Format and Presentation

The project report must be typed or word-processed and prepared in 1.5 spaced, Times
New Roman 12pt typescript on A4 paper, with margins of approximately 4cm left and
2.5cm on the right, top and bottom. Only the abstract should be single spaced. The
reference list should be 1.15 spaced.

Illustrative items such as tables and figures should be referred to in the text and should be
as near as possible to the main portion of the text referring to them. They should also be
titled and numbered chapter-wise (e.g. Table 3.1, 3.2, etc. for Tables in Chapter 3)
throughout the report for ease of reference. The title of each table is to be placed above
the table and aligned to the left, while the title of each figure is to be placed below the
figure and should be centre-aligned.

Pay attention to tenses (past, present, future) and be careful not to mix them within
chapters. For example, System Analysis and Design as well as Results, are to include what
has been done/found and so should be in past tense. Personal pronouns MUST NOT be
used throughout the report. Bullet points must be avoided, instead use roman numerals or
alphabets all through the report.

Page numbering up to the abstract should be by small-lettered Roman numerals, (i, ii, iii,
iv, etc.) and the main body of the text plus appendices should be numbered consecutively
throughout in Arabic numerals (1, 2, 3, 4 etc.).

Except in chapters one and five, each chapter should contain an introduction (introducing
the reader to what the chapter will discuss), the main body of arguments and a chapter
summary (summarizing the main points raised in that chapter).

The format of the project should be as follows:

a. Title Page

c. Certification

d. Dedication

e. Acknowledgements

You should refer to those people who have assisted you in your project. For example,
the University management, your head of department, supervisor, advisors,
technologists/technicians that assisted you technically and those who completed
questionnaires (if applicable) etc. Please ensure names are spelt correctly and that you
conform with ethical issues (do not name any individuals or companies who have
provided you with data or personal information).

f. Table of Contents

Your contents page should list the sections and subsections of your project followed by
references and then appendices. You should provide the title of each appendix and it is
common practice to name each section of the appendix (Appendix A1, A2, B, C, etc.)

g. List of Figures

List all figures by number, title and page number

h. List of Tables

List all figures by number, title and page number

i. List of Abbreviations (Optional)

Abbreviations should be listed in alphabetical order. In the text, the abbreviation should
only be used after its first mention, which should be written in full.

j. Abstract

The aim of this is to give the reader an overview of the work contained in the project. It
should be no longer than 300 words, single spaced (1.0) and should refer to the
introduction (one to two sentences), problem, aim, methodology used, the main findings
and the conclusions reached. It is NOT a description of your contents page. The abstract
should end with a maximum of five (5) key words arranged alphabetically.

k. Chapter One - Introduction

This should set the scene and give the reader a complete overview of what you intend
to do. It should include a general introduction, a rationale for doing the research, an aim
and supporting objectives, the methodology, and an outline of the organization of the
report. Chapter one should contain the following subsections: Background of the Study,
Significance and Motivation of the Study, Problem Statement, Aim and Objectives,
Methodology, Scope and Limitations of the Study, and Project Report Organization.
l. Chapter Two - Literature Review

A literature review is “an interpretation and synthesis of published work” (Merriam,


1986, Case Study Research in Education) and it is not simply an extended essay. As
such your literature review should involve the following processes:

Searching for Sources

Searching for references is a standard part of your project and should be done as early
as possible. Search tools are available and include:

Internet scholarly search engines and databases such as Institute of Electrical and
Electronics Engineers (IEEE) Xplore, Google Scholar, and other bibliographic
databases such as the Web of Science, SCOPUS, EBSCO, JSTOR, ProQuest, Science
Direct etc.

Your most accessible sources are those in print form in the library and those electronic
journals towhich Covenant University subscribes. You can go the University Library
information desk to get access to these databases if so desired.

Use of Information

At this level, it is essential that you observe scholarly conventions for the attribution of
the work of others. Please read the notes on plagiarism in your student handbook (A
maximum plagiarism score of 20% is acceptable). In addition, desist from AI-generated
text in producing and editing your report. References are those sources, which were
consulted in the course of your research and which are actually referred to in your text.
During the literature search of your project topic, you will find published materials
(books, book chapters, scientific articles, magazine articles, press articles, commercial
reports, etc.). It is essential to refer to your source when quoting actual text, when
referring to numerical data, and when using a diagram or figure found in the literature.
Figures (pictures, diagrams, models, maps, etc) and tables should be clearly labelled and
of a sufficient size to be readable. The source of each map, picture, diagram, equations,
or statistical table should be clearly cited using the IEEE citation style. Thus, each
figure or table should have:

* a number. The figure and tables should be numbered (so that you can refer to it as an
explanationor illustration of your argument in the main text – reciprocally, all figures
and tables should be referred to and used in the text);
* a title;

* the source, if the figure or table has been found in a book, article or report (if it is a
result of your own work, it does not need a source).

Finally, do not cite your lecture notes, it is not appropriate.

m. Chapter Three - System Analysis and Design

This chapter shall concentrate on the candidate’s own work. This may involve, system
description, modelling, analysis and design; data collection and analysis; software
development; system simulation and/or implementation; comparison of different
methods; and description of experimental procedures. If it is a design chapter, then after
the introduction section (3.1), the next section should be 3.2 Design Specifications.

Where there is a need to tabulate data, proper tables shall be drawn. Each table shall
have a meaningful caption which is numbered according to the chapter number. Table
captions appear ontop of the Table.

n. Chapter Four - Results and Discussion (or Implementation and Testing)

Depending on the type of project done, one of the chapter titles listed above should be
adopted. The supervisors are to guide in the selection. The results should be presented
in a logical manner using tables and figures as necessary. You should discuss the
meaning of the results as you present them. Remember to relate your results back to
your aim and objectives and literature review. This section should not be just a
description of your results but should include a discussion and evaluation of the findings
you have made. The BEME should be presented just before the chapter summary.

o. Chapter Five - Conclusion and Recommendations

Your conclusions are a summary of your overall findings and should relate to your
original aim, objectives and/or hypotheses. The conclusions should be based on your
results and discussions section but should NOT be a regurgitation of this section. This
chapter should have three sub-sections: summary (the key parts of the literature must
be revisited in this section and where appropriate the conclusions should assess
implications of the work done), achievements, and recommendations (areas of
improvement/ future work).
Reference List

Throughout your project you will be referring to the work of others. You must provide
a list of those sources which you use and refer to in the project. All sources you use
must be referenced and must be included in this list. Each source in the list must be in
a form that is traceable by the reader—thus you need to include the authors’ names, the
year, the title of the source, etc. The department of Electrical and Information
Engineering insists that you use the IEEE style of referencing. Failure to
acknowledge and reference correctly may lead to accusations of plagiarism and if
proved, you will be subjected to the disciplinary process of the University.

p. Appendices (Optional)

They should include only relevant information like extra drawings, source codes, dataset,
completed questionnaires (if administered) in this section. The appendices must be
referred to in the body of the work where relevant.
