Shortcut Keys for Windows and File/Folder

File Management
• Filename = Unique name given to a file.

• Extension= Identifies program used to open a file.

File Compression
• Allows you to a shrink a file to a smaller file. The smaller file is compressed.

• File compression applications include Winzip and Pkzip.

Moving Files
• Select file(s)
• Click and drag to a different folder on the same drive.
• Edit, Cut and Edit, Paste from the Menu Bar.
• Cut and Paste buttons from the Toolbar.
• Shortcut Menu (right click), Cut and Paste.

Copying Files
• Select file(s)
• Click and drag from one drive to another
• Ctrl + drag to a different folder on the same drive
• Edit, Copy and Edit, Paste from the Menu Bar
• Copy and Paste buttons from the Toolbar
• Shortcut Menu (right click), Copy and Paste

Deleting a File
• Select the file(s) and Press the Del key
• From the menu = select File then Delete
• Shortcut Menu (right click)

Renaming a File
• Select file(s)
• From the menu select File then Rename
• Shortcut Menu (right click)
• Type the new file name
• Warning! Do not change or delete the 3- character extension

Files and Folders


File = A set of instructions or data that has been given a name and stored on a disk.
1) Program file = an executable file, such as Word, Excel, game, etc.
2)Data file = a file that contains information that is processed by a program file, such as an
essay that has been saved to a disk.
1) Files must have names Up to 255 Characters and an extension of 3 characters.
2) May include spaces and punctuation.

File type
• Determined by application used to create it.
• 3-character extension appended to file name, such as .doc, .xls, .ppt
• icon shown next to file name.

Folder
• Used to organize files on disk like a file cabinet
• Can contain program files, data files or other folders (called subordinate folders).
To create a folder
• Select drive where folder will go and Use Menu Bar and go to File, New Folder
• Key in name of folder and Press [enter] key
• Can also use shortcut menu (right-click)
To create a subordinate folder
• Select folder where subfolder will go and Use Menu Bar and go to File, New Folder
• Key in name of folder and Press [enter] key
• Can also use shortcut menu (right-click)
Login And Password:
A name used to gain access to a computer system. Usernames, and often passwords, are required
in multi-user systems. In most such systems, users can choose their own usernames and
passwords. Usernames are also required to access some bulletin board and online services.

Windows Short Cut Keys:


In computing, a keyboard shortcut is a set of one or more keys that invoke a command in
software or an operating system.

 Alt + Esc: Switch between programs in order they were opened.

 Ctrl + Esc: Open Start menu.

 Ctrl + F4: Close active document (does not work with some applications).

 Alt + F4: Quit active application or close current window.

 Alt + Spacebar: Open menu for active program.

 Ctrl + Left or Right Arrow: Move cursor forward or back one word.

 Ctrl + Up or Down Arrow: Move cursor forward or back one paragraph.

 F1: Open Help menu for active application.

 Ctrl + C – Copy the selected item.

 Ctrl + X – Cut the selected item.

 Ctrl + V – Paste the copied/cut item.

 Ctrl + Z – Undo an action.

 Ctrl + Y – Redo an action.

 Ctrl + A – Select all items in a window or document.

 Ctrl + P – Print the current document.

 Ctrl + F – Find Word on Whole Page


 Ctrl + Alt + Delete – Quick Access for sign out and change password etc

 Alt + Tab – Switch between open applications.

 Alt + F4 – Close the active window/application.

 Win + D – Show or hide the desktop.

 Win + L – Lock your computer.

 Win + E – Open File Explorer.

 Win + R – Open the Run dialog box.

 Win + I – Open Windows Settings.

 Win + S – Open search.

 Win + X – Open the Quick Link menu (provides access to various system tools).

File and Folder Management Shortcut Keys:

 Ctrl + N – Open a new window in File Explorer.

 Ctrl + Shift + N – Create a new folder.

 F2 – Rename the selected file or folder.

 Delete – Move the selected item to the Recycle Bin.

 Shift + Delete – Permanently delete the selected item (bypasses the Recycle Bin).

 Ctrl + Shift + Esc – Open Task Manager.

 Alt + Enter – Open the Properties window for the selected item.

 F5 – Refresh the active window.

 Ctrl + Shift + E – Display all folders in the navigation pane.

 Ctrl + D (or Delete) – Delete the selected file or folder (moves it to Recycle Bin).

 Ctrl + Mouse Click – Select multiple individual files/folders.

 Shift + Mouse Click – Select a range of items.


 Ctrl + Arrow keys – Move the cursor between items (up, down, left, right) without

selecting.

 Shift + Arrow keys – Select multiple items in the window or desktop.

 F3 – Search for a file or folder in File Explorer.

 Ctrl + E (or Ctrl + F) – Focus on the search box in File Explorer.

 Ctrl + A – For Select All

These shortcuts can help you work more efficiently, whether you’re managing files or navigating
through the system!
