Chapter 1 Submission of the Report

CHAPTER ONE

INTRODUCTION

1.0 INTRODUCTION

A final year project report should include all the necessary sections, targeting at a reader

who does not necessarily have any prior knowledge about the project. It should have a

logical flow with strong explanation to convince the reader on the conclusions of the

report. It should be well written and should provide easy understanding. Excessive

technical jargon (terminology) and slang should be avoided.

To ensure the report is easy to read with consistent format, it is important that students

follow strictly the instruction during report preparation. Only the reports according to

the above format will be considered and graded. The details about the structure of

project report are enclosed. For more information, please contact the FYP Committpee

members.

CHAPTER TWO

SUBMISSION OF THE REPORT

2.0 INTRODUCTION

Students intending to submit their FYP report should comply with the following

procedures:

2.1 SUBMISSION OF SOFT COPY

Submission of soft cover report, one copy on/before the due date. The soft cover copy

should consist of 100-130 pages and bound black soft binding.

2.2 SUBMISSION OF HARD COPY

Submission of hard cover final report 3 copies to the university (1 for library, 1 for

external and 1 for internal) and softcopy of final report (1 copy in CD/DVD that

includes the code and all necessary information including software and relevant data

sheets).

CHAPTER THREE

SPECIFICATIONS OF THE REPORT

3.0 LENGTH OF REPORT

Final year project report must not exceed 130 pages including the appendices. Total

number of pages for all relevant data sheets must not be more than 15 pages.

3.1 LANGUAGE OF REPORT

Report must be written in consistent style of ENGLISH.

3.2 COVER AND BINDING

The soft cover copy must be bound using BLACK COMB BINDING. The hard cover

of the final report shall be: XXXXXXXX

3.2.1 ELECTRONIC ENGINEERING

BLUE Colour with GOLD LETTER Screen printing. The blank sheet of paper should

be put before the title page and another blank paper should be attached before the back

cover.

3.2.2 TELECOMMUNICATION ENGINEERING

LIGHT BEIGE Colour with BLACK LETTER Screen printing. The blank sheet of

paper should be put before the title page and another blank paper should be attached

before the back cover.

3.3 FRONT COVER AND TITLE PAGE

3.3.1 FRONT COVER

It is very important that students strictly follow the standard format for the front cover

of the FYP report. The front cover should contain the following items:

 Title of the project (Times New Roman 18 bold, UPPERCASE and

CENTRALIZE)

 Degree Title and Batch (Times New Roman 16 bold, UPPERCASE and

CENTRALIZE)

 Internal and External advisor names (Two Column, Times New Roman, 16

Bold, Capitalize Each Word CASE and Aligned Left)

 Students Name and Roll Number (Times New Roman, 16 Bold, UPPERCASE

and CENTRALIZE)

 The logo of DUET must be placed.

 Department Name (Times New Roman, 18 Bold, UPPERCASE and

CENTRALIZE)

 University Name (Times New Roman, 18 bold, UPPERCASE and

CENTRALIZE)

 Month and year of FYP report submission (Times New Roman, 14,

UPPERCASE and CENTRALIZE). It is normally month and year of FYP

Presentation.

 The title of the project should also be printed on the bind area of the report

(Times New Roman, and UPPERCASE).

3.3.2 TITLE PAGE

The Title of FYP report should contain the following items:

 Title of the project (Times New Roman, 12 bold, UPPERCASE and

CENTRALISE)

 Students Name and ID (Times New Roman, 12 bold, UPPERCASE and

CENTRALISE)

 Declaration (Times New Roman, 12 bold, Sentence case and CENTRALIZE)

 Department and University Name (Times New Roman, 12 bold, UPPERCASE

and CENTRALISE)

 Month and year of FYP report submission (Times New Roman, 12 bold,

UPPERCASE and CENTRALISE). It is normally month and year of FYP final

presentation.

3.4 TEXT, FONT SIZE AND SPACING

Text should be typed, double spaced, left-right justified on one side of the paper only.

TIMES NEW ROMAN font, font size of 12 point should be used throughout the report

(except for Appendices), which includes Acknowledgement page, Abstract, Table of

Content, List of Tables, List of Figures, List of Symbols and the main body of the text

(which covers the main text, chapters, subtitles, headings, subheadings, figure captions,

table captions, header and footers).

Single spacing can be used for references, captions of figure, long tables, table titles,

long quotations, notes, footnotes, and multi-line caption.


Chapter 3 Specification of the Report

For formulas, use equation editor (default setup is recommended) including subscripts

and superscripts. Equations must be centered and numbered according to its sequences

of order within the chapter.

A new paragraph at the bottom of a page must have at least 2 full lines or it should

begin on the next page.

3.5 SUBDIVISION

Text in each chapter can be divided under headings and sub-heading such as 1.1, 1.2,

1.3 etc and 1.1.1, 1.1.2, etc.

3.6 MARGINS

All text, tables, figures and their captions must conform to the following margins:

Top 2.5 cm

Bottom 2.5 cm

Left 3.5 cm

Right 2.5 cm

3.7 PAPER AND PRINTING


Chapter 3 Specification of the Report

High quality 80gm A4 size paper shall be used. The paper should be white in color, acid

free and ‘non-erasable’ kind. For printing, a laser printer or other high quality printer is

recommended. Computer paper or carbon copies are not allowed.

3.8 PAGINATION

 All Page numbers are without punctuation placed 1 cm from Bottom edge

 Every page except the title page must be numbered.

 Title page is ‘i’ but is not numbered. Preliminary pages are to be numbered in

lower case Roman numerals (ii, iii, iv etc).

 The main text pages are to be numbered in Arabic numerals (1, 2, 3. etc) and all

pages must be numbered consecutively and continuously.

3.9 CORRECTIONS

Correction of typing errors, or changes in the text, figures or tables, must be made as

cleanly and invisibly as possible. Correction fluid shall NOT be used. Corrections

should be made on the original before recopying or reprinting the problem page.

3.10 TABLES

Tables should be:

 The caption of the table must be placed above the table.

 Properly centered within the margin.

 Numbered in relation to chapter. e.g. in Chapter 1, table should be numbered

Table 1.1, Table 1.2, Table 1.3 and so on.

 Numbered in Arabic numeral (Table 1.1, Table 1.2 etc) and a caption.

 Number must correspond with text.

 Place tables near to related discussion in text.

 Use the word Table.

3.11 FIGURE

Figures can be illustrations, graphs or anything other than tables, scripts and plates

(photographs are regarded as plates). All figures must be placed near to related

discussion in text. The figure can be referred using the word Figure or Fig. and

numbered in Arabic numeral e.g. Fig. 1.1, Fig 1.2, Figure 2.1 and so on.

3.12 NOTES AND FOOTNOTES


Chapter 3 Specification of the Report

Footnotes and notes are not encouraged and should be kept to a minimum. However, if

required its font size must be smaller than general text (you may take text size as 09).

3.13 USAGE OF COLOUR IN REPORT

The usage of color in the reports should be minimized as much as possible. Color

should only be limited to parts where it is a crucial element of the project.

Some examples where colors should be avoided are Graphs, Tables, and Texts.

3.14 SOFTCOPY OF THE FYP REPORT

The softcopy of the FYP report should also to be submitted along with the final 3 copies

of FYP report. The CD should contain FYP report in word and pdf format in separate

folders. In addition, project images, data sheets, soft code, software and all necessary

information should be submitted in separate folder. The front cover of the CD should

contain the following items:

 Title of the project (Times New Roman, 10 bold, UPPERCASE and

CENTRALISE)

 The logo of DUET must be placed.

 University Name (Times New Roman, 10 bold, UPPERCASE and

CENTRALISE)

 Month and year of FYP report submission (Times New Roman, 10 bold,

UPPERCASE and CENTRALISE). It is normally month and year of FYP

Presentation.

The top of the CD should only contain the title of the project (Times New Roman, 10

bold, UPPERCASE and CENTRALISE) and month and year of FYP report submission.

CHAPTER FOUR

FORMAT OF THE REPORT

4.0 INTRODUCTION

Every report is composed of 3 parts namely the Preliminaries, the Text and the

Reference Material. Each part is arranged in a numerical sequence of chapters.

i) The PRELIMINARY PAGES should include the following sections according to

the given order:

 Title page

 Acknowledgements

 Abstract

 Table of Contents

 List of Tables

 List of Figures,

 List of Symbols, Illustrations, etc.

ii) The MAIN TEXT should normally be divided into chapters such as:

 Chapter 1: Introduction

 Chapter 2: Background and Literature Review

 Chapter 3: Project Design Methodology (system flow diagram/experimental

setup)

 Chapter 4: Tools and Technologies

 Chapter 5: Implementation

 Chapter 6: Results and Discussion

 Chapter 7: Conclusion and Future Work


Chapter 4 Format of the Report

Chapter divisions shown here are given as examples. It is up to writer to properly

organize, structure, and present the main text correctly, depending on the nature of the

project. The project members may ask from their internal/external advisor(s) for proper

guidance on chapters’ distribution.

iii) The REFERENCE MATERIAL may consist of:

 References

 Glossary

 Appendices

References are the detailed description of resources from where information or ideas

were obtained in preparing the Project Report. The details of every references cited in

the text, published or unpublished, must be listed alphabetically in this page. If more

than one published materials by the same author are cited, these materials should be

listed chronologically.

Reference page must be written according to the styles as described in Section


REFERENCES

All the references must be written in the Harvard citation style. Few examples of

7.1 The Final Year Project report is the work of an individual student/group. Plagiarism
of any kind will not be tolerated or accepted more than 19%.

7.2 A Turnitin report must be submitted with the FYP report.
