Exhibitors Manual
Note:
Bare space exhibitor using own contractor is requested to submit work orders to the organizers
for all electrical, water services for safety purposes ( Latest by 25th Jan 2025.) Only chalk
marked bare space will be provided.
a) The height limitation for booth construction of special design is 12 feet, and the height
limitation of exhibits is 3 mtr (Please contact the Organizers if the exhibit' height is more than
12ft)
b) All material used in booth construction and decoration must be properly fireproofed in
accordance with general regulations of fire safety.
c) Exhibitors who take "Bare space" adjacent to another booth must provide its own wall panel.
Use of reverse of the neighbor's wall is not permitted.
d) If exhibitor use own fabricator, it is requested to ensure that contractors submit detailed plans
of booth construction to the Organizer for approval so as to prevent any costly alterations on site.
Permission for welding in advance & time for welding, must be sought from organize.
e) 2 copies of the finalized exhibition floor layout, with the contractors' details, are to be
submitted for approval 30 days before the exhibition of the organizer. Organizer reserve the right
to request the exhibitor to alter booth design if booth structure causes obstruction to other
exhibitors.
g) Electrical Supply Requirements: For extra electrical supply exhibitor should give details in writing
well in advance till 25th Jan 2025.
h) Exhibitors are liable for the removal and disposal of waste materials generated by working
demonstration of exhibits. If found waste material at the venue then security deposit will be held.
For any additional requirements, you need to directly coordinate with the respective vendors.
SHELL SCHEME BOOTHS
a) Stalls with modular shell system panels, having height and breadth of each panel is 2.4m and
1m respectively.
b) The name of the exhibitor appears on fascia. The length of fascia depends on the
dimensions of the stall. This form is to be completed by prefab, cover stall exhibitors
only. Exhibitors name and stallnumber are produced in standard format on each shell
scheme fascia.
• Please write clearly using upper and lower case, e.g. the ABC Building
company.
• We can print 8 letters per meter (maximum) as per stall frontage.
• Please write clearly the stall number as allocated to you on Booking Form

c) Exhibitor in open spaces is permitted to cover maximum (2m x 3m x 2.4m) as office area.

PLEASE NOTE:
All requests have to be made in writing and in appropriate forms, filled in duplicate. These forms
should be submitted with the company seal and signature to organizers office.
Every effort will be made to meet your requests; however, it will not be recognized as a condition
for participation.

Security:
While all reasonable steps for the protection of property and exhibits are taken including the
employment of private security officers, Organizer do not accept any responsibility for loss of or
damage to your / contractors Properties within the exhibition grounds.
For any requirement of personnel, please send in organizer’s office the duly filled requisition
Form along with the necessary payment before.
Water:
a) Welding & power requirement permission with prior intimation to Constro 2025 Coordinator –
Activities on ground.
b) Music systems and special lights used inside a stall should not cause inconvenience
or annoyance to other exhibitors or visitors. Any complaint received will result in termination of
such display.
c) Organizer’s permission required along with extra payment for extra consumption of the
electricity.
d) Electricity will be shut off 30 minutes after the closing of the Exhibition on all four days.
e) Electricity will be switched on 30 minutes before opening time.
USE OF COMPRESSED AIR AND INDUSTRIAL GAS
a) Use of industrial gas of a flammable or toxic nature for demonstration purposes is strictly
prohibited at the exhibition site.
b) Smoking is prohibited inside the Exhibition Area.
c) Explosives & Dangerous Materials: Explosives, Detonating, Fumigating, or Inflammable
materials and all dangerous, harmful, objectionable or obnoxious substances are strictly
prohibited.
PARKING STICKERS:
• Provisions for car and scooter parking are made at the exhibition ground and (Will be provided
to Exhibitor as per details below :)
Entry to the exhibition ground is not permitted without the exhibitor's badges and (Will be
provided ot Exhibitor as per details below :)

Gate Pass:
Exhibitors are requested to note that Gate Pass is required for security purpose, as well as taking any
exhibits / items out of the exhibition ground. The Gate pass would be available on written request at
the organizer’s office.
Organizer will provide exit pass to all exhibitors to move the materials out of the exhibition ground.
Constro 2025 Exhibitors Directory
Exhibitor Directory for Constro 2025 will be made available to all exhibitors and visitors. This
will contain information of exhibitors, their product and services. You are requested to fill in
your data in Constro Expo App and send it before 10th Jan 2025 to organizer. Entry of
information received thereafter cannot be guaranteed. Organizer will not be responsible for the
authentication or accuracy of the information provided.
If you wish to place an advertisement in the Exhibitors Directory being published at the
time of Constro 2025, please contact PCERF office.

a) Exhibitors are strongly advised to insure their exhibits and other valuable items placed at the
Exhibition Venue.
b) The Venue Management, Organizers and Sponsors will not be liable to any Damage / injury /
fire / floor / claims / loss / theft of exhibits & personal properties, Public Liability (third party)
insurance and accidents liability, it's the responsibility of exhibitors to cover all with their own
insurance.
c) All Exhibitors shall insure, indemnify and hold the Organizers, Sponsors and the Venue owner
harmless in respect of all costs claimed by the Exhibitor against any persons or items at the
Exhibition Venue during the move-in, exhibition, and move-out periods.
d) Booths and other facilities rented from the Official Contractor by the Exhibitors should be
returned in good condition. Exhibitors will be held responsible for any damages incurred during
the period
a) Exhibitors are required to ensure that the exhibits are operated under strictly controlled and
safe conditions.
b) Exhibitors are required to ensure that the exhibits are equipped with safety devices.
c) Adequately safeguard all moving parts of your machinery against injury to visitors. Exhibitors
are advised to ensure that moving exhibits are kept out of the reach of visitors.
d) Exhibitors are liable for the removal and disposal of waste materials generated by working
demonstration of exhibits.
e) Exhibitors will not cause any annoyance to visitors or other exhibitors. Acceptable norm of
noise level will be at the Organizers' discretion. In case of complaints raised which the Organizers
find justifiable, the Organizers reserve the right to impose limitation of the operation of noisy
machinery / exhibits.
BOOTH OPERATION
a) All booths must be fully staffed and operational throughout the opening hours of the
Exhibition
b) The entire Exhibitors' staff must wear Exhibitors' badges (issued by the Organizers) for
identification. The Exhibitors are advised to be present (at least one staff) at their booth at least
15 minutes before opening time and leave the Exhibition Hall/ Hanger not later than 30 minutes
after closing time. Exhibitors can apply to the Exhibition Authority for an extension of these
hours if the needs arise.
c) All activities of the Exhibitors and/or their staff must be confined to their booth area. No
advertising or business activity may take place elsewhere in the Exhibition Halls.
d) The movement and handling of heavy exhibits and materials must be done through
the freight and cargo entrance of the Exhibition Halls. Only items, which are easily
hand carried, will be allowed access through the front entrances.
SAFETY PRECAUTIONS
Be aware of cautious about your personal safety and use common sense. It is not safe
to wander around alone at night, especially in the darker streets. Please aware of your
personal belongings when you are out in public and in crowded areas.
PROMOTIONAL MATERIALS
Exhibitors are reminded to keep a close eye on their exhibits & personnel property, valuable
working models and other sophisticated items at their booth in the exhibition hall and beware of
pickpockets, for those small display items, please do not put them on the table, it should be
securely, locked Reliable security guard will be on duty day and night, but will not guarantee
against any loss.
a) During the set-up and dismantling stage of the booked period, the Exhibitors are not allowed to
make connection to the power network in floor ports and in walls themselves.
b) During the setup, use of cutting/ drilling machines, welding, wood/ plaster polishing and any
other dust inducing works are not allowed inside the hall.
c) Fire hydrants / fire exit should remain uncovered and accessible during the show.
d) No exhibitor is allowed to install halogen or extra lights or power sockets without permission
of the organizer as it may result into short circuit.
e) The exhibitor shall not attach any elements of stand decorations, advertisements, flags, etc. to
the pavilion construction (ceiling, walls, railings, columns, etc.) without permission of the
organizer.
f) Smoking shall not be permitted inside the exhibition ground area.
g) Alcohol consumption is not allowed on Exhibition ground.
h) Exhibitors cannot dispose off waste materials hazardous to health and the environment
(including oils, emulsions, acids, fats, varnishes, etc.) together with other waste or via the drains.
i) Use of tobacco products and spitting inside exhibition area is strictly prohibited.
j) Identification card should be readily available to be shown as and when required.
Note: The organizers reserve the right to change, alter or cancel the information and services offered
in case of unforeseen circumstances. In that case decision of PCERF organizing committee will be
final and will be binding on all and it will be superseding previous clauses of agreement between
Exhibitors and Organizers.
