Flowchart of a management system

The flowchart (flowchart) is a tool used to represent the sequence and interaction of process
activities through graphic symbols. The symbols provide a better visualization of the
operation of the process, helping in its understanding and making the description of the
process more visual and intuitive. In process management, the tool aims to guarantee
quality and increase worker productivity.

Characteristics

 Synthetic : The representation made of a system or a process should be summarized


in a few sheets, preferably in one. Extensive diagrams make it difficult to
understand and assimilate, therefore they are no longer practical.
 Symbolized : The application of appropriate symbology to system and procedure
diagrams prevents analysts from making excessive, repetitive and confusing notes
in their interpretation.
 Visibly to a system or process: Diagrams allow us to observe all the steps of a
system or process without having to read extensive notes.

Vertical format: The flow or sequence of operations goes


from top to bottom. It is an ordered list of the operations of a
process with all the information considered necessary,
according to its purpose.

Horizontal format : The flow or sequence


of operations goes from left to right.

Panoramic
format :
The entire
process is represented in a single diagram, both vertically and horizontally, allowing
different simultaneous actions.

Architectural format: Describes the route itinerary


of a shape or person on the architectural plan of the
work area.

Symbols

To facilitate the understanding and analysis of the process, the diagram uses a series of
symbols to represent the actions and moments of the process. The use of all symbols is not
mandatory, and they must be used according to the needs of the mapped activities.

Example

Process map
The definition of a map of a company's quality processes culminates in the preparation of a
file for each identified process. It relates its key aspects and the main elements that make it
up. In addition, we can establish performance indicators that allow us to monitor and
evaluate each process, indicating, in turn, a diagram that places it in its corresponding place
according to importance, specific weight and strategic relevance within the general
corporate framework.

 Key processes : These are those directly linked to the goods produced or the
services provided and, consequently, oriented to the client/user. Focused on
providing value, its result is perceived directly by the client or user. Generally,
several functional areas are involved in the execution of these processes and they
are the ones that use the greatest resources.
 Strategic processes : These are those established by senior management to define
how the business operates and how value is created. They constitute the support for
decision-making related to planning, strategies and improvements in the
organization. They also provide guidelines and limits to the rest of the processes.
Examples of strategic processes are internal communication, customer
communication, marketing, design, system review, strategic planning, curriculum
design, among others.
 Support or support processes: These are those that support key processes and
strategic processes. In many cases, these processes are decisive in achieving the
objectives of the processes aimed at meeting the needs and expectations of clients or
users. Examples of support or support processes: training, purchasing, internal
audits, IT, etc.

Align the organization towards its strategic objectives.
