Job Responsibilities:
Initiate purchase action requests, clarify specifications with the requester to fully understand procurement needs.
Serving on technical evaluation committees for large or complex procurement processes and ensure that all procurement is done in
accordance with internal policies and procedures as well as donor (USAID) requirements.
Ensure applicable Federal Acquisition Rules (FAR) guidelines are followed during the procurement processes.
Ensure that all requests for quotations are clear and match with the purchasing requisitions.
Review all bids and quotations in accordance with price targets and specifications and prepare a quotes summary sheet.
Ensure that all procurement process paperwork and files are maintained in a complete manner and are always audit ready.
Sourcing for suppliers and supplier quotation acquisition and make purchases based on project and USAID policies and procedures.
Preparation of local purchase orders.
Ensure maintenance of the electronic filing system for purchase orders and ZRA LPO’s and Assist the Procurement in ensuring that
all documentation from Partners and other branches are complete and in accordance with USAID regulations before issuance of
LPO.
Effective negotiations with internal customers to ensure cost-effective purchases and the right quantity of materials is procured.
Coordinate with Procurement and Stores team to ensure supply of material to the stores is smooth.
Manage and monitor the operations of all Stores department to ensure that materials are available.
Random stock checks in the stores and recommend improvements were necessary.
Timely authorizations of Stores requisitions and ensure follow ups are made for materials to be delivered timely.
Establish safe working procedures for all areas of operations in coordination with the safety department and ensure its
implementation to keep accidents to a minimum and reduce near misses.
Good record keeping and updating of Stores documentation.
Inventory management at all Stores level and raising of purchasing requisitions.
Inspect materials as they are received in Stores and reject those that do not meet the required specifications, qualities.
