Training started at 1700hs, conducted by, Charles Omino, Compliance Officer, he
welcomed everyone who attended, the training and introduced the agenda
Min 01 – introduction
Mr.Charles began the meeting by introducing himself to the trainees and further
introduced the other trainer to the trainees, he continued by explaining that the training
was a normal training more so like a reminder to them. Earlier the trainings were being
conducted on a monthly basis in all the three factories, he confirmed that the same was to
continue without fail.
Min 02 – company policies and procedures on security
GS Textile Industries EPZ Kenya Limited is committed to follow the policies, procedures
and guidelines laid down in its security policy and work on continuous improvement on
its day to day operations with respect to the CTPAT procedures and requirements without
any deviation, said Mr. Charles . We are also committed to educate, train the employees
on the CTPAT requirements and also committed to train and equip the employees
concerned viz., Stores, Transport, Security, Administration, Finishing, and Packing,
Loading and Shipping personnel to understand and adhere to the CTPAT Standards.
All security officers must be:
Suspicious - suspicious activity to include any of the following situations:
Unidentified person attempting to gain access to property, equipment, or facilities.
Any person who appears to be hiding something or is acting nervous, anxious or
secretive.
Any employee, or contractor or visitor making unusual or repeated requests for
sensitive or important company or information.
Any person asking an employee, driver or contractor to make an unauthorized
movement of cash.
Any person or group loitering (3 or more) outside/ inside a company facility or
premises.
Any person claiming to be a representative of a utility (gas, water, electric) but
cannot produce valid company identification.
Any person carrying a weapon such as gun, knife, any explosive or flammable
liquid.
At night, any vehicle driving by a company facility with lights off.
Any occupied vehicle parked outside/ inside the company facility for a long period
or after normal working hours.
An unfamiliar vehicle that appears to be abandoned near a company building or
parking.
Unauthorized persons asking questions regarding product, destination or routing or
other trips specifics.
Commitment - a security officer should be committed to his/her job, they should avoid
laziness have qualities of a good security officer which include:
Be on time
Be alert
Be brave
Always be suspect
Min 03 – company values
Trust – as a security officer one should be sincere to himself or herself, and the
job, be true to your client, do what is required of you as a security officer, build a
good relationship with the company for you to grow both financially and
Discipline - security officers are to obey rules or a code of behavior of the
company.
Teamwork – they should also work together for better output
Hard work – work hard on the job, give all your commitments to the client.
Min 04 - Identifying the company’s assets.
During induction, the most common assets in the company should be briefed to the newly
joined security person; all other security guard should master the operation being carried
out around the areas of check and identify of the accessories used.
If it’s still not clear the security person should seek clarification with the HR and
compliance department who will help in identification of all assets in the company.
Vehicle inspection.
The entire vehicle should be searched properly outside and inside.
Ask driver to open the boot and the bonnet.
Open the door and check inside the vehicle.
Min 05 - Relationship between employees and the security guards
As a security guard one should aim at improving ones knowledge of the area or section
where he or she has been posted, the environment and also the employees in the section.
The management has realized that the guards are getting too friendly with the employees,
which is why Mr. Charles has asked that they should be strict on their duties.
He said there is time for everything, time to laugh and time to work, let us note the
difference. He asked the security guards to be sincere to the job and avoid laziness, no
one should be found sleeping on duty, if found, stern action will be taken against that
person, so to avoid all that, ensure you do your job properly.
Min 06 – challenges and possible solutions
Some of the challenges the guards face on a day to day basis include the following:
CTPAT area visitors book – some of the senior employees, are refusing to have their
names written on the visitors book, being a restricted area it’s the duty of the security
guard to ensure that only authorized personnel are allowed access to this area.
Solution – for this issue Md Susan, asked the compliance officer to ensure that all
employees that are granted access to the CTPAT area have their details indicated on the
entrance of the section.
Min 07 - AOB
Mr. Charles also asked the security guards must familiarize themselves with the security
manual, get a brief knowledge on the policies and procedures of the company, this will
help them a lot in carrying out their duties.
