“SARJANA” – THE SUGGESTION REWARD SCHEME

1.0 THE OBJECTIVE:

1.1 To provide opportunity for creative thinking of employees and to bring about
improvement in day to day working through application of their experience
and knowledge.

1.2 To recognize and reward the employees for their creative and exceptional
ideas.

1.3 To encourage and maximize employee’s, contribution and co-operation


in fostering production and productivity.

1.4 To bring sense of commitment and belongingness among employees.

2.0 ELIGIBILITY:

2.1 All employees of the Company including regular trainees will be eligible for
reward under the scheme.

3.0 ACTIVITIES COVERAGE:

3.1 A creative idea would broadly mean an idea or a proposal which help in
improving the existing practice(s) or facilitate in evolving a new practice.

3.2 All ideas concerning the following aspects pertaining to the organization
are acceptable as creative ideas:

(i) Improvement in Production and Productivity

(ii) Cost reduction.

(iii) Conservation of energy, power, raw materials and other inputs.

(iv) Recycling/utilization of wastes.

(v) Improvement(s) in Quality of Products/Services

(vi) Improved availability & Utilization of Plant, Machinery & Human resources.

(vii) Improvement in procedures, practices and processes making them more


effective & efficient.

(viii) Improvement in Maintenance Practices.

(ix) Prevention of hazards to health of employees and improvement in
environment.

(x) Improvement in safety practices.

(xi) Suggestions to improve customer satisfaction.

(xii) Improvement in house keeping and cleanliness in plant, township and


offices.

(xiii) Any creative ideas/proposal in other areas of activity.

3.3 The above list is purely illustrative; any suggestion likely to benefit the
company is welcomed. However, Suggestions on the following areas are
not being accepted.
(a) Govt. Policies and other activities beyond the control of the company.

(b) Policy issues coming under the purview of collective bargaining, legal
interpretation/ contest, Public relations, sports, recreational Programmes
and grievances etc.

(c) Suggestion already implemented or under implementation or already


considered and not found acceptable or duplicate suggestions.

(d) Matters/Ideas already under consideration of the company or under


implementation through Company decision.

(e) Any other matters as may be decided by the company.

4.0 COMMITTEES:

4.1 Two stage committees are formed to consider the suggestion and
recommend the reward.

(i) Central committee will be at corporate level consisting of the following:

Corporate Office.
- ED (F)/GM(F)-Corp.
- Head of Concerned department
Member Convener -[Link]. In charge, Corporate Office

(ii) Zonal Committee will be formed at unit level

Chairman - Respective head of the Unit


Members - Respective head of the Deptt. /
Incharge Finance/
Concerned area I/c of the dept.
(One each to be nominated by the Unit head)
Member Convener - Indl. Engg. Incharge of the Unit

4.2 The Zonal Award Committee will be constituted as above with the
approval of Executive Director of the complex.

5.0 AWARDS:

5.1 The suggestions can be on Individual basis or in form of Groups. The


Maximum member in a Group is limited to four members.

5.2 The following system of award will be followed for the ideas/ suggestions:

(i) For each idea/suggestion given, a token amount of ` 100/- will be


awarded immediately, if found relevant & of some worth.

(ii) On scrutiny if it is found by the committee that the idea can be


implemented a 2nd token gift of ` 250/- will be given to an
individual or all members of the group.

(iii) The Zonal Awards Committee after implementation of the Suggestion


will recommend cash awards at the following rates based on the
quality and savings generated from the idea:

` 5,000/- (Maximum) ` 16,000/- (Maximum) Subject to Maximum


Subject to minimum of ` 4,000/- per person in the group.

(iv) In case, where the Zonal Committee feels that the reward amount
should be more than ` 5000/- in case of individual or ` 16,000/- in
case of a group the suggestions may be sent to Corporate office for
consideration of the Central Award Committee. The Central Committee
after going through the details of the suggestions, the cost economics
and saving etc. can recommend an award of maximum of ` 10,000/-
for individual and ` 30,000/- in case of Group.

5.3 Out of the total no. of Suggestions, Zonal Committee has to evaluate
relatively the best suggestion at unit level during the year and recommend
to corporate office by end of calendar year. The rewards for the unitwise
best suggestion will be awarded by CMD in a function at Corporate Level.

5.4 Awards may be Combination of the following:

(i) Award in Cash


(ii) Letter of Appreciation
(iii) Certificate of Merit for outstanding suggestion.

5.5 The competent Authority to approve the awards will be complex head at Unit
level, ED (Mktg.) for Regional offices and D(P&A) for Corporate office.

5.6 In order to attract more suggestions “Sarjana Mela” will be organized once
in a year in which suggestions in any topic will be accepted. These
suggestions will be placed before the respective unit committees for
immediate evaluation & prize distribution. The reward will be in kind with
05 First Prizes worth maximum ` 1000 & 5 Second Prizes worth maximum
` 750 for each Unit.

5.7 Unit Head will be awarded by CMD at Corporate Office from where
maximum suggestions are implemented & rewarded during a calendar year.
The reward amount will be in kind worth ` 10000/-

6.0 PROCEDURE FOR MAKING SUGGESTION:

6.1 The suggestion may be made in writing in the Performa enclosed as


Sarjana/01/Rev-0 giving the full details of the existing practice of which is
proposed to be improved, suggestion to improve the practice, the
working of suggestion and analysis of the benefit, which in the
opinion of proposer would accrue to the Company. The suggestion should
be supported by the technical drawing or procedural monograph etc. as
required .The suggestion should be signed and dated along with full
identity of the employee.

6.2 The suggestion may be dropped in suggestion boxes placed in the


Units/Offices of the Company.

6.3 The suggestion may also be handed over to the unit IE Deptt. HR
Department or HOD in a Closed Cover.

6.4 Employees having ideas but do not have the technical capability to put
it in a suggestion form can avail the help of superiors.

7.0 PROCESSING:

7.1 Employees may give their ideas/proposals in the prescribed proforma as


Sarjana/01/Rev-0 which will be available in the Shift Incharge
Office/Industrial [Link]/H R Deptt.

7.2 There will be suggestion Box in each Shift Office, Time Office and
canteen in addition to the Main Offices.

7.3 Member Convener will be responsible for Collection of the Suggestions


from various boxes every week.

7.4 Each proposal will be registered, numbered and acknowledged by the


convener within 3 days of receipt. Sample acknowledgement form is
enclosed as Sarjana/02/Rev-0.

7.5 The award Committee will meet once in month and suggestions, which are
acceptable, can be recommended for token reward immediately to be
awarded in the next month. Examining the details and after
implementation of the suggestion, the committee will recommend Cash
Awards with a time frame to be fixed during the first meeting of the
committee to consider the respective suggestion.

7.6 In case the suggestion is acceptable/not accepted the employee


concerned may be informed about the same as in the Performa
Sarjana/03/Rev-0.

7.7 All suggestion accepted will be regularly intimated to I E Department of


Corporate Office for maintaining records and future consideration &
recommendation for awards by others.

7.8 Recommendation to various National Level Awards will be made by the


Central/Zonal Award Committee.

7.9 Any Suggestion through Quality Circle with innovative ideas can be
considered under the purview of the Scheme (provided it is not rewarded in
another forum).

7.10 The suggestion of Regional/Corporate Office will be dealt by Central


Committee.

8.0 DISTRIBUTION SCHEDULE OF THE AWARD :

8.1 The head of Complex at Units and CMD at Corporate level will distribute
the awards in his Unit/Offices.

8.2 Once the suggestion is received or accepted by the committee both the
token awards will be awarded in the subsequent month during morning
meeting at unit level.

8.3 The cash awards along with certificate for a particular group/individual will be
handed over in function like Independence Day, Republic Day every Year by
respective head of Complex/CMD.

8.4 The best Suggestion at unit level and suggestion evaluated by Central
Committee will be awarded by CMD at Corporate Office, on Foundation
Day Celebrations.

8.5 Photograph of Award Winners/Group along with brief write up will be


displayed on the Notice Board and will be published in the House
Magazine of the Company.

8.6 The cash reward amount will be credited to the Employee bank account
through E-Payment.

9.0 THE SCHEME WILL COME INTO FORCE WITH IMMEDIATE EFFECT AND
WILL SUPERSEDE THE EXISTING “SARJANA SUGGESTION REWARD
SCHEME”

10.0 GENERAL CONDITIONS:

10.1 The decision of the Competent Authority will be final and there will be no
scope for any appeal against it.

10.2 CMD reserves the right to modify/alter/amend/withdraw the scheme in


any manner what so ever without any notice.
