools’ former

students and the announcement of grade, section, teacher, and other information for the school

will be done online and there is no need for the parents and students to go to the school. The

announcement to the school will be made through the portal and the activity of the student will

be announced ahead of time. The parent could also have a relief because the Quick Respond

Code will be helpful for both parents, teachers, and administrators to monitor the student will on

the school and also the QR Code will be also helpful for tracking the students’ attendance so that

there will be no need for the teacher to manually get the attendance.

Recommendations

After thorough assessment and considering the foregoing finding, the following

recommendations are presented:

1. The Department of Education or the national government could create a centralized

system for all the school throughout the nation to make the processes of students’

documents more effective and efficient like for example when a student transfer to

another school he or she will not be needing to get all the documents from the school that

he/she came from, but the process is can be done online.

2. The use of Radio-Frequency Identification is much more useful to instead of Quick

Respond Code since the QR Code is needed to be printed by the student and the targeted

school in this study is elementary school there is a chance that the QR Code might be

destroy by the student when on the School Identification unlike the RFID.

3. The future researcher could also add some more features that will be useful for all the

stakeholders in the future.
