STEP 1.
Get a vanity email address/domain.
See example below:
Your Name
STEP 2.
In addition to your own email, make a new
email inbox with the name@ or hello@ your
company vanity domain. This is your assistant’s
email address.
Random Name
STEP 3.
Name your assistant! It can be anything you like!

STEP 4.
Congrats! You’re hired! You've officially hired your
first ever "employee" a.k.a. yourself.
STEP 5.
Create folders to organize your “assistant’s” mail.
Save yourself some time later by creating a
system to organize your email.
Some suggestions include:
Scheduling
Sales
Client onboarding
The easier it is for your next assistant to
navigate the inbox, the more likely they will be
able to research the best approach to
communicating on your behalf and take less of
your time in training.
STEP 6.
Familiarize yourself with your email’s features
scheduled emails, signatures, snoozing mail,
etc. are great ways to maintain your sanity
and…the illusion.

STEP 7.
Start answering your emails as your assistant.
It is highly recommended that you set
certain times per day to do this and
calendar block your time accordingly.

STEP 8.
When you do hire a real assistant, while they
are onboarding your fake assistant is “leaving”
the company.
Onboard your new (real) assistant with
their own name@company address, give
them access to the old inbox, and
autoforward new emails to the new
assistant.
When people email looking for the fake
assistant, simply let them know there’s
been a transition in the team and that they
can now contact [Name].
