EXCERPT FROM THE MINUTES OF DISTRICT SCHOOL HEADS AND DISTRICT


COORDINATORS PLANNING CONFERENCE HELD ON JANUARY 21, 2025 AT
9:05 IN THE MORNING AT THE PROPERTY ROOM, TRINIDAD II CENTRAL
ELEMENTARY SCHOOL, HINLAYAGAN ILAUD, TRINIDAD, BOHOL.

Present: 16
Absent: 0

I. CALL TO ORDER

The meeting was called to order at 9:05 in the morning by the presiding
officer Dr. Amelita C. Credo.

II. PRELIMINARIES

The opening prayer was led by Mrs. Evangeline Nuez, School Principal of
Kinan-oan ES.

III. ROLL CALL/

The checking of attendance was done by Mr. Michael Dacoylo, Principal of


T2CES. There were 15 School Heads and Teachers out of 16 expected participants who are
present.

IV. DECLARATION OF QUORUM

Since majority of the participants were present, the presiding officer, declared the
meeting quorum.

V. READING AND APPROVAL OF THE PREVIOUS MINUTES

The chair dispensed the reading of the minutes of the previous meeting.
Mr. Goyeneche made the following corrections:
- Attendance from 30-32, no absent
- spelling for Pecha Kucha
- Key Stage 2 instead of Stage 4
- Name of Emily Sahulga to Emily Sague
- Title of the Column 2 will be change to Contest Coordinator to Contest Manager and
Contest Coordinator from Coordinator.
- Filipino Likha Kwento Grade 3 instead of Grade 1

Science Elementary Contest was not discussed during the meeting but included in
the Festival of Talents. It shall be conducted on January 21, 2025. There are 3 contestants
were Kinan-oan ES,

It was moved by Sir Johnson Inso to accept the minutes of the previous meeting and
duly seconded by Mrs. Evangeline Nuez. The chair approved the motion to accept the
minutes of the previous meeting.

- Ma’am Amy read the Winners of the different contest in the District Festival of
Talents by Category. (Refer to the list)
- Mrs. Santerva made correction on the name of coach and school in the Likhawitan
Contest from Maria Mae Orioque to Vicente Lofranco and instead of HNHS it shall be
Kauswagan NHS.

VI. AGENDA

The agenda of the meeting were as follows:

Ma’am Amy thanked all the School Heads especially Mr. Jonathan Goyeneche for
successful conduct of the District Level Festival of Talents.

1. Points in the EXECON last Jan. 20, 2025


a. Property Custodian- Lilian Baloria
-No budget for door to door delivery
-transfer of AO and promotion of school personnel had caused some problems
in some districts. Fortunately, Maam Cora, the former AO had made a systematic filing of
records in the District. Thus, the PSDS ensure the body that the new AO will continue the
best practices done by Mrs. Ma. Corazon Acero.
b. Finance: Bhing Ladaran
- Communication expenses (there is a need to wait for guidelines/Memo from
CO)
- Top management will receive load allowance for the moment
 Medical allowance
o Not yet part of the GAA. Read Budget Circular 2024-06)
o Change of signatories: Checking accounts of Non-IUS (please remind
accountable officers)
o Implications (late liquidations-need to visit the new area of
assignment pf accountable officers)
 Transfer need clearance to ensure that change of
signatory has been provided;
 Submission of liquidation -cleared by the bookkeepers but not
yet submitted to COA
 Issuance of liquidation reports
 Downloading of funds for lot titles (un-utilized amounts, be
checked-to be returned to the provincial office)
 Travel expenses of AOs be charged to the school MOOE
 Monitor the PhilGEPS registration (for downloading of amounts)
 Signatures for Division Clearance (need the signature of
the Bookkeepers) - BK are allowed to have five reporting
days at the SDO, more than five days- personal
expenses
 Routing for liquidation reports
 Submission of the liquidation reports
 COS January 2025 - 20 percent of the the
total actual service rendered (premiums)
to be downloaded in February, 2025
 Submission of Annex G to the GSB’s of Non-IUS with
checking account
No annex G, amount will be swiped out- shouldered
by the accountable officer
- January 2025- COS Salary will be released and payment
of
premium will be given on February- 20
- Adoption and Implementation of Well Based Monitoring

- Mr. Goyeneche informed about his request to the DO about the sharing of
Bookkeeper in the two Trinidad 1 & 2 Districts in secondary. The concerned
DO personnel will look into the matter and will take the necessary action.

- Correction of Entries in the SF school must not change easily. It must
undergo the standard procedures based on guidelines.

SDS
- Holding of JS Prom- DO will allow if it is conducted in school, do it during Saturdays
and Sundays or Friday at 4 pm. It needs the approval of the SGOD.
- The name of the SDS will reflect in the request but the one who is authorized to

is the SGOD Chief.
- Raw score of the Assessment result to be analyzed- know the competencies not
mastered

- Prepare consolidated report of the result of the periodical test by subject area- to
know what subjects that need to be addressed

- Tuesday-Thursday – moving from 1 district to another- no information given of their
visits
- Findings of their visits to schools:
1. No checking of lesson plan by the school heads
2. No lesson plan
3. School head is not around
4. The result of the school will picture of what kind of PSDS and school head they
are.
- Their purpose of visit is to provide TA
- They check also the attendance log book, attendance of teachers, cleanliness of the
school , Result per learning area
- They are particular with the MPS and not the QRA
- Lesson Plan are properly monitored
- See to it that they have already conducted classroom observations
- Suspension of classes
1. TCWS 1- Kinder
2. TCWS 2- Elem and JHS
3. TCWS 3- All classes shall automatically suspended- prepare modules to be given
to the learners
- If there is a strong wing occur without TCWS – the Mun. Mayor or the Governor can
declare suspension but automatically give modules to learners.
- Local Chief Executive will decide the cancellation provided the school will shift to
modular, or performance task.
- Wearing of Filipiniana – suspended fo 6 months
- Ranking of Masters- wait for the final say of the SDS

2. Other matters

Mr. Goyenche share a link for the SHs good practices and feedbacks on areas
that needs to be enhanced.
The chair will inform the body of the next meeting to discuss important
topics.

Mr. Johnson Inso moved to adjourn the meeting and it was duly
seconded by Mr. Michael Dacoylo.

The meeting was adjourned at exactly 12:20 PM.
