I would like to express my gratitude for


the opportunity to undertake this
internship alternative. The research and
completion of this report have been very
helpful for me , allowing me to deepen
my understanding of the subject. I am
thankful for the resources and support
provided by Govt. MAM PG college’s
library.
Abstract

This internship alternative report is the result


of research conducted as part of the BLIS
program. It explores the resources of Govt
MAM PG LIBRARY, analyzing services of the
library.Through comprehensive study and self-
directed investigation, the report highlights
critical findings and offers insights into the
working of the library. This work underscores
the importance of independent research in
developing a deeper understanding of Blis,
survey of resource and services , contributing
to both academic and professional growth in
the field of Library and Information Science.
Institutional information

A college is considered as an academic institution of higher


learning offering In colleges, the library occupies a prominent
position and it is an important and integral part of the teaching
programme. It is not merely a depository of books, but an active
workshop instrument in the production of or original thinking. The
aim of college education and college libraries in interrelated.
College library extends opportunities for self-education to the
deserving and enthusiastic students without any distinction.
libraries develop in each student a sense of responsibility in the
pursuit of knowledge. College library stimulates the students to
obtain, evaluate and recognize knowledge and to familiarize
themselves with the trends of knowledge for further education
and learning new disciplines.
College Library had shifted to its new Building in 2005. The
Central Library building is in 5400 Square ft. area & is being
covered with a various separate sections consisting Acquisition
Section, Technical Section, Circulation Section, Reference Section,
Periodical Section, Text Book Section, Computer Section, Reading
Section, Photocopy Section for the benefit of students, faculty &
staff. More quality Books are being added to the library on a
regular basis. Quality of education largely depends upon the
collection of the books & other material in the Library.
The Central Library collection encompasses Management,
Economics, Engineering, Architecture, Sciences, Philosophy,
Culture, Religion, English, and Dogri & Hindi Literature. Collection

Library Membership:
All the students and employees of the University are eligible for
membership of the Library. The registered members are issued
bar-coded library membership cards. The categories of the Library
members are Students, Faculty Members, Staff Members. Library

Newspaper, Magazines and Journals Collection in the Central


Library:
The Central Library provides access to Journals and e-Resources
of International publications through Digital Library Consortium,
INFLIBNET and also to subscription based e-Resources from
various suppliers & renowned publishers Library Automation:
The Library is an integrated Library Management software
package- the e-Granthalaya 4.0 with all the modules for the
Library housekeeping operations. Users can find the latest
additions of books and periodicals in the Library, status of
books(issued/on-shelf) and against his account books overdue
against his name. Using Granthalaya 4.0 (Online Public Access
Catalogue), users can search the Library Online Catalogue by
Authors, Title, Subject, and Keywords. Library catalogue is
automated and fully indexed. The catalogue can be browsed and
searched by author, titles, and subject/keywords.
The entire Library collection is Bar-coded. Bar-coded Library cards
are printed inhouse in the Library and are issued to the members.
Barcode technology enables circulation of books in easy, reliable
and user friendly manner. Apart from this, any member can also
find the status of books issued in their name, overdue, fines, etc.
Internet Access:

Library is providing access to its users to online


periodicals & various information resources from
Library provides photocopy service to the users
against a nominal charge.
Objectives of college library system
A college library must fulfil the basic needs to support the
teaching, research and study requirements to the college
community.
1) A Cleary formulated code of policy or governance in an
official document issued by the university to which the
college is affiliated.
2) A clear statement which governs the relationship of the
librarian and the other components of the college and
provides appropriately shared responsibility among them.
3) According to academic status to library personal in
accordance with the nature of their work.
4) Perception of minimum qualifications for each category of
library staff
5) Nature and composition of the library committee and their
functions.
6) Provision of adequate funds to secure minimum expenditure
on books on the basis of some recognised optimum
performance capita standard.
7) Recognition of the librarian and his deputees as members of
the teaching staff and their obligation to impart library use,
instruction to students in library class .
8) Setting norms and standards for library building and
furniture, library forms and stationery staff and strength
book budget, book collection, technical proceedings and
library services.
MOTTO OF THE LIBRARY

This emphasizes the goal of delivering as much information


as possible, repeatedly, using various methods or
approaches, all within the shortest amount of time. The
focus seems to be on efficiency, effectiveness, and
versatility in teaching or communication, ensuring that the
audience receives and retains information thoroughly and
quickly.
Vision and mission of the

library
Methodology

The methodology for this report involved a structured approach to data


collection, analysis, and interpretation. The following steps were
undertaken:

1. Data Collection from Primary Sources:


- The primary source for data collection was the library at Govt.
Maulana Azad Memorial PG College. A comprehensive review of
available resources, including books, journals, research papers, and
other academic materials, was conducted.
- The library catalog was systematically explored to identify relevant
texts and publications related to the topic of the report.

2. Literature Review:
- A thorough literature review was performed using the available
resources. The materials were selected based on their relevance to the
research objectives.
- Special attention was given to key theoretical frameworks and
previous research studies to form a solid foundation for the report.

3. Data Extraction and Note-Taking:


- Critical information from selected materials was extracted and
documented through detailed note-taking. Key themes, patterns, and
data points were identified and categorized for further analysis.

4. Cross-Referencing:
- The gathered data was cross-referenced with existing literature to
ensure consistency and accuracy. This process involved comparing
multiple sources to validate findings and identify any discrepancies.

5. Analysis:
- The extracted data was analyzed qualitatively, with a focus on
identifying trends, recurring themes, and key insights relevant to the
research objectives. The analysis was structured to draw meaningful
conclusions from the collected data.
6. Organizing Findings:- The findings were organized into a coherent
structure for the report, with relevant sections addressing different
aspects of the research question. Each section is supported by data
collected during the library visit.

7. Time Management:
- The entire data collection process was managed efficiently, with
specific time allocated to each stage of the research, ensuring that the
maximum amount of information was gathered within the available
timeframe.
Scopes and limitations

Working hours of the library


Working hours of the library is from 9:00 am to 5:00 pm. It
remains open during vacations also.

Whether close access or open access system


Both open and close access system are followed in the
library. For text books, general books and rare books close
access system is followed, where as journals and
newspapers there is open access system i.e. Readers have
the privilege of direct access.

Library facilities
It has a reading room , one general library section, one store
and three cabins . It also has one computer section. In the
reading room seating arrangements are provided for 50
students at a time .They can make use of it during the
college hours . As such library is divided into different
sections like technical section, book bank section and
circulation section. In the reading there are many almirahs
which serve the purpose of books room on all the arts and
commerce as well and medical and non medical subjects.
Books are kept there according to their class number.
Dewey decimal classification scheme is used in the
library. There is an issue counter in the general library
section where the books are issued and returned periodically.
Periodicals and Newspapers are kept in the cabin, where the
college teachers can read the newspapers and magazines.
All the back issues of the periodicals and old newspapers are
kept in the store , meant for the purpose.
Library committee
A library committee is a group of people who are responsible
for making decisions about the library operations book
selection and other related matters . The library committee
at Govt. MAM PG college is responsible for overseeing the
operations , policies and budget of the library.

Functions:
 Policy development: Establishing guidelines for library
operations and resources management.
 Budget oversight: Reviewing and approving the library
budget, including allocations for new acquisition and
technology.
 Resource Evaluation: Assessing the adequacy and
relevance of the library’s collection and services
 User engagement: Gathering feedback from library users
to improve services and address needs .
 Promotion of library services: Encouraging the use of
library resources through programs and outreach activities.

Skilled and unskilled
Libraries are Universally recognised as the social institution and
no community is complete without a library. Libraries have been
adopting new technologies to serve their respective users in a
better way . The organisational structure of the aforesaid library
consists of the following skilled and unskilled human resources.
 Librarian
 Library assistant
 MTS
 Daily wagers

Acquisition section
Acquisitions is the process of selecting, ordering, and receiving
materials for library or archival collections, through purchases,
exchanges, or gifts. This process may include budgeting and
negotiating with external agencies, such as publishers, dealers,
and vendors, to acquire resources that best meet the needs of the
institution's clientele in an efficient and cost-effective manner.
At Govt. Maulana Azad Memorial PG College Jammu, faculty
members from all departments submit their requests for required
materials to the librarian. The librarian then compiles these
requests and checks the availability of the materials, presenting a
consolidated list to the library committee for approval. Once
approved, different publishers or booksellers are contacted for
catalogues and proposals, with selection based on profitability
and budget constraints. The ordering process is carried out
through EOI

Technical processing

Technical Processing in libraries, carried out by the


technical staff, involves multiple steps such as
document classification, cataloging, accessioning,
and assigning call numbers.At Govt. Maulana Azad
Memorial PG College Jammu, these tasks are
performed using specific methods. The Dewey
Decimal Classification system is used for
classification, with two copies made available in
the library through OPAC to assist users in locating
materials by title or author.Accessioning involves
assigning a unique identification number to each
document and recording its details in the accession
register, as required by the Government of India.
For assigning call numbers, the library follows a
structured process based on classification rules. A
method commonly used is the Cutter Table, which
assigns book numbers using the first three digits of
the author's surname. If the author’s surname is
unavailable, the book number can be created using
the author’s forename.

digitalized or manual ”
The library of the college is partially
automatic, using KOHA (Integrated library
management system) . With the help of
automation, Library operations are performed

more efficiently. This includes tracking and


managing of library
collections , automating the check out and
return of the books and using digital tools to
catalog and search the library holdings.
Barcode enabled library cum identity card are

issued to college students and faculty.


Reference section
The aim of every library is to provide
information to its clients. The reference
section provides services which help clients
make the best use of a library resources and
find the information they acquire quickly and
efficiently.
This section helps the users identify location
information through the various materials
such as dictionaries , encyclopaedias ,
almanacs , bibliographies, gazette, yearbook,
indexes , annuals , handbooks , travel guides.
And other reference materials.

Conclusion:

In conclusion, this report has thoroughly


explored the Survey of Resource and services
of Govt. MAM PG college’s library . The
research conducted at Govt. Maulana Azad
Memorial PG College and the data collected
have provided a clear understanding of
Resources and services . The objectives set at
the outset have been successfully met,
demonstrating services of library .While the
report has addressed the core issues of
resources and services, certain limitations
such as adaptation to NEP 2020 , expansion of
study area , adaptation to digital resources,
funding for new acquisition were encountered
during the research. However, these do not
significantly detract from the overall findings..
These insights will help to deepen the
understanding of resources and services.
Suggestions:
 Increase no of digital resources
 Expand study area
 Increase funding for new acquisition
 More extensive programming to reach
undeserved population
 Help unskilled human resources to become
skilled and efficient.
