TENDER NOTICE

Enquiry No: JU/CE/TN/DF/LT/24-25/NOV/03 Date: November 18, 2024


(To be quoted in all Correspondences)
Lowest possible quotations are invited in Sealed Covers with the Enquiry Number, Due Date and
Technical / Financial (As the case may be) duly super-scribed on the Cover and on the face of the
offer letter for the supply of the undermentioned goods or articles, subjects to the TERMS AND
CONDITIONS outlined below.

● Date of Opening of Technical Bid: November 28, 2024, 2:15pm

Note:
 A Bidder MUST have to bid fulfilling all necessary conditions. Partial bidding will cancel the
bid submitted automatically.
 Technical and Financial Bids MUST be submitted separately in two separate sealed envelopes.
 Technical Bid should contain details with proper documents / certificates / brochures of the
manufacturer in support of specification and documents conforming to essential terms & conditions.
 Financial bid should contain the price with the Base Price and applicable TAX quoted separately.
In case the TAX is not quoted separately it will be considered as Exclusive of TAX.
 Financial bids will be opened only after successful compliance of the Technical bid.
 Validity of the offer must be mentioned and should in no case be less than 45 days from the last date
of tender submission.
 Warranty must be mentioned in the offer.
 The bidder MUST have a service centre in Kolkata so as to respond to any complaint in 24 hours.
 The bidder MUST be in the same business for at least 5 years and MUST have experience of
successfully completing at least one similar delivery to government approved academic / research
institutes. Documents in support of the claim MUST have to be submitted with the technical bid.
 Bidders with OEM and/or sole distributorship will be preferred.

GENERAL TERMS & CONDITIONS OF TENDER
1. Quotation should be inclusive of Delivery, Installation and Demonstration at Jadavpur University, unless
otherwise arranged.
2. The tenderers must be GST registered and the proper certificate must have to be attached with the tender.
3. The bid (technical) should include supporting documents conforming (but not limited) to OEM certificate, if
any, GST Certificate, Company formation & domain of service document, Service Centre existence
document, Previous similar business certificates (work/purchase order will not do) etc. Failure to comply
with any essential non-financial clause may summarily reject the bid without any communication.
4. The university reserves the right to seek non-financial explanation (including supporting documents) from
any bidder if they feel so.
5. Quotations should be free from Corrections and Erasure
6. Sample must be attached with quotation in all possible cases and must reach this office before the Due Date
of Enquiry. Samples must be labelled clearly with the Enquiry Number, Due Date, Name Of Firm and
number on sample must correspond to the items in the tender.
7. Manufacturer’s Name and the Country Of Origin of the materials offered must be clearly specified
failing which the Tender may not be considered.
8. The tenderers will not be entitled to ask for any further information other than whether their tenders have
been received or not.
9. The University does not bind itself to accept the lowest or any tender or assign any reason for non-
acceptance. It further reserves the right to accept any tender in part or in whole at its option.
10. If the University finds that the materials supplied are not of the contract quality or not according to the
specification required by the University or otherwise not satisfactory owing to any reason, of which the
University shall be the sole judge, the University shall be entitled to refuse the acceptance of the said
materials, cancel the order and buy its requirement elsewhere at supplier’s responsibility.
11. Tenderers must, as far as possible, arrange to supply the materials according to the terms of delivery
specified in the orders. If however this is not possible, they shall clearly specify the time in which the
delivery of the articles can be affected. This delivery time must be strictly adhered to. Failure to supply
within the specified time will lead to cancellation of the order without notice.
12. If the deliveries are not regular and if on that account the University is forced to buy the materials
elsewhere, any loss or damage that the University may sustain thereby will be recovered from the supplier
for non-delivery at the scheduled periods.
13. Three consecutive failures to supply within the scheduled time or times will entail removal of the
Tenderer’s name from the Approved List of Suppliers, if any.
14. If any tenderer proposes to charge Sales Tax & Delivery charges, in addition to his quoted rates this fact
should be stated specifically in his quotation. In the absence of such a statement the rate quoted will be
deemed to be inclusive of Sales Tax & Delivery charges.
15. Non Compliance of an order may lead to cancellation of enlistment and no enquiry will be issued in future.
Up to 10% of bill value may be deducted for default on delivery.
16. In All Cases of Disputes, the Decision of the University shall be Final & Binding on The Tenderer.
