I. Introduction:

What is Corona Virus / COVID-19?

The 2019 novel Corona Virus is now named severe acute respiratory syndrome Corona Virus-
2 (SARS- CoV-2) while the disease associated with it is referred to as COVID-19.

When and where did Corona Virus / COVID-19 originate from?

SARS-CoV-2 was identified in China at the end of 2019 and is a new strain of Corona Virus that
has not been previously identified in humans. Corona Viruses are viruses that circulate among
animals but some of them are also known to affect humans. After they have infected animals, they
can eventually be transmitted to humans. A wide range of animals is known to be the source of
corona viruses, particularly bats.

II. Hazard Recognition:

What is the mode of transmission of COVID-19 and how does it spread?

The virus seems to be transmitted mainly via respiratory droplets that people sneeze, cough, or
exhale.
The incubation period for COVID-19 (i.e. the time between exposure to the virus and onset of
symptoms) is currently estimated at between 2 and 14 days. At this stage, we know that the virus
can be transmitted when those infected show (flu-like) symptoms. However, there are still
uncertainties as to whether mild or asymptomatic cases can transmit the virus.

If people with COVID-19 are tested and diagnosed in a timely manner and rigorous infection
control measures are applied, the likelihood of sustained human-to-human transmission in
community settings in the EU is low. Systematic implementation of infection prevention and
control measures were effective in controlling SARS and MERS corona viruses.

What are the symptoms of COVID-19 infection?

The symptoms of COVID-19 may be recognized as follows:

 Fever.
 Cough.
 Difficulty in breathing.
 Pain in the muscles.
 Tiredness.

More serious cases develop severe pneumonia, acute respiratory distress syndrome, sepsis and septic
shock that can lead to the death of the patient. People with existing chronic conditions seem to be more
vulnerable to severe illness.

Is there a treatment for the COVID-19 disease?


There is no specific treatment for this disease so the approach used to treat patients with corona virus-
related infections is to treat the clinical symptoms (e.g. fever, difficulty breathing). Supportive care
(e.g. supportive therapy and monitoring – oxygen therapy, fluid management and antiviral) can be
highly effective for those infected.

When should one be tested for COVID-19?


If there is an acute respiratory infection (sudden onset of either a cough, and/or a sore throat, and/or
shortness of breath) and in the 14 days before the start of your symptoms, you were either in close contact
with a confirmed or probable case of COVID-19 infection, or travelled to an area where there is ongoing
community transmission of COVID-19, or worked in or attended a healthcare facility where patients with
COVID-19 infections were being treated, you should contact your doctor for advice.

III. Reporting Procedure:

What should one do if they have had close contact with someone who has COVID-19?
Notify agent, office & port in your area that will provide guidance on further steps to take. If crew
develop any symptoms, it is important that you call our company doctor for advice, mentioning that
crew has been in contact with someone with COVID-19. Isolate crew and do not cough sneeze or
exhale to close to other people. Wearing face mask and gloves are mandatory if you suspect that crew
is infected with the virus.

How to identify and isolate COVID-19 infected persons?


In all workplaces where exposure to the COVID-19 may occur, prompt identification and isolation
of potentially infectious individuals is a critical first step in protecting workers, visitors, and others
at the worksite.

Immediately isolate people suspected of having COVID-19. For example, move potentially
infectious people to isolation rooms and close the doors. Move potentially infectious people to a
location away from visitors & other crew.

Take steps to limit spread of the person’s infectious respiratory secretions, including by providing
them a facemask and asking them to wear it, if they can tolerate doing so. Note: A surgical mask on
a patient or other sick person should not be confused with PPE for a worker; the mask acts to contain
potentially infectious respiratory secretions at the source (i.e., the person’s nose and mouth).

If possible, isolate people suspected of having COVID-19 separately from those with confirmed cases
of the virus to prevent further transmission.

Restrict the number of personnel entering isolation areas, including the room of a patient with
suspected/confirmed COVID-19.
Protect crew in close contact with the sick crew by using additional engineering and administrative
control, safe work practices and PPE

It is advised that only one person takes care of the infected patient and the person taking care must
always wear protective gear (mask, gloves etc) when in contact with the patient and also follow rigorous
cleaning procedure on him or herself after treating the patient like safe disposal of mask and gloves,
washing hands and face with soap and water or using a disinfectant/sanitizer.

Reporting ill travelers detected on board:


Sea travel: If the Maritime Declaration of Health is not required for all ships arriving from an
international destination, the country may consider making its submission mandatory for international
ships arriving from or passing through areas affected by the COVID-19 outbreak, as defined by the
health authority.

In case of suspected cases the crew should be informed:

 Not to touch the front of their mask. If they do touch the front of the mask, they must perform
hand hygiene with an alcohol-based hand rub or soap and water. If the mask gets wet or dirty
with secretions, it must be changed immediately;

 Practice respiratory hygiene at all times. This includes covering the mouth and nose during
coughing or sneezing with tissues or a bent elbow if not wearing a mask, followed by
performing hand hygiene with an alcohol-based hand rub or soap and water;

 Not to share spaces with people who are not suspected to have COVID-19 infection
(for example, travelers with other illnesses waiting for interview).

Tissues, masks and other waste generated with suspected COVID-19 infection should be placed in a
container with a lid in the isolation room and disposed of according to national regulations for
infectious waste. Frequently touched surfaces in the isolation area, such as furniture, light switches,
sinks and bathrooms used by crew with suspected COVID-19 infection need to be cleaned three times
a day (morning, afternoon, night) by personnel wearing appropriate PPE.

Cleaning should be done with regular household soap or detergent first and then, after rinsing with
water, regular household disinfectant containing 0.5% sodium hypochlorite (that is

equivalent to 5000 ppm or 1 part to 9 parts water) should be used.

Crew suspected to have COVID-19 infection should remain in an area that has a comfortable
temperature and good ventilation, that has chairs or other places to sit, and they should be given
blankets, as needed. They should also be given food and water as needed and according to their ability
to eat and drink; they must be kept in the most comfortable conditions possible.

IV. Prevention and Control:

How can one avoid getting infected?


When visiting areas with presumed ongoing community transmission you should avoid contact with
sick people, in particular those with a cough. Avoid visiting places where live or dead animals are
handled; follow general rules governing hand hygiene and food hygiene wash your hands with soap
and water before eating, after using the toilet and after any contact with animals avoid contact with
animals, their excretions or droppings. Wherever you travel, apply general rules governing hand and
food hygiene.

What are the rules for disinfection / hand washing?

Hand washing and disinfection is the key to preventing infection. You should wash your hands often
and thoroughly with soap and water for at least 20 seconds. If soap and water are not available, you can
also use alcohol-based hand sanitizer with at least 60% - 96% alcohol. The virus enters your body via

your eyes, nose and mouth, so avoid touching them with unwashed hands. Wear impermeable,
disposable gloves and dispose them with care as mentioned in the image below.

Are face masks effective in protecting against COVID-19?
Face masks help prevent further spread of infection from those who are sick to others around
them. However, face masks do not seem to be as effective in protecting those who are not infected.
Wearing an N – 95 mask can give an ample protection when compared to ordinary masks.

Is there a vaccine against COVID-19? How long will it take to develop a vaccine?
There are currently no vaccines against corona viruses, including COVID-19. This is why it
is very important to prevent infection or contain further spread of an infection.
The development of vaccines takes time. Several pharmaceutical companies are working on
vaccine candidates. It will however, take months before any vaccine can be widely used as it needs
to undergo extensive testing to determine its safety and efficacy.

Is one protected against COVID-19 if they had the influenza vaccine this year?
Influenza and COVID-19 are two very different viruses and the seasonal influenza vaccine would
not protect against disease caused by COVID-19
However, as the European influenza season is still underway, the influenza vaccine is the best
available protection against seasonal influenza and it is not too late to get vaccinated.

V. Importance of Water:

Drinking Water
It is necessary that ample quantities of pure drinking water, preferably room temperature or warm,
should be consumed to keep the throat wet. It is advised by many medical practioners and doctors
that the throat should be kept moist all the time to protect oneself from getting infected by COVID-
19.

One must have access to drinking water as and when they feel dryness in the throat. Carrying a
water bottle always is essential to keep yourself hydrated and your throat moist.

Cleaning Water
Every person who maybe be in direct contact to a person affected with COVID-19 or taking
precautions to prevent the spread of COVID-19 must always have plenty of water for cleansing their
hands and face along with a good disinfecting soap. Conservation of water is essential so that it may
be available for everyone to use for cleaning hands and face constantly.

VI. Safe Disposal of Waste:

What is Waste Segregation?

Segregation of our waste is essential as the amount of waste being generated today caused immense
problem. Waste should be separated daily into different dustbins for the different categories of waste
such as Wet & Dry Waste which should be disposed of separately.

Wet wastes, which consist of leftover foodstuff, vegetables, peels etc., should be put in an organic
waste container.

Dry waste consisting of cans, aluminum foils, plastics, metal, glass and paper could be recycled.
One should also keep a separate dustbin for toxic wastes such as medicines, batteries, dried paints,
bulbs etc.

Proper Segregation of Waste:

Waste can be segregated as follows:

I. Bio Degradable Waste:-


Bio Degradable waste includes organic waste, e.g. kitchen waste, vegetables, fruits, flowers,
animal carcasses, leaves from the garden and paper.

II. Non Bio Degradable Waste:-


Non Biodegradables can be further segregated into:-
a) Recyclable Waste: Plastics, Paper, Glass, Metal etc.
b) Toxic Waste: Paints, Chemicals, Bulbs, Spray Cans, fertilizer and pesticide containers,
batteries etc.
c) Hazardous Hospital Waste: Old Medicines, cloth soiled with blood and other body fluids,
face masks & gloves of infected persons must be disposed of with utmost care in a separate
bin.

Garbage:

a. All garbage bins in the galley and accommodation area are to be well covered.

b. Wear PPE when handling garbage.

c. To Clean and disinfect garbage spaces daily.

VII. Restrictions to Enter Non Infected Spaces:

An appropriate number of trained personnel should be assigned to these duties, Crew should be trained
to protect themselves by maintaining more than 1 m between oneself and crew at all times, which is
also known as social distancing.

Equipment
Crew handheld no-touch thermometers or thermal imaging cameras should be used to ascertain
temperature. Manual thermometers that require contact with skin or mucous membranes should not be
used.

Training:

Provide personnel with training on


 Using adequate hand hygiene techniques,
 Maintaining 1 m of distance from crew at all times, and
 Educating companions and addressing their concerns.

Train personnel about the importance of source control, that is, providing medical masks to crew
with respiratory symptoms.
Train crew on how to instruct ill crew about the use of respiratory hygiene (that is, coughing or
sneezing into tissues or a bent elbow) and the need to wear a mask and perform frequent hand hygiene,
especially after coughing or sneezing, or touching or disposing of their mask.
For hand hygiene, ensure there are adequate supplies of an alcohol-based hand rub or soap and water.
For respiratory hygiene, ensure there are adequate supplies of medical masks that can be used with
respiratory symptoms and paper tissues.
Ensure that waste bins with liners and lids are available for disposing of medical masks and tissues;
and ensure there is a plan for disposal of this waste in accordance with infectious waste regulations.
Ensure that cleaning supplies are available, including household cleaner and disinfectant.
Ensure that there are chairs or beds, or both, in the isolation areas.
Plans and standard operating procedures:
Guidelines should be available how to clean and disinfect frequently touched surfaces and bathrooms.

Cleaning should be done three times a day (morning, afternoon, night) with regular household soap
or detergent first and then, after rinsing, regular household disinfectant containing 0.5% sodium
hypochlorite (that is, equivalent to 5000 ppm).

Other services
Identify transport that can be used to take suspected cases to the identified healthcare facilities. Identify
a service provider that can apply the recommended measures to clean and disinfect areas.

Interviews with crew should include the following:


Assessing crew for COVID-19 disease
The following signs, symptoms and history should be assessed.
Signs or symptoms of illness suggesting respiratory infection should be evaluated, including
 Fever > 38° C or the crew mentioning feeling feverish;
 Cough
 Breathing difficulties.

A history of possible exposure to the COVID-19 virus should be evaluated, including


 Travel to a country with ongoing transmission of the COVID-19 virus 14 days prior to the
onset of symptoms;

 A visit to any healthcare facility in a country with ongoing transmission in the 14 days prior
to symptom onset;

 Close physical contact4 during the past 14 days with a traveler suspected or confirmed to
have COVID-19 infection;

 A visit to any live animal markets in a country with ongoing COVID-19 virus transmission
in the 14 days prior to symptom onset.

Crew suspected of COVID-19 infection and who exhibit clinical symptoms consistent with
respiratory infection should be immediately isolated is isolated in the ship’s hospital, or other suitable
location on the vessel and relevant public health authorities should also be notified.

The master should comply at all times that the instructions issued by the Ministry of Health and Family
Welfare, Govt. of India, as well as the guidance issued on dealing with COVID-19 matters by World
Health Organization (WHO), International Maritime Organization (IMO) and other applicable trade
bodies.

VIII. Important Points to Remember:

 Corona virus is large in size where the cell diameter is 400-500 micros and for this
reason wearing a mask prevents its entry.

 The virus does not settle in the air but is grounded, so it is not transmitted by air.

 Corona virus when it falls on a metal surface, it will live 12 hours, so washing hands with
soap and water well enough is essential. Using a good alcohol strength sanitizer often helps
one to prevent catching the virus.

 Corona virus when it falls on the fabric remains 9 hours, so washing clothes or being exposed
to the sun for two hours meets the purpose of killing it.

 If the virus is exposed to a temperature of 26-27 ° C. it will be killed, as it does not live in
hot regions. Also drinking hot water and sun exposure will do the trick and stay away from
ice cream and eating cold is important.

 Gargling with warm and salt water kills the tonsils' germs and prevents them from leaking
into the lungs.

Adherence to these instructions fulfills the purpose of preventing viruses.

IX. Guidelines - Corona virus (COVID 19) - Personal Protective Equipment


(IMO Circular letter No: 4204/Add.15)

The below guidance on the safe and effective use of personal protective equipment (PPE) recommended
by World Health Organization (WHO) is for onboard reference and implementation.

The use of PPE is a must while crew interacting with seafarers and other third-party members as listed
below to minimize the risks of COVID-19 infection.

a. Shore personnel

 Pilots
 Port workers
 Port State control officers,
 Ships agents,
 Charterers.
 Superintendents.
 Stevedores.
 Surveyors

 Service technicians etc.

Our company ensures that as per Maritime Labour Convention, 2006, as amended (MLC,
2006),regulation 4.1, paragraph 1, all seafarers are covered by adequate measures for the protection of
the health and have access to prompt and adequate medical care whilst working on board. Master shall
ensure and implement the above, and crew shall be aware of the regulations.

Master shall further ensure that regulation 4.3, paragraph 1, that seafarers are adequately provided with
occupational health protection as per company SMS and train on board to ensure a safe and hygienic
environment.

Use of personal protective equipment:

a) During cough, sneezing and while speaking, droplets can land on persons , objects and surfaces around
the seafarers such as tables, doorknobs and handrails, and others can become infected by touching these
objects or surfaces and then touching their eyes, nose or mouth.

b) Hence it is highly imperative that crew follow WHO recommendation strictly.

 To keep at least one meter away from others.

 Washing hands regularly with soap and water or clean with alcohol-based hand sanitizer.

Hence a risk-based approach to decision-making should be adopted on the use of PPE and masks as
outlined below.

1) The use of masks:-

 Advice to decision makers on the use of masks for healthy people;

All crew irrespective of their health condition shall use the PPE strictly as recommended.

 Mask management, - use and disposal of masks.

2) Use of personal protective equipment and considerations during severe shortages for PPE,
e.g.gloves.

Mask management: - SECOND OFFICER - INCHARGE.

For any type of mask, appropriate use and disposal are essential to ensure that they are effective and to
avoid any increase in transmission. The following are the correct use of masks.

 Before putting on a mask, clean hands with alcohol-based hand rub or soap and water.

 Place the mask carefully, ensuring it covers the mouth and nose, and tie it securely to minimize
any gaps between the face and the mask.

 Wearing a mask if you are coughing or sneezing is a MUST.

 Avoid touching the mask while wearing it.

 Remove the mask using the appropriate technique: do not touch the front of the mask but untie it
from behind.

 After removal or whenever a used mask is inadvertently touched, clean hands using an alcohol-
based hand rub or soap and water.

 Replace masks as soon as they become damp with a new clean, dry mask.

 Do not re-use single-use masks.

 Discard single-use masks after each use and dispose of them immediately upon removal.

 Masks are effective only when used in combination with frequent hand-cleaning with alcohol-
based hand rub or soap and water.

To remove the mask:

 Remove it from behind (do not touch the front of mask); discard immediately in a closed bin;
clean hands with alcohol-based hand rub or soap and water.

Guidance available:

PPE recommendations by WHO in the context of COVID-19 are available as follows:

1. Advices on the use of masks in the context of COVID-19:

 Wearing a medical mask is one of the prevention measures that can limit the spread of
COVID-19diseases.

 However, the use of a mask alone is insufficient to provide an adequate level of protection,
and other measures should also be adopted.

 Whether or not masks are used, maximum compliance with hand hygiene to prevent human-
to-human transmission of COVID-19.

WHO SHOULD WEAR? :

Persons with symptoms should:

 Wear a medical mask, self-isolate, and seek medical advice.
 Symptoms can include fever, fatigue, cough, sore throat, and difficulty breathing.

 It is important to note that early symptoms for some people infected with COVID-19 may
be very mild;

 Follow instructions on how to put on, take off, and dispose of medical masks;

 Follow all additional preventive measures, in particular, hand hygiene and maintaining
physical distance from other persons.

2. Handling cargo from affected countries:

 the survival of the COVID-19 virus on different surfaces and reported that the virus can
remain viable up to 72 hours on plastic and stainless steel, up to four hours on copper, and
up to 24 hours on cardboard.

 There is no evidence to suggest that contact with goods or products shipped from countries
affected by the COVID-19 outbreak have been the source of COVID-19 infection in humans.

The rationalized use and distribution of PPE when handling cargo from and to countries affected by
the COVID-19 outbreak includes the following recommendations:

 Wearing a mask of any type is not recommended when handling cargo from an affected
country.

 Gloves are not required unless they are used for protection against mechanical hazards, such
as when manipulating rough surfaces.

 Hand hygiene should be practiced.

Procedures to be followed by Crew after boarding the vessel (Sign On):

1. After boarding the vessel, the seafarer should remain in the designated visitor area till their
temperatures and other vitals are collected by on board staff.

2. Handing over / mingling of signing-on crew shall not be allowed with off-signing crew.

3. Baggage of sign on crew shall be sanitized before shifting the baggage into accommodation.

4. Gangway and the combination ladders shall be sanitized after every crew change.

5. Seafarer to wear necessary PPE (masks, hand gloves).

6. To maintain Social Distancing at all times.

7. Practice respiratory hygiene at all times.
X. Covid-19 related guidelines for ensuring a safe shipboard interface between
Ship and Shore-based Personnel (IMO Circular Letter No. 4204/Add.16):

The Coronavirus (COVID-19) pandemic has created issues related to the shipboard interface between
seafarers and shore-based personnel during port calls. These issues are often related to the
1. Ship’s crews
2. Shore-based workers, such as
 Agents.
 Inspectors.
 Pilots.
 Stevedores.
 Charterers.
 Technician.
 Surveyors etc.,
.
The onboard ship’s crew should ensures to follow the differing procedures and requirements that are
currently being set globally for shore-based workers by national Administrations, local authorities,
professional organizations and flag States and shipping companies.

Different procedures to implement onboard with related to Ship board and shore personnel interaction
such as personal protective equipment (PPE), social distancing, hygiene and testing in order to
mitigate the risk of infection related to the virus.

Objective:

The Company aims to address major concerns and expectations of ship’s crews and shore-based
personnel through the implementation of practical, risk-based measures to address COVID-19 risks
to all personnel involved in the ship/shore interface.

The objective of these guidelines to keep everyone safe during ship/shore interface by seafarers
serving onboard a ship and shore-based workers temporarily coming onboard, and not to place anyone
at undue risk.

In order to safely manage a port call with respect to the ship/shore interface, it is mandatory that Ship
and Shore based personnel to communicate in advance of the port call, regarding their requirements

to managing the risk with respect to the COVID-19 virus to resolve any differences in requirements
and expectations.

United Nations International Maritime Organization (IMO) Recommendations:

The following are the recommendations on ʺMeasures to ensure health protection in portsʺ:

 Ship to report any cases of illness indicative of COVID-19 infection on board as early as
possible before arrival to the relevant authority in the port.

 Ships to regularly monitor shipboard personnel while in port for the exhibition of any
symptoms associated with COVID-19 and report any changes in circumstances of the health
of shipboard personnel to the relevant authority in the port during vessel’s port stay. Daily
Crew temperature log with record of Symptoms (Template as per Annexure 1) to be filled
up and to report to Office on daily basis.

 Temporarily restricting shipboard personnel to the ship while in port (except or until the
situation permits otherwise) unless disembarking as part of a crew change or to receive
emergency medical attention not available on board the ship.

 Limit the number of interactions with shipboard personnel by entities in the port to only those
critical and essential for the continued operation and supply of the ship.

 To provide information to port workers on basic protective measures against COVID-19 as


advised by World Health Organization (WHO).

 Shipboard personnel to ensure those working in ports and having access to ships are provided
with appropriate personal protection equipment (which could include masks, hand sanitizers
and other means of preventing the spread of the virus) prior to contact with seafarers.

Risk Management:

To keep all ship and shore-based personnel as safe as possible during the COVID 19 outbreak, it is
important that the Safety officer to assess all the associated risks involved during interface between
ship and shore based personnel. Also appropriate control measures should be established to ensure
that risks and impacts are managed to a tolerable level, and proportionate measures are to be
established to reduce, control and manage the risks that Covid-19 poses to all persons.

The risk-based procedures and guidance documented should be based on the latest guidance related

to COVID-19 from WHO, International Maritime Health Association (IMHA) and the shipʹs flag
State requirements.

Risk Assessment to be carried out to be documented as per Company SMS format and shall be
reported to the DPA for his review.

Communication:

As part of the risk management and control process, it is mandatory that prior arrival to port the ship
should communicate its requirements related to COVID-19 risk management to the service providers
and port officials those who attend on board during the port call, which may be coordinated through
the ship’s port agent if required.

Measures to be taken by Company to address the risk from COVID-19:

Company ensures to assess all identified risks associated with their ships and shore personnel
interface and established appropriate safeguards in the Safety Management Systems (SMS). Disease
Outbreak Management Plan have been developed and addressed the procedures related to different
aspects of COVID -19, risks associated with the coronavirus (COVID-19) and associated mitigation
procedure on the interface of crews with shore-based personnel.

The Disease outbreak Management Plan developed based on the latest guidance from WHO related
to COVID-19, International Maritime Health Association (IMHA) and the Shipʹs flag State
requirements.

Hierarchy of Controls:

The following hierarchy of controls to be complied by the ship to establish effective safety control
measures and reducing risk during the Ship and Shore personnel interface.

Managing differences:

Differences in strategies and requirements to manage risks with regard to COVID -19,

Communication is vital between ship and shore personnel. Communicating in a timely manner
between the ship and the ship managers or agents or with the shore-based personnel intending to
board the ship is the only way to identify issues effectively and to manage differences in requirements
relating to mitigate the risk from the COVID-19 virus.

The expectations between ship and shore requirements should be resolved by both of them by
agreeing with mutual satisfaction and adopting an equivalent measure prior arrival of ship in the port
which might avoid the misunderstanding, false expectation between the ship and shore personnel.

Guidance with related to Shore Personnel boarding the ship:

The following details to be collected from Shore Personnel prior their boarding and post boarding
onboard ship,

1. Shore Personnel / Visitors check list (Template given below in Annexure 2) shall be sent to
Shore personnel who are going to board the vessel and get it filled prior boarding the vessel.

2. To send message to the concerned Shore personnel and get details of number of persons boarding
the vessel & also their medical report certifying that they are medically fit with no signs & symptoms
of the novel corona virus .

3. Shore personnel boarding vessel to be kept minimum.

4. Shore Personnel/ Visitors log (Template given below in Annexure 3) to be recorded during their
boarding and during disembarkation and shall be sent to office for monitoring.

5. To carry out Temperature checks at Gangway for the Shore personnel.

6. Exchange of documents shall be kept minimum and as required only.

7. Exchange of any Documents or parcel shall be allowed only with wearing gloves.

8. Visitor Pass not to be issued to maintain social distancing.

Supplies:

1. Provisions/ Stores/ Spares supplied during vessel port stay to be kept separately on deck and
after disinfection, same can be shifted to respective stores.

Simple steps to be followed when shore personnel on board:

If Shore personnel attendance onboard a ship is unavoidable, then the following are some simple steps
and precautions that should be taken:

 Minimize the number of persons attending.

 Use outer walkways rather than access through the crew accommodation.

 Limit time inside crew accommodation to the absolute minimum necessary to perform duties
onboard.

 Maintain social distancing – preferably 2 meters but at least 1 meter apart and limit interaction
with crew members to those involved in performance of duties onboard.

 Do not shake hands, instead use a wave, a nod or a bow.

 Frequently clean your hands with soap and hot water for at least 20 seconds or use an alcohol-
based hand rub.

 Provide sanitising stations at appropriate locations e.g. the shipʹs gangway, entry points to
accommodation, the bridge, control rooms.

 Avoid touching eyes, nose and mouth.

 While wearing a face mask, be sure it covers your mouth and nose.

 Do not touch a face mask once it is on.

 After each use of single-use masks immediately discard safely.

 Clean your hands after removing masks.

After the visit – disclosure of possible further transmission:

In the 14 (fourteen) days period after a ship visit, if any of the shore-based person attended onboard

a ship develop COVID-19 symptoms, it is a moral duty of shore personnel to contact the ship and to
disclose the information to minimize spreading of the COVID-19 Virus in ship.

In case if any of the shipʹs crew develop COVID-19 symptoms in the 14 days after the Shore person
attendance, it is the important to contact the shore personnel and to disclose the information in order
to control the COVID -19 prior to boarding of shore personnel in any ship.
In order to safely manage a port call with respect to the ship/shore interface, it is incumbent that ship
and shore personnel to communicate well in advance before the port call, and to understand the
requirements to manage risk with respect to the COVID-19 virus and to follow the pragmatic
approach in resolving the differences in requirements and expectations.

MSC.1/ Circ.1636 / Rev 1 – Dated 22nd April 2021:

As per IMO Circular No MSC.1/CIRC.1636/Rev.1, dated 22nd April 2021, the list of precautions that
have to be followed by seafarers has been seemingly enhanced. This circular comprises of the safety
measures that have to be abided by the seafarer during the course of events that he goes through till
he reaches onboard and vice versa until he has been repatriated.

Bravo’s amendments are based off on this circular; it has elaborately mentioned step-by-step
preventative measures which are to be duly followed by our seafarers. Our aim is to plan, control and
manage the COVID -19 pandemic competently at all costs so that our seafarers and the environment
are safe always. We ensure that the checklists are duly comprehended and filled before departure of
every seafarers headed onboard joining vessel.

1.1 Place of Residence:

1. Bravo endeavours to ensure, as far as reasonably practicable, that seafarers shall monitor
their health during the time spent at their residence immediately before leaving to travel to
join a ship and comply applicable national requirements.
2. Bravo will Provide seafarers with information on the Company's policy and strict
compliance of requirements of Company / authorities. Any non-compliance may be
considered as grounds for disciplinary action by the Company.
3. Provides seafarers with contact details of those Company representatives to seek advice or

1.2 Seafarer at any hotel, temporary accommodation, etc.

1.2 Seafarer at any Hotel, Temporary Accommodation:

Objective: To ensure that seafarers are healthy when they travel to join ships and to control the
risk of seafarers becoming infected with the coronavirus (COVID-19) while staying at a hotel,
temporary accommodation, etc. before travelling to join a ship.

1.2.1 Bravo will endeavour to ensure, as far as reasonably practicable, that seafarers strictly comply
with all isolation, quarantine and testing requirements with documentary evidence of negative
results / Vaccination.

The Company instructs seafarers to:

1. Comply with instructions or procedures of the hotel, temporary accommodation, etc. and
national or local authorities, paying special attention to social distancing, hygiene and PPE
requirements.
2. Comply with all standard infection protection and control precautions related to social
distancing, self-isolation, hygiene (e.g. hand-washing, avoid touching face, etc.) and safe
food handling practices, in accordance with WHO, national or local guidance.
3. Comply strictly with any requirements for testing that may be required to enter or leave the
hotel, temporary accommodation, etc.
4. Avoid close contact with any persons who are or appear unwell or show any COVID-19
symptoms (e.g. cough, fever, etc.).
5. Check their temperature twice daily and keep records during the required number of days
before travel.
6. Any COVID-19 symptoms arrangements to join the ship will be aborted.

AIRPORT OF DEPARTURE:

2.1Time spent in airport of departure:

Objective: To manage seafarers at airports travelling to join ships and to control the risk of
seafarers becoming infected with the coronavirus (COVID-19), or infecting other persons, while
in the airport of departure and to facilitate their safe travel by aircraft.

The Company requires seafarers to:

1. Comply with standard infection protection and control precautions related to hygiene (e.g.
hand-washing, use of hand sanitizer, avoid touching face, etc.).
2. Avoid use of restaurants, cafes and public toilets etc. as much as possible.
3. Maintain social distance of at least 1 metre from other persons.
4. Comply fully with any requirements for testing conducted by the airport. including any
requirements of the airline for testing prior to embarkation.
5. Comply fully with any requirements to carry and show documentary evidence of negative
test results and/or vaccinations.
6. Avoid contact with persons who appear unwell or show any COVID-19 symptoms (e.g.
cough, fever, etc.).
7. Wear PPE as instructed for the duration of time spent in the airport as far as practicable (e.g.
mask, gloves, etc.).
8. Keep all relevant documents required for travel to the ship via aircraft in a bag or
compartment that can be easily accessed and disinfected later.
9. Inform the Company (local representative or agent) if they show any COVID-19 symptoms,
and NOT to board the aircraft.

The Company:

10. Provides seafarers, as far as possible, with the latest available information on their flights.
11. Provide seafarers with instructions and information on the arrangements awaiting them at
the airport of arrival.

3.1 Time during flight:

Objective: To manage seafarers on board aircraft and to control the risk of seafarers becoming
infected with the coronavirus (COVID-19) or infecting other persons in-flight.

The Company instructs and require seafarers to:

1. Comply with the instructions and procedures of the airline and cabin crew of the aircraft.
2. Maintain social distancing to the extent possible from other passengers on the flight, and sit
with appropriate seat spacing, as may be arranged by the airline or cabin crew on board the
aircraft.

3. Comply with standard infection protection and control precautions related to hygiene (e.g.
hand-washing, use of hand sanitizer, avoid touching face, etc.).
4. Avoid contact with persons who appear unwell or show any COVID-19 symptoms (e.g.
cough, fever, etc.).
5. Wear PPE as instructed for the duration of the time spent in-flight (e.g. mask, gloves, etc.).
6. Limit exposure to the extent possible to aircraft crew during in-flight service and other
passengers when using the facilities.
7. Handle their own luggage on board the aircraft.

AIRPORT OF ARRIVAL:

4.1 Time spent in airport of arrival

Objective: To manage seafarers travelling to join ships and to control the risk of seafarers
becoming infected with the coronavirus (COVID-19), or infecting other persons, at the airport of
arrival and to facilitate their safe onward transfer to the seaport and ship.

The Company instructs and require seafarers to:

1. Comply with the instructions and procedures of the airport and relevant local authorities,
including any health screening requirements such as temperature checks.
2. Comply with any requirements for testing conducted by the airport or the relevant
authorities operating within the airport.
3. Comply with standard infection protection and control precautions related to hygiene (e.g.
hand-washing, avoid touching face, etc.).
4. Maintain a social distance of at least 1 metre from other persons to the extent possible.
5. Avoid contact with persons who appear unwell or show any COVID-19 symptoms (e.g.
cough, fever, etc.).
6. Wear PPE as instructed for the duration of time spent in the airport so far as practicable (e.g.
mask, gloves, etc.).
7. Inform the Company (local representative or agent) if they show any COVID-19 symptoms,
or receive a positive test result at the airport, and NOT to leave the airport until appropriate
arrangements are made, and to ABORT travel to the port to join their ship.

4.2 Period: Transfer to any hotel, temporary accommodation or similar:

Objective: To manage the safe crew travel to the place of any required hotel stay, temporary
accommodation or similar, and to control the risk of seafarers becoming infected with the
coronavirus (COVID-19) while travelling to any such places.

4.2.1 Unless seafarers are required by local authorities to quarantine in a hotel, temporary
accommodation, etc. prior to travelling to the port to join their ship, Bravo will ensure in making
arrangements for seafarers to travel directly from the airport of arrival to the seaport. However, for
practical and logistical reasons, a stay at a hotel, temporary accommodation, etc. may be necessary
before transfer to the seaport.

If it is necessary for seafarers to stay at a hotel, temporary accommodation, etc., the Bravo instructs
and require seafarers to comply as per checklist:

4.3 Period: Time spent at any hotel, temporary accommodation etc.

Objective: To manage the safety of seafarers while staying at any hotel, temporary
accommodation, etc. and to control the risk of seafarers becoming infected with the coronavirus
(COVID-19) while staying at any such places.

4.3.1 For practical and logistical reasons, a stay at hotel, temporary accommodation, etc.
may be necessary before travelling to the port. Provided, however, this is consistent with
any national requirements or restrictions, and/or the logistical or practical considerations that
may prevail locally Bravo will consider the feasibility of making arrangements for seafarers
to travel directly from the airport of arrival to the seaport in order to minimize contact with
other persons and so reduce the risk of infection or infecting other people.

If a hotel stay, temporary accommodation etc. is necessary, the Company will instruct and require
seafarers to:

4.3.2 Comply with any instructions and procedures from relevant local or national
authorities, which might include the need to comply with instructions regarding isolation or
quarantine in a hotel, or another place of accommodation that might be determined by the
local or national authorities.

4.3.3 Comply with any instructions from the hotel, temporary accommodation, etc. and
national or local authorities, paying special attention to any social distancing, hygiene and
PPE requirements.

4.3.4 Comply with standard infection protection and control precautions related to hygiene
(e.g. hand-washing, avoid touching face, etc.).

4.3.5 Comply strictly with any requirements for testing which may be required to enter or
leave the hotel, temporary accommodation, etc. for the purposes of isolation or quarantine.

4.3.6 Maintain a WHO recommended social distance of at least 1 metre from other persons
to the extent possible.

4.3.7 Avoid contact with persons who appear unwell or show any COVID-19 symptoms
(e.g. cough, fever, etc.).

4.3.8 Wear PPE as instructed for the duration of the stay when appropriate (e.g. mask,
gloves, etc.).

4.3.9 Handle their own luggage at the hotel, temporary accommodation etc. to the extent
possible.

4.3.10 Any COVID-19 symptoms during their stay, travel to the port to join their ship will
be aborted.

4.4 Period: Travel to port:

Objective: To facilitate safe crew travel to the seaport from the airport of arrival and to control
the risk of seafarers becoming infected with the coronavirus (COVID-19), while travelling to the
port.

1. Provides appropriate means of travel to the seaport, such as a private transfer, to minimize
contact with other persons after leaving the airport and during the transfer to the port.
2. In large towns or cities, Bravo avoids, as far as possible, instructing seafarers to travel by
means of public transport, although this may be necessary for longer journeys and will
depend on the prevailing circumstances.

11. If a private bus is used, appropriate sanitization and social distancing measures should be
required and applied to the extent possible.
12. Arrange for the seaport to be notified of the impending arrival of the seafarer at the port.

13. Arrange for the ship to be notified of the impending arrival of the seafarer joining the ship.

5.1 Period: Movement in port to ship:

Objective: To manage the interaction between seafarers and port personnel and infrastructure, to
control the risk of seafarers becoming infected with the coronavirus (COVID-19), or infecting
others, while moving through the port to join their ship, and to manage the embarkation of
seafarers in order to control the risk of bringing the coronavirus (COVID-19) onto the ship.

Bravo will ensure that:

1. The ship has arrived alongside the quay in the port (or, for example, at an anchorage if the
transfer is to be made by water) before the crew joining the ship arrive at the port facility, to
minimize time spent within the port area, opportunities for contact with other personnel, and
the risk of being infected or infecting other persons.
2. The ship has been provided details of both on-signers and off-signers as part of its Pre-
Arrival Notification – with an 'Arrival' crew list and a 'Departure' crew list.
3. Transportation to the ship has been arranged by its agent or representative.

5.2 Period: Embarkation on to ship:

Objective: To manage the embarkation of seafarers and to control the risk of seafarers bringing
the coronavirus (COVID-19) on to.

Bravo will instruct and require seafarers to:

1. Avoid close contact and non-essential interaction with other personnel on the quayside, on
the gangway or in the launch, including other seafarers.
2. Maintain a WHO recommended social distance of at least 1 metre from other persons to the
extent possible during embarkation.
3. Wear PPE as instructed for embarkation.

The Company will:

appropriate, being tested for COVID-19 if suitable test kits are available;
4. seafarers completing a questionnaire as an updated self-declaration of health at the time of
embarkation;
5. disinfection of seafarers' luggage in a designated area outside the accommodation;
6. disinfection and/or laundering of seafarers' clothes worn during travel immediately after
embarkation; and
7. seafarers receiving documents from the joining seafarer disinfecting them, and

5.3 Period: Time spent on board ship after embarkation:

Objective: To monitor the health of seafarers following embarkation, and to manage and control
the risk of infecting other seafarers on board should the seafarer have become infected while
travelling to join the ship and this was not detected prior to or at the time of embarkation.

NOTE: The existence or duration of this period will be determined by any requirements of the
Company in accordance with its coronavirus (COVID-19) plans and procedures.

requirements will be applied to seafarers who have recently joined the ship, taking account
of any relevant requirements of the flag State.
2. Bravo instructs seafarers, working in close proximity to crew members that have recently
joined the ship, to follow standard hygiene procedures, to use PPE, and
3. Comply with all standard infection protection and control precautions related to social
distancing, self-isolation, hygiene (e.g. hand-washing, avoid touching face, etc.) and safe
food handling practices, in accordance with Company procedures and WHO guidance.

The Company instructs and require seafarers to:

Practise shipboard self-distancing (SSD), as far as possible, for an initial period of time once on
board.

1. maintaining a WHO recommended social distance of at least 1 metre when working


alongside other seafarers to the extent possible;
2. avoiding all non-essential contact or close proximity with other seafarers and any other
persons;
3. using external stairways/escape routes and walkways to move around the ship when
possible, but only if conditions and circumstances permit and it is safe to do so;
4. disinfecting their own work areas, equipment and tools as appropriate after use;
5. refraining from using any common areas on board, such as the mess/day room, laundry area
or recreational areas when being used by others, unless special arrangements or measures
are in place, and avoid use of public toilets as far as practicable;

6. returning to their cabin immediately after completing work hours or duties;


7. remaining in their cabin during rest hours, except when arrangements or measures are in
place to permit them to spend some rest time on deck;
8. receiving and eating all meals in their cabin, provided it is safe to do so, with other
personnel handling their meals and dishes to use PPE and disinfect carefully after each
handling;
9. strictly avoiding entering pantries and the galley; and
10. wearing PPE as instructed when outside their cabin.
11. Ensure daily work and tasks assigned to recently joined seafarers are arranged to minimize
contact and close proximity with other seafarers.
12. Ensure seafarers are provided with cleaning materials, equipment and substances to clean
and disinfect their own cabin and toilet on at least a daily basis if practising shipboard self-
distancing (SSD).
13. Ensure there is appropriate and sufficient equipment on board for temperature registration to
permit seafarers to comply with any requirements for temperature checks.
14. Ensure recently joined seafarers are assigned a designated space for changing and
safekeeping work wear (if not possible in their cabin).

maintain hygiene, cleanliness and disinfect surfaces as appropriate on board ship in
