At times, learning the processes in our Copy and Print Department can seem overwhelming.
This guide, in conjunction with SOPs, Training Modules and hands on experience is intended to help
set you up for success in producing total solutions to our Copy and Print clients!
All supplies referenced in this guide and information on how to order them, can be found in your
Inventory Supply Sheet, available on the Store Portal.

2 Hole Punch
Overview
• Xerox machines can punch two holes
on the top of many types of paper
• Legal documents and medical records
are sometimes punched in this
manner
• This will allow your customer to file
their documents in classification
dividers or pressboard folders
Production Steps
1. Load paper in Tray 5, SEF
2. Load originals in Auto Feeder, SEF
3. Select Copy Output
4. Select 2-Hole Left Image
5. Select Save, then Start
Billing
• When configuring the order in OPC, be sure to select Hole Punching from the finishing options
tab so your customer is charged accordingly
• If the order must be configured at POS, be sure to add the appropriate SKU from the CPD Price
Book for every 3500 sheets punched

2 Hole Punch

Dual Color
Overview
• Occasionally a customer will provide
an original with a dark background
that appears on the copy
• Dual Color allows you to pick and
replace or preserve a particular color
in your original, allowing you to
effectively erase a background
Steps
1. Select More under Output Color

3. Select Non Target Area (Color you would like to preserve)
4. Select desired Word Color (Color to replace all other colors)
5. Select Save, then Start

• As these documents fall under the
category of Restricted Content, it is

Overview
• Custom printed Presentation Folders

Watermark
Overview
• Watermarks are used to imprint a
specific message faintly across every
page of your printed document
• This can often be requested by
lawyers for example, who may want
the word “confidential” watermarked
across each page

Customer Supplied Media
Overview
• Often customers will provide you with
their own media, on which they would
like you to print their documents
• This most commonly includes
invitation kits or stationery
• You may print on customer supplied
media provided it is 4”x 6” or larger,
and is compatible with a laser
printer

Overview
• Enlarging and reducing originals is a
common client request
• In some cases, this is necessary to
perform in order to copy items like ID
cards and government ID’s
Steps
1. Push the Job Status button on the front of the copier.
2. Select Completed Jobs tab.
3. Select the Job you are inquiring about.
4. Select print this Job Report.
• Report will print and call out B/W vs Color Copies, Staples, Folding, etc.

Build Job
Overview
• The Build Job feature allows you to
configure a job with variable settings
applied to each page
• This is most frequently used to copy
documents with specific pages
requested in color or on a certain
media, such as booklets
• You can then check the Job Report
to determined how many pages were
color or black and white
Steps
1. Select Job Assembly tab
2. Select On, then Save
• Select output options to apply to entire job on this screen
• Use the Sample Job feature to have the device make one copy for proofing prior to the
release of the entire job
3. Select Copy tab
4. Configure other settings as appropriate, load your original and press Start
5. The machine will pause after each set of originals is scanned, allowing you to select Change
Settings to modify paper choice, original type and color or black and white as needed
6. Select Last Original when you have scanned in your last original and the job will automatically
begin to print

HP Z-Series Overview
Overview
• The HP Z-Series printers (Z5600 and Z6)
are able to print posters, pictures,
blueprints, canvas and banners
• The Z6 includes a vertical cutter
• Be careful when handling paper
(especially glossy and satin paper)
because you will see fingerprints on the
finished product
• HP Z5600/Z6 Print Utility is the program
that should be used to print files
• The resolution of the original image will
determine the quality of the print when
enlarged

• The resolution of the original image will
determine the quality of the print when
enlarged

Large Format Laminator - Threading
Overview
• Always ensure the matte side of the
lamination material is facing toward
you on the heat roller, not the gloss
side
• When you thread lamination on each
heat roller, ensure the material is fed
around the metal rod on the bottom roll
and under the metal rod on the top roll
(Tension
Bars)
Steps
1. Remove feed tray using spring pin under the tray to the left and Remove the safety shield from the top
of the device
2. Load rolls onto spindles (Glossy or Matte as needed)
• Inside of roll should NEVER touch the roller directly as this is the side coated with adhesive
• Be sure to tighten the spindle set screw, and NEVER remove the spindle cap located next the
brass bushing as this set screw is has a locating hole in the spindle it must remain inside for
proper alignment
3. Feed top roll underneath tension bar/metal rod and on top of red/orange heat roller
4. Feed bottom roll under tension bar and on top of heat roller (Tension bar can be rolled down to allow
more access to feed. Ensure if you do this, to move the bar back to the top for correct tension.)
5. Replace feed tray and ensure spring pin makes the connection in the machine; it will click into place and

6. Have a piece of chip board ready, set the Tension Lever on right side of the machine to the bottom
notch and set Temperature to 230 °F

Large Format Laminator - Laminating
Overview
• The large format laminator puts a sheet of
plastic coating on the top and bottom of
large format prints
• Be sure you have the print lined up before
you insert it into the machine, because you
cannot correct the skew once it reaches the
rollers
• Issues with wrinkling and bubbles on the
laminator are sometimes due to it being set
too hot, or running too fast. Slow the speed
and turn the temperature down and that may
help solve the problem
Keypad
Steps
1. Set Tension Lever on right of machine to last notch on the bottom (Heavy Gauge)
2. Set Temperature to 230 °F and Speed to 5 on the keypad on the front of the machine
• Modify speed as needed. For thicker media, you may use speed 4 for better adhesive melting
3. Once the ready light is lit, press Run
4. Line up poster square with machine and let machine feed paper through. You can unscrew the knobs on
the left to adjust the position of the feed guide if necessary
5. Once poster passes the slide cutter, press Stop on keypad and use the slide cutter on the back of the
laminator to cut print off the laminator
• Use rotary paper cutter to cut excess laminate
Maintenance
1. Should adhesive get on the rollers, clean using the Gummed Eraser, rubbing the rollers until clean
2. Should a jam occur, use the Reverse button to attempt to clear. If laminate needs to be cut, cut carefully
and avoid rollers
3. Any other service issues should be resolved through a Facilities Maintenance ticket

Large Format Laminator - Laminating

Large Format Laminator - Mounting
Overview
• The large format laminator is used to
laminate prints, but it can also mount
prints onto heat activated foamboard
for display
• If there is laminate currently threaded,
you must carefully remove it using a
lamination knife or pen and pull the
excess away towards you and
NEVER through the device
• NEVER use scissors near the heat
rollers as this can lead to
permanent damage
Steps
1. Use about an 6”- 8” piece of excess foam board to use in front of your board as a leader board
2. Set Tension Bar on right of machine to second notch from top (3/16 setting)
3. Set Temperature to 280° and Speed to 2.
• If coated paper is peeling when mounting, set the temperature between 230-250, or use
the wax paper sheets found in between the packaged boards on top of the print before
running
4. Once Ready light is on, press Run and insert leader board first
5. Line up your foam board with poster attached to leader board and guide board through until it
has reached the second set of grey rollers
6. Once board passes through completely, press Stop on keypad
• Trim board with foam board cutter once mounting has been completed

Overview
• Mounting and laminating to board
combines both processes of mounting
to board and laminating
• This process makes the mounted
boards a more water and UV
resistant, but they are only suitable for
use indoors
Steps

Overview
• Your store may have either a manual
business card cutter or an electric cutter to
produce same day business cards
• There is an acetate template available via
iPro #04278 that will help determine if the
Xerox printer bypass tray’s margins or the
business card cutter’s alignment needs to
be adjusted
• There is a metal adjustment wheel on the
CC-228 that can be moved to adjust the
page left and right, while the manual cutter
can be adjusted using the two sets of plastic Waste Tray Metal Alignment Wheel

Maintenance
1. Empty waste tray after each job, being careful to avoid contact with slitter blades

Coil & Comb Binding - Overview
Overview
• The binding machine, no matter the model,
has punch dies that are used to punch
paper in order to create bound books
• If too much paper is placed in the machine
at once, the die is likely to stick or even lock
up completely. 20 pages is the maximum
recommended limit
• It’s a best practice to punch the front and
back covers together, or if you are punching
covers separately, to put a piece of paper in
between each cover

Overview
• A folding machine can fold large
quantities of paper quickly
• It’s a best practice to use a few test

Cut Sheet Media / Original Type / Image Options Guide
Index A durable cardstock with a smooth, hard surface for medium applications.
Matte A coated paper with a soft or limited sheen, still retaining a smooth feel.
Gloss A coated paper with a shiny or more reflective sheen, often used for photographs.
Light Text Similar to text, but increases contrast further, and darkens the output to help the
visibility of light test. Ideal for copying receipts or faded documents.

are balanced for documents where they are mixed.
Photo Eliminates background suppression, allowing the capture of greater detail and color
gradients. Ideal for images.
Photograph Helps to lower contrast and increase sensitivity to color gradation. Ideal for printed
photographs.
Map Retains sharpness, but disables background suppression to capture detail. Ideal for
maps or even customer created artwork.
Background Helps mute background colors or stains on documents to be copied. Be sure to select
Photo for detailed images as this will disable this feature.
Suppression
Contrast Contrast enhances color separation, EX: Increasing contrast moves gray toward black
or white while decreasing contrast makes blacks and whites appear gray.
Brightness The Brightness (Lighten/Darken) control makes all tones lighter or darker, EX:
Increasing Lightness/Darkness moves all tones in the image toward white while
Decreasing Lightness/Darkness moves all tones toward black.
