Volunteering at Kings College Hospital NHS Foundation Trust

We are pleased that your child has applied to be a volunteer at King’s College Hospital NHS
Foundation Trust. We would like to provide you with some information relating to the
volunteer recruitment and training and placement process. As your child is under 18, we also
ask that you sign and complete the form on the last page of this document and return to the
Volunteer Service from your own email account.

Application
We do not take all applications through so it’s a great achievement that your child has got
through this first stage.

Checks
Volunteers are required to undertake a DBS check. The DBS check is an online process so
there is no need for anyone to come to the office at this stage of the process.

Training
We wish your child to be equipped appropriately with the right information and resources so
that they can undertake their volunteering safely and also to ensure patient and visitor safety
so we ask that they complete all the training required as per trust policy.
In light of current circumstances all training is done online. There is a two hour training
session done via Zoom and also a number of online modules that need to be completed. All
of the online modules and training can be accessed from home.

Shift time and absences


Volunteers are asked to commit to 4 hours a week for six months. The date and time is fixed
as is the placement and due to the nature of the hospital environment we ask that volunteers
stick to this agreed schedule. If volunteers are unable to come in, we ask that they email us
and their placement manager. Absences are recorded on our database.

Local Induction
Volunteers will meet with their placement manager on their first shift to have a local
induction/orientation so that they are familiar with other staff and local protocols.

ID badge and Uniform


Volunteers will be issued a uniform and an ID badge on their first shift. They will be required to
wear the uniform along with their ID badge and all times.
Recording of hours
Volunteers will be asked to sign in and out before and after their shifts at the volunteers office
and this is recorded electronically so that we are aware of which volunteers are on site at all
times. Should the volunteer office be closed we asked volunteer to sign in at the Hambleden
wing helpdesk.

Travel and Meal vouchers


Your child will be given a meal voucher valued at £5 which they can use in any of our food
outlets. We also reimburse travel up to £4 on production of a receipt.

Reference
We appreciate that your child maybe volunteering so as to gain a reference for their college or
university applications. Please note that we can only issue references after six months of
placement and upon 85% attendance rate which equates to approximately 62 hours.

Communication
We keep in contact with all our volunteers directly and expect them to regularly check their e-
mails and voicemails.

Health and Safety


All volunteers undertake PPE training and are provided with the appropriate equipment
according to their role. In light of current circumstances, we ask volunteers that if they or a
member of their household is ill and displaying/diagnosed with Covid 19 that they do not come
to the hospital and inform the volunteering office.

Lastly, information on our database is strictly confidential and we do not pass on any personal
data to outside organisations and/or individuals without your child’s express personal consent.
The only exception to this might be if there is a crisis and the emergency services need to be
given appropriate information.

We appreciate the time that your child will be giving to the Trust to improve patient experience
and we hope that whilst they are here they have a good experience volunteering with us.
