SITXMGT005 – Establish and conduct business relationships

WORKPLACE ASSESSMENT TASK 2 – ASSESSOR’S CHECKLIST


This form is for the assessor’s use only.

Purpose

This Assessor’s Checklist outlines the specific criteria that the candidate’s submission must satisfactorily meet
for Workplace Assessment Task 2.

This form is to be completed by the candidate’s assessor to document their assessment of the candidate’s
submission in Workplace Assessment Task 2.

Task Overview

This task requires the candidate to make at least one formal contract with each of the identified stakeholders
in Workplace Assessment Task 1.

Candidate can use their workplace/organisation’s template to complete this task, or access the Business
Contract provided at The Continent Hotel site.

In this task, candidate will be assessed in their:

 Practical knowledge of organisational requirements and procedures for business agreements and
contracts.

 Practical skills relevant to making business agreements and contracts.


Instructions to the Assessor

Before the assessment

 Access and review the following:

o Meeting minutes of negotiations held for business relationships in Workplace Assessment


Task 1.

o Organisational policy and procedures for business agreements and contracts.

 Review the items in this checklist and contextualise, as appropriate to the following:

o Workplace context of the candidate.

o Policy and procedures for business agreements and contracts in the candidate’s workplace.

 Update the criteria listed in this checklist to match these requirements.

IMPORTANT:

The criterion currently listed in the checklist below are only generic criterion that may not necessarily
apply to the task the candidate is currently working on. The assessor must ensure this checklist has
been contextualised to reflect the requirements that apply to the task before the candidate starts this
assessment task.

 Provide the candidate with access to templates/forms from the workplace/organisation/your RTO to
complete this workplace assessment task. Contextualise these required/templates forms to reflect
the requirements of this task.

 Discuss the resources required by the candidate to complete the task, and ensure that they have
access to these resources.

 Discuss this assessment task with the candidate, including the criteria they need to meet to
satisfactorily complete this task.

 Review this form with the candidate and address any queries or concerns they may have about it.

When assessing the candidate’s submission

 Review the candidate’s submission.

 For each criterion listed in this checklist:

o Tick YES if you confirm the candidate’s submission satisfactorily meets the criterion.

o Tick NO if you confirm the candidate’s submission does not satisfactorily meet the criterion.

 Write specific comments on the candidate’s performance in each criterion. Your feedback/insights
will help address any area(s) for improvement.

After assessing the candidate’s submission

 Complete all parts of the Assessor’s Checklist, including the Assessor Declaration on the last page of
this form. Your signature must be handwritten.

ASSESSOR’S CHECKLIST

To the Assessor: Create at least two copies of this Assessor’s Checklist. Use one copy for each formal contract
submitted by the candidate.

1. Includes version control and document history.

At a minimum, this must include ALL of the following:

a. Version number of the document. YES NO

This must have one entry identifying the


current version as ‘1.0’.

b. Summary of modifications. YES NO

This must indicate that the candidate


prepared the first version of the contract.

version was completed.

Date must be within the candidate’s


assessment period and after completion of
negotiation for business relationship.

2. Is based on the negotiation conducted for the YES NO

business relationship conducted by the candidate in
Workplace Assessment Task 1.

3. Includes relevant clauses/sections.

This must correspond to the information from the negotiation recorded in the meeting minutes accessed and
reviewed by the candidate in this workplace assessment task.

At a minimum, this must include ALL of the following:

a. Names of the parties. YES NO

This refers to all organisations/individuals


bound by the contract.

This section describes the work to be


performed/roles and responsibilities of
each party to the contract.

For example, the scope of work of the other


party can be provision of housekeeping
services while the organisation’s
responsibilities can include provision of
necessary equipment and materials.

c. At least one key performance indicator. YES NO

Key performance indicators refer to


quantifiable metrics to determine whether
the scope of work of the contract is being
fulfilled as expected.

For example, the key performance


indicators for housekeeping services can
include:

 Average qality of service score in


monthly inspections

 Average client satisfaction score

d. Duration of contract. YES NO

This refers to the time period for which the


contract is valid.

e. Payment terms. YES NO

This outlines how payments will be invoiced


and made between the parties.

Payment terms must be based on


information from the evaluations attached
as an annexure to the contract.

f. Terms and conditions. YES NO

This contains a list of specific requirements


that each party to the contract must adhere
to during the duration of the contract.

For example, there can be a confidentiality


clause that prohibits sharing or use of any
information related to the contract.

This outlines the conditions under which


the contract can be terminated by either
party.

For example, the parties can terminate the


contract for convenience without cause by
giving one month’s notice to the other
parties in writing.

disputes or conflicts between parties arising
during the duration of the contract. This
generally relates to the applicable
legislation and/or regulations.

i. Force Majeure. YES NO

This refers to the protection offered to all


parties in case of failure to deliver their
obligations in case of natural disasters or
any causes reasonably beyond their
control.

4. Includes an annexure to show how payment terms were arrived at.

At a minimum, this must include ALL of the following:

a. Evaluation of commercial data. YES NO

Commercial data refers to relevant


information relating to customers or end
users of the business of the organisation
such as pricing, sales volumes, etc.

For example, the rates offered to customers


must be considered while deciding
payment terms for housekeeping services.

b. Evaluation of cost structures. YES NO

Cost structures refer to the aggregate of


the various types of costs that constitute
the overall expenses incurred by the
organisation in relation to the scope of the
contract.

For example, the overall cost structure for


maintaining an accommodation property
must be considered while deciding
payment terms for housekeeping services.

5. Incorporates inputs from specialist as required. YES NO

The information in the clauses/sections of the N/A


contract must correspond to the inputs provided by
specialist, if consulted by the candidate for drafting

with a specialist submitted by the candidate in this
workplace assessment task.

Candidate must seek specialist advice for at least one


contract. If specialist advice was nor sought for a
contract, assessor must tick N/A.

6. Is approved by a manager/supervisor.

The formal contract document must be signed by a manager/supervisor in accordance with organisational
policy and procedures.

This must correspond to the organisational policy and procedures for business agreements and contracts
accessed and reviewed by the candidate in this workplace assessment task.

At a minimum, this must include ALL of the following:

a. Name of the approver YES NO

b. Signature of the approver YES NO

c. Date approved YES NO

7. Is drafted according to organisational requirements.

In demonstrating this, the candidate:

d. Follows organisational policy and YES NO


procedures for business agreements and
contracts.

e. Uses organisationally accepted style and YES NO

and annexures.
