Preparation for Arrival / Departure in Port

Action: File and Log, each time


1. THIS CHECKLIST TO BE COMPLETED ATLEAST 2 HOURS PRIOR VESSEL'S ARRIVAL / DEPARTURE, INCLUDING SHIFTING TO / FROM BERTH /
ANCHORAGE BUT NOT MORE THAN 12 HOURS.
2. Defects / Deficiencies
a) Defects / deficiencies noted must be brought to the Master's attention and noted in the Bridge Equipment Status Register (S - 5.21 L).

b) Defects / deficiencies that cannot be rectified by ship's staff should be brought to the attention of the Company. The vessel cannot
proceed unless a Risk Assessment is carried out and Office Approval Recvied.

PART A - Documentation & Information
1) In case of preparation for getting underway, a Passage plan has been prepared for the intended voyage, has been reviewed by the
Master and has been read and signed by all deck officers. In case of arrival, the passage plan for arrival port has been reviewed by
the Master & Deck Officers. All passage charts / Publication Kept Ready and in order.
2) Local area weather and navigation warnings have been applied on charts as applicable.
3) Adequate notices have been given to Deck & Engine Room personnel for Arrival / Departure.
4) Are the ship staff adequtely rested prior to the stations?
5) Where required, notifications have been made to the Terminal / VTS / Pilot station.
6) Correct VHF channels are being monitored for tugs / pilots / VTS etc.
7) Required flags / light signals are displayed.
8) In case visibility is less than 1 NM and local port regulations allow the vessel to depart / arrive, a Risk Assessment shall be carried
out and office approval required before departure / arrival.
9) Dangerous goods locations and class, available on bridge.
10) Stability / stress calcs. Made, GM and other necessary cargo information available to bridge.
11) Pilot card filled ready for pilot.
12) Embarkation / Dis-embarkation of Pilot a) Time of Embarkation/Disembarkation b) Agreed side of boarding
c) Position for E/D Speed of V/L at time of E/D d) Pilot Ladder Arrangements checked and Ready for use.
13) A Deck Officer, OTHER THAN the O.O.W. who must remain on the Bridge, has been arranged to supervise the embarkation /
disembarkation of the Pilot.
14) Tides & tidal – streams calculated, written on chart, tidal stream atlas / tide tables out ready on chart table.

PART B - Equipment Checks


Confirm that the following equipment has been checked / tested as applicable and found ready for use
1) Radars and associated plotting aids and Their Interswitching (Ensure ARPAs are Sea Stabilised)
2) ECDIS, where fitted, is properly set-up as per S-5.13 F
3) Gyro / magnetic Compass & repeaters including synchronisation
4) Bridge and Engine room Clocks including synchronisation
5) Speed/Distance recorder/Anemometer
6) Course recorder (Check paper is sufficient,Heading Synched and mark Date/Time in GMT)
7) Engine movement recorder (Time in GMT with sufficient paper)
8) Echo sounder (Check paper is sufficient,Depth Alarms set and mark Date/Time in GMT)
9) GPS and or other electronic navigational aids
10) AIS settings checked & inputs updated, as required
11) S/VDR & LRIT is fully operational (No fault alarms)
12) BNWAS (on manual mode and no fault alarms)
13) GMDSS Equipment / Correct NAVAREA selected
14) Bridge and engine room communication including sound powered telephone
15) Bridge and engine room telegraphs including rpm indicators
16) Thruster controls and indicators if fitted
17) Controllable pitch propeller controls and indicators if fitted
18) Communications facilities, including mooring station communications, portable radios, PA system, VHF radio communications
with port authority
19) Navigation lights & alarms / Shapes
20) Signal lights, including searchlights, signalling lamp and morse light

21) Sound signalling apparatus, including whistles (Manual and Automatic operation)
22) Binoculars and illumination of various indicators including steering light
23) Window wipers / clear view screens
24) Windlass and mooring winches
25) Drip Trays / Save-Alls Plugged prior arrival
26) In case of Arrival, Anchor lashings have been removed and anchors cleared for immediate use
27) Prior Departure, has all ECDIS logs (including details log and Voyage log) plus user maps & settings of the previous voyage
saved on a CD/DVD and filed with the printout of passage plan of the previous voyage

PART C - Steering Gear Checks


Check and test the steering gear including as applicable, the operation of the following:
1) The main steering gear
2) The auxiliary steering gear
3) The remote steering gear control systems
4) The steering positions located on the navigation bridge
5) The emergency power supply
6) The rudder angle indicators in relation to the actual position of the rudder
7) The remote steering gear control system Power & Power Unit failure alarms
8) The steering gear power unit failure alarms
9) Check that an Emergency Steering gear drill has been carried out in the last 3 months. If not, emergency drill to be carried out
48 hrs prior entry port and logged.
10) Automatic isolating arrangements and other automatic equipment
Note: The checks and tests shall include the following:
1) The full rudder movement to the required capabilities of the steering gear, After Checking Rudder Clearance. (as per SOLAS, the rudder
should be able to be turned from 35 deg on one side to 30 deg on other side in not more than 28 secs)
2) A visual inspection of the steering gear and its connecting linkage
3) The operation of the means of communication between the bridge and steering gear compartment
4) Normal and Non follow up operation from bridge steering stand
5) Check Autopilot fully Operational and test Gyro Off-Course Alarms (Audible & Visual)
6) Compare W/H rudder angle indicator with actual rudder angle (Steering gear)

PART D - Main Engine Tests


1) Main engines have been tested ahead and astern (In case of preparation for getting underway, the Duty officer must confirm
propeller clearance, Mooring tightness, Gangway clear from Quay and no persons in the Gangway)

PART E - 33 CFR 164.25 Checks


1) If the vessel is in US waters ensure that tests have been carried out as per 33 CFR 164.25 and an entry has been made in the Deck
Log book: "Tests carried out as per 33 CFR 164.25"

PART F - Preparation for Sea


If the vessel is heading to sea:
1) The Chief Officer has confirmed that the ship is secure for sea. (Including cargo,cargo handling equipment and hull openings)
2) That all the crew are on board and all shore personnel and equipment ashore.
3) That required security and stowaway searches have been carried out.
4) Anchor secured. 3 point contact of anchors ensured and bow stopper in place. Anchor lashing to be taken (condition of Lashing
wire) ascertained.
5) Mooring ropes and tail ropes to be secured in the Store / Mooring ropes in the drum to be covered with fire retardant canvas, to
prevent damage / exposure to weather / fire hazard.
