5. Outline one approach (or process) that can be used in the workplace to communicate and
embed change.

Open communications:

One can begin by fully explaining the proposed change to all stakeholders.

(or both) and must include:

 A definition of risk management.

 A list or illustration of the steps in a risk management process.

 A description of what each step involves (including methods).

The risk management process is a framework for the actions that needs to be
taken. There are five basic steps that are taken to manage risk; these steps are
referred to as the risk management process.

Step 1: identify the risk

The initial step in the risk management process is to identify the risks that the
business is exposed to in its operating environment. There are many different
types of risks:

 Legal risk

 Environmental risk

 Market risk

 Regulatory risk

 Etc

Step 2: Analyze the risk

Once a risk has been identified it needs to be analyzed. The scope of the risk must be
determined. It is also important to understand the link between the risk and different factors
within the organization. To determine the severity and seriousness of the risk it is necessary
to see how many business functions the risk affects.

Step 3:Evaluate the Risk or Risk assessment

Risks need to be ranked and prioritized. Most risk management solutions have different
categories of risks, depending on the severity of the risk. A risk that may cause some
inconvenience is rated lowly, risks that can result in catastrophic loss are rated the highest.

Step 4: Treat the Risk

Every risk needs to be eliminated or contained as much as possible. This is done by
connecting with the experts of the field to which the risk belongs. In a manual environment,
this entails contacting each and every stakeholder and then setting up meetings so everyone
can talk and discuss the issues.

Risk avoidance Strategy an organization uses when consequences of certain risks
are high to mitigate the risk
Risk monitoring Involves keeping a close eye on different process and team to assess
risks as they happen

and procedures a consistent process. It also specifies the target audience for this policy.

Roles and The policy clarifies the roles and responsibilities of individuals involved in
Responsibilities change management. It ensures that everyone understands their specific
Policy tasks and contributions during organizational changes.

9. Outline three examples of content that could be included in a communication and education
plan.

Examples Description
Monthly staff A communication plan should include a
calendar schedule of important events and activities for
staff members for a month.
Meeting Effective communication is crucial for a
Announcements successful education environment. The plan
should include announcements and
reminders.
Updates on Regular updates on structures and changes
curriculum are essential.

10. Explain why promoting the benefits of organisational change should be included as part of a
communication and education plan.

So that you engage your employee and get support from your staff. This could be achieved by
highlighting the positive outcomes of change; employees are more likely to support and engage
in the transition. When they understand how change will benefit them personally and
professionally, they become more receptive.

Organizational behavior – is the study of how individuals or a group of individuals interact

within an organization and how their performance impacts organizations goals. It is used to
develop strategies to improve employee engagement and motivation, such as recognition and
rewards programs, employee involvement initiatives, and career development opportunities.

12. How does the external environment impact the change strategies used in an organisation?
Provide an example to illustrate your answer.

One of the external environments that impacts change strategies is

technological factors. Advancement in technology can either benefit or
challenge a company. For instance, integrating GPS into mobile devices
impacted stand alone GPS manufacturers. Adapting to technological changes
is essential for survival and growth.

2. Risk assessment and management: with any change, there are risks
3. Communication plan: a strong change management communication plan addresses
the advantages of the change for the company and for the individuals.
4. The plan: the guts of the change initiative are outlined in the plan.

Section 1: Identify organisational change
requirements and opportunities

1 Provide a brief overview of the business or organisation you are basing your portfolio on.
1.1 What is the name of the business or organisation?

Nature Care is the name of the business.

1.2 What is the main focus of the business?

Nature Care products is an Australian company that produces cosmetics and care
products from high quality environmentally friendly raw materials. The basis of our
business is satisfying the demand for care products with natural ingredients. In
addition, the brand also prides itself on eco friendly packaging that presents a
completely natural image of organic products on the market.

1.3 Explain your organisation’s strategic goals (list at least two organisational objectives).

The two organisational objectives are:

 Increase profit by 10%
 Expand product range by 15%

2 What role will you assume as you lead and manage organisational change?
2.1 What is your role and related responsibilities?

My role is that of Human Resources Manager at Nature Care Products and I oversee
the overall functions of the company which primarily include overseeing the
recruitment, interviewing and hiring of new employees; consult with the Nature Care
leadership team on strategic planning; and act as a link between Nature Care
management and its employees.
Partners in leadership team to comprehend and put into practice the organisation’s
talent strategy, especially as it relates to the current and future needs for people,
recruitment, retention, and succession planning.

2.2 How does your role and responsibilities relate to the execution of your organisation’s strategic
goals?

Since the company’s goal is to achieve profitability and expand its product range,
efficient, talented and knowledgeable employees are required. In this way, a human
resource manager can help ensure that effective employees achieve the best possible
results. In addition, the human resource manager offers customised training and
development programs for employees to strengthen their skills or acquire new skills
and information.

4 Analyse the external environment of your organisation.

4.1 What is the political situation like (e.g. unrest, government support of small business,
government policies)?

Australia’s political situation is stable, and the government provides many incentives.
The government has the ability to assist business in generating enough sales to keep
the economy and local community afloat so that everyone benefits.

4.2 What is the current and predicted economic situation (e.g. state of local and other applicable
economies, interest rates, exchange rates, employment rates etc.)?

For Nature Care, the primary economic challenges to address are inflation rates,
exchange rates, interest rates and economic conditions. However, because of
Australia’s very predictable and stable economy, the danger is minimal and won’t
cause any issues. According to the most current statistics, employment has
continuously increased while the unemployment rate has decreased to 5.1%. Australia
is doing better during this pandemic than most other nations because of the improved
labour market. This comprises of the consumers purchasing power, income and states
general economy. The cost of the company’s products is higher than that of its rivals.

development into Japan will increase opportunities and have an impact on the
economy. Customers prefer to spend more money on goods with greater quality and
sustainable methods. The Australian economy is still cautiously optimistic, but overall
growth of only 2 to 3% is predicted. Melbourne, Victoria and Queensland are all
expected to expand.

4.3 Are there any social considerations (e.g. changing values, beliefs, attitudes and habits)?

The social factors emphasises the technical trends in the society. The modern society
is more into the skin care eco friendly products to maintain their skin with a good
hygiene. The society tends to use the best and natural ways to protect their skin in this
atmosphere. The company Nature Care produces products that are highly sustainable
and natural. Based on the view and thinking of today’s generation towards the skin
care, Nature Care products have a higher demand comparatively to other products in
the market. Mostly the women aging 25-55 years are likely to be the most interested.

4.4 How are technological advances affecting the business (e.g. internet, RPA, risk control)?

The latest developments, changes in mobile information and technology should always
be incorporated into Nature Care. Nature Care should concentrate on developing
innovative manufacturing and distribution processes, as well as ecommerce and
materials. Utilizing cutting edge technology to guarantee prompt delivery and proper
deployment is risky. In addition to maintaining its successful ecommerce website.
Nature Care products will concentrate on creating a social media presence and SEO in
order to reach its target customer. Opportunities are provided by technological trends
like big data, social media campaigns, etc. the business is open to innovation and will
strive to follow modern trends while putting an emphasis on innovation.

4.5 What are your competitors doing/achieving?

Body Shop is one of our competitors who have outperformed us despite having a
larger market presence, a majority of market share, and more financial resources.
Competitors, like the rest of businesses, have shifted to an online presence to attract
clients, increase sales and overcome the limitations of physically having customers in
their store.

4.6 What does the market want?

Buyers want natural and organic skin products that provide their skin with the best
ingredients instead of chemicals, depending on market needs. In addition, the market
is interested in online shopping because it is currently easy and allows comparison
with the competition. And to purchase the tangible product that is currently in high
demand, home delivery is the most suitable option.

Section 3: Evaluate your change management
strategy
1 Assess your communication/education plan.
1.1 Has the plan been implemented as specified?
1.2 Have the objectives of the plan been achieved?
1.3 How have personnel responded to the changes?
1.4 What has been successful?
1.5 What requires improvement?

A Robotic Process Automation (RPA) system for invoicing was implemented in the finance
department.
There were no invoicing issues after it was deployed. Since the RPA system was implemented,
financial person has taken 7 days of medical leave (as opposed to an average of 1 per month in
the past). When queried about the absence, the finance administrator was perplexed by the
new technology. RPA change management was not totally successful, since employees were
overwhelmed, despite the goals of providing job stability and promoting the systems benefit
being met. A new goal for “RPA technology training” is required. Other adjustments, on the
other hand, went smoothly with little pushback or concerns.

2 Respond to barriers to the changes/opportunities.

2.1 What barriers have been experienced in the organisation as a result of the implemented
changes (identify at least one)?

When one employee took a lengthier leave than expected, it had a negative influence on the
organisations overall performance.

2.2 How should you respond to the barriers?

Note: Consider your organisation’s objectives and the risk management plan you developed in
Section 2 of your Project Portfolio

Additional training and development programmes will be implemented in the workplace to

ensure that employees are comfortable with the new system and can fit in with it. In addition,
consultations will be held with stakeholders to get insight into which aspects of the RPA are
difficult and require more attention than others.

BSBLDR601 -PROJECT PORTFOLIO 18

2.3 Attach proof of your response to the barriers to this section of your portfolio (e.g. A photo of
team lunch to thank staff and acknowledge the challenges and anxiety the change created for
them, email to suggest mentoring relationship etc.).

From: Human Resource Manager

Subject: For the new RPA, more training is required

Dear Finance Manager,

I understand that change can be difficult, especially because the new system will have new
features and characteristics that the staff members arenot familiar with. I want you to know that
you don’t have to take long vacations; instead, ask for assistance so that we can assist you in
any way we can.
As time goes on, we will begin to provide further training and establishing programmes to assist
you in better understanding about the new RPA system. Next week, we will hold a meeting;
please make every effort to attend so that we may discuss the adjustments and difficulties.
We anticipate a fruitful meeting.
Thank you for taking out your time to read this.

4 Review and evaluate your change management project plan.

4.1 Has the change management project plan supported the organisation in meeting its objectives?

Yes, the change management project plan was successful in meeting the organisations
objectives because the adjustments reduced the amount of invoicing system problems. In
addition, the company has been able to boost its profit margins, attract new clients, and grow
its market share.

4.2 Are any changes required to your project plan?

The project plan does not need to be changes because it was successful in identifying changes
and opportunities and suggesting execution techniques that resulted in a positive outcome.

4.3 Modify your change management project plan (if necessary).

Note: Attach proof of your modified change management project plan to this section of your
