Task 1: Audit approach

1 (a)
Many positive points can be observed in the approach taken to the audit of the
production department. Some of them are the following:
1. The Health and Safety Manager (HSM) Informed the Project Manager (PM) of the
production department about the audit. This shows proactive attitude of the HSM
towards the audit.
2. HSM asked the PM about the suitable time and date for auditing. This depicts the
flexible attitude of the HSM and the culture of consensual-based decisions, which
is considered as a positive aspect of the approach towards the audit.
3. The HSM planned to observe different stages of the production process, such as
delivery and storage of raw materials, the production process, and moving of
finishing goods to the warehouse. The HSM compartmentalized the task before
the site visit, which is the essential part of effective auditing.
4. The HSM officer reached the production department for auditing on the exact day
as scheduled by him. This evinces positive approach of the auditing.
5. Reviewing of the necessary paperwork by the HSM and Worker A before the
auditing established strong theoretical foundation for effective auditing.
6. The close observation of each and every production activity by the HSM shows his
competence and mental acuity like he closely observed the spillages during his
auditing.
7. The HSM showed a good report with workers during auditing, which helped him
listen various queries of workers. In the scenario, he spoke to Worker C, and the
worker told him about the actual conditions of workers in the working area.
8. The HSM closely discussed each and every issue with workers and supervisors.
He told the supervisor B that the chemical storage and handling procedures were
according to health and safety standards.
9. When hearing about different injuries at the work-site, the HSM directly checked the
accident book and confirmed whether the accidents were recorded or not.
Undoubtedly, it shows meticulous attitude of the HSM towards auditing.
10. Worker A, a new volunteer, accompanied the HSM throughout his auditing
procedures to become cognizant of the process of auditing. During audit analysis
and reporting, the HSM discussed information with worker A which shows positive
approach of the auditing department towards audit.
11. The HSM classified the audit procedure as good practice (GP), Opportunities for
improvement (OFI), and non-compliance (NC) which shows positive approach
towards the audit.
12. The standard template for the audit report was used for the organization’s audit
procedure by the HSM which clearly shows positive approach towards audit.
13. Every proposal, proposed by the HSM, was taken seriously by the higher
management, and abrupt changes regarding safety and management had been
taken place. This shows a positive approach of the organization towards audit.

1 (b)
It is important to review findings from audits in order to improve the health and safety
environment of the production department. Some of the reasons for their improvement
are the following:
1. Findings from the audits showed serious non-compliance towards health and safety
protocols especially in the storage and handling of chemicals. Reviewing such
findings will strengthen positive safety culture in the organization.
2. Some findings from the audits show that various injurious hade been happened
because of manual handling of hazardous tasks. The manager told the HSM that
one worker had been injured carrying 25-litre drums. In order to avoid such
insecure practices, the findings must be reviewed.
3. Findings from the audits reveal that up-to-date risk assessment was not taken

place. On the way, the HSM found three-years old copy of the organization’s
health and safety policy. Hence, intermittent risk assessment is indispensable in
order to get up-to-date knowledge about a site.
4. Audits findings show spillages (of chemical product) on the floor which is both
hazardous and fatal. Frequent spillages in such a sensitive department are no
less than danger. Hence, in order to provide secure and safe environment to
workers, it is inevitable to review findings from the audits.
5. The haphazard and unsystematic handling of the drums and the placement of
some drums in the front of the doorway reveal that safety protocols were heavily
compromised. Reviewing such negligence may increase the productivity and
safety of the production department.
6. Reviewing from the audits show that routine maintenance had not been taken place
in the production department for six months which shows an attitude of
indifference towards occupational health and safety. Frequent maintenance
activities reduce the risk and vulnerability to injuries.
7. The nonchalant attitude of the Project Manager (PM) towards queries of workers,
as mentioned in the findings, and supervisors is very risky. The Project Manager
must consider each and every aspect of health and safety protocols to provide
safe environment for workers.
8. Findings from the audits show that accidents were recorded in the accident book,
but investigation was to be completed. Lack of investigation led to overwhelmingly
high number of accidents as mentioned in the scenario. Hence, prioritizing the
importance of timely and effective investigation could reduce the risk to hazards.
9. Audits findings show that workers were complaining about the tiring work routine
and dirty production area. Reviewing such findings are fruitful both for workers
and Supervisors.

Task 2: Change management controls

Following changes could have occurred during the project that may require management
of change controls:
1. Transitioning from 25-litre drums to bulk storage tanks for raw materials needs
planning to ensure compatibility with existing infrastructure. Introduction of new
systems of storage and delivery needs extra health and safety protocols, and they
must be taken into account.
2. Handling large volumes of raw materials may pose new health and safety risks.
Hence, ensuring effective training of the workers and updated health and safety
protocols must be adopted by change management.
3. Transition from manual handling of raw materials and moving to automated
systems need commensurate increase in health and safety protocols. The
production department ensures that employees are cognizant of the new
processes.
4. Additional resources are needed for the implementation of bulk delivery and
implementation systems, such as new equipment and installation cost. These
changes must be ensured effectively by control management.
5. Increase in production capacity means that more resources would be needed. In
such case, it is essential to increase capacity of each process accordingly in
compliance with the health and safety criteria.
6. Strict health and safety protocols should be followed during the project, so that the
exposure to risk reduces to a comfortable level.
7. Effective communication among all stakeholders during the implantation process of
the new system must be ensured to promote consensual-based approach to
control management.
8. Increase in health and safety budget due to upgradation of safety protocols may
require changes in project’s budget or funding. Such financial changes must go

through proper change management process.
9. Regularly monitoring of the project activities to timely tackle any risk and hazard
regarding health and safety protocols should be prioritized.
10. Introduction of bulk delivery and storage systems could require approval from
regulatory bodies. Compliance with the regulatory bodies’ expectations must be
ensured by the change management.
