1. Objectives and guideline content
› Prevent any interferences in the logistic process and avoid additional activities.
› Summary and clarify some binding regulations for the material supply to the SEAT plant in
Martorell.
› Response to frequent asked questions and indication of the contact persons.
› Explanation of doubts on the anomalies. Most frequent anomalies are indicated and
assigned to an anomaly code as per the catalogue (for example ), in order to have
a correct interpretation. Please take note that all detected anomalies imply an advice
letter to the supplier, and the corresponding charging note, if applicable.

2. General Information and Regulations: B2B platform
› The main origin of the information for the suppliers and the collaboration interface is the B2B platform
of the VW Group www.vwgroupsupply.com.
› Following next link you can access, without registration, to all relevant information and regulations
for the interchange of electronic data, through the EDI platform, between the suppliers and the
different plants of the VW Group.

2. General Information and Regulations: B2B platform
› Getting into the section of Logistics in the platform www.vwgroupsupply.com (login needed), we will
have access to relevant information to assure the quality of the logistic process of material between the
suppliers and the plants of the VW Group. In addition to the general logistic documents, delivery
regulations and managing empty containers, you have to take in account the plant-specific
specifications.

3. Basic rules for material deliveries to SEAT Martorell
› To assure the quality in the data interchange, as well as in the logistics material process sent to the
plant in Seat Martorell, you will find explanations to different and most relevant reglamentations. With
this we want to avoid annomalies from your part, that only generates additional works in our plant, and
the resulting costs would be charged to you consequently

3.1 Packaging / Load carrier rules
› The supplier has to review and confirm his packaging data sheets (PDS) mínimum once a
week.
› The updating of the PDS takes place system-side every Tuesday at 10 p.m.
› New PDS are to be approved with speficic packaging tests, optimised and, in case of
doubt, verified with transport tests.
› The PDS is binding. The supplier shall only be entitled to object to the PDS for an
important reason, and within a time period of 4 weeks after he has received the same or
after having been published on the BHM Internet. After that point in time, the PDS shall be
regarded as accepted.
› Important reasons could be:
› Purchasing agreement actually not valid
› The container capacity is not optimised.
› A permanent optimisation of the container capacity should be considered by all parts.

3.1 Packaging/Load carrier rules
› Changes in the packaging agreement regarding type, dimensions, capacity, levels, paired
deliveries, etc. must be posible at any time with no additional cost. Changes must be
realised in a máximum time period of 4 weeks.
› In case of identical parts for different plants of the VW Group, different packaging and
requirements should be posible for each receiving plant.
› Handling efforts and measures to guarantee the quality (part protection and internal
packaging) forms part of the A-Price.

3.1 Packaging/Load carrier rules
› The supplier is obliged to order the empty load carriers via BHM (Behältermanagement).
› The empty load carriers or containers are to be used only for the preparation of the
material and the delivery. The supplier has 2 calendar days free of charge.
› Load carriers are not to be used for internal storage , or production, o used in an incorrect
way by the supplier.
› Material produced in advance should not be packed before delivery in the requiered
container. It is important the availability of load carriers the day of delivery.
› If the load carriers are universal, it is posible to acquire own load carriers in coordination
with Behältermanagement in Wolfsburg (BHM). Flexibility in the requirements document
will not be affected by this. In the case of specific load carriers, you’ll have to contact the
plant of destination (Logistic Planning).

3.2 Supply of empty packaging
› Correct ordering requires a valid delivery call-off, a valid PDS and the timely ordering of
the load carrier (two weeks before of need).
› The load carrier orders must be placed by the suppliers on the BHM internet weekly,
based on their needs. They have to take in account alternative packaging, if needed, and
the sufficient ordering time.
› The load carriers are delivered by the from BHM allocated delivery plant.
› The supplier is obliged to thoroughly check the account statement for any incorrect or
missing bookings. Identified booking differences are to be corrected in coordination with
de receiving plant. The complaints period for objections is four weeks.

3.2 Supply of empty packaging
› In case of receiving less quantity of empty load carriers tan ordered, the supplier has to
set up additional needs (it is posible to order separately the basis VW0012 and the cover
001210, or the combination of basis 111444 with the cover 001006 for the KLT 003147).
› To achieve a correct inventory management, suppliers are asked to have a separate
account of empty containers for each delivery. Notification to Behältermanagement
› If the cleanliness of the load carriers does not fulfil the quality requirements of the material
that is to be transported in them, the supplier will have to take, at his own expense,
additional cleaning actions.
› Not usable damaged load carriers should not be accumulated, are to be blocked, without
any exception, from further load carrier circulation, and have to be returned inmediately –
prior notification – to the delivery plant.
In case of any question, please don’t hesitate to contact the responsible person at the
delivering plant or the BHM in the VW Group.

3.3 Electronic Data Interchange
› Shipment documents are to be delivered as per VDA 4939, the latest valid versión
regarding the Volkswagen Guidelines (code 4)
› Only in case of legal requirements, additional documents should be attached, like for
dangerous goods, customs documentation or CMR. Other documents, like own supplier
delivery notes, are not accepted and should not be sent, neither as attachments (code 4)
› Shipment documents (VDA 4939) and advanced shipment notes (ASN) have to meet with
the goods sent (information valid not only for the material sent, but also for the packaging
used). Alternatively, the supplier can use, instead of own system developments, WebEDI
for shipment documents and data interchange, as well as for the label in GTL format.
› VW provides the supplier the usage of the TSB-Generator, without any cost, in order to
print out the shipment documents. Please take note that there is gap period of 4 weeks
after launching a newer version. You can download the TSB-Generator from the webpage

3.3 Electronic Data Interchange
Data interchange
Delivering material in load carriers, you will have to send an ASN (Advanced
shipping note – Electronic Data Interchange) with the data and records of transport,
and the corresponding load carriers.
This information has to be created following the EDI guidelines of VW/AUDI, based
on VDA recommendations and/or Odette or EDIFACT standards, and has to be sent
inmediately to the receiving plants of the Group, as well as to the Carriers. EDI
regulations and message descriptions are available for downloading at the Group
Business Platform (without login), following the next path:

In case of deviations, from correct and on time reception of the message (code 1 of
our deviation catalogue), to the data quality of the message contents (code 11), as
well as shipment document as per VDA 4939 (code 4), the supplier will be charged in
agreement with the catalogue of deviations.

3.3 Electronic Data Interchange
› In case of errors in the data transmission (data on delivery note or transport note, missing part
number, quantity or unloading point), you have to inform inmediately your contact person at the
receiving plant in order to avoid any charge from our side.
› ASN messages rejected by our EDI platform, have to be corrected and sent another time
inmediately, before the material arrives the receiving plant.
› ASN messages that are not rejected, but formal errors have been reported, are not to be sent
another time. On the other side, you have to modify erroneous master data for the next
message.
› In order to prevent differences between ASN messages (EDI) and the shipment documents (in
VDA 4939 format) and the GTL (VDA 4994), the EDI-message has to be the base to print out
these documents.
› You have to sent the ASN message inmediately after charging the truck, so that the date of
delivering the material to the carrier, the ASN-message and the shipment documents are the
same.

3.4 Delivery
› The supplier has to ensure that his goods are packed in a way and are of the agreed
quality so that they can be integrated into the production processes of Volkswagen Group.
› Delivery has to be done according to the VDB (product data sheet).
› You have to keep special attention to a correct labeling (pls. use the specific defined
área), to the máximum weight (KLT: 15 kg) and ensuring the load. Therefore, wrapping is
only allowed when delivering carton on pallet.
› You have to assure that no piece of material nor packaging material stands out of the load
carrier. In case you are using plastic bags, foam or carton as a protection, these have to
be fixed in a correct way in order not to exceed the measurements of the load carrier.

3.5 Labeling
› The supplier has to assure, during the production and the delivery, that the part number
and the quantity indicated on the label corresponds exactly with the content of the load
carrier (code 87) and the VDB (code 202).
› The load carriers labeled with incorrect information will not be detected until supplying the
production line. Due to the needed time for replenishment of the needed material, our
production process could be affected.
› Consequent expenses for production loss or additional handling in case of missing parts
will be charged to the supplier.

› In order to fix correctly the labels on GLT or KLT’s, map case or clamping plate are to be
used.
To assure the label, you have to use two textile adhesive dots on each upper corner of the
same.
When the load carriers have no map cases or clamping plate, the label has to be fixed
with 4 textile adhsevi dots, one on each corner. It is very important not to apply the textile
dots on bar codes, or BIDI or QR codes, so the inclueded information can be read.
› Labels are not to be fixed directly to the load carriers.
› Adhesive labels or documents are prohibited.

3.6 Group of KLT
› The supplier has to accomplish with the type, the capacity and the combination or group
of the load carrier, in agreement with the VDB (Packaging data sheet).
› In general, no mix-pallets should be delivered (1 part number per Group of load carriers)
and completed levels.
› The Group of KLT should not exceed 1 m. of Los conjuntos de KLT no deben superar 1
m. height.
› On one bulk with no mixed references, you can just put material corresponding to 1
delivery note.
› The orders of empty load carriers for KLT’s have to be based on the VDB of each material
number.

3.6 Group of KLT
› To form KLT load carriers combinations you have to use base and covers in agreement to
VDB, generally bases type VW 0012 or 14003, and covers type 001210; in the case of
KLT 003147, you have to use bases type 111444 and the cover 001006.
› The delivery of empty load carrriers are normally done as complete combinations
(standard or special load carriers). In the case of agreements of bulks with less levels, it
will be necessary to order additionally more bases and covers through special additional
needs.
› For job security reasons, no shrink-wrapped standard VW load carriers nor the speific
ones of Seat are allowed. In case of complete bulks (including base, cover and completed
levels), strapping of the load carriers is not necessary, regarding rules of VDA 4500

3.7 Mixed pallets
› Delivering mixed pallets, meaning different material numbers on one pallet, the following
conditions have to be fulfiled:
› The use has to be agreed specifically with each receiving
› The agreement is based on individual KLT.
› The pallet has to be identified as mixed pallet (Master label “Mixed Load”), physically,
as well as in de data transmisión.
› Unloading point has to be the same for all material number on one mixed pallet.
› If all material numbers of a mixed pallet have the same unloading point and correspond
to the same order number, these could be inclueded in just the same delivery note.
› On the mixed pallets, the supplier have to take in account the set up of complete levels of
load carriers, the consistency of the load and the stacking.
› As a general rule, for the set up of mixed pallets, corresponding bases and covers have to
be used.
› The use of disposable wood pallets is only permitted in case no bases are available.

3.8 Alternative packaging
› The supplier is obliged to deliver the parts, even if there is a shortfall of load carriers.
› In those cases, alternative packaging should be used. This has to be easy to open (cover
like a shoe box), and to fulfil at least following conditions:
› The dimensions of the alternative packaging have to correspond to the original load
carrier (same dimensions, same capacity. Therefore, we recommend:
› For KLT: one way/alternative packaging of BHM; otherwise, outer dimensions of the
one way box should to internal dimensions of the original load carrier, and the
capacity of the load carrier has to be the same.
› For GLT: the alternative load carrier has to have a folding entrance similar to the
original load carrier, and the pallet and external carton box do not exceed the outer
dimensions of the original load. The capacity of the alternative load carrier has to be
the same as the original one.
› Must be suitable for handling from the lower side, and stackable to a height of 3 metres.
› Packaging must be visibly labelled to indicate its capacities for load bearing and
stacking.

3.8 Alternative packaging
› For the naming of the load carrier in the delivery documents and the data interchange, ,
codes as per valid regulations are to be used. In no case we will accept de naming of
“000SON”
› Alternative packaging for specific load carriers have to be agreed in written form with the
receiving plant during the acceptance of the samples, together with the planner of the
pieces and in accordance with the quality parameters.
› Costs about alternative packaging are to be reported as follows:
› Standard load carrier property fo BehälterManagement (Wolfsburg) BHM at
Wolfsburg.
› Specifica load carriers property of the individual plants to the corresponding plant
that is managing the empty load carriers.
› The responsability on the quality of the parts continues on the supplier’s side.

3.8 Alternative packaging
› The alternative packaging BHM must have the same size and parts capacity as the
original load carrier:
› Real: Carton box 151744 / planned: load carrier 006147 ›› allowed
› Real: carton box 151743 / planned: load carrier 006147 ›› not admitted.
› To avoid damages during the transport, wrapping should be used.
› Carton boxes are not to be combined with load carriers, bases and covers of VW.
› Not allowed mixture of different packagings:

3.9 Express service and small package service
› The deliveries (sum of all packages to one plant) upto 70 kgs. of total gross weight, have
to be sent via express transport services and parcel post “UPS” (exclusively for
transportation inside German territory) and "DHL Express" (european transports,
excluding transportation in German territory).
› Small pieces in a KLT, that could get out of the load carrier at an angle of 45 degrees,
should be packaged, in addition, in polythene bags.
› The VDA / carton cover of the KLT has to be fixed in a way that security during the
transportation is guaranteed.
› The delivery note (duplicated) has to be fixed outside in a transparent envelop, visible for
each packaging and should contain the following:
› Number of delivery note
› Order number of Volkswagen
›

› The sending label has to be attached exclusively with
textile adhesive dots.

› Each load carrier has to be labeld with a Global Transport Label (GTL), regarding GTL
rules as per VDA 4994.
› For all new Suppliers, the new rules based on VDA 4994 for load carrier documentation,
will be mandatory since the date of this documen.
› Groups of KLT are to be provided with one Masterlabel, and each individual load carrier
inclueded in this Group, with an individual label (Single-Label).

› The supplier has to remove, and if not possible, make ilegible all old labels and textile
adhesive dots that are fixed to the load carrier. Only actually valid labels shall remain at
the load carrier
› Internal logistic labels of the supplier are not permitted. They must be removed before
delivery.
› The labels have to be totally readable.
› Labels are to be fixed on the planned zone of the load carrier.
› The thikness of the paper has to be adequated for operational use (mínimum weight of
paper = 120 g/qm)
› The bar codes of the label has to be machine readable. On a small label, the bar code
has to have a height of mínimum 15 mm, on a master label mínimum 17 mm. We
reommend bar codes of 20mm height. Pls take care to keep the mandatory free spaces
on the left and right hand side.

4. Complaints on delivery quality
› In all plants of the Group Volkswagen, all deficiencies on the logistic process are
registered as well as the quality of the delivery. This forms part of the suppliers evaluation.
› The register of the deficiencies is based on the deficiencies catalogue, published in the
B2B of vwgroupsupply.com, under “Brand specific documents – SEAT”
› Any complaint (deficiency advice and/or charge) has to be answered and corrected by the
Supplier.
