SUBJECT: Business Continuity Contingency Planning Coordinator appointment

Dear Tom,

You are appointed as the Business Continuity Contingency Planning Coordinator for
Widget Manufacturing.

Business continuity planning is a logical progression in our efforts to mistake-proof our


business. As the contingency planning coordinator, you will be the key player in ensuring that
our facility’s plan is complete and workable. Your initial responsibility is to assist in the plan’s
development and then assume the role as the plan’s ongoing champion.

Your responsibilities include:


 Ensuring that all departments have a plan.
 Ensuring that new processes and equipment are implemented with the proper
recovery documentation.
 Scheduling ongoing testing by department and by specific threat.

Example criteria for success:


 Every department’s continuity plan must provide for employee and visitor safety by
detailing to them any dangers associated with each device or type of technology.
 Each department’s continuity plan must be understandable to anyone familiar with
that type of equipment or technology.
 A Business Continuity Plan will be submitted for every critical piece of equipment or
critical process in the facility.
 At the end of the project, the contingency planning coordinator will submit a list of
known weaknesses in our processes or equipment along with long term
recommendations to address them.
 All continuity plans will be tested (by someone other than the plan’s author) and
certified by the department manager as suitable for the purpose.
 This project shall commence on December 1st and be completed by June 30th. By that
time, all plans will be complete, tested, and approved by the department managers.

An email will be sent to all associates announcing your new position. Please be sure to provide
me with monthly status reports of your progress. Feel free to contact me at any time if you
need assistance in working with any department.
