Spelling and Grammar tool Autocorrect
option
Spell check feature of Ms Word helps you to identify automatically
spelling and grammatical mistakes by red and green wavy corrects a
lines. spelling as you
type.
To correct a spelling-
Short cut to
★ Right click on highlighted word run spell check
is Alt + F7.
★ Choose the word from the menu
Or
★ Click on review tab
★ Spelling and grammar option in the proofing group
★ Choose any option from the dialog box change all,
select a word or ignore once or ignore all
★ Click on ok
Thesaurus
Thesaurus is a dictionary of words with the same
meaning and opposites. This tool provides a list of
synonyms and antonyms.
To use Thesaurus tool-
★ Select a word
★ Click on review tab -> Thesaurus -> proofing group
->pane will display a list of synonyms of the selected Short cut
word to load
★ Click on drop down arrow ->Click on insert thesaurus
Or shift+F7.
★ Right click on the selected word
★ Click on synonyms & select the desired word.

To search for a particular word :
★ Click on Find button on home
tab -> Navigation pane opens
in left
★ Type the word you want to
search -> Searched word
gets highlighted in the
document at each
occurrence

To use find & replace tool
★ Click on replace button on
home tab
★ Enter the word or phrase you
want to locate in the find box
★ Enter new text in replace box
★ Click on replace all Tip

Page Formatting
Page formatting is an arrangement of the layout
and all the elements of a page so that it looks
appealing to the reader.
Page Orientation : Orientation means the direction
in which text or image appears on the page. Portrait
is the default orientation in Ms-word.
To change orientation :
★ Click on layout tab
★ Click on orientation in page setup group
★ Choose Portrait or landscape from the
drop-down menu
Paper Size & Page Break
Paper size is the actual length and width of the paper in cm. To
change the paper size :
★ Click on layout tab To insert a blank page :
★ Click on Size command in page setup group Press Ctrl+ Enter key
★ Select the paper size for your document
Page Break : Inserting a page break means instructing word to end a
page at a certain point which is different from the current paper size.
To insert a page break:
★ Click where you want to insert the page break-> click on layout
★ Click on page breaks command in page setup group
★ A page break will be inserted
Paragraph Formatting
Paragraph formatting is used to change
the appearance of paragraphs.
Line Spacing : Line spacing means the
amount of vertical space between the
lines of text. Steps to change line
spacing:
★ Place the cursor anywhere in the
text ->Click on Home tab
★ Click on line and paragraph spacing
tool in paragraph group
★ Choose the line spacing you want
Paragraph Spacing
Paragraph spacing means the amount
of vertical space between paragraphs is
measured in points.
Steps to change paragraph spacing:
★ Place the cursor anywhere in the
paragraph ->Click on Layout tab
★ Click on before and after spin boxes
under spacing in paragraph group
★ Click on the arrows in the spin
boxes below spacing to choose the
required spacing
Column Formatting
Column formatting is an option to layout some text or the entire
document in columns.
★ Select the text -> Click on layout tab
★ Click on Size column command in page setup group
★ Select the number of columns from the drop down menu.
Mail Merge
The Mail Merge feature in MS-Word provides
you with a tool to create and send multiple
letters and invitations to many people at the
same time.
Steps to Create mail merge are:
★ Create the main document - It is the body of
the letter or invitation that has to be sent.
★ Create the data source - The data source
contains the details of the people to whom
invitation/letters to be sent. It can have the
names, mail, telephone no, address etc
★ Merged documents - It combines both the
documents.
Creating the Main Document
You are inviting your friends for a Birthday party. To create a main
document follow the given steps -
Step 1 : Type the invitation letter in Word
Step 2 : Click on mailings tab
Step 3 : Click on start Mail Merge
in start Mail Merge group . A
drop down menu appears.
Step 4 : Select letters from menu.
Creating a Data Source
In this step you have to select the recipients of
your invitation :
Step 1 : Select mailing tab -> Select recipients
from start Mail Merge Group -> click on ‘Type
a new List’
Step 2 : Add the details of the recipients ->
after entering the details -> click on ok
Step 3 :
Step 3 : In the file name box type the name
of the list to save -> Click on save
You will observe that <<AddressBlock >>
appears in your document.
Merging the Main Document
& Data Source
In the end you have to merge the Main document and Data source. To do so
follow the given steps :
Step 1 : Click on Mailing Tab
Step 2 : Click on Finish & Merge command
in the Finish group -> Choose ‘Edit
Individual Documents’ from the drop down
menu.
Step 3 : Select the All button .
Step 4 : Click on OK button.
A new document opens up in a new window with
the merged invitations.
