While scheduling is a separate step in Corrective Maintenance and the variants of the Phase
Model, it is included in the planning step in Emergency Maintenance.
Purpose of RSH
The central idea of SAP S/4HANA Asset Management for Resource Scheduling (RSH) is to
efficiently plan and process your maintenance orders based on the following principles:
● Check and visualize Work Center Utilization
● Find the best execution period
● Simulate different planning variants using Schedules
● Fine tune operation dates using various methods
● Establish a review process for schedules
● Freeze and execute the best schedule
● Monitor schedule attainment

Via schedules you can first simulate various scheduling variants for a given number of orders.
As the responsible planner you discuss the different variants with a reviewer.
You can fine tune order operations using the Maintenance Scheduling Board (drag & drop,
assign to people, create relationships).
You can then choose the schedule that best fits your needs and freeze it. In the execution
phase you can then track the individual orders and their operations and monitor schedule
attainment.
You need a separate license for Resource Scheduling (RSH) as it is not included in SAP S/
4HANA.

Create Work Load
Work load for maintenance work centers is created either by maintenance orders called
from maintenance plans (proactive / preventive maintenance) or by manually created
orders (corrective / reactive maintenance etc.).
From a process point of view Resource Scheduling is used during the scheduling phase. If
you use the phase model, maintenance orders have already been approved and released
when they enter the scheduling phase.
If you do not use the phase model, order approval is optional - but orders have also been
released when scheduling starts.
Plan & Schedule
Detailed planning starts with checking work center utilization in app Resource Planning
for Maintenance Planners. For operational maintenance the operations of relevant orders
will be selected and added to a schedule. Within the schedule start and end dates/times
can be refined. After this you can visualize and further adapt order operations with the
Maintenance Scheduling Board.

For event-based maintenance you can assign orders to a maintenance event and
visualize the maintenance event (Maintenance Schedule for Assets).
You can also assign a person to each operation. This is only possible if you have created
business users with a business partner assignment (see next lesson). The assignment of
a person to an operation can be changed during the scheduling process.
Review & Finalize
A schedule created by a maintenance planner can be shared with a Reviewer. The
reviewer can check the schedule within a separate app and can add comments via the
Activity Log. You can have multiple schedules representing different approaches.
Once a schedule has been chosen and the review has been finished, the operations are
dispatched - which means that start and end dates/times as well as the performing work
centers are confirmed. Dispatching can be canceled - and planning can be adapted.
After dispatching the schedule will be frozen in order to monitor the schedule attainment.
Freezing a schedule cannot be canceled. Schedule Freezing must be activated in
Customizing first.
Execute & Track
Execution of the planned work starts when the schedule start date has been reached. Via
app Manage Schedules it is possible to monitor and track work. Once an operation
receives its final confirmation, the system compares the confirmation date with the
planned date of the schedule and displays the schedule attainment accordingly.
Roles Involved
The scheduling sub-process is part of process Corrective Maintenance (where it is optional)
and the processes using the phase model such aus Reactive Maintenance, Procative
Maintenance, Improvement Maintenance and Operational and Overhead Maintenance.
The scheduling sub-process uses the following roles:
● RSH Scheduler
● RSH Reviewer

● Select orders and their operations and add them to a schedule
● Schedule and refine the newly created schedule(s)
● Assign persons to order operations
● Share schedule(s) with RSH Reviewer
● Dispatch orders once dates and resources have been checked

Checking Work Centers and Users

Work Centers
Resource Scheduling basically relies on the same master data as used in Standard Asset
Management.
Therefore, the units of capacity used in Resource Scheduling are the Maintenance Work
Centers used in Standard Asset Management.
Also, the different functions of work centers are the same as known in Asset Management:
● Main (= responsible) work center in the master record of equipment and functional
location
● Main work center in a maintenance item
● Main work center in the header of a task list
● Performing work center in the operations of a task list
● Main work center in the order header
● Performing work center in the operations of an order

For use in Resource Scheduling, it is important that the Standard Available Capacity in the
Capacity Header Data is defined.
Depending on how capacity planning is to be carried out, work centers can be set up in
different ways.
Work Centers with HR assignment
If you want to assign order operations to responsible persons in order to document who
performs the operation, the work center must be set up with an HR assignment. This means
that organizational units, positions and personnel numbers have to be imported from the HR
system and assigned to the work center.

Work Centers without HR assignment
If you want to plan your maintenance orders on the work center level without using
responsible persons the HR assignment is not necessary.
Business Users
To log on to an SAP system, every user needs an SAP User, which holds the different logon
parameters, the roles combined with access rights, and so on. The SAP User is coupled with
the Personnel Number and the Business Partner. So, when a user logs on to an SAP S/
4HANA system, all different perspectives and data views of this user are covered.
The Business Partner in SAP S/4HANA is the mandatory approach to create master data
such as persons, groups of persons and organizations. Examples are customer, vendor,
personnel number, and so on. Each personnel number has a mandatory business partner
assigned.
The Personnel Number is the business object used in HR to describe an employee with all its
different data.
