Situation 1
You are the office manager and want to remind everyone to clean up after themselves in
the lunchroom. There was recently an infestation of cockroaches. The building has since
been fumigated but you still require the cooperation of staff to prevent a re-infestation.
State the purpose of the memo, your reason(s) for sending it (i.e. the kind of behavior you
have noticed) and what actions you want taken.
Situation 2
You are an administrative assistant. You want to tell 10 people about an upcoming
computer training seminar. You are attaching a brochure about the seminar from the
presenter, but you also need to inform them of the following:
what the training is for
⚫ who the presenter is, including a brief statement about his/her background
⚫ where the training will be held, including the date and time
⚫ whether or not parking is available
⚫ whether or not lunch and/or any refreshments will be served
Situation 3
Write a memo about a topic of your choice. Tell recipients the purpose of the memo, your
reason(s) for sending it and what action (if any) you want taken. Provide suggestions in
your memo if appropriate.
Situation 4
As the owner of a small company, you are organizing a ballgame and picnic in two
weeks' time for your employees and their families. There are many fun activities that you
have planned. For the children there will be games like three-legged races and kite-flying.
For the adults, besides the baseball game in the afternoon, there will also be bingo and
horseshoes. There will be prizes for the winners of all the events. Lunch should be around
noon, and you are generously providing all the food and drinks, so let your employees
know that they do not need to bring anything.
Situation 5
Write a memo requesting, but not demanding, that employees attend the picnic. Also ask
your employees to let you know at least one week in advance whether they are coming or
not, and also how many guests they are bringing, and make sure employees know when
and how to respond to you. Be sure to list the activities for that day as well.
Situation 6
s the resident computer technician, you have installed a new software program on the
company computers. Write a memo to all the staff, including your managers, letting them
know that they need to come see you for a half-hour training and information session
within the next week. Be sure to include what times you are available as well as where
and how you can be reached.
Situation 7
You and three other employees are working closely in a small group to create a report on
how plants in the workplace affect the employees' morale. Create a memo asking what
plants they would like to study, how many employees they should survey, who will be
doing what task, what time they should meet each week, and when they want the report to
be done by.

1. A client has sent a letter asking for information regarding your toy company’s
newest invention, the Dojiggy. The client is the owner of a small family toy store
and has asked the following questions: How big is the Dojiggy? What colours does
it come in? How many Dojiggies can the client order? When will they be
available? What age group are they aimed at? How much do they cost? Answer all
of the client’s questions
2. You recently attended a friend’s party that you thought was well catered. For the
annual staff party, you would like to hire that same caterer. Write to ask if the
company caters for parties of 150 or more people and if the caterer can arrange for
the specific food, decorations, and music that you would like for the party. Don’t
forget to let the caterer know when the party is and how to contact you.
3. The theatre you work for has begun a new season, and your job is selling season
tickets to the community. To do so, you must create a sales letter that will convince
both new and former theatre-goers to attend. The season pass to go to all five
shows costs $50, an excellent deal, since tickets regularly cost $15 each. This deal
was offered last year and many of the patrons were very impressed, so they could
offer some excellent testimonials to grab attention in your introduction. Don’t
forget to let the potential customers know what plays will be performed this season
4. A customer of the software company you work for has written to complain that the
anti-virus program that was ordered doesn’t work. The customer is now requesting
a refund. For an extra challenge, write one letter in which you can give a refund
and one letter in which you can’t
5. Your appliance-producing company was proud to unveil a revolutionary new
toaster last month. However, several customers have reported that putting two
pieces of toast in the toaster at the same time causes the toaster to spark. This
situation could be dangerous, so the company must now recall all of its 1,000 new
toasters. Write a letter informing your customers of the bad news. Make sure the
customers know how your company will help them return the toasters and what, if
any, compensation the company will provide.
6. You were recently invited by Humber College to give a lecture at a presentation on
grammar. Unfortunately, you will be away that week, studying intercultural
communication in the Bahamas. You are grateful that they asked though and are
disappointed to be unable to attend. Politely refuse the invitation to speak, giving
the reason why. Perhaps you would be able to speak at another time in the near
future. Below is an example of a letter that delivers bad news.

Situation 1
You work as a Salesperson in an estate agency's office, helping people to buy and sell
houses and apartments. Some of your clients are elderly people who wish to move to
smaller houses now their children have left home. You are researching ways to assist such
people.
Task
Read the short article entitled 'Smaller is beautiful' below, and say whether the following
statements are True or False. Then select the words or phrases from the article that
support your answer. Use only words or phrases from the text and do NOT write more
than six supporting words for each answer. You will lose marks if you do not follow these

Smaller is beautiful
Mary Oates was desperate to move to a smaller home, so she bought a beautiful
new apartment in a nearby retirement village. The 83 year old had lived in the servants'
part of a large country house for more than 17 years. However, now alone, Mary found it
difficult to take care of this property. 'The bills were costing me a fortune and it was far
too big.
The former businesswoman moved into her new two-bedroom apartment at
Sunrise Retirement Village at the end of October. This village is one of a number of such
villages run by a company called Golden Days. This company has developed a scheme to
make it easier for people such as Mary to find a new home.
We use a system of part-exchange,' explains the Managing Director of Golden
Days, James Steward. 'This means that our company buys the house or apartment of the
person who wants to move into one of our retirement homes'. He says that this system
makes the move much easier. With part-exchange Mary didn't have to worry about
finding a buyer for her property.
Mary agrees that part-exchange has made her move much less stressful. She said
that when she had first tried to sell her home no one made an offer for it for nine months.
'Therefore, when Golden Days said it would purchase my property if I moved to one of
its retirement villages, I was delighted.
Golden Days now has 15 retirement villages, all in the south of England. Its part-
exchange system has proved so popular with elderly people that it aims to develop new
villages all over the country. 'It is the flexibility of our system which our clients like,' says
Mr Steward. And, there is no time pressure on them. They can take as long as they like to
move.

You work as an Administrator for Flightserve Ltd, a company that provides a transport
service for businessmen and women. Flightserve Ltd collects them at different airports
around London and takes them to their destinations.
Your boss is out of the office today and has left the following voicemail message:
We've got four collections today. Johann Siegler is arriving at Heathrow Airport at 8.40.
He's coming in from Berlin on flight number LH921. He's arranged to meet a colleague,
Brita Svenson, at the airport. She's arriving from Copenhagen 20 minutes after Mr
Siegler. Her flight number is SA3197. Because they're landing at the same airport and are
going to the same destination - the Muller Business Centre - they can share a car.
The other two collections are both from Gatwick Airport. One is Ms Hiroko Nagata and
the other, Mr James Blount. Ms Nagata will arrive on flight JA715 from Tokyo. It gets in
at 13.20. She's going straight to the Royal Fountain Hotel in central London. Mr Blount's
plane lands at 16.40. He's got to go directly to a meeting at the American Embassy. He'll
be on flight BA6741 from New York.'
After listening to this message you find there is an email from Hiroko Nagata that says
she's had to change her flight. She will now travel on JA717, which lands two hours
earlier than her original arrival time.
