# My Second Brain Notion Setup (2024)

00:00:00.040 in this video I'll show you my complete

00:00:01.560 second brain system in notion a
00:00:03.360 practical implementation of Thiago for
00:00:05.160 building a second brain methodology on
00:00:07.399 the homepage left side serves as a
00:00:08.840 navigation sidebar there are some
00:00:10.320 buttons at the top for quickly capturing
00:00:11.799 new information into your second brain
00:00:13.599 and below the buttons is where you
00:00:14.719 navigate to other notion Pages the right
00:00:17.359 side is a stack of different database
00:00:18.800 views shed by the most actionable at the
00:00:20.519 top and the least actionable at the
00:00:22.439 bottom the homepage of your second brand
00:00:24.599 is where you should customize to fit
00:00:25.920 your daily needs with the main idea
00:00:27.359 being that you have a bir eye view of
00:00:28.840 everything in one place ating the need
00:00:30.519 to open up different pages let's first
00:00:32.800 understand the overlooking structure of
00:00:34.000 our second brain before we dive further
00:00:35.600 into it is not that complicated
00:00:37.520 hopefully we start by identifying an
00:00:39.360 area of our life and setting a goal for
00:00:41.160 direction we then undertake various
00:00:42.600 projects and tasks to achieve these
00:00:43.879 goals on the day-to-day basis we capture
00:00:46.000 notes and references to build Upon Our
00:00:47.600 ideas and knowledge over time more
00:00:49.360 importantly we aim to save time for our
00:00:50.800 future selves by actively linking new
00:00:52.399 information to relevant projects and
00:00:54.000 goals now let's get started with setting
00:00:56.120 up our second brain in notion and to do
00:00:58.079 that we have to first look at our
00:00:59.480 different areas of
00:01:00.920 Life Aras is what Thiago 4 refers to as
00:01:04.000 our long-term roles and responsibilities
00:01:05.920 being aware of this promotes greater
00:01:07.320 balance and prevents an unhealthy level
00:01:09.040 obsession with certain areas such as
00:01:10.840 academics or
00:01:12.119 career now let's first head over to the
00:01:14.200 areas page in our second brain here is
00:01:16.479 where you list and view all your
00:01:17.560 different life areas in one place if
00:01:19.320 you're tracking your commitments across
00:01:20.600 your personal life business and school
00:01:22.840 you can tag each area respectively and
00:01:24.600 view them under the respective tab I
00:01:27.119 will now create a new area as an example
00:01:30.040 with this new page open up I can give it
00:01:31.680 the title and choose an icon to
00:01:33.240 represent this
00:01:34.260 [Music]
00:01:37.040 area following this we can click on the
00:01:39.320 type property to categorize this
00:01:42.560 area you can customize the options by
00:01:44.759 clicking on the three dots on the far
00:01:46.119 right of the option and renaming it to
00:01:47.880 what works for you know that tagging
00:01:49.560 your area is optional and only useful if
00:01:51.360 you have many areas to keep track of as
00:01:53.920 you may have noticed when this new area
00:01:55.600 is created database views are populated
00:01:57.479 to show relevant pages from other
00:01:58.880 databases we'll return to this page to
00:02:00.920 see the changes in the later part of
00:02:02.479 this
00:02:03.719 video once we list down our different
00:02:05.880 life areas we can scroll down to our
00:02:07.399 topics datab base below to list the sub
00:02:09.038 areas and our interest under each area
00:02:11.280 if you're familiar with the param meod
00:02:12.640 by Thiago Forte topics in this case are
00:02:14.480 what Thiago will refer to as resources
00:02:16.480 which he defines as topics or interest
00:02:18.080 that may be useful in the future topics
00:02:20.680 are also what your notes and references
00:02:22.280 can be Ted to and where you can retrieve
00:02:24.200 your notes when you open up the relevant
00:02:25.760 topics page I recommend adding only as
00:02:27.800 many topics as necessary and letting our
00:02:29.519 topics Bu from the bottom up from our
00:02:31.120 notes and references if you have
00:02:32.879 existing notes and references you can
00:02:34.440 also refer to them and review them to
00:02:36.319 identify possible topics our goal here
00:02:38.760 is not to hot information and therefore
00:02:40.680 our topics should be as specific as
00:02:42.760 possible to be highly selective in what
00:02:44.400 we save into our second brain to add a
00:02:46.959 new topic you can click on the blue new
00:02:48.280 button and write down the topic and
00:02:49.599 choose an icon for
00:02:51.420 [Music]
00:02:54.360 it then we can take it to its respective
00:02:58.840 area
00:03:01.560 if you're adding a new topic to an area
00:03:03.159 already shown on this view you can just
00:03:05.120 click on the plus new text to create a
00:03:06.799 new topic and then again give it an icon
00:03:08.840 to represent
00:03:11.959 it once we have listed down our areas
00:03:14.319 and topics we can assess where we want
00:03:16.200 to improve on and set some goals for
00:03:18.080 ourselves if I want to challenge myself
00:03:20.239 in terms of my health and fitness we can
00:03:22.080 start by clicking into that area page in
00:03:23.840 our database
00:03:25.159 above I'll put this page into full View
00:03:27.799 and then we'll scroll down to the
00:03:28.720 database view under the go
00:03:33.280 heading here we can click on the empty
00:03:35.319 row to create a new goal under this area
00:03:37.239 I'll set a new go to run a half marathon
00:03:39.080 and then set a DAT line for
00:03:41.680 it next to the date property we have a
00:03:44.080 formula property that calculates the
00:03:45.439 days left between today's date and the
00:03:46.959 de line you have set it's a good way to
00:03:48.799 give yourself a sense of urgency to stay
00:03:50.599 motivated and action oriented lastly we
00:03:53.439 have a status property that can be
00:03:54.879 updated to reflect our progress or when
00:03:56.760 we complete this
00:03:58.280 goal continuing on we will learn how we
00:04:00.760 can measure our gains and progress for
00:04:02.319 each goal to ensure that we're moving in
00:04:04.040 the right direction I will open up this
00:04:06.280 goals page and put it into full
00:04:10.000 view again we'll see database views
00:04:12.239 already populated on the page body right
00:04:14.920 at the top is where we have a database
00:04:16.519 called key results key results is a
00:04:18.199 concept taken from the okos framework
00:04:19.880 commonly used in the
00:04:21.399 workforce not all gos might have
00:04:23.400 measurable metrics but when they do
00:04:25.199 keeping track of them is a good
00:04:26.320 indicator of our progress to add a key
00:04:28.440 result we simply click on the m Ro and
00:04:30.240 give the key result a title for a half
00:04:32.320 marathon a key result might be your max
00:04:34.000 running distance in one run in this case
00:04:36.800 our Target value will be the distance of
00:04:38.520 a half marathon that is 21 km and our
00:04:41.199 starting and current value could be 9
00:04:43.840 km all time as we improve our maximum
00:04:46.479 running distance we can update the
00:04:47.880 current value and see our progress
00:04:49.560 towards our set Target
00:04:51.560 value you can add as many key results as
00:04:54.120 long as they are relevant and helpful in
00:04:55.600 measuring your
00:04:56.919 progress moving on is where we'll break
00:04:59.240 down our goal into actionable Steps
00:05:01.120 either as a project or task let's first
00:05:03.320 start with our projects an example of a
00:05:05.320 project to advance our goal could be
00:05:06.880 planning the half marathon training
00:05:08.440 which can involve a series of tasks
00:05:10.039 especially if it's our first attempt we
00:05:11.960 can then open up our project page and
00:05:13.680 use the task database within it to list
00:05:15.479 all the necessary task for this
00:05:19.759 project you can always return to your
00:05:21.840 project page to update your progress on
00:05:23.400 each task and add any additional task
00:05:25.400 that might arise we can finish creating
00:05:27.560 this project by filling out its
00:05:28.840 properties above this includes the
00:05:30.840 project area the project
00:05:34.360 timeline assigning it a
00:05:37.000 priority and finally updating the status
00:05:39.600 of this project before closing this page
00:05:42.479 you can see that this project is no
00:05:43.800 longer in our inbox View and that we can
00:05:45.440 navigate to our deadlines view instead
00:05:47.240 to see our newly added project back on
00:05:49.600 our goals page we can scroll down to our
00:05:51.199 task view which now reflects the task
00:05:53.039 listed in the project above this task
00:05:55.000 view is also where you can add single
00:05:56.680 actionable steps that helps you achieve
00:05:58.240 your goals outside of your project
00:05:59.639 projects in this case it could be a task
00:06:01.199 like signing up for a half marathon or
00:06:02.720 joining a running club an additional tip
00:06:05.680 here is that if you realize that might
00:06:06.960 be one to two task that must be
00:06:08.240 completed prior to executing only tasks
00:06:10.240 such as researching upcoming marathons
00:06:11.919 before you can sign up for one you can
00:06:13.639 use what is called the sub items feature
00:06:15.319 or in this case we can also call it
00:06:16.720 subtask to add a subtask simply hold on
00:06:19.000 the left hand side of a task and click
00:06:20.479 on the triangle toggle and then click on
00:06:22.080 new sub item to add a subtask under the
00:06:23.960 respective tasks this is very useful
00:06:26.800 task that aren't big enough to be turned
00:06:28.240 into your project but require a few
00:06:29.800 steps to get done you can now repeat
00:06:31.599 this process of setting goals for each
00:06:32.919 area of your life listing down your
00:06:34.440 active projects and planning new ones
00:06:36.240 doing so will be the initial setup for
00:06:37.880 using your second
00:06:40.039 brain moving on we'll discuss how to
00:06:42.360 capture and offload information into
00:06:43.880 your second brain on a daily basis
00:06:45.720 uploading what is in our HS into our
00:06:47.520 second brain is how we can free up our
00:06:48.880 precious mental capacity to focus on the
00:06:50.720 task at hand understanding the different
00:06:52.120 methods of inputting information into
00:06:53.479 our second brain will enable us to use
00:06:55.160 the one that is most
00:06:56.879 convenient firstly if you're on the
00:06:58.759 notion page to against the respective
00:07:00.360 database where you want to capture the
00:07:01.800 information simply click on the plus new
00:07:03.680 text to add a new
00:07:05.560 page alternatively you can click on the
00:07:07.840 blue new button on the top right of the
00:07:09.240 database view to add a new page to this
00:07:10.960 database on this page you can fill in
00:07:12.599 the page title followed by the relevant
00:07:14.199 properties of this
00:07:17.360 database and optionally you can use the
00:07:19.479 page body to add anything else that is
00:07:21.080 relevant secondly we can use database
00:07:23.120 templates database templates allow us to
00:07:24.960 preu certain the properties or structure
00:07:26.599 the page body to how we want it to be
00:07:28.199 let's create a default template for our
00:07:29.680 task database we'll h on the top right
00:07:31.479 and click on the drop down arrow beside
00:07:32.840 the blue new button and then we'll click
00:07:34.479 on new template I want to use this
00:07:36.840 template for creating high priority task
00:07:38.639 so I will title it high priority give it
00:07:40.400 the pitch icon and update the priority
00:07:42.000 to
00:07:45.159 high I will also update the status to
00:07:47.400 next action since it is something I
00:07:48.919 would want to act on if it's of high
00:07:50.520 priority going back I can click on the
00:07:52.599 drop down arrow and click on this
00:07:53.919 template to use it and you can see how
00:07:55.840 the priority of this task is set to high
00:07:57.919 from here I can then just write down the
00:07:59.199 task I want to
00:08:01.840 add another way to use a database
00:08:04.080 template is to do so on the page body of
00:08:05.800 an existing page we can open an existing
00:08:08.000 page delete any empty spaces on the page
00:08:09.759 body to review the database templates
00:08:11.720 and then click on our template to apply
00:08:13.199 it to the
00:08:14.199 page you might remember how we were able
00:08:16.840 to populate the relevant database views
00:08:18.479 when we create a new page before like
00:08:19.960 inside an area page and that is all
00:08:21.919 thanks to database templates but more
00:08:23.759 specifically default database templates
00:08:26.879 you can set any database template as
00:08:28.759 default by going going back to our
00:08:30.039 database templates and clicking on the
00:08:31.960 three dots beside the respective
00:08:33.279 template and then choose set as default
00:08:35.760 and decide if you want to use this
00:08:36.958 template for all views or just this view
00:08:40.120 taking it further we can also have
00:08:41.559 repeating database templates this can be
00:08:43.360 helpful for something like a recurring
00:08:44.920 task like reviewing my inbox weekly I
00:08:47.560 will first create another template under
00:08:49.120 this task database I will TI the page as
00:08:51.760 my task and give it a page
00:08:56.839 icon and then now set the status to next
00:08:59.200 action
00:09:02.079 more importantly I have to set the date
00:09:03.519 to a dynamic option that is using the
00:09:05.320 date when
00:09:06.480 duplicated now exiting this template
00:09:08.519 view I will go back to the task View and
00:09:10.120 our database templates and then click on
00:09:12.560 the three dots beside this new template
00:09:14.600 we can then click on repeat and set it
00:09:16.160 to repeat weekly and do the
00:09:17.519 customization here such as choosing the
00:09:19.160 day of the week and the start date
00:09:20.720 before we hit
00:09:24.279 save as you use your second read and
00:09:26.360 notice any recurring patters in your
00:09:27.959 pages consider cre a template for it or
00:09:30.320 even a repeating template the next
00:09:32.399 method of capturing new information in
00:09:33.880 notion is probably the most underused
00:09:35.680 feature this process involves creating a
00:09:37.600 new page using the relation
00:09:39.800 property opening up a project page the
00:09:42.240 first relation property we see is
00:09:43.760 actually the AA property but for a
00:09:45.880 property we most likely won't need to
00:09:47.240 create a new page since Aras is what we
00:09:49.120 have predefined when we were setting up
00:09:50.600 our second brain what we want to
00:09:52.200 actually look out for are the relation
00:09:53.600 properties that is below the command box
00:09:55.519 they are located here instead of being
00:09:56.839 with the properties above it's because
00:09:58.279 I've configured to show them either as a
00:09:59.839 page section or minimal you can right
00:10:02.000 click on these properties whenever you
00:10:03.360 need to edit them we can create a new
00:10:05.480 page in another database from this
00:10:06.880 relation property by simply giving it a
00:10:08.680 title and clicking on the plus new
00:10:10.160 option we can then click into this newly
00:10:12.200 created page with this page opened we
00:10:14.640 can then fill in the other necessary
00:10:16.160 details and this is an example of how
00:10:18.360 you can capture new information through
00:10:19.839 relation
00:10:21.079 properties the next method of capture is
00:10:23.399 probably one of my favorites and that is
00:10:25.320 using
00:10:26.320 buttons we can use a button in notion to
00:10:28.680 add a new page to a specific database
00:10:30.600 regardless of the page you're on you can
00:10:31.920 add a button that creates a new page in
00:10:33.440 a specific database this is useful if
00:10:35.800 you have multiple databases on the same
00:10:37.480 page or if you just want an easy to
00:10:38.839 click button to quickly drw down
00:10:40.079 everything you want to remember to
00:10:41.959 create a button we need to First create
00:10:43.360 an empty space and use the SL command to
00:10:45.120 search for a button
00:10:46.800 block then we add an action called add
00:10:49.120 page two and select the database we want
00:10:50.760 to add of which in this case I will
00:10:52.680 choose the reference
00:10:54.160 database once selected we can choose to
00:10:56.600 Preview Properties like the type of
00:10:58.079 reference to what I often call consume
00:10:59.720 like
00:11:01.959 articles next add the second step to
00:11:04.120 open this
00:11:05.440 page click on select page and choose the
00:11:07.760 option new page added to open up the
00:11:09.560 page we created above and then we can
00:11:11.480 set it to open inside page which is my
00:11:13.519 personal
00:11:14.519 preference we can finish up by giving
00:11:16.560 this button a name and icon that best
00:11:18.079 represents
00:11:21.240 it clicking on this button will create a
00:11:23.560 new page in our reference database with
00:11:25.200 the type of note already fill in as
00:11:26.720 article and from here we can fill in the
00:11:28.680 title and any other details but if
00:11:30.760 you're actually collecting articles that
00:11:32.120 is coming from the web you should
00:11:33.440 consider using the next capture method
00:11:35.079 that is using a browser extension like
00:11:36.959 save to notion save to notion allows you
00:11:38.959 to clip the web page link and content to
00:11:40.720 your chosen database once youve
00:11:42.320 installed the extension and connected it
00:11:43.800 to your notion account here's what you
00:11:45.440 can do we'll first need to create a form
00:11:47.279 that we can reuse whether for saving new
00:11:48.920 information to the same database or to
00:11:50.560 preview some properties as we did for
00:11:52.240 our buttons earlier when creating a new
00:11:54.399 form we first click on add a form then
00:11:56.959 we select the database which we want to
00:11:58.440 save
00:11:59.920 [Music]
00:12:01.079 from here we can first hide away the
00:12:02.360 properties we don't want to see and then
00:12:03.760 unhide the properties we want to prefill
00:12:05.480 or fill
00:12:09.120 in some properties like the publication
00:12:11.440 date or the author's name can be
00:12:12.680 dynamically put from the page itself
00:12:14.320 meaning the extension will do its job in
00:12:15.920 finding this relevant information I will
00:12:18.040 use this form to save my video
00:12:19.440 references so I'll preview the type
00:12:21.160 property to be video and let's also
00:12:22.720 rename this form to video and give it an
00:12:24.519 icon that better represents it before we
00:12:26.079 save and test out the
00:12:28.160 form if I'm watching a YouTube video and
00:12:30.519 it seems helpful for a project I'm
00:12:31.760 working on I can click on the extension
00:12:33.360 on the top right and use the video form
00:12:34.880 we created earlier just make sure
00:12:36.880 everything is how you want to save it
00:12:38.240 and then click on save page to save it
00:12:40.040 into
00:12:41.090 [Music]
00:12:42.320 notion back in notion we can go to our
00:12:44.639 reference page and see this newly saved
00:12:46.600 page in our inbox with all the relevant
00:12:48.519 properties already filled in and we can
00:12:50.320 start taking notes on the page body now
00:12:53.079 that you're familiar with the different
00:12:54.240 methods of capturing and uploading
00:12:55.800 information into your second brain you
00:12:57.440 can finally free yourself from lingering
00:12:58.880 task and ideas distracting you however
00:13:01.040 we don't want information to merely
00:13:02.279 power up and become a mess in our second
00:13:03.959 brain in the next part we will learn how
00:13:05.600 to process and organize the information
00:13:07.000 we have captured when it comes to
00:13:08.519 reviewing and organizing our newly
00:13:10.160 captured information we first head over
00:13:11.920 to our inbox page the inbox page shows
00:13:14.600 us four key types of information tasks
00:13:16.920 projects notes and reference these are
00:13:19.600 the most commonly captured items from
00:13:21.040 your day-to-day life and hence they
00:13:22.720 might also include irrelevant
00:13:24.320 information on second thoughts and when
00:13:26.360 your task projects and reference are
00:13:27.880 first created they have the default
00:13:29.399 status of inbox while for all notes we
00:13:32.320 usually tag them as fitting or lature
00:13:34.279 notes before they become permanent notes
00:13:36.079 which takes inspiration from the jaston
00:13:38.639 method this intermediary status provides
00:13:41.240 an opportunity to remove any irrelevant
00:13:43.360 information before we make further
00:13:44.680 efforts to organize
00:13:46.279 them for irrelevant task you can delete
00:13:48.800 the pages during your review for your
00:13:51.399 projects reference or notes you can
00:13:52.880 either delete them directly or if they
00:13:54.399 might have future use you can open up
00:13:55.800 the page and archive
00:13:58.040 it
00:13:59.959 and this process of reviewing your inbox
00:14:01.959 is what most people do at least once at
00:14:03.480 the end of each week however it all
00:14:05.240 depends on how much information you
00:14:06.519 capture some might require more and
00:14:08.160 others less but most importantly is to
00:14:10.279 ensure your inbox and your second brain
00:14:12.000 remain a safe place to offload what's in
00:14:13.680 your head and that you don't become an
00:14:15.160 overwhelming
00:14:16.320 mess after removing the Clutter the next
00:14:18.839 step is to clarify the remaining items
00:14:20.560 in your inbox when we capture
00:14:22.199 information on the go we might have been
00:14:23.600 Wick about it to be quick now as you
00:14:26.120 review each item we name and title it as
00:14:28.320 clearly as possible ible this is also
00:14:30.560 when you fill in all the relevant
00:14:31.759 properties on the page so we leave no
00:14:33.480 room for procrastination due to unclear
00:14:35.360 next steps once that is done we can
00:14:37.320 update the status of this task to next
00:14:39.320 action and thereby removing it from our
00:14:41.120 inbox view similarly for the notes you
00:14:43.120 have captured while you only want to
00:14:44.320 keep the essence of the information they
00:14:46.040 should be written clearly and with
00:14:47.360 enough context that if you revisit them
00:14:48.959 in a few months time you still know what
00:14:50.600 you meant in other words this is a time
00:14:52.560 to eliminate room for do and save time
00:14:54.639 for your future self after clarifying
00:14:57.320 your captured items now it's time to
00:14:58.880 save save them for actionability this is
00:15:00.839 the most important lesson I learned from
00:15:02.240 Thiago forte in this book building a
00:15:03.759 second brain you might have learned to
00:15:05.320 save information by topics or
00:15:06.839 alphabetical order in school or the
00:15:08.440 workplace but in your second brain we
00:15:10.000 want to prioritize saving for
00:15:11.199 actionability first this step is
00:15:13.639 targeted at organizing our notes and
00:15:15.959 reference for example we can open up a
00:15:18.199 notes page and click on ADD projects to
00:15:19.920 browse through our active and future
00:15:21.360 projects to make a connection and I can
00:15:23.920 repeat the same steps for my reference
00:15:25.519 as
00:15:27.959 well if I were to open up the link
00:15:30.759 project page you can see how you will be
00:15:32.440 presented with relevant ideas and
00:15:35.040 knowledge this means that when you're
00:15:37.000 ready to start working on the project
00:15:38.399 you eliminate the needs to start from
00:15:39.839 scratch or save through all your notes
00:15:41.440 or the
00:15:42.480 internet after saving for actionability
00:15:44.480 we can take it further to consider
00:15:46.079 linking up what we already know in a
00:15:48.360 technical sense this means making use of
00:15:49.959 the relation property again but instead
00:15:51.720 of connecting between different
00:15:52.680 databases we are looking at connecting
00:15:54.160 Pages within the same
00:15:56.319 database for a new project idea this
00:15:58.480 could be link to a similar project you
00:16:00.000 have completed in the past of which we
00:16:01.720 can take reference
00:16:02.880 on I'll head over to the project tab
00:16:05.199 view open up a project page and click on
00:16:07.600 ADD related projects this allows me to
00:16:09.759 browse through all my projects and Link
00:16:11.279 any past projects that are relevant for
00:16:13.839 a new note we have taken we could link
00:16:15.199 it to similar Concepts or contrasting
00:16:16.759 ideas we already know to deepen and
00:16:18.440 expand our understanding similarly once
00:16:20.480 we open up our notes page we can click
00:16:22.079 on add relat notes to browse through
00:16:23.600 your notes database or search for any
00:16:25.279 keywords to make a visible connection to
00:16:27.240 your existing notes
00:16:30.360 and using the relation property is how
00:16:32.120 we replicate the linking and connections
00:16:33.839 that our brain makes to improve our
00:16:35.600 understanding in our second
00:16:37.360 brain lastly we'll employ the most basic
00:16:39.880 method of organizing our knowledge
00:16:41.319 sorting it into topics and life areas in
00:16:43.600 the case of a new project is much more
00:16:45.199 necessary to relate and categorize it
00:16:46.920 under the respective area however for
00:16:49.279 notes and reference this step is
00:16:51.040 optional if you have already organized
00:16:52.440 them for Action that's it creating more
00:16:54.360 relations only has benefits as it
00:16:56.040 provides us with another path to
00:16:57.600 discover our notes and reference
00:16:59.030 [Music]
00:17:00.319 to add a topic to a note you just have
00:17:01.839 to open up the notes page and then click
00:17:03.639 on ADD topics clicking on it will allow
00:17:05.520 you to search through your topics
00:17:06.559 database and add any existing topics or
00:17:08.599 create a new topic if necessary if there
00:17:11.039 aren't any topics that are relevant you
00:17:12.359 can also consider any area of your life
00:17:14.079 where this note might come in
00:17:16.720 handy and these same steps of taking it
00:17:19.160 to your relevant topics and areas can be
00:17:21.000 done for your reference as
00:17:25.919 well to summarize the steps for
00:17:28.079 processing a inbox are to prioritize
00:17:29.679 sorting for actionability then connect
00:17:31.480 to what we already know and lastly tag
00:17:33.640 these items to relevant topics and
00:17:36.120 areas instead of jumping between pages
00:17:38.480 when we review our inbox as we did
00:17:40.280 earlier the actual process looks more
00:17:41.840 like processing each page one at a
00:17:45.840 time after processing each item you
00:17:48.080 should have either deleted archive or
00:17:49.919 updated the status of the page so it is
00:17:52.000 removed from the inbox view reviewing
00:17:54.280 and organizing new information no doubs
00:17:56.280 require time and commitment without it
00:17:58.400 what is supposed supposed to be a safe
00:17:59.559 place to offload what in our head can
00:18:01.200 soon become chaotic and unreliable now
00:18:03.600 that you know how to maintain and
00:18:04.720 organize information in your second
00:18:06.159 brain the next step is to learn how to
00:18:07.799 efficiently retrieve information when
00:18:09.480 you need it while organizing for Action
00:18:12.120 already allows us to surface relevant
00:18:13.799 information the following retral methods
00:18:15.840 can give us more power to find what we
00:18:17.320 need when we need it firstly what is
00:18:19.520 most common in all no taking apps is a
00:18:21.280 search feature which you can utilize as
00:18:23.080 long as you have the app open up in
00:18:25.200 notion you can use the keyboard shortcut
00:18:26.760 command K on Mac or control K on Windows
00:18:28.799 to quickly open up the search window
00:18:30.400 where you can then type in the keyword
00:18:31.600 or search for what you're looking for
00:18:33.880 the less obvious feature is the filter
00:18:35.520 icon that you can click on to refine
00:18:36.840 your search such as to look for titles
00:18:38.520 only this is particularly helpful if you
00:18:40.280 have many pages in notion like I do and
00:18:42.039 adding a fter can narrow down your
00:18:43.880 search this search feature is however
00:18:46.159 not the only search you can do in notion
00:18:47.919 you can easily do a search in any one of
00:18:49.720 your databases if I'm looking for a
00:18:51.559 particular note I can scroll down and
00:18:53.000 open up my notes page and then hovering
00:18:54.880 over the top right of any database view
00:18:56.760 we will see a search icon that appears
00:18:58.799 where we can click on it to search for
00:19:00.159 any relevant Pages within this
00:19:03.120 database the third way to retrieve
00:19:05.080 information in notion is by using a
00:19:06.799 database filter filters also allow me to
00:19:08.840 create different fixed views that
00:19:10.080 display relevant pages from the same
00:19:11.559 database such as my reason view inbox
00:19:13.600 View and favor view of my notes this
00:19:15.840 allows us to see the pages we need when
00:19:17.559 we need them without the extra step of
00:19:19.120 filtering and searching every single
00:19:20.600 time for this reason view of our notes
00:19:22.679 we can click on filter to add a filter
00:19:24.320 or view any existing filters on this
00:19:26.039 View and I can click on the two rules to
00:19:27.919 review two filters that have been added
00:19:29.320 to this wheel beforehand one filter
00:19:31.120 ensures the archive property is
00:19:32.360 unchecked and another filter for notes
00:19:34.039 edited within the last 7 Days these
00:19:36.000 filters are hidden as they have been
00:19:37.480 added to the advanced filter if I want
00:19:39.360 to further narrow down what is shown in
00:19:40.799 this notes view I can add a new filter
00:19:42.520 for the type property and choose to show
00:19:44.280 only my permanent
00:19:45.600 notes if I only want to see my permanent
00:19:47.840 notes in my reason view I can click on
00:19:49.240 the three dos at the top right to add to
00:19:50.559 the advanced filter like the other two
00:19:52.280 filters this filter is Now hidden under
00:19:54.440 this filter window however since I want
00:19:56.440 to see not just my permanent notes I
00:19:58.200 will remove this fter and then exit this
00:20:00.200 window most properties of your database
00:20:02.799 can act as FS to narrow down what you
00:20:04.520 want to see in each database view in
00:20:06.919 addition to note when creating your
00:20:08.280 different F views is that you can go to
00:20:09.880 a database settings and then properties
00:20:11.760 to show or hide the properties you want
00:20:13.320 to see on the
00:20:14.720 front this avoids the extra step of
00:20:17.000 opening up the respective page for the
00:20:18.640 information you're looking for for
00:20:20.520 instance having the type property on the
00:20:21.919 front allows me to quickly know whether
00:20:23.559 this note is a permanent note or not my
00:20:26.760 last anderi retrial methods in this
00:20:28.360 second bra is using the ask AI feature
00:20:30.880 the AI can be summoned by clicking on
00:20:32.360 the circular button at the bottom right
00:20:33.799 corner by asking it a question or giving
00:20:35.520 it a topic you will read through all
00:20:36.919 your pages and content within your
00:20:38.120 notion workspace and provide a brief
00:20:39.960 summary of the information found along
00:20:41.679 with a list of the relevant pages I find
00:20:43.840 this approach helpful in uncovering
00:20:45.400 connections between ideas and knowledge
00:20:47.039 I have previously overlooked you can
00:20:49.039 actually also use the ask AI feature in
00:20:50.960 the search window that was shown earlier
00:20:52.720 once you have typed in your quy and you
00:20:54.000 can't seem to find what you're looking
00:20:55.280 for you can click on ask AI to see if
00:20:57.120 you have missed anything
00:20:59.320 and these are the different ritual
00:21:00.600 methods in notion and you will find them
00:21:01.960 increasingly useful as your second brain
00:21:03.559 grows in volume however the key to using
00:21:05.760 your second brain Li in the initial
00:21:07.200 Organization for actionability which
00:21:09.200 ensures relevant information is readily
00:21:11.039 shown when needed with everything that's
00:21:12.840 been said and shown you now probably
00:21:14.240 have a sense of what it is to use notion
00:21:16.080 as your second brain one last reminder
00:21:18.360 is that we want to think more about
00:21:19.720 archiving instead of deleting irrelevant
00:21:21.640 pages in your second brain this gives
00:21:23.400 your future self the ability to retrieve
00:21:25.120 them if ever needed you can alive most
00:21:27.279 of your database Pages by first showing
00:21:28.840 the hidden properties and clicking on
00:21:30.240 the archive checkbox property once the
00:21:32.039 page is Mark as archive you'll be hidden
00:21:33.760 from all other database views except on
00:21:35.559 the archive page on the homepage of your
00:21:37.279 second brain is where you can find this
00:21:38.679 archive page and see your archive
00:21:42.360 Pages archiving can also be done for
00:21:44.880 past projects and goals that have been
00:21:46.440 completed so you can focus on what's at
00:21:48.279 hand every so often when you feel a
00:21:50.279 second brain is showing you more clut
00:21:51.919 than Clarity consider reviewing your
00:21:53.720 inbox from projects to notes and archive
00:21:55.799 what is no longer relevant to you my
00:21:58.240 final message is that a system you trust
00:22:00.000 is better than the perfect system be
00:22:01.720 patient in building your second brain
00:22:03.279 and build the trust with it if you want
00:22:05.000 ready to use notion template to get
00:22:06.360 started with building your second brain
00:22:07.960 I'll leave the link in the description
00:22:09.240 below if you want to dive deeper into
00:22:11.240 using notion for taking notes watch the
00:22:12.799 video on the screen and I'll see you
00:22:14.360 again
