THE PROBLEM AND ITS BACKGROUND

Introduction

Efficient attendance monitoring is crucial for academic institutions to ensure proper

faculty management, assess workload, and streamline payroll processing. Traditional methods

such as manual sign-ins and biometric systems often present challenges, including data

inaccuracies, administrative delays, and security risks. These methods require physical

interaction, making them prone to errors, inefficiencies, and even fraudulent practices like proxy

attendance. To address these issues, QR code-based attendance systems provide a fast,

reliable, and contactless solution. According to Sopan et al. (2024), QR code-based attendance

management.

Similarly, Muralidhar and Muralidhar (2024) highlight the advantages of dynamic QR

codes, which allow for instant logging and automated attendance tracking, making attendance

monitoring more streamlined and accessible across multiple locations. The CARD-MRI

Development Institute, Inc. – Bay Campus, with its growing faculty population, requires a

modernized approach to attendance tracking. Studies such as that of Rivera and Lagarteja

(2020) emphasize the effectiveness of QR code-based monitoring systems in improving

attendance tracking and reducing absenteeism by integrating automated ID generation and real-

time notifications

BACKGROUND OF THE STUDY

Introduction

The conventional attendance tracking in schools involves manual techniques like roll

calls or sign-in sheets. These are not just time-consuming but also susceptible to manipulations

and errors. The innovation of technology offers the possibility of adopting more effective,

precise, and secure systems to manage attendance.

Problem Statement

Inefficiency: Manual attendance systems for faculty require significant time and are often

inaccurate due to human errors, leading to inefficiencies and potential compliance issues. This

can result in wasted resources and unreliable records of faculty arrival and departure times

during class sessions.

Security Risks: Traditional attendance systems are susceptible to tampering, enabling proxy

attendance. QR-based systems, while convenient, pose security risks like code embedding,

phishing, and cloning, which can compromise data and system integrity.

No Real-Time Data: Administrators are hindered by limited access to current attendance

information, which makes monitoring faculty attendance and compliance difficult.

Software Description

Overview

The proposed QR-based attendance system is designed to be intuitive, efficient, and

secure. By using QR codes as faculty identifiers, it enables faculty members to quickly and

accurately log their attendance when entering and exiting classes via mobile devices. This

system simplifies attendance management, minimizes administrative burdens, and improves

data accuracy and security.

Key Components:

Access Control: The attendance history is accessible by only authorized individuals to

minimize chances of data leak.

Backend: A server-based system dealing with QR code creation, storage of data, and report

creation. This segment of the system allows easy integration with existing systems and safe

data processing.

Database: Safe cloud database storing the attendance history and user details. Data is access-

controlled and encrypted to maintain confidentiality and integrity.

Database Management System: Cloud database to store attendance records securely and

provide real-time access to authorized staff. Administrators can monitor attendance trends and

generate reports effortlessly.

Encryption: Encryption of QR codes to ensure secure user data to maintain confidentiality and

integrity.

Feedback Mechanism: Users receive notification on successful scan, informing them of their

attendance status.

Frontend: An interface that can be accessed via mobile phones to scan QR codes and see the

attendance status. The interface is easy to use, and little training is needed for the users.

Internet Connectivity: For synchronizations and online data fetching in real time. A constant

internet connection provides effortless functionality of the system.

Offline Mode: The system supports offline scanning, allowing faculty members to check in even

without internet access. The recorded data is stored locally on the device and synced to the

database once connected to the internet, ensuring seamless attendance tracking in all

environments.

QR Code Generator: A module that creates special QR codes for each teacher, matching their

ID and other information. The codes are encrypted to ensure data security.

QR Code Scanner Application: A mobile application that allows users to scan QR codes

printed on ID cards or in classrooms. The application is user-friendly, providing instant feedback

upon successful scanning.

Reporting and Analytics Tool: A reporting tool that generates attendance reports and

provides insights into attendance trends, enabling decision-making and resource planning.

This system automates faculty attendance tracking using QR codes for instant, secure

logging. It includes a mobile app for faculty to scan their unique codes, an admin dashboard for

OBJECTIVE OF THE STUDY

This study aims to develop a Real-Time Attendance System for Instant Logging and

Monitoring with QR-Based Technology for the faculty at CARD-MRI Development Institute, Inc.

– Bay Campus. The proposed system seeks to enhance the efficiency, accuracy, and security

of faculty attendance tracking by utilizing Quick Response (QR) code technology for seamless

logging and authentication.

General Objective

The general objective of this study is to design and implement a real-time attendance

system integrated with QR code technology to streamline and automate faculty attendance

tracking at CARD-MRI Development Institute, Inc.

Specifically, this study aims:

INPUT specifies the required hardware and software for developing and implementing the QR-

based attendance system. The knowledge requirements include familiarity with Laravel for

backend development, web hosting for system deployment, and secure QR code processing.

The dissemination process outlines the step-by-step procedure for system integration and use.

PROCESS represents the methodology applied in system development. The study follows the

Agile methodology, incorporating iterative cycles for design enhancement, testing, and

refinement. Research activities include system architecture planning, usability assessment, and

security validation, ensuring efficiency and scalability. This method enables continuous

improvement based on faculty and administrative feedback.

OUTPUT is the fully developed Real-Time Attendance System with QR-Based Integration. In

the short term, the system provides automated attendance logging, minimizing manual errors

and administrative workload. Long-term, it enhances faculty monitoring and institutional

efficiency by integrating real-time tracking features. The system's impact lies in its ability to

optimize faculty attendance verification, ensuring accurate records and improved administrative

oversight through consistent utilization.

SIGNIFICANCE OF THE STUDY

The system entitled "Real-Time Attendance System for Instant Logging and Monitoring

with QR Code-Based Attendance System for Faculty at CARD-MRI Development Institute, Inc."

aims to enhance the efficiency, accuracy, and reliability of faculty attendance tracking through a

QR code-based approach. This project modernizes attendance management by replacing

traditional manual methods with an automated, contactless, and real-time system. The

beneficiaries of this project are as follows:

1. School Administrators / Personnel

This system will assist school administrators and staff by automating attendance

monitoring, reducing human errors, and eliminating the need for manual record-keeping. It will

also enable real-time attendance tracking, facilitate instant report generation, and improve

overall administrative efficiency in monitoring faculty presence.

2. Faculty

The system provides faculty members with a convenient, seamless, and secure

attendance tracking method. Instead of signing manual logbooks, faculty will simply scan their

unique QR codes at designated points, ensuring instant and accurate logging. The system will

also allow them to access their attendance records easily, reducing paperwork and

administrative burdens.

3. Researchers

The development of this system contributes to the field of information systems and

educational technology by demonstrating the application of QR code-based authentication for

attendance tracking. It serves as a reference for researchers exploring automated attendance

systems, real-time monitoring, and cloud-based faculty management.

Scope and Limitation

Scope of the Study

Real-Time Attendance System for Instant Logging And Monitoring with QR-Based

System provides a Real-Time Attendance System with QR Code Integration for faculty.

The project content being that we needed to facilitate the process of entering attendance using

QR code. The system also works in the department providing something like real-time

attendance system and attendance records. The system stored two different types of account:

administrator and faculty. Access was secured via a login sequence containing unique

usernames and passwords. The administrator had the power to handle faculty accounts,

supervise attendance records and create reports.

Attendance could be recorded through unique QR codes, immediately logged and

synchronized in real-time with a centralized database. A dedicated dashboard was available for

administrators to check attendance, pull reports, and analyze trends in the data. The reports

were summaries of who was present, who was late and who was absented, all part of the

information they could glean about faculty attendance in the classroom. Implementation and

testing of the system were both performed within the department, and the only users of the

system intended to be faculty.

Limitations of the Study

Limitations of the study were the scope and timeline of the project. The system's

functionality and capabilities were restricted to the requirements chosen for faculty. Thus, it

was tested and implemented only within the department and would require additional

modifications when applying it to other departments or institutions.

This allows only authorized administrators to access and manage their attendance

information. The faculty could merely sign in and check their own attendance. Only faculty

members could access this training system, as it did not allow guest users or external users.

Real-time syncing was dependent on consistent internet connectivity; thus, network

interruptions would lead to logged records being delayed. Scanning QR codes would require

compatible devices and the system has not been tested on older hardware or on diverse

mobile platforms.

Research Design and Methodology

This chapter presents the research design and methodology employed in the

development of the Real-Time Attendance System for Instant Logging and Monitoring with QR-

Based Integration for the Faculty of CARD-MRI Development Institute, Inc. – Bay Campus. It

details the research design, data sources, instrumentation, and data gathering procedures that

were essential to obtain accurate and relevant information for the system’s development.

Descriptive Research Design

The descriptive research method is suitable for developing an effective Real-Time

Attendance System with QR-Based Integration whereby quantitative and qualitative data shall

be gathered to understand the needs of the faculty and the challenges they face with

attendance. The system has to be built upon a well-structured approach linked to real-world

insight that correlates with institutional needs.

Data Collection Methods:

- Surveys and Interviews – Capturing faculty concerns about current attendance processes.

- Document Analysis – Reviewing policies and attendance tracking inefficiencies.

- Observational Study – Assessing existing attendance behaviors and bottlenecks.

Initial Phase

The Initial Phase, also known as the Requirement or Planning Phase, is a critical stage

that establishes the project’s initial scope and key requirements. Upon approval of the proposed

system, the research team conducted discussions to outline the project setup and necessary

documentation. This phase involved gathering all pertinent information to develop a

comprehensive project management plan.

Developmental Research Design

The developmental research design was utilized in the conduct of this study to facilitate

the development of the system. This is a type of study that emphasizes that the product is

designed, developed, and evaluated according to a process that is organized and systematic. It

is especially well-suited for initiatives that develop and refine tools or systems in real-world

contexts.

This research was developed according to the Software Development Life Cycle SDLC.

It began with requirements gathering, through interviews and research and this activity was

used to formulate the project plan. Then the team transitioned in to the design phase, relating to

system architecture, user interface/user experience, and database mappings.

The second stage was the implementation stage, where the system’s modules were

developed and underwent internal (alpha) testing to detect and correct the initial bugs or issues.

Upon completion of the iterations, the system moved into the validation phase, to be tested by

users and for final adjustments. This method helped the team to refocus and make sure that at

each stage they were developing a prototype that was functional in relation to the aims. It was

an inductive process that was open to feedback and improvement.

Software Methodology: Agile Model

The researchers employed the Agile methodology as the software development

approach for this study. Agile is all about being iterative and not being fixed to your approach,

allowing for constant product refinement throughout the development process. Unlike classic

linear dev. strategies, Agile promotes re-evaluation at every step of the process, intense

prototyping, and lots of buyer / developer collaboration.

Every round (or iteration) within Agile consists of the stages of planning, development,

testing, and feedback (review). The development team organized weekly meetings to review

developments, present the updated feature set and elicit feedback from potential users in the

research. These sessions guided the team in deciding on refinements, and addressing any

uncovered issues as a result of testing.

Agile processes also facilitated rapid system update deployment, which allowed the

researchers to incorporate changes in the system without interrupting the project schedule. This

flexibility ensured that the team was able to act on user feedback and improve the system’s

features, usability, and performance with each cycle. Using the Agile approach, the researchers

were able to make the project to be dynamic, stakeholder-driven, and possibility to develop a

dependable and user-friendly QR code-based attendance monitoring system.

Development Phase

The development of the Real-Time Attendance System utilizing QR code technology

was conducted in accordance with the Software Development Life Cycle (SDLC) framework.

This phase entailed the systematic implementation of the system based on the previously

served as the primary mechanism for attendance logging. The system was developed using

Development Phase 1: QR Code Scanning and Logging Module

The first phase centered on creating the foundational feature of the system—QR code

scanning for attendance logging. This involved generating unique QR codes assigned to each

faculty member and integrating a scanning function capable of capturing those codes in real

time. Upon scanning, the system automatically logs the entry with a time and date stamp into a

Testing Phase

The Testing Phase The compared the Real-Time Attendance System with the system

requirements and determined if it worked as expected. Unit testing was first done to verify

individual components,

QR Code scanning and the database interaction. Then came integration testing to see if

all the parts of the system fit together properly.

Testing (UAT) as the faculty tried the system for practicability and recommended

additional enhancement. The security testing allowed to protect sensitive data with means of

encryption and access control. Performance tests evaluated if the system was able to serve

high load and concurrent users, while stress tests looked for potential breaking points.

Feedback from every testing changed to iterations, which made the system more

functional and user friendly. Upon completion of the final edits, the system was extensively

tested and was ready to go live that would cater the requirements of faculty and enhance

attendance tracking performance.

faculty and administrative personnel, were proficient in system operation. Real-time operational

simulations were performed to assess system performance, accuracy in attendance logging,

and responsiveness. User feedback was systematically collected to identify usability challenges

and inform iterative refinements. Security protocols were implemented to safeguard the system

against unauthorized access and data integrity violations.

Maintenance Phase

The maintenance phase involved continuous post-deployment monitoring to ensure

sustained system reliability, security, and performance. Scheduled evaluations of database

integrity, QR scanning functionality, and attendance log accuracy were conducted. Users were

encouraged to report anomalies or malfunctions encountered during routine use. Identified

issues were addressed through timely deployment of patches and software updates.

Additionally, the system was periodically enhanced to accommodate evolving institutional

requirements and user feedback. A dedicated support framework was established to provide
