make sure that the required master data is available and that processes are configured and
implemented as required.

App users are assigned the Maintenance Planner - Resource Scheduling role
(SAP_BR_MAINTENANCE_PLANNER_RSH).
App users have the required authorizations to work with maintenance orders, work
centers, and plants.
Work centers have been set up, and capacities have been defined for these work
centers.
To use the Assign Maintenance Order Operations app and to share schedules in
the Manage Schedules app, you must set up business users. For more information,
see When To Set Up Business Users.
For people planning: Work center teams are set up and the team members' availability is
known.

Make sure that all required ICF nodes are active. This is especially important after you have
upgraded your SAP S/4HANA release. ICF nodes for new apps are not activated automatically
after software upgrades. For more information, see SAP Note 2792564 .

To make context-sensitive help available in the apps, you must make the relevant settings
described in the Installation Guide for SAP S/4HANA. After successful configuration, users can
call up in-app help by pressing F1 or the help icon in the SAP Fiori launchpad shell bar.
To grant the required authorizations to app users, you assign business roles to them. Use the
delivered business role as a template for creating your own roles and add the required business
catalogs.
Depending on how maintenance planning and scheduling is set up in your organization, you can
create multiple business roles based on the role template Maintenance Planner - Resource
Scheduling (SAP_BR_MAINTENANCE_PLANNER_RSH) and assign the required business
catalogs to each role.

In order to be shown in the resource scheduling apps, work centers must be set up correctly
and capacities must be defined for each work center.
Capacity Definition
The apps only show work centers for which capacities have been defined. The following settings
are taken into account:
This capacity category must be defined for all work centers that you want to be shown in the
resource scheduling apps. It is used as a basis for scheduling.
If you want to assign operations to people in resource scheduling, one of the capacity
categories defined in the corresponding work center must be a labor capacity (capacity ID 002).
If no active version is available, the apps use the standard available capacity.
If no factory calendar is defined for the work center, the apps use the factory calendar of the
work center plant. If no factory calendar is defined for the work center plant either, every day is
considered a working day.
Other Settings
To ensure correct scheduling of order operations, the work start time and the work end
time must be specified in the system time zone in the work center master data.
Make sure that an appropriate usage key is specified on the Basic Data tab. The
specified usage key must be relevant for Plant Maintenance.
You can check the usage key configuration in Customizing under Plant Maintenance and
Customer Service Maintenance Plans, Work Centers, Task Lists and PRTs Work
Centers Task List Data Define Task List Usage Keys.
If you want app users to be able to change work center capacity in the Manage Work
Center Utilization app, make sure that the following prerequisites are met:
o An active capacity version is defined at the level of the work center header.
To use the Assign Maintenance Order Operations app and to share schedules in the Manage
Schedules app, you must set up business users.
To plan which people should carry out which maintenance operations, taking into
account their availability and their function at the work center, in the Maintenance
Scheduling Board.
You must set up business users for all system users (SU01 users) that are to be assigned as
person responsible or as planner or reviewer for a schedule. In addition, make sure that
the S/4HANA BP Synchronization report (technical
name: /SHCM/RH_SYNC_BUPA_FROM_EMPL) is scheduled to run regularly.

Work center usage is the basis for calculating the license cost for SAP S/4HANA Asset
Management for resource scheduling. As a key user, you can create application jobs to verify
work center usage for a specific time period.
Context
The usage of work centers is logged whenever one of the apps for resource scheduling is
accessed. As a key user, you can check work center usage for any time period within the past
three years based on the current date. Usage measurement data older than three years is
deleted automatically.
Procedure
1. In your SAP Fiori launchpad, open the Verify Usage Measurements app.
Note
The Verify Usage Measurement app provides application-specific access to the Application
Jobs app. For more information about application jobs, see Application Jobs.
3. Use the predefined job template EAM Resource Scheduling - Verify Usage
Measurement and specify a name for your application job.
5. Enter the start and end of the past time period for which you want to check work center
usage.
6. Choose Schedule.
7. Once the job run is finished, open the document in the Results column.

the Results
When the resource scheduling apps are accessed, the system logs
the maximum number of capacities per work center over the next
4 weeks. The 4-week period starts on the date on which the apps
are accessed.
Example
Work center ELEC has 3 shifts from May 1 to May 7. The maximum
number of capacities across all three shifts is 6. For the 4-week

You create a job for the time period from May 1 to May 30. Since
the number of capacities in the first period (starting on May 1) is
higher than the number of capacities in the second period (starting
on May 8), the maximum number of capacities recorded is 6.
Usages The number of days for which log records exist in the specified
time period. Log records are created for all days on which the apps
are accessed.
Example
You create a job to check work center usage for the time period
from May 1 to May 30. In this time period, the resource scheduling
apps are used on 15 days. The job results show 15 usages.

Work Center
A work center is an organizational unit that defines where or by whom a maintenance activity is
performed. Work centers can be machines, people, or production lines, for example.
In the resource scheduling apps, the following work centers are shown:
Main work The work center that is assigned to a maintenance order at the header
center level.
The main work center of an order can be di erent from the performing
work center of the order operations. In the resource scheduling apps,
maintenance orders are shown if they include at least one operation
whose performing work center you've assigned to yourself.
Maintenance The work center that is in charge when a maintenance task is performed.
work center A maintenance work center can be either the main work center or the
performing work center.
When a work center is set up, the specified usage key determines whether a work center is a
maintenance work center or a production work center.
Note
To ensure correct scheduling of order operations, the work start time and the work end time
must be specified in the system time zone (UTC) in the work center master data.
Any person that is a member of a performing work center's team can be selected by a
maintenance planner or supervisor during planning to carry out tasks at that work center.
Creating work center teams can make the planner and / or the supervisor’s job easier, because
they are given a selection of suitable team members to choose from when they plan
maintenance work. In addition, any changes to the workforce assigned to a work center can be
carried out at work center team level.
A work center can be linked to exactly one team, and a team can be linked to exactly one work
center. In addition, a person can only be assigned to one work center team at a time.
Work center utilization indicates the ratio in percent between the available work center capacity
and the capacity load. Capacity load is caused by the hours of work required by the
maintenance order operations (and suboperations) and the maintenance plans that are
assigned to a work center.
To calculate the capacity load on a work center, the apps take into account maintenance plans,
maintenance order operations, and suboperations that are assigned to this work center.
Maintenance plans are taken in to account if they've the processing status Ready to Be Called.
Maintenance order operations and suboperations are taken into account if they've the
processing status Due, Dispatched, or In Process.
Note
Maintenance plans are used if their maintenance call objects are maintenance or service
orders. Maintenance plans with other types of call objects are not taken into account. Inactive
maintenance plans or maintenance plans that are marked for deletion are also not taken into
account.
Work center capacity and capacity load are aggregated by calendar week. If a work center is
overloaded on a certain day, this overload is distributed evenly across the other days of the
calendar week. Note that a calendar week always starts on a Monday and ends on the following
Sunday.
Example
In calendar week (CW) 26, the MECHANIC work center has operations that require capacity in
the time period from Wednesday to Friday.
Note
The available capacity, the capacity load, as well as capacity utilization are all calculated using
the system time zone (UTC). To ensure correct scheduling of operations, please specify work
start times and work end times in UTC.
If a work center has no capacity on any day in the display time period but has maintenance
order operations or maintenance plans that require capacity in this time period, the apps show
a utilization of 999%.
The apps only show work centers for which capacities have been defined. Either the work center
capacity defined at header level or, if applicable, the capacity defined at shift or shift and
interval level is used. The available capacity is calculated based on the operating time in hours
and the number of maintenance workers assigned to a work center.
When calculating the available capacity for a work center, the apps take the following work
center settings into account:
If no active version is available, the apps use the standard available capacity.
Length of breaks
Shifts
The apps support multiple shifts as well as night shifts. A night shift that starts on one day and
ends on the next day is distributed proportionally across both days.
Note
In resource scheduling, the individual capacities assigned to a work center are human
resources. In the maintenance order operation, the term capacities is used instead
of resources.
If no factory calendar is defined for the work center, the apps use the factory calendar of the
work center plant. If no factory calendar is defined for the work center plant either, every day is
considered a working day.
Note
If a capacity version or a factory calendar is specified in the maintenance order, the resource
scheduling apps do not take these settings into account.
Operating Time (in Hours) = (End Time - Start Time - Length of Break) * Capacity Utilization
Percentage
Example
The ELECTRIC work center is available from Monday to Friday from 8:00 a.m. to 5:00 p.m., with
a one-hour break. Capacity utilization is defined as 100% from Monday to Wednesday, and as
50% from Thursday to Friday. This results in an operating time of 8 hours per day from Monday to
Wednesday, and of 4 hours per day from Thursday to Friday. On Tuesday, the work center has 2
and on Wednesday 3 individual capacities assigned. The available capacity per week is as
follows:
The available capacity, the capacity load, as well as capacity utilization are all calculated using
the system time zone. To ensure correct scheduling of operations, please also specify work start
times and work end times in the system time zone.
If a maintenance order operation and its suboperations are assigned to the same work center,
the apps sum up the required work specified at operation level and the work specified at
suboperation level to calculate the capacity load on the work center. Maintenance plans that
are scheduled to be called in the relevant time period also contribute to the capacity load.
Note
The following information is about the distribution of the capacity load that is visualized in
the Manage Work Center Utilization app and the Maintenance Scheduling Board app. For
more information about the forecasted capacity load shown in the Manage Schedules app,
see Utilization Forecast.
To be taken into account by the apps, maintenance order operations and suboperations must
fulfill the following criteria:
The planned dates of the order operations are in the display time period. One of the
following must apply:
o The operation starts before and ends after the display time period.
The control key specified for the operation or suboperation is relevant for scheduling.
Maintenance operations that have been partially confirmed by a maintenance worker have the
processing status In Process. Until completion of these operations is confirmed, the apps use
the total operation work to calculate the capacity load on the work center. The work that
remains to be done after the partial confirmation has been created is not used.
Example
Let's assume today is Monday, the start of a new calendar week. Operation "4711/10: Inspect
Engine" is planned to start at 8:00 a.m. It requires 8 hours of work. At noon, a maintenance
worker partially confirms the operation and logs 4 hours of remaining work. At 4:00 p.m., the
maintenance worker confirms that the work has been done.
Until 4:00 p.m., the operation contributes with 8 hours of work to the capacity load for the
current week.
Maintenance operations that span multiple days or weeks are distributed evenly according to
the work center's operating time in the time period between the planned start and end of the
operation.
Example
Maintenance operation “5802/20: Install Wiring” is planned to start on Monday at 8:00 a.m.
(calendar week 29). It's planned to end on the following Monday at 5:00 p.m. (calendar week
30). The operation requires 40 hours of work. It's assigned to the ELECTRIC work center.
The capacity load and utilization per day for the ELECTRIC work center is as follows:

The available capacity, the capacity load, as well as capacity utilization are all calculated using
the system time zone. To ensure correct scheduling of operations, please also specify work start
times and work end times in the system time zone.
If no operating time is found for the work center between the planned start and end of the
operation, the capacity load is distributed evenly across the days within this time period,
irrespective of the time of day or the factory calendar.
Example
Operation “5903/10: Inspect Equipment” is planned to start on Friday at 8:00 p.m. and planned
to end on Monday at 6:00 a.m. However, the work center is closed during this time. The
operation requires 4 hours of work. The capacity load is distributed evenly across Friday,
Saturday, Sunday, and Monday, so that the operation uses 1 hour of work center capacity on
each day. This means that a capacity load of 3 hours is considered for CW 29, and a capacity
load of 1 hour for CW 30.
Maintenance Plans
Maintenance plans are used if their maintenance call objects are maintenance or service
orders. Maintenance plans with other types of call objects are not taken into account. Inactive
maintenance plans or maintenance plans that are marked for deletion are also not taken into
account.
Maintenance plans contribute to the capacity load if they're scheduled to be called in the
display time period. The apps only use maintenance plans for which no call objects exist yet.
The hours of work required by a maintenance plan result in a capacity load on the work center
on the day for which the next call is scheduled (next planned date).
You can assign individuals to operations, for example, to show who is responsible for, or leads
the operation execution, or to specify who you want to carry out the maintenance work.
If you want to specify the person who is responsible for, or leads the operation
execution, please note the following:
o That person can be assigned to the team of the performing work center where
the operation is planned, but does not have to be.
If you want to assign the people you want to carry out the operation, please note the
following:
o You can assign one or more people to an operation, depending on how many are
needed.
o You can only assign a person to an operation, if the following requirements are
met.
Note
When you assign people to carry out an operation, so-called capacitive assignments are
created. Capacitive assignments start at the planned start of the operation and end at the
planned end of the operation, irrespective of their duration and work.
For example, an operation with 7 hours work is initially forward scheduled from 8:00 to 16:00,
because the work center capacity takes into account a 1 hour break. In this case, the capacitive
assignment starts at 8:00 and ends at 16:00.
By taking into account people's work schedule and work load, you can make sure that you only
assign operations to people that have the planned availability to carry out the work.
To transfer the availability of a Human Capital Management (HCM) person from the relevant info
types (for example 0007 or 2001) into the database table PTIMEOV1, you can use HCM
report RPTIMEOVERVIEW_REPLICATE. The people Gantt show the availability data stored
in PTIMEOV1.
Note
You need to have defined an individual as an HCM person, a business partner, and an SAP user
in order to be able to display their data in the people Gantt. For details, see also When to Set Up
Business Users.
Processing Status
The processing status indicates the stage in the planning and scheduling process for a
maintenance order, order operation, or suboperation.
Processing status is a concept used only in the resource scheduling apps. The processing
status is set according to the operation subphase and system status of an order operation or
suboperation in the maintenance order. In the resource scheduling apps, you can view the
phase and subphase of order and order operations but not the system statuses.
An order, order operation, or suboperation can only have one processing status, but multiple
system statuses. The following table shows you which processing statuses are available and
how they relate to the operation subphases and system statuses.
If an order operation or suboperation has multiple system statuses, the highest system status
determines the processing status.
Example
Order operation “5211/10: Prepare Installation” has the system statuses Released, Scheduled,
and Partially Confirmed. In resource scheduling, the processing status is In Process.
Order operation “5211/20: Install Wiring” has the system statuses Released and Scheduled.
The processing status is Dispatched.
The following figure shows the processing status flow for a maintenance order operation. The
arrows indicate whether you can revert a status change in the resource scheduling apps.
Note
Maintenance order operations can be created manually when a maintenance order is created.
Or they can be created automatically together with the maintenance order when a maintenance
plan is called.
In some cases, reversibility of status depends on the app that you are working in. For example, if
you are changing data for selected order operations using the Manage Work Center
Utilization app, you can cancel the dispatch of order operations. This changes the processing
status from Dispatched back to Due. If you have dispatched an order operation from your
schedule using the Manage Schedules app, you cannot change the operation's status
from Dispatched back to Scheduled in this app.
As a rule, the processing status for a maintenance order is set according to the lowest
processing status of the included order operations. For example, if a maintenance order has five
operations that have the processing status Dispatched, and one operation with processing
status Due, the order status is Due.
In the Resource Scheduling for Maintenance Planners app, depending upon the dates
and processing status of its operations, a maintenance order may be included in two
di erent cards.
Example
Maintenance order “5212: Insulation Test” has one order operation with an end date in the past
6 months. The processing status of the order operation is In Process. As a result, the
maintenance order is included in the Unconfirmed Maintenance Orders card and counts as In
Process.
In addition, the maintenance order has one due order operation with an end date in the next 4
weeks. As a result, the order is also included in the Due Maintenance Orders card and counts
as Due.
If you filter for a specific processing status and an order has at least one operation with
this status, this status is also shown for the maintenance order.
The display time period is the time period for which data is shown in the apps. In most apps, you
can choose between preset date ranges or specify a custom date range.
In most apps, you can change the default time period in the filter bar. In general, the following
time period options are available:
You use the apps on Wednesday, June 29, Manage Work Center
2016 (CW 26). The apps show data for 5 days Utilization
in CW 26 and for the next 3 calendar weeks
(CW 27‒29). The order operations and work
center capacity available on Monday (June
27) and Tuesday (June 28) are not taken into
account.

correspondence to a field in the maintenance order or order operation. For example, the
scheduling type set in the maintenance order determines whether the earliest or latest
scheduled dates are shown as planned dates in the resource scheduling apps.
Here is a list of date labels as they appear in resource scheduling and in maintenance orders
and operations.

Note
In the Maintenance Scheduling Board, orders and operations are shown in a hierarchy. To save
on space, the Planned Start date and time are combined in the same column. The same
applies to the Planned End date and time.
Handling of Date Constraints
When you dispatch an order operation, the app automatically sets a constraint for the start date
of this operation. If you change the start date for an order operation that has already been
dispatched, this a ects not only this operation, but also related operations.
Note
In resource scheduling, you have several options to dispatch maintenance order operations.
You can dispatch individual order operations and suboperations using the Manage Work
Center Utilization app or the Maintenance Scheduling Board app.
You can also mass dispatch order operations from a schedule using the Manage
Schedules app. However, you can only use this option for maintenance order operations that
do not have suboperations.
Tip
Make sure to dispatch suboperations (or cancel the dispatch of suboperations) together with
the corresponding order operations.
When you dispatch a due order operation, any existing date constraints are removed and
a Must start on constraint is set for the operation. This means that the operation will not
be moved automatically if a related operation is changed, even if automatic scheduling
is active for the corresponding order.
The constraint is set for the earliest start date and time.
When you dispatch a suboperation, the processing status for the operation does not
change, but the app sets a Must start on constraint for the operation.
When you dispatch order operations using the Manage Schedules app, the app also
sets a constraint for the end date if the end date falls within the schedule period.
To cancel the dispatch of order operations or suboperations, you can use the Manage Work
Center Utilization app or the Maintenance Scheduling Board app. When you cancel the
dispatch, the operation or suboperation becomes due again. The constraint on the start date of
the operation remains unchanged.
Tip
To remove the Must start on constraint, use the Remove Constraints option available in
the Maintenance Scheduling Board app.
Note that you cannot change the date and time for suboperations. To move a suboperation, you
must move the corresponding order operation.
Tip
In the Change Maintenance Order Operation dialog, you can specify that the operation is
dispatched immediately when you save your changes. Use this option if you want to keep the
processing status.
Using the Manage Maintenance Schedule for Assets app or the Maintenance Scheduling
Board app, you can move maintenance orders one at a time to another start date using drag and
drop. If the order includes any operations that have the processing status Due or Dispatched,
these operations are moved as well and any existing constraints on the operation dates are
removed automatically.
To see any data in the resource scheduling apps, you must assign at least one work center to
yourself. You have to change work center assignments, for example, when order operations are
moved to a di erent work center.
Context
You are using the resource scheduling apps for the first time.
You've been invited to co-plan a schedule. The schedule that has been shared with you
includes operations from work centers that are not assigned to you. To see the entire
schedule, you must assign all relevant work centers to yourself.
You're working on a shared schedule and another planner moves an order operation to a
di erent work center. If the new work center isn't assigned to you, the operation is no
longer shown in your schedule. To see it again, you must assign the work center to
yourself.
Note
For optimal performance, only show data for the work centers for which you are responsible.
You can change your work center assignment any time by adding or removing work centers.
There's only one exception: You can't remove a work center if operations from this work center
are included in one of your schedules.
Procedure
1. Open the My Work Centers dialog. The following applies:
o When you open the Resource Scheduling for Maintenance Planners app for
the very first time, the My Work Centers dialog opens automatically. You can
open the dialog at any time using the My Work Centers option in the user
actions menu.
o In the Manage Schedules app, if a schedule has work centers that are not
assigned to you, an information message is shown. This message includes a link
to the My Work Centers dialog.
2. Add the work centers for which you want to see data in the apps.
If a work center is linked to a team and you're authorized to view and edit work center teams,
you can click the team name to open the team in the Manage Teams and Responsibilities app.
3. Choose Assign.
Results
The resource scheduling apps show data for the work centers that you assigned to yourself.
If you use a set of filters or table columns often, save them in a new view. Creating di erent
views allows you to quickly compare di erent sets of data.
Context
This procedure is generally relevant for all apps that include the option to create and manage
views. However, please note the following:
In the Maintenance Scheduling Board app, you can use views to save di erent filter
settings. Any settings that you make in the table and chart area of the app are specific to
your user and are not saved as part of a view.
In the Manage Schedules app, when you open a schedule, you can use views to save
di erent table layouts. Any filters that you set in the table area are not saved as part of a
view.
Procedure
b. Select the filters that you want to add. You can add just the filter field or already
enter a filter value that you want to apply.
c. Enter a name for the view. In addition, you can specify the following:
The Resource Scheduling for Maintenance Planners app is your dashboard for monitoring key
figures, such as work center utilization and number and priority of maintenance orders that you
need to work on. It also provides quick access to the schedules that are currently relevant.

1. In your SAP Fiori launchpad, open the Resource Scheduling for Maintenance
Planners app.
2. Click Go. You can also set one or more filters before clicking Go.
The filters you set here are global filters. This means that they remain set when you click a card
to navigate to another app. Proceed as follows:

Tip
Apply your preferred view automatically to immediately apply the relevant filters without you
having to click Go. To do so, select the relevant checkbox when you create or change a view.
Note
The input help for performing work centers only includes work centers that you assigned to
yourself. For some other filters, the input help may show values that are not relevant for you.
For example, the input help for order types may include order types that are not relevant for the
operations in your work centers. If you select a value that is not relevant, the app does not show
any data.
Note
The My Schedules card is not a ected by any of the filters you set. The Work Center
Utilization card is only filtered by work center.
3. Check the figures shown in the cards. The cards show data for your work centers. In
addition, the cards provide you access to other resource scheduling apps.

When you come back to the Resource Scheduling for Maintenance Planners app from
another app or from the SAP Fiori launchpad, make sure to click Go to update the information
shown in the cards.
Tip
You can change the length and width of all cards. Simply click on the borders of a card and
adjust its size as needed.
In addition to the cards in the Resource Scheduling for Maintenance Planners app, you've
several options to graphically view work center utilization in the resource scheduling apps.
Here's an overview:
Maintenance In the table area under (Settings), you can enable the Visualizing
Scheduling display of color-coded utilization bars that show the Work Center
Board utilization of individual work centers. You can set Utilization in a
threshold values for showing the bars in a certain color Gantt Chart
and decide whether to show or hide bars for a certain
threshold range in the chart.
Showing the Maintenance Orders and Order Operations in Your Work Centers
Using the cards in the Resource Scheduling for Maintenance Planners app, you can navigate
to a prefiltered overview of the maintenance orders and order operations in your work centers.
Prerequisites
Context
Clicking the cards shown in the Resource Scheduling for Maintenance Planners app opens
the Manage Work Center Utilization app. As an alternative, you can use the Maintenance
Scheduling Board app to show maintenance orders and order operations in a Gantt chart.
Tip
You can open the Maintenance Scheduling Board app from the Maintenance Orders tab of
the Manage Work Center Utilization app. This allows you to quickly show selected
maintenance orders for the specified time period.
Tip
For more information about how to create your own tiles with access to specific apps or data,
see Share Apps and Create Bookmarks for Apps in the user guide for SAP Fiori launchpad.
Procedure
1. In your SAP Fiori launchpad, open the Resource Scheduling for Maintenance
Planners app.
2. Click the Work Center Utilization card or one of the cards for maintenance orders.
Depending on how you've launched the app using the cards in the Resource Scheduling for
Maintenance Planners app, the following applies:
o If you've clicked the card header, the operations and suboperations shown on
the Maintenance Order Operations tab are filtered by time period (next 4 weeks
or past 6 months) and, if applicable, by processing status.
o If you've clicked a specific row or section in one of the cards, an additional filter
is applied. For example, if you've clicked the row for a specific work center in the
utilization card, the app shows maintenance order operations for this work
center.
If you set filters in the filter bar, these filters remain set as well.
3. Optional: To show more information in the table, add additional columns using the table
settings.
For example, you can add a column that indicates whether an order operation is included in one
or more of your schedules.
Depending on the filters you want to use, you can use the filter bar or the utilization chart.
Note
The chart shows data for all order operations and suboperations in your work centers,
independent of your authorizations. The data shown in the table, however, depends on your
authorizations. This means that you may see di erent data in the chart and table.

5. To show more detailed information for an order operation, click the link for the order
name.
An information popover opens. You can directly open the maintenance order from here.
Note
Whether maintenance orders are shown in the app depends on the planned dates of its order
operations, not on the basic order dates. The orders shown have at least one order operation
whose planned dates are in the display time period.
To show maintenance orders on a timeline and to visualize attributes such as the final due date
or relationships and constraints for order operations, you can open the Maintenance
Scheduling Board app directly from this tab.

You can export the data shown in the chart area (both at header and at operation level) to a
downloadable spreadsheet file by clicking on .

Context
The utilization chart in the Manage Work Center Utilization app shows the current utilization
data for your work centers. By contrast, the utilization chart included in the Manage
Schedules app shows the forecasted work center utilization based on a schedule simulation.

Procedure
1. In your SAP Fiori launchpad, open the Resource Scheduling for Maintenance
Planners app.
2. Click the Work Center Utilization card or any of the cards for maintenance orders to
open the Manage Work Center Utilization app.
3. In the chart, select the attribute by which you want to show work center utilization.
Note
To make sure the attributes are displayed correctly, please avoid using the characters ":" or "/"
when defining new attributes for Activity Type or Priority.
You can also select the work center or work centers for which you want to show data in the
chart. If you don't select any work center, data is shown for all work centers that you assigned to
yourself.
You can make settings to adjust the layout of the chart according to your needs. For example,
you can change the utilization percentage for displaying the target line in the chart.
Tip
To see the load caused by maintenance plans, show the utilization based on processing status.
Maintenance plans have the processing status Ready to Be Called.
Note
The chart shows data for all order operations and suboperations in your work centers,
independent of your authorizations. The data shown in the table, however, depends on your
authorizations. This means that you may see di erent data in the chart and table.
4. Optional: Use the chart to filter the maintenance order operations shown in the table.
You can do the following:
o Click a data point on a line (line chart) or a bar segment (bar chart).
o Click multiple data points or bar segments using one of the following methods:
Hold down the CTRL key as you click data points or bar segments.
Press and hold the mouse button while drawing a "lasso" around a group
of points.
The order operations in the table are filtered accordingly. However, note the following:
o If you set filters using the chart, all previously set filters are cleared
automatically, including the ones that you've set in the filter bar. Similarly, if you
click the white space anywhere in the chart, all filters are cleared. The only
exception is the time period filter in the filter bar.
o If data is changed by another user after you've opened the app, you must refresh
the app to update the chart.
Example
Changing the filters in the filter bar has no e ect on the data shown in the chart. As a result, you
can combine the use of the filter bar with the utilization chart to optimally plan the utilization of
your work centers before moving operations between work centers or finding a new start date
for operations:
g. In the chart, you check the utilization of your work centers. If a work center is overloaded
in a specific week, you click the relevant element in the chart to filter the operations in the table
and only show operations for this work center and the relevant week.
h. You check the list of operations in the table to identify operations that can be moved to
another date or another work center.
i. You check the chart to find another work center that has free capacity in the selected
week or find another week in which the overloaded work center has free capacity.
j. You move the order operations you identified to another work center or another start
date.
Make settings to change the layout of the utilization chart according to your needs.
Note
Depending on how much space is available on your screen, the (Settings) button is shown in
the chart header or included in the (More) menu.
Show Utilization Allows you to specify the time period that you want to see on one page.
For You can choose between 4, 6, 8, or 12 weeks, or 4, 6, 8, or 12 months.
Note
You can page along the timeline with the display period that you have
selected.
Show Utilization Allows you to show work center utilization as a percentage or the
As capacity load and available capacity in hours.
Show Target Allows you to show a target utilization for your work centers. In the chart,
Line At (%) the target utilization is indicated by a horizontal line.
Note that this value is only relevant if you're showing the utilization as a
percentage.
Before you dispatch order operations or add order operations to your schedule, make sure that
any required material components are available. You can easily check the material availability
status in the resource scheduling apps.
Context
The material availability status shown in the resource scheduling apps is based on the material
availability (system) status of the maintenance order. Keep in mind that this status is always
shown at the level of the order header. This means that in the resource scheduling apps the
same material availability status is shown for all operations of a maintenance order.
Note
To execute a material availability check, you use the relevant asset management apps (for
example, the Schedule Material Availability Check app).
Procedure
1. Open the Resource Scheduling for Maintenance Planners app. Click one of the cards
for maintenance orders or work center utilization.
2. Select the relevant order operations and click Show Corresponding Orders.
The Maintenance Orders tab opens and shows the material availability status for the relevant
orders. The following status values are possible:

Note
Alternatively, you can stay on the Maintenance Order Operations tab and add the Material

the Manage Schedules app, and the Assign Maintenance Order Operations app. If you don't
see the Material Availability Status column, add it via the table settings.
To level work center utilization, can change the work center or start date for an order operation.
You can move order operations that are not yet in process and that don't have cross-order
relationships.
Prerequisites
You're in the Manage Work Center Utilization app or in the Maintenance Scheduling
Board app.
Before dispatching an order operation, make sure that any required materials, tools, and
permits are available and that any existing predecessor operations are dispatched.
Note
If operation data is changed by another user after you've opened the app, you are not notified. If
a longer period of time has elapsed before you start making changes, we recommend that you
refresh the app to get the latest operation data.
Context
The procedure described here is generally relevant for order operations and suboperations. For
example, you can change the work center or trigger the dispatch for order operations and
suboperations. However, you can't change the start date and time for suboperations.
If you're in the Maintenance Scheduling Board app, you can also use drag and drop to move
individual order operations or entire maintenance orders directly in the chart.
Procedure
1. In the table, select one or multiple order operations by marking the checkbox.
Choose Change.
To enable this button, select operations that can still be changed and are not yet in process. If
an operation cannot be changed, you will see an icon in the Info column.
Note
Dispatching or changing multiple operations in one go saves time and helps you to manage your
work centers e iciently. However, keep in mind that the fewer order operations you select to be
dispatched or changed at the same time, the faster the action is completed.
2. In the dialog box that opens, enter a new work center or a new start date and time.
You can move order operations to any date and time in the future. The app sets a Must start
on constraint for the operation.
3. Optional: If the operations you're changing had already been dispatched and you want
them to keep their processing status, specify that the dispatch is triggered again when
you save your changes.
By default, when you change a dispatched operation, the operation becomes due again.
4. Choose Change.
Results
The changes are applied to all relevant operations. If you select multiple operations and enter a
work center, for example, and some of the selected operations are already assigned to this work
center, these operations are not changed.
Note
To move an operation to a start date and time in the past, use the Change Maintenance
Order app.
If you change the start date for an operation with successor operations, the start date for
these operations may also change. As a result, it may happen that successor operations
are moved to a date outside the time period shown in the apps.
If operation data is changed by another user after you've opened the app, you are not
notified. If a longer period of time has elapsed before you start making changes, we
recommend that you refresh the app to get the latest operation data.
Prerequisites
You're in the Manage Work Center Utilization app or in the Maintenance Scheduling
Board app.
o An active capacity version is defined at the level of the work center header.
Tip
If you can't change the number of resources for a work center as described here, ask your key
user to check if the work center is set up as required.
Note
To ensure correct scheduling of operations, the work start time and the work end time must be
specified in the system time zone in the work center master data.
You're authorized to work with the Change Work Center app. If you're missing the
required authorization, you won't be able to open the Change Work Center app as
described here.
Context
Using the Manage Work Center Utilization app or the Maintenance Scheduling Board app,
you can adjust a work center's capacity by changing the number of resources that are assigned
to a work center in a specific calendar week. To make more complex changes to a work center's
capacity, you use the Change Work Center app.
If you have the required authorization, you can open the Change Work Center app from
the Change Work Center Capacity dialog. Just click the link shown for the work center name.
Note
In resource scheduling, the individual capacities assigned to a work center are human
resources. In the maintenance order operation, the term capacities is used instead
of resources.
Procedure
1. Click Change Work Center Capacity in the upper-right corner of the screen.
A dialog box opens, showing all work centers that are currently assigned to you.
2. Select a calendar week and find the work center whose capacity you want to change.
3. Change the number of resources as required. To preview the e ect of the change on the
available capacity, press Enter or go to the next input field.
Caution
If work center capacity is changed by another user after you've started to make changes, you are
not notified. If a longer period of time has elapsed before you're ready to save your changes,
make sure that you refresh the app to get the current data.
You can change capacity for the current date or a date in the future. Once you've started making
changes, the time period field becomes read-only.
To make more complex changes, such as changing the start and end date of a shift, or to change
the capacity of a work center that uses a pooled capacity, use the Change Work Center app. If
you've the required authorization, you can open this app by clicking the work center name.
If some of your changes couldn't be saved, the dialog box remains open and the app indicates
what changes were and weren't saved. This happens, for example, if a work center is currently
locked by another user or if shift data has been changed by another user.
5. To discard any unsaved changes, click Reset. Then click Cancel to close the dialog box.
Results
Note
If a shift sequence and shift definition were used when the work center's capacity was set up,
the reference to the shift sequence and shift definition isn’t copied for the selected days.

Work Center
Working with the Maintenance Scheduling Board
Using the Maintenance Scheduling Board app, you can visualize the maintenance orders,
order operations, and suboperations in your work centers as well as graphically display
relationships, work center utilization, start constraints, and other important information in a
Gantt chart.
Prerequisites
To work directly in the chart, for example, to draw relationships, or drag and drop order
operations, you must use a desktop or laptop computer.
Procedure
Note
A maintenance order and its operations can have di erent work centers.
The app only shows order operations that are in one of your work centers.
Note
If the time period is Next 4 Weeks, the chart's timeline starts one week
before this time period and ends one week after this period. If you specify
another time period, the timeline shows exactly this period.
c. Click OK.
Tip
Apply your preferred view automatically to immediately apply the relevant filters without you
having to click Go. To do so, select the relevant checkbox when you create or change a view.
o As a rule, the processing status for a maintenance order is set according to the
lowest processing status of its order operations. However, if you filter for a
specific status and an order has at least one operation with this status, this
status is also shown for the order.
o If you change an order operation so that it no longer complies with the current
filters, for example, you move an operation to a date that is outside the time
period shown in the app, the operation is still shown in the list of operations until
you click Go.
4. Adjust the layout of the table area as needed. To do so, click (Settings) to add the
required columns and to choose how you want the column content to be sorted.
Optional: If you want to keep the adjusted layout for future use, you can save it in a view
(see Using Views).
5. Make settings to show additional information in the chart or to adjust the chart layout. To
do so, click (Settings).
6. You can open maintenance orders and technical objects directly from within the app.
Proceed as follows:
a. In the Maintenance Order column, click the name of the order or of one of the
order operations. An information popover opens.
b. To open the order, click the order name in the popover. To open a reference
object (functional location or equipment), click the functional location or,
respectively, the equipment name in the popover.
If you're using a desktop or laptop computer, you can also use the context menu to open
maintenance orders. Using this option, you can open a maximum of 5 orders at a time. Just
select one or more order bars in the chart, open the context menu, and choose Open Order.
If you're using a desktop or laptop computer, you can perform some actions directly in the chart.
For example, you can trigger actions from the context menu that opens when you right-click an
element (such as an order, operation, or relationship) in the chart.

Gantt Charts
You can display the following Gantt charts in the Maintenance Scheduling Board:
The order Gantt chart shows you the current planned dates of maintenance order and
order operations as well as information such as their planning status.
The utilization Gantt chart shows you the resources that are planned for carrying out the
maintenance work. Here you get an overview of the capacity load of the the work
centers involved and can quickly spot any capacity conflicts or idle times.
Both charts show the current capacity load from di erent perspectives. You choose, whether
you want to see just the order Gantt perspective (Orders), or also the utilization perspective
(Resources).
The following screenshot shows you the Maintenance Scheduling Board where the user has
chosen to display Orders and Resources, that is, both the order Gantt chart and the utilization
Gantt chart.

Using Views
After you have adjusted the screen layout so that it best suits your needs, you can save the
layout as a view. The next time you call up the app, it will automatically display the layout that
you stored in your default variant.
Choose between displaying the Orders chart only, or both the Orders and
Resources charts.
Adjust the column width of fields shown in the Orders and the Resources sections on
the left side of the screen. Just pull the sides of a column to the desired width.
For most columns, you can also choose whether you want to display the column values
in ascending or descending order.
Note
The current layout of your screen is automatically saved as your default view My Scheduling
Board.
To see what views are already available to you, or to edit or delete a view, click , then
on Manage.
Note
You can save di erent layouts as di erent views. If you store more than one view, you can
choose which one you want to have as your default view. If you want to let your colleagues use a
view that you have set up, click on Public when you save it.
Related Information
In the Maintenance Scheduling Board app, you have multiple ways in which you can change
the start date and time of maintenance orders and operations.
1. In the chart, find the orders or operations that you want to move.
Tip
To show non-working times for work centers, relationships, and Must start on constraints for
order operations, enable the relevant options in the settings ( ).
2. Drag the order bar or the operation bar, respectively, to the desired start date and
time and drop it.
The following animated screenshot shows you how to drag and drop an order operation that has
a relationship to other operations in the same maintenance order. Note that the successor
operations are also moved to retain the relationships between the operations.
The app moves the operation bar to the nearest hour to the drop position.
Example
If you drag and drop an operation at 08:10, the operation is moved to start at 08:00. If you drop it
at 08:40, it is moved to start at 09:00.
Note
If you drag and drop a maintenance order, the final position of the order bar depends on the
scheduling type. If the scheduling type is Forwards in Time, the bar is moved to the nearest
hour to the drop position. If the scheduling type is Forwards, the bar is moved to the start of the
day at which you dropped it.
If you've dragged and dropped a maintenance order, any due or dispatched operations are
moved as well and any existing constraints on the operation dates are removed automatically. If
you've dropped the order at a non-working day or time, the app automatically moves the order
to the next working day.
The app sets a Must start on constraint for the operation start date.
1. Select the orders in question and then right-click and choose Set Planned Start.
2. Either enter the desired date and time manually, or click on to select the new planned
start.
The planned order start date is automatically set to the desired date and time.

The chart settings provide several options on di erent tabs. Depending on the settings that you
make, di erent elements are shown in the relevant charts. The following sections provide a tab-
by-tab overview of the available settings and how they are visualized in the charts.
Layout Settings
The following table shows the settings that you can make on the Layout tab. These settings
apply to both the order Gantt chart and the utilization Gantt chart.
Setting Setting
Indicate Current Displays a vertical dashed line that indicates the current time in the
Time chart.
Show Cursor Displays a solid line with the date as you move your cursor horizontally
Line over the chart.
Show Status Bar Displays the date and time for the current cursor position below the
chart. This setting is e ective only if you've enabled the display of the
cursor line.
Show Optimizes the use of screen space to show more rows in the table and
Condensed chart.
Layout

The following screenshot shows you how the layout settings are visualized in the order Gantt

Layout Settings
The following table shows the settings that you can make on the Work Centers tab. The setting
description tells you which Gantt chart it applies to.
Setting What It Does
The utilization data is aggregated for each day (in system time zone UTC)
on which the work center is open and is shown when you hover over the
bar.
This setting always applies to the utilization Gantt chart. You choose,
whether it should also apply to the order Gantt chart (See
setting Utilization).
Non-Working Visualizes times when a work center is closed as light gray vertical
Times bands in the order Gantt.
Utilization Specifies, whether you want to show the utilization of work centers in
the order Gantt.
You can choose to show the utilization of all work centers, or only show
the utilization, if it is above or below one of the predefined thresholds.
The following screenshot shows you how the work center settings are visualized in the order
Gantt chart.
The following screenshot shows you how work center utilization is visualized in the utilization
Gantt chart.
The following table shows the settings that you can make on the Elements tab. These settings
apply to the order Gantt chart.
Show Final Due Displays a milestone icon () to indicate the latest acceptable
Date completion date for maintenance orders.
If the related operation is not visible in the chart, a link icon () is shown.
If the related operation is not visible in the chart, a link icon () is shown.
Show 'Must Start Displays a vertical line at the beginning of an operation bar to indicate
On' Constraints that a Must start on constraint exists.
Show Actual This allows you to see the actual work that has already been confirmed
Dates for individual operations in a maintenance order. You can see, for
example, whether an operation has started early, is being processed as
planned, or is delayed. If you choose this setting, the actual times are
displayed as a green line under the operation bar.
The following screenshot shows you how the settings for elements are visualized in the order
Gantt chart.
Settings for Elements
The following table shows the settdngs that you can make on the Labels tab. These settings
apply to the order Gantt chart.
Show Labels You can show information such as the main work center, maintenance
for Order event, order type, or planned start date and time and planned end date and
Bars time, to the right, to the left, or inside an order bar.
Note that the planned start date and time can only be shown to the left and
the planned end date and time can only be shown to the right of an order
bar.
Show Labels You can show information, such as the performing work center, number of
for Order resources, or planned start and end, to the right, to the left, or inside an
Bars operation bar.
Note that the planned start date and time can only be shown to the left and
the planned end date and time can only be shown to the right of an
operation bar.
The following screenshot shows you how the settings for labels are visualized in the chart. In
this example, order bars show the order priority inside the bar. The order number and
description are shown to the right of the bar. Operation bars show the execution stage inside the
bar. The performing work center is shown to the left of the bar and the operation number and
description are shown to the right of the bar.
Example: Labels for Order and Operation Bars
If any of the settings for relationships, work center utilization, or labels are enabled, the app
adds a corresponding toggle button to the toolbar. Using the toggle buttons, you can show or
hide the respective elements without having to open the settings dialog again.
The following screenshot shows you what the toggle buttons look like.

Condensed layout: Switch on the condensed layout in the chart settings. To do so,
click (Settings) and select the relevant checkbox.
Collapse header: If space is limited, collapse the header area by clicking (Collapse
Header)
Work E iciently
Organize table columns: You can add and hide columns as needed. To do so, click any
column header and select or deselect the relevant options. The app remembers the
displayed columns along with their set width and will keep your settings when you return
to the app.
Tip
To save your changes, click Go or briefly leave the app and come back to it. If you use the
browser refresh without saving the layout first, your changes will be lost.
Zoom in timeline: Press and hold the CTRL + SHIFT keys, then scroll up to zoom in (or
scroll down to zoom out) in the timeline at the cursor position.
Select multiple consecutive items in a table or a list: Select the first item by marking
the checkbox, press and hold the SHIFT key, then select the last item. To clear your
selection, click in the checkbox column header.
To trigger the same action for multiple elements at once, proceed as follows:
o Press and hold the CTRL key and click the elements that you want to select.
o Use your mouse to draw a "lasso" around the elements that you want to select.
The app highlights the elements in the "lassoed" area for which actions are available.
2. Note that lasso selection doesn't include relationships. To select relationships, use
the CTRL key.
3. Right-click any of the selected elements. The context menu shows all actions that are
available for the element.
The action is carried out for all selected elements of the same type (or example, orders,
operations, relationships). Elements for which the action isn't possible remain unchanged.
You can also select and drag and drop multiple orders and operations by the same time interval.
You can choose whether you want to see the work center utilization of performing work centers
in the Maintenance Scheduling Board app and, if so, how you want to display it.
Under Settings, you can configure four thresholds and colors for showing the utilization in the
Gantt charts:
2. In section Utilization Threshold and Colors, define the threshold values (in percent) of
the capacity loads that you want to display in the chart, as well as the color that you
want to assign to that bandwith.
Under Settings, you can choose whether you want the thresholds for utilization rates that you
defined to also show in the order Gantt chart:
2. In section Show in Order Gantt, choose whether you want to have non-working times
displayed in the chart.
3. Choose whether you also want to display the utilization situation also in the order Gantt.
This option displas a color-coded bar indicating the utilization.
4. Optional: You can choose to show only specific threshold values in the order chart. For
example, you could choose to only show the utilization if the load of a peforming work
center is more than 100 %.
Before you dispatch order operations or add order operations to your schedule, make sure that
any required material components are available. You can easily check the material availability
status in the resource scheduling apps.
Context
The material availability status shown in the resource scheduling apps is based on the material
availability (system) status of the maintenance order. Keep in mind that this status is always
shown at the level of the order header. This means that in the resource scheduling apps the
same material availability status is shown for all operations of a maintenance order.
Note
To execute a material availability check, you use the relevant asset management apps (for
example, the Schedule Material Availability Check app).
Procedure
1. Open the Resource Scheduling for Maintenance Planners app. Click one of the cards
for maintenance orders or work center utilization.
2. Select the relevant order operations and click Show Corresponding Orders.
The Maintenance Orders tab opens and shows the material availability status for the relevant
orders. The following status values are possible:
I0004 (MSPT)
I0420 (MANC)
I0485 (NMAT)
I0340 (MACM)
Note
Alternatively, you can stay on the Maintenance Order Operations tab and add the Material
Availability Status column using the table settings.
You can also show the material availability status in the Maintenance Scheduling Board app,
the Manage Schedules app, and the Assign Maintenance Order Operations app. If you don't
see the Material Availability Status column, add it via the table settings.

Use
As a maintenance planner, you can use this app to execute material availability checks for
several maintenance orders at runtime or schedule these checks as a recurrent batch job.
The system checks whether the components required for a maintenance order are available
and updates the availability status in the orders accordingly. If you schedule the availability
check as a batch job, a report displays all error and warning messages that occurred during the
checking process, as well as the system and user statuses of the orders.
If you also schedule maintenance orders that are processed by phases, the Material
Availability Check for Maintenance Orders template enables you to reassign committed stock
from one maintenance order to another of higher priority and urgency.

If you have the business role Maintenance Planner, you can perform the following tasks:
You can view a list of all material availability checks already scheduled and navigate to the
results of the jobs that you have created.You can only view the job results on desktop devices.
o Specify the date and time for the system to start the scheduling. You can also
decide to start the scheduling run immediately.
Specify the parameters of the material availability check. The parameters depend on the
job template that you have chosen.
In the Material Availability Check for Maintenance Orders template, specify the
following parameters:
o Restrict the maintenance orders to be included in the ATP run by selecting one or
more maintenance order types, maintenance planning plants and maintenance
activity types.
o Determine the maintenance orders by their scheduled start date and scheduled
end date. Alternatively, you can determine a relative scheduled date to select
maintenance orders within a rolling time period when scheduling recurrent ATP
runs.
o Select one or more material groups to restrict the stock components that are to
be assigned in the ATP run.
o Determine the scheduling options and specify whether the system should clear
all committed material quantities and reassign the committed stock material.
In the PM Orders: Material Availability Check template, specify the following
parameters:
o Specify whether the system is to display all messages or only errors and
exceptions.
o Specify whether you want the results to be saved to the application log.
o Specify which status orders must have so that they are considered by the
availability check ( for example In Progress, Outstanding, Completed, Historical)

Relationship Types
In the Maintenance Scheduling Board app and in the graphical view of the Manage
Schedules app, you can enable the display of implicit and explicit relationships between order
operations.
Explicit relationships are relationships created by a person, for example, on order creation. They
can be of di erent types, for example, finish-start (FS), start-start (SS), or finish-finish (FF).
Explicit relationships can be created between operations that are included in the same
maintenance order or in di erent orders.
Implicit relationships are used by the system if no explicit relationships exist. They're based on
the sequence indicated by the operation number and are always of type finish-start (FS).
Implicit relationships are only relevant for operations in the same maintenance order.
Note
If the scheduling type set for a maintenance order is Only capacity requirements, the apps
don't show any implicit relationships between the operations of this order. All operations by
default have the same start and end dates, which correspond to the order's basic start and
finish dates.
In the Maintenance Scheduling Board app, you can create and delete relationships between
order operations. You can also add, edit, and delete o sets for relationships, for example, to
plan breaks between related operations.
When you create a relationship between two order operations, all implicit relationships are
deleted and the newly created relationship is considered for scheduling. If both operations are
included in the same maintenance order, the app adjusts the start date of the related operation
(successor or predecessor, depending on the scheduling type) if the operation doesn't have
a Must start on constraint set.
If the related operations are included in di erent maintenance orders, you must trigger order
scheduling for the a ected orders to have the operation dates adjusted.
When you delete the last explicit relationship in a network of operations, all implicit
relationships are restored automatically.

1. In the chart, select the operation that you want to relate to another operation.
Connection points appear at the beginning and at the end of the operation bar.
2. Select a connection point and draw a line to the operation that you want to relate to the
selected one. Drop the line at the beginning or at the end of the operation bar, depending
on the type of relationship that you want to create.
Note
Make sure that you do not create circular relationships. A circular relationship is a relationship
between the same operations that forms a closed loop with other existing relationships.
The following animated screenshot shows you how to create relationships between the order
operations in a maintenance order. Note that all implicit relationships disappear as soon as you
create the first relationship in the network of operations.
Results
As soon as you create a relationship within a network of operations, any implicit relationships
are deleted.
The app automatically adjusts the start date of the related operation if the following applies:
Next Steps
If the successor operation has a Must start on constraint set, remove it. After you've removed
the constraint, the app can adjust the start date of the operation according to the relationship.
If you've created a cross-order relationship, trigger scheduling for the a ected maintenance
orders. You can use the Trigger Order Scheduling button in the Maintenance Scheduling
Board app to schedule one order at a time. Or you can set up a schedule and trigger scheduling
for all related orders at once.

1. In the chart, right-click the relationship that you want to delete. Note that you can only
delete explicit relationships.

When you delete the last explicit relationship in a maintenance order, the app automatically
restores all implicit relationships.
Related Information
By adding an o set for a relationship, you specify how much time lies between the dates of two
related operations. You can use o sets, for example, to plan breaks between two maintenance
tasks.

1. In the chart, find the relationship for which you want to add, edit, or delete an o set.
2. Right-click the relationship arrow. In the context menu that opens, select the relevant
option.
If no o set exists yet, the context menu includes an option for adding an o set. If an o set
exists, you'll find an option for editing the o set and another one for deleting the o set.
When you create a cross-order relationship in the Maintenance Scheduling Board app, the
dates of successor operations aren't adjusted automatically. You must manually trigger
scheduling for all a ected orders.
Context
In the Maintenance Scheduling Board app, you can trigger scheduling for one maintenance
order at a time. To trigger scheduling for an entire cross-order network of operations, you can
use the Manage Schedules app.
This best practice describes how to add all orders to a schedule and trigger scheduling for the
entire network of operations.
Note
This best practice also applies if you use drag and drop to change the start date of an order
operation with cross-order relationships.
Procedure
1. Open the Manage Work Center Utilization app and add the operations of all relevant
maintenance orders to a schedule.
2. Open the schedule and trigger automatic scheduling for all order operations.
The app schedules the relevant operations while taking all relationships into account.
Remember
As long as the processing status of an operation is Scheduled (Draft), the updated operation
dates are only visible in the schedule.
3. Dispatch the scheduled operations. The updated operation dates are saved in the
maintenance order.
4. Open the graphical view of the Manage Schedules app or the Maintenance
Scheduling Board app to check the cross-order relationships again.

Dispatching Order Operations
By dispatching an order operation or suboperation, you confirm that it has been scheduled at
the right work center and at the right time.
Prerequisites
You're in the Manage Work Center Utilization app or in the Maintenance Scheduling
Board app.
Before dispatching an order operation, make sure that any required materials, tools, and
permits are available and that any existing predecessor operations are dispatched.
We recommend that you schedule and dispatch all order operations in a maintenance
order together. If you schedule and dispatch order operations separately, make sure that
you check the status of the other order operations in the order as well as the status of
any related order operations in other orders.
Note
If operation data is changed by another user after you've opened the app, you are not notified. If
a longer period of time has elapsed before you start making changes, we recommend that you
refresh the app to get the latest operation data.
Context
This procedure tells you how to dispatch a single operation or a limited number of operations at
once using the Manage Work Center Utilization app or the Maintenance Scheduling
Board app.
You can also dispatch order operations from a schedule. For more information about this
option, see Scheduling Maintenance Order Operations.
Procedure
1. Optional: Set filters as needed to narrow down the list of order operations.
For example, show the due order operations and suboperations in a specific work center.
2. Select one or multiple order operations by marking the checkbox. Make sure to select
operations that have the processing status Due.
Dispatching or changing multiple operations in one go saves time and helps you to manage your
work centers e iciently. However, keep in mind that the fewer order operations you select to be
dispatched or changed at the same time, the faster the action is completed.
3. Choose Dispatch.
Tip
To change order operations in the Maintenance Scheduling Board app, you can either use the
toolbar buttons or the context menu that opens when you right-click an operation bar in the
chart. Note that the context menu is only available if you're using a desktop or laptop computer.
Results
The processing status for the selected operations changes from Due to Dispatched. Any
existing constraints on the operation dates are removed and a Must start on constraint is set.
Note
If you also selected operations that are already dispatched or in process, the processing status
of these operations does not change.

operations, for example, after canceling the dispatch of an operation.

Context
You've canceled the dispatch of an order operation. You now want to remove the Must
start on constraint that was set automatically when the operation was dispatched.
You want to cancel the dispatch of an operation and at the same time remove the
constraint. By removing the constraint of an operation, its dispatch is automatically
canceled and its status reset to Due.
You've set a new start date for an order operation that has a relationship to another
operation. Due to an existing Must start on constraint, the start date of the successor
operation is not adjusted. As a result, the relationship between the predecessor and the
successor operation is violated.
Once you remove the constraint set for the successor operation, the app automatically adjusts
the operation's start date to repair the relationship.
Procedure
1. In the table area, select one or more order operations by marking the checkbox.
2. In the toolbar, choose Remove Constraints.

To change order operations in the Maintenance Scheduling Board app, you can either use the
toolbar buttons or the context menu that opens when you right-click an operation bar in the
chart. Note that the context menu is only available if you're using a desktop or laptop computer.
Results
The app removes all constraints set for the selected order operations, including any Must start
on constraints. Keep in mind that operations may be rescheduled automatically if relationships
to other operations exist.

Context
An asset is a technical object in the SAP system. An asset can be a functional location or a
piece of equipment.
The following procedure describes the end-to-end process, starting with the Resource
Scheduling for Maintenance Planners app. Alternatively, you can use the Maintenance
Scheduling Board app to filter for maintenance orders associated with an asset.
Filters and table columns to find and show functional locations and pieces of equipment are
available in all apps. Note that you may have to add them manually to your current view.
Procedure
1. In your SAP Fiori launchpad, open the Resource Scheduling for Maintenance
Planners app. Add the functional location filter (and, if necessary, the equipment filter)
to the filter bar.
Tip
If you use a set of filters or table columns often, save them in a new view. For more information,
see Creating and Managing Views.
2. Filter for the functional location or piece of equipment that you are interested in. To find
all orders and operations associated with the asset and all its subobjects, enter a part of
the asset name plus an asterisk.
Example
You're looking for maintenance orders for all functional locations and pieces of equipment
under functional location XY01-AB. In the functional location filter, you enter XY01-AB*.
3. Click one of the cards for maintenance orders to open the Manage Work Center
Utilization app.
The app shows all maintenance orders and order operations that are associated with the asset.
4. To get a graphical overview of the asset in its hierarchical structure, including the
maintenance activities for the next 4 weeks, click the link in the Functional
Location column or, respectively, the Equipment column and open the maintenance
schedule.
The maintenance schedule opens in the Manage Maintenance Schedule for Assets app.

Procedure
1. If necessary, filter for the functional location or piece of equipment that you’re
interested in.
2. In the table area, click the link in the Functional Location or the Equipment column.
You can also use the link in the Technical Object column. Depending on the technical object
type, this column shows the same link as the Functional Location or, respectively,
the Equipment column.
The Manage Maintenance Schedule for Assets app opens. The default view shows data for the
next 4 weeks. You can, however, change this to one of the following time ranges:
o Current week
o Next week
Header Shows the name of the maintenance schedule, the time period, and the
superior asset.
Note
You can also open the maintenance schedule of the superior asset. To do
so, click the asset name.
Area Information Shown
Table Shows the asset and all subassets in their hierarchical structure.
When you expand the higher-level entries, the app shows all subordinate
assets (functional locations and pieces of equipment) that are currently
installed. Dismantled assets aren't shown.
Note
Note
For the default time period Next 4 Weeks, the chart's timeline starts one
week before this time period and ends one week after this period.
At the level of the maintenance order, a chevron bar shows you when the
order starts and ends. Colors are used to indicate the processing status of
the order (Due, Dispatched, In Process).
A red line below a bar indicates that the asset must be shut down. This
information is shown for order bars and for the summary bars shown at
asset level. The app retrieves this information from the system condition
set for a maintenance order.
At the level of the maintenance item, a colored chevron bar indicates that
a maintenance call object (maintenance order) has been generated.
Upcoming maintenance calls are visualized using an inverted pentagon
arrow.
Note
The app shows maintenance items if their call objects are maintenance
orders or service orders. If a maintenance plan is deactivated or marked
for deletion, the app does not show any call objects.
4. Adjust the layout of the table area as needed. To do so, click (Settings) to add the
required columns and to choose how you want the column content to be sorted.
Optional: If you want to keep the adjusted layout for future use, you can save it in a view.
5. Make settings to show additional information in the chart or to adjust the chart layout.
For example, you can enable the display of maintenance events in the chart. To open the
settings, click (Settings).
6. You can open maintenance orders and technical objects directly from within the app:
a. In the Maintenance Order column, click the name of the order. An information popover
opens.
b. To open the order, click the order name in the popover. To open a reference object
(functional location or equipment), click the functional location or, respectively, the equipment
name in the popover.

9. Right-click on a maintenance order to carry out the following actions more quickly.
Enter the desired date and time manually, or click on to select the new planned start.
The planned order start date is automatically set to the desired date and time.

Using Views
After you have adjusted the screen layout so that it best suits your needs, you can save the
layout as a view. The next time you call up the app, it will automatically display the layout that
you stored in your default variant.
Choose between displaying the Orders chart only, or both the Orders and
Resources charts.
Adjust the column width of fields shown in the Orders and the Resources sections on
the left side of the screen. Just pull the sides of a column to the desired width.
For most columns, you can also choose whether you want to display the column values
in ascending or descending order.
Note
The current layout of your screen is automatically saved as your default view My Scheduling
Board.
Note
You can save di erent layouts as di erent views. If you store more than one view, you can
choose which one you want to have as your default view. If you want to let your colleagues use a
view that you have set up, click on Public when you save it.

Chart Settings
If the label settings and the setting for the order summary display are enabled, the app adds a
corresponding toggle button to the toolbar. Using the toggle buttons, you can show or hide the
respective elements without having to open the settings dialog again.

Work E iciently
Organize table columns: You can add and hide columns as needed. To do so, click any
column header and select or deselect the relevant options. The app remembers the
displayed columns along with their set width and will keep your settings when you return
to the app.
Tip
To save your changes, click Go or briefly leave the app and come back to it. If you use the
browser refresh without saving the layout first, your changes will be lost.
Zoom in timeline: Press and hold the CTRL + SHIFT keys, then scroll up to zoom in (or
scroll down to zoom out) in the timeline at the cursor position.
Select multiple consecutive items in a table or a list: Select the first item by marking
the checkbox, press and hold the SHIFT key, then select the last item. To clear your
selection, click in the checkbox column header.
To trigger the same action for multiple orders at once, proceed as follows:
o Press and hold the CTRL key and click the orders that you want to select.
o Use your mouse to draw a "lasso" around the orders that you want to select.
The app highlights the orders in the "lassoed" area for which actions are available.
2. Right-click any of the selected orders. The context menu shows all actions that are
available for the order.
Show maintenance events in the Manage Maintenance Schedule for Assets app to easily
identify time periods during which an asset is available for maintenance. Then assign the
maintenance event to the order in the Change Maintenance Order app or in the Manage
Maintenance Schedule for Assets app to move the order to this time period.
Prerequisites
To work directly in the chart, for example, to drag and drop orders, or to open (right-click)
context menus for orders, you must use a desktop or laptop computer.
You've opened the maintenance schedule for an asset and enabled the Show
Maintenance Events setting.
Event-based planning buckets with maintenance events are available. An administrative
order exists for the event.
Note
Administrative orders inherit the time and scope data of the planning bucket. They're used to
block the production capacity of the asset on which the maintenance is performed.
Administrative orders aren't shown in the Manage Maintenance Schedule for Assets app. You
can view them in the Maintenance Scheduling Board app.
Context
This procedure describes one way of assigning a maintenance order to a maintenance event.
Alternatively, you can use the Manage Maintenance Backlog app.
Procedure
1. Expand the entries in the table area of the app. In the chart, color-coded brackets
indicate the maintenance events available for the asset. The color shows you whether or
not the asset will be shut down during the event.
2. Identify the relevant maintenance event and the maintenance order that you want to
move to this event.
3. In the chart, hover over the maintenance event or click the event shape to show the
event name. Make a note of the name.

Alternatively, configure the layout settings to show the maintenance event name as a label.
(see Gantt Chart Settings)
4. Select an order and then right-click to open the context menu and click Assign Event.
The order is assigned to the event and the chart area is automatically updated.
Tip
In the table area, add the Maintenance Event column to show the maintenance event in the
order row. You can also add it as a label in the chart area (see Gantt Chart Settings).
Results
If the maintenance order dates were initially outside the maintenance event time frame, the
order dates are adjusted. In the table area, the Maintenance Event column shows the event
name in the order row.
Tip
To open details for a maintenance event, you can either click the link in the Maintenance
Event column or the event shape in the chart. From the details, you can navigate to the planning
bucket that includes the event.

One way to schedule order operations is to set up schedules in the Manage Schedules app.
You can create multiple schedules to simulate and compare work center utilization in di erent
scenarios, collaborate with others, and dispatch all scheduled operations in one go.

A schedule is a worklist that includes the maintenance order operations to be completed in a
specific period.
Note
The following information is about the schedules that you set up in the Manage Schedules app.
For more information about maintenance schedules for assets, see Monitoring of Maintenance

What's in a Schedule?
A schedule is a simulation that is only visible to the person who created it and to people with
whom the schedule was shared. As a planner, you can make changes to a schedule until you or
somebody else freezes it. Any schedules that have not been frozen before its start date are
automatically deleted.
You can create one or more schedules for the same schedule period in the future. This allows
you to compare di erent scheduling variants.
Depending on the schedule status, a schedule includes maintenance order operations with
various processing statuses. You start by adding due operations to a schedule. The app then
adds operations that have already been dispatched or are in process if they overlap with the
schedule period and are in the same work center as the operations you added. These
operations make up a work center's base load.
Once you start setting a start date for due order operations –either manually or using automatic
scheduling–, your schedule also includes operations that have the status Scheduled (Draft).
When you freeze a schedule, these operations are dispatched and any remaining due
operations are removed automatically.
Once the schedule period has started and the schedule is being executed, in addition to order
operations with the processing statuses Dispatched and In Process, you will also see order
operations that have the processing status Confirmed. These operations have already been
completed by a maintenance worker.
Schedule Status
The schedule status indicates the current phase in the scheduling process. It also controls what
you can do with your schedule. The following interactive overview shows possible schedule
statuses. Click a status box for more information.

View Options
When you set up a schedule, you have two options to view the order operations in your
schedule:
List view
In addition to the list of order operations, the list view shows a utilization forecast for your work
centers.
Graphical view
This view visualizes the order operations on a timeline. Use the graphical view to quickly identify
scheduling conflicts and relationships between order operations. The graphical view is available
in the Scoping and Refinement phases.
Note
The graphical view is only shown if you are using a desktop PC, notebook, or tablet.
Collaboration Options
You can share a schedule with others, for example, if you want somebody from production to
review the schedule before you freeze it. The activity log that is part of each schedule helps you
to keep track of the changes made by others and allows you to post and reply to comments. You
can also download a schedule as a spreadsheet, for example, to share it o line.

Utilization Forecast
The utilization forecast is a chart that is available in the list view of a schedule. Depending on
the status of the schedule, the chart shows the forecasted work center utilization for the entire
schedule period or for each day of the week within the schedule period.
Note
The utilization forecast is only visible to planners. If you have been added as a reviewer to a
schedule, you do not see the forecast charts.
Schedule Forecast
In the Scoping phase, a schedule includes a work center utilization forecast for the entire
schedule period. In this schedule forecast, all operations in the schedule contribute to the load
in the schedule period, independent of the original planned operation dates.
Load caused by the due order operations that were added to the schedule
Load caused by the order operations that are already dispatched or in process in the
schedule period (base load)
Note
In resource scheduling, the individual capacities assigned to a work center are human
resources. In the maintenance order operation, the term capacities is used instead
of resources.
If the duration of a due order operation is less than the operating time of the work center,
the app calculates utilization based on the work of the order operation.
If the duration of a due order operation exceeds the operating time of the work center,
the app calculates utilization based on the operating time of the work center multiplied
by the number of resources required by the operation.
Order operations that have already been dispatched or are in process and whose dates
overlap with the schedule period are taken into account with the load that they cause in
the schedule period.
Order operations that you have already scheduled but not yet saved are also taken into
account. The app sums up the load that the scheduled operations cause on each day of
the schedule.
Example
Let's look at the “Mechanics” work center for a schedule of one week. The total operating time
per week is 40 hours. The total available capacity is 80 hours.
You now add operation “5501/10: Disassemble Machine” to your schedule. Let's assume it is
the only due operation added for this work center in the schedule period. The operation has a
duration and work of 10 hours and requires 1 resource (maintenance worker). Utilization is
calculated as follows:
As a result, the utilization forecast shows a utilization of 12.5% for processing status Due.
You now add operation “5501/20: Repair Hydraulic Components” to your schedule. The
operation has a duration of 10 hours, work of 20 hours, and requires 2 resources. This increases
the forecasted utilization by 25%:
Daily Forecast
In the Refinement phase, the schedule includes a daily forecast. The daily forecast shows the
forecasted utilization per work center for every day of the week within the schedule period. The
forecasted utilization is calculated based on the order operations that have one of the following
statuses: Scheduled (Draft), Dispatched, or In Process. The due operations in the schedule
are not used for the daily forecast.
Order operations that have already been dispatched or are in process, and whose dates
are only partially in the schedule period, cause a load on the respective days of the
schedule.
If an order operation is scheduled so that it starts in the schedule period and ends after
the schedule period, the utilization forecast is based on the load that is caused on the
relevant days of the schedule.
If you manually set a start date on which the work center cannot provide a time slot to
cover the entire order operation, and the duration of the operation is less than the
operating time of the work center, the operation is scheduled for the selected date. The
start time is set to the time when the work center opens.
If you manually set a non-working day as start day without specifying a start time, the
app schedules the operation for the selected day (from 00:00:00 to 23:59:59). The
forecast shows a utilization of 999%.
Example
Order operation “5701/10: Clean Engine and Apply Lubricants” was dispatched so that it starts
before and ends after the schedule period. The operation has a duration and work of 120 hours
and requires 1 resource. The operation causes a load of 40 hours in the schedule period. For
the “Mechanics” work center, this would result in a daily utilization of 50% from Monday to
Friday, and a utilization of 0% for Saturday and Sunday.
Forecasted Utilization (%) = Duration per Day / Available Capacity per Day * 100 = 8 / 16 * 100 =
50
Order operation “5804/10: Repair Equipment” was dispatched so that it starts before the
schedule period and ends on Wednesday at 4:00 p.m. The operation causes a load of 24 hours
in the schedule period. For the “Mechanics” work center, this would increase the daily
utilization by 50% for the days from Monday to Wednesday.

When you set a start date or trigger automatic scheduling for the order operations in your
schedule, the app tries to find a time slot for each operation in the schedule period, while
considering certain operation attributes, such as priority and relationships. You can also set the
start time manually.
Basic Factors
The following figure shows how the precedence of operations is determined when you use
manual scheduling. The factors are sorted in the order of importance.
The following example shows you how the priority of order operations a ects the scheduling
sequence. Let's assume that you use automatic scheduling. Note that there are no explicit
relationships between the operations.
Example: Scheduling Sequence Based on Priority (Automatic Scheduling)
Now, let's look at the same example again. This time you combine manual and automatic
scheduling. Let's assume you set Monday as start day for 4712/10 and then trigger automatic
scheduling for the remaining operations. The following figure illustrates the scheduling
sequence.
Relationships
If the person creating a maintenance order does not explicitly specify a relationship between
the order operations, the app uses the operation number to determine the sequence of
operations (implicit relationship). If an explicitly defined relationship exists for the operations in
an order, this relationship takes precedence over the normal operation sequence.
When determining time slots for order operations, the app only considers relationships
between operations that are included in your schedule.
The app takes into account predecessor relationships for the operation that is being
scheduled.
When determining a time slot for a predecessor operation, the app tries to schedule the
operation before its successor.
If the app does not find a time slot that allows it to keep the relationship, the result
depends on whether you use manual or automatic scheduling:
o If you manually set a start date, the operation is scheduled to start as soon as
the operation's work center opens on the selected start date.
o If you use automatic scheduling, the operation is not scheduled and the
processing status remains Due.
For example, if one operation in a network of related operations has a high priority, the app
considers all predecessors as high-priority operations, regardless of their actual priority.
Similarly, if the start day for one of the operations was set manually, all operations in the
network take precedence over automatically scheduled operations.
If there are multiple networks of related operations, the app uses the general rules described
above to determine which network to schedule first.
The following figure shows an example. Let's assume that you use automatic scheduling. The
operations in the first network take precedence because the network includes one operation
with very high priority, thus making the whole network a very high-priority one. The second
network comes next because it does not include any operations with very high priority.
The same rule is applied for the basic finish date and the order number. For total work, the app
uses the aggregated total work of all successor operations to determine an operation's
precedence for scheduling.
Now, let's look at the same example again. The following figure illustrates the sequence if you
combine manual and automatic scheduling. You set a start day for one of the operations in the
second network and use automatic scheduling for the other operations. The second network is
scheduled first because manual scheduling always takes precedence over automatic
scheduling.
Breaks
During scheduling, the app distributes the time for breaks proportionally over the opening time
of the work center. If shifts have been defined, breaks are distributed proportionally over the
time of the shift.
Example
The “Electricians” work center is available from 8:00 a.m. to 5:00 p.m., with a one-hour break.
No shifts have been defined for the work center. Order operation “4708/10: Install Wiring” has a
duration and work of 4 hours. When scheduling the operation, the app looks for a time slot of 4
hours and 30 minutes. This is because the app distributes the 1-hour break time proportionally
across the 9 hours during which the work center is open. As a result, if enough capacity is
available in the morning, the operation is scheduled from 8:00 a.m. to 12:30 p.m.
The app tries to schedule each operation on a single day. However, there are situations where
an operation has to be split across multiple days, or where there are gaps in the operation
execution during the day:
o The duration of the operation exceeds the operating time of the work center on
the selected start date
In this case, the app schedules the operation so that it uses the available capacity on the
selected date and the remaining required capacity on the next day.
If you want to schedule an order operation that spans multiple days, it may happen that there's
not enough capacity to schedule the entire operation for the schedule period. In this case, you
can manually set a start date for the operation in the schedule. The app then schedules a part of
the operation for the schedule. The remaining operation carries on after the schedule ends.
Keep in mind that the app does not check the capacity beyond the schedule end date. Make
sure that you check for potential scheduling conflicts occurring after the schedule end and
adjust the order operation dates as required.
If there are gaps between the daily shifts of a work center, an operation can also be split into
segments within one day.
Note
The fact that the app tries to avoid splitting operations across multiple days can create
scheduling gaps between operations. For example, if there is not enough capacity to execute an
operation at the end of a day, the entire operation will be moved to the following day. If you want
to close such a scheduling gap, set the operation start date and time manually to the preceding
day.

A scheduling conflict occurs, for example, when a work center does not have enough capacity
to schedule an operation for the selected day. Depending on the cause of the conflict and on
whether you use manual or automatic scheduling, scheduling is canceled or a fallback solution
is applied.
In the app, conflict warnings or error messages are shown for the operation that causes the
conflict, not for all operations involved in the conflict.

Conflicts are only shown if they occur in the schedule period. If an order operation is scheduled
in such a way that it extends beyond the schedule period, the app does not check the capacity

Tip
Similar e ects may occur if you create multiple schedules for the same schedule period and

Scheduling Conflicts
You have two options to schedule order operations. You can either set the start date and time
for an order operation manually (manual scheduling). Or you can have the app find a start date
and time for an order operation (automatic scheduling).
Manual scheduling is available in the Refinement phase. Automatic scheduling can be used in
both the Scoping and the Refinement phase.
In manual scheduling, you set a start date and, optionally, the start time for selected order
operations. In automatic scheduling, the app finds a start date and a time slot for an order
operation. In both cases, the app uses the same basic scheduling logic. If you combine both
options, manually scheduled operations take precedence over automatically scheduled ones.

Before you dispatch order operations or add order operations to your schedule, make sure that
any required material components are available. You can easily check the material availability
status in the resource scheduling apps.
Context
The material availability status shown in the resource scheduling apps is based on the material
availability (system) status of the maintenance order. Keep in mind that this status is always
shown at the level of the order header. This means that in the resource scheduling apps the
same material availability status is shown for all operations of a maintenance order.
Note
To execute a material availability check, you use the relevant asset management apps (for
example, the Schedule Material Availability Check app).
Procedure
1. Open the Resource Scheduling for Maintenance Planners app. Click one of the cards
for maintenance orders or work center utilization.
2. Select the relevant order operations and click Show Corresponding Orders.
The Maintenance Orders tab opens and shows the material availability status for the relevant
orders. The following status values are possible:

Setting Up a Schedule
Define the schedule scope by adding individual operations or entire orders to the schedule for a
specific schedule period. Then schedule the operations by setting a start date for them. You can
keep adjusting the scope of the schedule until you're ready to finalize it.

When you add individual order operations, make sure that the following applies:

We recommend that you schedule and dispatch all order operations in a maintenance order
together. If you schedule and dispatch order operations separately, make sure that you check
the status of the other order operations in the order as well as the status of any related order
operations in other orders.
Procedure
1. In your SAP Fiori launchpad, open the Resource Scheduling for Maintenance
Planners app. Click one of the cards for maintenance orders.
2. Decide whether you want to add individual operations or an entire maintenance order to
a schedule.
o To add individual operations, stay on the Maintenance Order Operations tab.
Select the due operations that you want to add to your schedule.
Tip
To check if an operation has already been added to a schedule, add the Included in
Schedule column using the table settings.
3. Click Add to Schedule. You can add the selected items to an existing schedule or
create a new one.
All existing schedules are grouped together based on how they were created:
If you've selected a maintenance order, the app automatically adds all operations that have the
processing status Due, are in a work center that you've assigned to yourself, and don't have
suboperations.
You can either open the schedule directly or add the selected items and stay in the current app.
4. If not already done, open the schedule. To do so, choose Open My Schedules in the
bottom right corner of the screen.
The Manage Schedules app opens, showing a list of schedules that you created or that other
planners shared with you.
5. Check the utilization forecast. You can show utilization based on various attributes,
such as processing status or priority.
If the forecasted utilization isn't yet optimal, you can do the following:

7. Move between the Scoping and Refinement phases as required to check the schedule
forecast and daily forecast. Keep adjusting your schedule until the forecasted utilization
is optimal.
The schedule status changes to Refinement. You can view the daily forecast and manually set a
start date and start time for operations.
The schedule status changes to Scoping. You can view the schedule forecast and add or
remove order operations. In the schedule forecast, you can visualize work center utilization
based on various attributes.
8. Move between the list view and the graphical view as required.

10. If you choose Use Optimized Data Access the schedule's data is put into temporary
storage (cache). This can speed up your user experience, as well as that of any other
colleagues working on it.

again at a later point in time, it is put back into temporary storage.

Schedules app and to adjust the layout of the chart.
Layout

Generating Schedules Automatically with an Application Job
If you have schedules that are repeated at regular intervals (for example, every week), you can
now have them automatically generated for you.
Fill out a simple job template to specify the details of your recurring schedules, such as in what
intervals you want the schedule to be generated, what length of time each schedule should
cover, as well as whether you want operations that have their planned start date within a given
timeframe to be automatically added to the schedule. You can also specify maintenance
planners or reviewers that you want to assign to the generated schedules.
Prerequisites
Check the entry for the template EAM Resource Scheduling - Generate Schedulein the
application job catalog SAP_RSH_CREATE_SCHEDULE and add it as necessary. You can do
this in Customizing for ABAP Platform under Application Server System
Administration Activation of Scope-Dependent Application Job Catalog Entries.
The initial screen shows you an overview of all application jobs that currently generate
maintenance schedules.
Carry out the following steps to create an application job that automatically generates
schedules at regular intervals based on criteria defined by you:
1. To create a new application job, click on Create, then fill out the following Template
Selection information:
a. Click on Define Recurrence Pattern to specify at what intervals you want the job to run.
b. If you do not want to start the recurring schedule generation immediately, uncheck Start
Immediately and enter the date and time for the Start of the application job, as well as the
relevant Time Zone.
Add details that apply to the header of the maintenance schedules in section Maintenance
Schedule Header:
Note
The default description contains placeholders which show a schedule's validity: {YYYY} for the
year and {Www} for the calendar week. The placeholders are automatically filled with the
correct values when a schedule is generated by the application job, for example Schedule-
2023-W34-Department_01.
You can change the text outside of the placeholders, but we recommend that you keep the
placeholders to include a dynamic time reference in the title of the generated schedules.
b. Enter a Schedule Start Date and Schedule End Date, or enter dynamic o sets from the
start date of the application job is run
Example
You want the Schedule End Date to always be two days after the application job is run, click
on , and under Dynamic Dates, choose Start Date + X Day(s), then choose 2 Days after.
c. You can also specify the Maintenance Planners as well as Reviewers that are
responsible for the generated schedules. If you include a maintenance planner or reviewer, then
they will be notified when a schedule is generated and can view or edit it, depending on their
role.
Note
d. If you want to automatically add operations to the generated schedules, select Add
Operations to Schedule?.
Give more precise instructions on what operations you want to be added to a schedule in
section Maintenance Order Operations. You make the selection of operations dependent on
the following criteria:
You can specify a specific operation start date or dynamic o sets to the run date of the
application job.
o its current operation subphase (for example, only add operationw that are in
operation subphase Ready to Schedule)
o Only add operations if they have not already been added to a maintenance
schedule.
4. Click on Check to find out whether any data needs to be corrected or added.
Note
You can click on Template to Save the application job settings you have just made to be used
for future reference. When you use a template to create a new application job, all the settings
and field values from the template are prefilled, so that you don't have to enter them again.
To see what templates are already available, click Template and then Manage.
5. When your entries are free or errors, click on Schedule to save the application job. It will
generate the schedules in the frequency and with the data that you have specified.
6. Optional: After a scheduled application job has run, you can check in the application log
to see if any warnings or errors have occurred.
Manual scheduling allows you to set a specific start date and time for the order operations in
your schedule.
Prerequisites
You are in the Manage Schedules app and have opened the schedule that you are
interested in.
Context
You use this option to manually set a start date and, if necessary, a start time for operations that
have the processing status Due, Due (Draft), or Scheduled (Draft).
Note
The draft statuses are only shown in your schedule. They are not visible in the other apps for
resource scheduling. They are also not visible to other maintenance planners who may have
added the same operation to their schedule.
To change the start date for an operation that has already been dispatched, you can use
the Change option in the Manage Work Center Utilization app.
In contrast to automatic scheduling, the manual scheduling option allows you to overbook a
work center. This option also allows you to set a start date for long operations that extend
beyond the schedule period. In this case, keep in mind that the app does not check utilization
after the schedule period ends.
Procedure
You can only select operations that have the processing status Due, Due (Draft) or Scheduled
(Draft).
2. Set the start date and, if needed, the start time for the selected operations. You have the
following options:
o Click Set Start Date and Time and select the start date and if required, the start
time. If you do not set a start time, the app finds the earliest available time slot
for each operation.
o If you just want to set the start date, you can also click a date in the Dates in
Schedule column. Note that this column is only shown when the schedule
period does not exceed 7 days.
o When refining your schedule, you can schedule individual order operations in
the graphical view by dragging them one at a time to the desired start date. The
operation is scheduled to the nearest hour to the drop position.
Example
If you drag and drop an operation at 08:10, the operation is moved to start at 08:00. If you drop it
at 08:40, it is moved to start at 09:00.
3. The app tries to schedule all relevant order operations. The following applies:
o The selected operations are scheduled for the selected date (and time). Their
processing status changes to Scheduled (Draft).
o If you specify a start date without specifying a start time, and the work center
does not have enough capacity or closed on this date, the operation is
scheduled for the selected date and a conflict warning is shown.
o If you specify a start time at which the work center is closed (non-working time),
the operation is not scheduled. The following applies:
Tip
In the graphical view, you can show non-working times. If you have enabled the relevant setting,
non-working times are visualized in the chart as light gray vertical bands.

To change the start date for an operation that has already been dispatched, you can use
the Change option in the Manage Work Center Utilization app.
In contrast to manual scheduling, automatic scheduling does not allow you to overbook a work
center. The app continues scheduling until work center utilization reaches 100%.
Procedure
1. If you are in the Scoping phase, you do not need to select any operations. The app
considers all due and scheduled operations.
If you are in the Refinement phase, select the due or scheduled operations that you want to
include in automatic scheduling.
The app tries to schedule all relevant order operations. The following applies:
o Operations with the processing status Due are scheduled for the earliest
possible date with su icient capacity. Their processing status changes
to Scheduled (Draft).
If the newly scheduled operations are of higher priority, operations that were scheduled
automatically may also become due again. This may happen if the newly scheduled operations
use up all work center capacity.
If the work center does not have enough capacity in the schedule period to complete all order
operations, scheduling continues until work center utilization reaches 100%.

There are several ways for you to access the schedules that you created and the ones that been
shared with you. A list of all your schedules is part of the Manage Schedules app.
Prerequisites
You have created at least one schedule or at least one schedule has been shared with you.
Note
When someone shares a schedule with you, you are notified automatically. Check your
notifications by clicking (Notifications) in the shell bar.
Context
In addition to accessing your schedules using the procedure described here, you can add
an Included in Schedule column to the list of operations in the Manage Work Center
Utilization app and the Maintenance Scheduling Board app. If an order operation is included
in a schedule, the column includes a hyperlink with which you can directly open the schedule.
Procedure
1. Use one of the following options to open the My Schedules list in the Manage
Schedules app:
o Open the Manage Schedules app from your SAP Fiori launchpad home page.
To access the schedules to which you have been added as reviewer, open the app using
the Manage Schedules - For Review tile.
o Open the Resource Scheduling for Maintenance Planners app and click
the My Schedules card.
o If you are working in the Manage Work Center Utilization app, click the Open
My Schedules button.
2. Optional: Filter the My Schedules list, for example, by date or by schedule status.

Use the enterprise search in the shell bar of the SAP Fiori launchpad to quickly access a specific
schedule.
Prerequisites
Context
The enterprise search, which is integrated in the SAP Fiori launchpad, allows you to quickly find
schedules by name or keyword. The search works on keywords used in the schedule name and
the schedule description. Keep in mind that you can only search for schedules that you created
or that have been shared with you.
For a list of your schedules, use the My Schedules card in the Resource Scheduling for
Maintenance Planners app or directly open the Manage Schedules app.
Procedure
1. In the shell bar of the SAP Fiori launchpad, click (Search). Enter the name of the
schedule or part of it or use a keyword that is used in the schedule description (if
available).

To limit the search results to schedules, select the Maintenance Planning Schedules category
before starting the search.
2. In the search results list, click the link for the schedule name.

Finalizing a Schedule
You finalize a schedule by dispatching all scheduled operations and freezing the schedule.
Once frozen, a schedule can no longer be changed. To make sure that the schedule works out,
you can share it with others for review before freezing it.
Prerequisites
Your key user has made the required setting to allow the freezing of schedules. For more
information, see Information for Key Users.
You are in the Manage Schedules app and have opened the schedule to be finalized.
We recommend that you schedule and dispatch all order operations in a maintenance
order together. If you schedule and dispatch order operations separately, make sure that
you check the status of the other order operations in the order as well as the status of
any related order operations in other orders.
Caution
If you dispatch an order operation that has a relationship to operations that are not part of your
schedule, you do not see if or how the related operations are moved. If the relationship is
violated, you are not notified.
If you want to check that any relationships between the operations in your schedule
remain intact, enable the display of relationships (implicit and explicit relationships) in
the graphical view.
Before dispatching an order operation, make sure that any required materials, tools, and
permits are available and that any existing predecessor operations are dispatched.
Context
Depending on how maintenance planning is set up in your company, you may want to share the
schedule with other planners or request a review of the schedule before finalizing it. For more
information, see Collaboration Options.
Procedure
o Use the list view to check the forecasted work center utilization.
o Use the graphical view to make sure that no scheduling conflicts exist and that
relationships between order operations are not violated.
o If you shared the schedule with someone, check the activity log for changes and
comments made by others.
2. Save and dispatch all scheduled order operations. To do so, click the arrow next to
the Freeze Schedule button and then click Save and Dispatch Operations.
Note
Alternatively, you can click Freeze Schedule right away. If your schedule includes scheduled
operations that have not yet been dispatched, the app tries to dispatch these operations before
freezing the schedule.
3. If not yet done, freeze the schedule to create a snapshot and lock it against further
changes.
o The app “freezes” the planned work and work center for an operation as well as
the available work center capacity.
This is required so that you can track and monitor schedule attainment once the schedule
period starts.
4. Recommended: If you have created any other schedules for the same schedule period
and work centers, delete them.

Collaborating on a Schedule
You can share a schedule you created or review a schedule that somebody else shared with
you. The activity log helps you to keep track of the changes made by co-planners and reviewers
of your schedule. In the log, you can also post and reply to comments.
Sharing Options
To share a schedule with someone who has access to the resource scheduling apps, you add
this person to the schedule, either as a maintenance planner or as a reviewer. The role you
choose sets the level of access to your schedule:
People that you add as a maintenance planner are co-planners with permission to
change, share, freeze, and delete the schedule. Co-planners can also post and reply to
comments in the activity log.
People that you add as a reviewer can view the schedule and post and reply to
comments in the activity log but are not allowed to make any changes. They also don't
see the utilization forecast shown in the Scoping and Refinement phases of a
schedule.
To share a schedule with someone who does not have access to the resource scheduling apps,
you can download the schedule as a spreadsheet.
The activity log helps you to keep track of the changes you and others make to a shared
schedule. The log also shows changes made to the order operations in a schedule.
If you and another planner are working on the same schedule at the same time, you can see the
other planner’s changes once you refresh the app or make a change yourself. If the other
planner starts changing an order operation before you do (for example, by rescheduling it), this
change takes precedence over your change and you will see an error message.
Commenting on a Schedule
In addition to showing changes made to a schedule, the activity log allows planners and
reviewers to comment on a schedule and to reply to existing comments. Comments are visible
to everyone with whom the schedule has been shared.

Sharing a Schedule
You can share a schedule by adding others as maintenance planners or reviewers. This is
useful, for example, if you want to make sure that your tasks are covered during your absence or
if you want to have the schedule reviewed before you freeze it.
Prerequisites
You're in the Manage Schedules app and have opened the schedule that you want to
share.
You created the schedule or you've been added to the schedule as a maintenance
planner.
Planners with whom you want to share a schedule must have assigned at least one work
center to themselves.
Only if this prerequisite is fulfilled will the planner's name be available in the Share
Schedule dialog.
Note
If all these prerequisites are fulfilled but you still can't add another planner or reviewer in
the Share Schedule dialog, contact your key user or administrator. App users with whom you
want to share a schedule must be available as business users.
Context
To revoke access to a schedule, follow the same steps as for sharing a schedule. In the Share
Schedule dialog, just remove the name of the person whose access you want to revoke.

To share a schedule with someone who doesn't have access to the resource scheduling apps,
you can download the schedule as a spreadsheet.
Procedure
2. Enter the name of the person or persons with whom you want to share the schedule. You
set the level of access by adding someone either as a maintenance planner or as a
reviewer.

The app sends a notification to the maintenance planners and reviewers with whom you've
shared the schedule. Planners and reviewers can see the schedule in their My Schedules list.

Schedule Attainment
Schedule attainment is the ratio of the work that was planned for the schedule period and the
work that was completed as planned in the schedule period. The attainment percentage helps
you track the execution of your schedule in the schedule period and to review a schedule's
performance once the schedule period is over.
The attainment percentage is calculated based on the number of hours of work that were
completed as planned and the number of hours that were planned for the schedule period.
It's important to keep in mind that to calculate the attainment percentage, the app uses the
work and the work centers that were planned at the time of the schedule freeze. The actual work
that was needed to complete an operation is not taken into account.
Example
An operation is scheduled to be completed in 8 hours and to start and end in the schedule
period. The maintenance worker is able to complete the operation in 6 hours and creates a final
confirmation in the schedule period. The attainment percentage is calculated based on the 8
hours of planned work, not based on the 6 hours it actually took to complete the work.
Color Coding
The attainment percentage is shown in a radial micro chart. Colors are used to indicate if the
current schedule attainment is good or bad. Depending on the percentage, the color of the
attainment percentage value is set as follows:

2. The app adds Operation 4712/10 to your schedule. This is because the operation is in
the same work center as 4711/10 and has already been dispatched for a date in CW 8.
3. In Calendar Week 7, you schedule and dispatch 4711/10 and 4713/10. You then freeze
your schedule to lock it against further changes.
4. Once Calendar Week 8 starts, you start tracking the execution of your schedule.
7. A maintenance worker confirms the completion of 4714/10. As a result, the app shows
Operation 4714/10 in your schedule as Completed in Addition.
o 4713/10 shows as Not Completed. The operation was dispatched from the

1. Open the Assign Maintenance Order Operations app. To do so, you have the following
options:
o Open the Assign Maintenance Order Operations app in your SAP Fiori
launchpad. By default, the app shows a list of all operations in your work centers
for the next 2 weeks.
o Open the Resource Scheduling for Maintenance Planners app and choose
the Unassigned Work card. Depending on where you click the card, the list of
operations is already filtered by assignment status or by assignment status and
priority.
2. Select one or more operations and choose Assign. A dialog box opens.
The app starts searching for people based on the performing work center of the selected
operations. If the work center is linked to a team, the search results show the team members
and their function. You can use the search bar to quickly filter the search results.
Note
The search looks for people assigned directly to the performing work center team in the
app Manage Teams and Responsibilities. The search does not look for people assigned to
subteams or for people assigned via HR linkage/HR Assignment in the performing work center.
Note
The app only takes into account people that are listed as employees at the time of the search. It
does not, for example, take into account whether a person is listed as an active employee at the
time that the operation is planned to be executed.
If the work center isn't linked to a team, or if your search doesn't yield any results, clear the work
center filter to extend the search to all people in your organization.
3. To assign a person responsible to the selected operations, choose the relevant entry
from the search results.
Caution
If another planner has assigned a person responsible using another application (for example,
the Change Maintenance Order app) after you've opened this app, you aren't notified
automatically. When you save your changes, the assignment made by the other planner is
overwritten with your changes.
Results
The app saves your changes for as many operations as possible. If your changes can't be saved
for an operation, the technical status indicates that an issue occurred.
Tip
Use the Technical Status filter to quickly find the operations that couldn't be saved. You can
either undo your changes by resetting the relevant operations. Or you can come back to the app
at a later point in time and try saving your changes again.
Saving fails, for example, if the corresponding maintenance order is locked. Your changes are
also not saved if another planner changes the operation start and end dates in such a way that
they are no longer in the time period currently shown in the app.

Assigning operations to people in the People Gantt has the following benefits:
You can see which people are assigned to the team of the performing work center and
display additional information, such as each person's function.
You can see at a glance whether an operation is usually carried out by one or by more
people and assign the correct number.
You can see what other operations these people have been assigned to in the timeframe
displayed.
You can delete assignments if you see that a person is overloaded, for example.
You can use filters to find operations where nobody has been assigned.
You can use filters to find all operations that have been assigned to a particular person.
This can be useful, for example, if a team member falls ill and you need to reassign their
operations to other members in the work center team.
Note
The People Gantt displays only people that are a member of the team that is responsible for the
performing work center of the selected operation.

Main Tasks
The following list includes the main tasks involved in assigning operations to people:
Please note that the following factors have an impact on any people assignments that you
make:
If, during people assignment, you select operations that have di erent work centers, the
system shows everyone assigned to these work centers. Any assignments you make are
applied to all the selected operations. If you want to make sure that people are only
assigned to operations that are carried out at their work centers (see also Setting Up
Teams for Work Centers), make sure you select operations that are carried out at the
same work center when you assign people.
If you change the date or time of an operation that already has people assigned to it,
then the date and time of the people assignment will no longer match.
If this happens, the timeframe of the People Gantt is expanded to show both the dates and
times of the original people assignments, as well as the changed operation dates and times.
Tip
To avoid this extra manual e ort, we recommend that you assign people to operations only after
they have been dispatched.
The People Gantt shows you people that have been assigned to an operation via its work
center team. People assignments that have been made in external applications are not
shown.

The actions currently possible for that person (either Assign, or Unassign)
By right-clicking on the header section of the table area, you can add the columns Work
Center, Plant, and Personnel No., if needed.
The chart area shows the following information for each individual:
working times
The planned times and dates of the operations that you selected in the Maintenance
Scheduling Board. The planned start and end of the operations is visualized by a blue
bar above the time line. The planned start and end times are visualized by vertical
dashed blue lines in the People Gantt chart. Any people assignments that you make will
be placed between these two lines.
The Gantt chart timeline. As a rule, the chart timeline starts at 00:00 on the planned
operation start date and ends at 23:59 on the planned operation end date.
Other operations (order and operation number) the team member has already been
assigned to.
You can assign one or more operations to the people that you want to carry out the work.
Prerequisites

1. In the Maintenance Scheduling Board, select the (sub-)operations for which you want
to call up the People Gantt.
o In the chart area, select the (sub-)operations, then right-click to open the
context menu and click Assign People.

o In the table area, mark the checkbox at the beginning of the (sub-)operation
lines, then click the toolbar action Assign Assign People.
The People Gantt lists all people that are assigned to the relevant work center team.
3. Based on the information displayed, choose the individual or individuals that you want
to assign to the work, then click Assign in the respective rows.
You see the draft assignment reflected in the chart area in blue, based on the planned start and
end of the operations.
4. If you are happy with your assignments, click Save.
The individuals are assigned and the respective fields are updated.
Example
Assigned People now shows Paola, Michel and the Assignment Summary shows 2/2.
Tip
If you add the fields Assigned People and Assignment Summary to your view of
the Maintenance Scheduling Board (see Using Views), or if you add them as labels in the Gantt
chart (see Gantt Chart Settings), you can see at a glance who has been assigned to an
operation, as well as where assignments are still missing.
When you unassign an operation from individual people, they are no longer planned to carry out
the work. The operation can then be reassigned.
Prerequisites
Procedure
1. Select the (sub-)operations with existing assignments where you want to unassign
individuals.
o In the chart area, select the (sub-)operations, then right-click to open the
context menu and click Assign People.
(For tips on how to select multiple elements in the chart, see Tips and Tricks.)
o In the table area, mark the checkbox at the beginning of the (sub-)operation
lines, then click the toolbar action Assign People.
The People Gantt lists all people that are assigned to the relevant work center team.
3. Choose the individual or individuals that you want to remove from the assignment and
click Unassign in the respective rows. As an alternative, open the context menu and
choose Delete to remove any existing assignements.
4. Click Save.
The assignments are removed and the respective fields are updated accordingly.
Example
Operation 4711/10 requires 2 people. Paola and Michel have been assigned (Assigned
People: Paola, Michel; Assignment Summary: 2/2).
After unassigning Michel, you see Assigned People: Paola and Assignment Summary: 1/2.
When you unassign an operation from all people, all assignments are removed.
Prerequisites

1. Select the (sub-)operations for which you want to remove all people assignments.
o In the chart area, select the (sub-)operations, then right-click to open the
context menu and click Unassign All People.

All assignments are removed and the respective fields are updated accordingly.
Example
Operation 4711/10 requires 2 people. Paola and Michel have been assigned (Assigned
People: Paola, Michel; Assignment Summary: 2/2).
After unassigning Paola and Michel, the fields People Assignment is empty, and Assignment
Summary shows 0/2.
If a person has been assigned to multiple operations and the assignments overlap on the
timeline, this is visualized in the People Gantt by a thin red bar above and below the period
where the overlap occurs. You can find out more details and fix the assignment by carrying out
the following steps.
Prerequisites
You are in the Maintenance Scheduling Board app and have selected operations and called up
the People Gantt. A thin red line above and below assignments in the chart indicates an overlap
conflict for a person.
Procedure
1. Click on the conflict (thin red line), or click at the start of line of the person in question
to expand the information shown.
You can now see which assignments overlap.
Note
You can always delete assignments, regardless of whether they are overlapping or not.
You can use filters in the Maintenance Scheduling Board to look for operations where you still
need to assign people, for example, or to find all operations that have been assigned to a
particular person. This can be useful if a team member falls ill and you need to reassign their
operations other members of the team.
To reassign work that was assigned to a person, carry out the following steps:

2. Click on Adapt Filters, select People Are Assigned from the list and then click OK.
The Maintenance Scheduling Board shows all operations that have not been assigned to
anyone.

3. Either start typing the name of the person, or use the dropdown menu to pick the correct
person from the list. Now click Go.
The Maintenance Scheduling Board shows all operations that are assigned to that person
during the selected time period.

As a maintenance supervisor or authorized maintenance planner, you can set up and manage
teams for maintenance work centers.
Maintenance planners can search for people in specific work centers when assigning a
person responsible, or assigning people to carry out the maintenance operations.

Context
A work center can be linked to exactly one team, and a team can be linked to exactly one work
center. In addition, a person can only be assigned to one work center team at a time.
Procedure
1. Open the Manage Teams and Responsibilities for Work Centers – Asset
Management tile.
This tile provides application-specific access to the Manage Teams and Responsibilities app,
with the team category filter already set. Work center teams must be of
category MAINT_TEAM (Maintenance Work Center Team).
3. Enter the required team information. In addition to the team name and ID, you must
specify a team type. The team type relevant for work center teams
is SMNT_TEAM (Maintenance Work Center Team).
If you want the team to be available for use immediately after its creation, change the status
to Enabled.

Responsibilities for details about the relevant scope times and configuration tasks involved.
4. To define responsibilities for your team, enter the performing work center.

With this app, you can view a list of the maintenance orders that are associated with a specific
maintenance planning bucket. The maintenance backlog of an operational planning bucket
shows all orders that have been automatically assigned to the planning bucket according to
their scheduled start, their scheduled end, and to the attributes fitting in the scope of the
planning bucket. The maintenance backlog of an event-based planning bucket shows all orders
that have been assigned manually to the maintenance event. Orders that have been set to Do
not execute or that have been marked for deletion are not displayed in this app.
You can view important order details, such as the order status, the order priority and the final
due date. You can view the availability and consumption of the required stock components,
view messages from the latest ATP check, and navigate directly to the Schedule Material
Availability Check app. You can monitor the procurement process for all required non-stock
components and external services. In addition, you can view all maintenance work that has to

You can only access this app via the Manage Maintenance Planning Buckets app and

Note
This app has been designed to be used within the functional scope of the Reactive Maintenance
(4HH) and Proactive Maintenance (4HI) scope items that di ers from how the maintenance
process had been run before (based on the scope items BH1, BH2 and BJ2). Some of the
features might not work in the same way or they might not work at all. Furthermore, not all the
features of this Fiori app are available for maintenance orders of order types for which the phase
model has not been activated.

Jump easily from the maintenance orders of the current planning bucket to those of the
previous or the next planning bucket.

the application job catalog SAP_RSH_EAM_VERIFY_WORKCENTER_AUDIT and add it as
necessary in Customizing.
Schedules that include operations from archived maintenance orders are automatically
deleted. In addition, the work center assignments app users make in the resource scheduling
apps are deleted if the corresponding user data is deleted.
Deletion of Schedules
If app users do not freeze the schedules they create, the schedules are automatically
deleted once the target week starts.
If app users freeze the schedules they create, the schedules are stored in the database.
There is no independent archiving object for the archiving of schedules. If a
maintenance order is archived using archiving object PM_ORDER, all schedules that
include operations from this order are automatically deleted in resource scheduling.
Note
The freezing of schedules must be allowed in Customizing. As a key user, make sure that the
required setting is in place.
If the user who created the schedule is deleted (for example, if the user leaves the
company), all user-related data is deleted as well. This means that you will no longer see
who created (or changed) a schedule.
App users need to assign work centers to themselves in order to see data in the resource
scheduling apps. If user data is deleted (for example, because the user leaves the company),
these assignments are deleted automatically.

scheduling apps. Using a report, you can delete these assignments for specific users, for
example, if a user leaves the company.

The following settings are required so that a work center can be used in the resource
scheduling apps:
o An appropriate usage key must be specified on the Basic Data tab in the work
center master data. The specified usage key must be relevant for Plant
Maintenance.
o Make sure that app users are authorized to display work center data.
The following settings are required if you want app users to be able to change work
center capacity in the resource scheduling apps:
We recommend that you set up your business process in a such a way that one
maintenance planner is responsible for a work center. This is to avoid conflicts during
the scheduling and dispatch of order operations.
Q: Why is there no value help available in the Share Schedule dialog and the Assign dialog?
Before app users can share a schedule with others in the Manage Schedules app or assign
maintenance order operations to a person responsible in the Assign Maintenance Order
Operations app, you must ensure that the users with whom a schedule is to be shared or to
whom a maintenance order operation is to be assigned are available as business users.
Q: What do I need to keep in mind when setting up the maintenance planning process?
Your system should be configured in such a way that automatic scheduling is performed
whenever order dates change.
If you want to prevent operations from being dispatched before all prerequisites are
fulfilled, set up user status profiles. Prerequisites can include the availability of permits,
required tools, or the dispatch of predecessor operations.
Use the same priority definition for order types that are often used together by
maintenance planners.
To be able to work with orders and operations in the resource scheduling apps, control
keys must be configured as follows:

Q: Why don't I see any data in the apps?
Before you see any data in the apps, you must assign at least one work center to
yourself.
Unless you've configured your default view to be applied automatically, you don't see
any key figure cards when opening the Maintenance Scheduling for Resource
Planners app from your SAP Fiori launchpad. To show any information in the app, you
must click Go first.
Tip
To show the key figure cards immediately after opening the app, select the Apply
Automatically checkbox for the view that you want to use as default view.

Q: Why are there apps missing on my SAP Fiori launchpad home page?
Most apps are available as tiles on your SAP Fiori launchpad home page. The following
apps, however, are by default only accessible via another app:
o You can access the Manage Work Center Utilization app via the cards shown in
the Resource Scheduling for Maintenance Planners app.
o You can access the View Maintenance Schedule for Assets app via
the Maintenance Scheduling Board app or the Manage Work Center
Utilization app.
For more information about how to create your own tiles with access to specific apps or
data, see Share Apps and Create Bookmarks for Apps in the user guide for SAP Fiori
launchpad.
The display time period is relative to the current date. For example, if the time period
is Next 4 Weeks, the display time period starts on the current date and includes the
remaining days of the current calendar week plus the following 3 calendar weeks. If
it's Next 2 Weeks, the display time period starts on the current date and includes the
remaining days of the current calendar week plus the following calendar week.
As a rule, dates and times are generally shown in the Fiori Launchpad time zone (that is,
the time zone of the app user), apart from the following dates and times, which are
displayed in the system time zone::
o shift start and end (in the Change Work Center Capacity view)
o all dates and times shown in the Verify Usage Measurement app
A calendar week always starts on a Monday and ends on the following Sunday.
The data shown in the resource scheduling apps is best viewed on larger screens.
However, many features can be used on mobile devices as well.
The following features aren't available for smartphones. Availability for other mobile
devices is limited depending on the type of device you're using:
If data, such as order operation data or work center data, is changed by another user
after you've opened one of the resource scheduling apps, you aren't notified. If a longer
period of time has elapsed after you've opened the app, make sure to refresh the apps to
get the current data. This ensures that your changes are always based on the latest
operation data.
If another user is working on an object that you want to change, for example, a
maintenance order or work center, you cannot save your changes and an error message
is shown.
There's one exception: If you're in the Assign Maintenance Order Operations app and another
planner assigns a person responsible to an order operation using another application, the
assignment that you're creating in the app overwrites the person responsible assigned by the
other planner.
When you navigate back to an app from another app, the app is in the same state as
when you left it. If you come back to the Maintenance Scheduling Board app, for
example, expanded entries are still expanded and any filters that you added are still in
place. To see any changes that were made to orders and operations while you were
working in another app, you must refresh the app manually (for example, using Go or
the F5 key).

Q: When is a work center overloaded? What is the target utilization for a work center?
The threshold above which a work center is overloaded is specified in the work center's
master data. The capacity utilization is defined as part of the standard available
capacity specified at the header level of the work center capacity.
In the Manage Work Center Utilization app, you can set a target utilization percentage
that is shown as a target line in the utilization chart. This value is only relevant for
displaying work center utilization in the chart.
In the Manage Schedules app, the utilization forecast chart shows the planned
utilization, which depends on how many operations are scheduled to be completed in
the schedule period.
If you schedule the operations manually, you can overload a work center. If you use automatic
scheduling, the app stops scheduling when work center utilization reaches 100%.
A percentage of 999% is shown if a work center has no capacity at all in the relevant
time period (for example, on a non-working day) but has maintenance order operations
or maintenance plans that require capacity.
If you enable the display of work center utilization in the Maintenance Scheduling
Board app, a red utilization bar is shown on non-working days on which maintenance
order operations, suboperations, or maintenance plans are assigned to a work center.
Q: How can I visualize the utilization of my work centers? When to use what option?
You can visualize the current utilization of your work centers in the following apps:
o Manage Work Center Utilization app: Work center utilization is visualized in the
chart that is part of the Maintenance Order Operations tab. The utilization
percentage is calculated based on the order operations and suboperations in
your work centers.
You can combine the use of the filter bar with the utilization chart to optimally plan the
utilization of your work centers before moving operations between work centers or finding a new
start date for operations. For more information, see Visualizing Work Center Utilization Based on
Various Attributes.
Once you start working with schedules, you can see the forecasted work center
utilization per schedule (at schedule and day level) in the Manage Schedules app.
The utilization forecast is based on the maintenance order operations that are included in the
schedule.
Maintenance plans contribute to the capacity load if they are scheduled to be called in
the relevant time period.
The apps consider maintenance plans whose maintenance call objects are
maintenance or service orders. Maintenance plans with other types of call objects are
not taken into account. Inactive maintenance plans or maintenance plans that are
marked for deletion are also not taken into account.
You can show the load caused by maintenance plans in the chart that's part of
the Manage Work Center Utilization app. Show utilization by processing status.
Maintenance plans have the processing status Ready to Be Called.

Browse through these FAQs if you have questions related to the scheduling and dispatch of
order operations.
Schedules that you have not shared with somebody else are only visible to you. The
changes you make during scheduling (for example, setting a new start day for an order
operation or moving an operation to another work center) become visible to others when
you save and dispatch the operations from your schedule.
You can share a schedule with others by adding them either as maintenance planners or
as reviewers. Maintenance planners can modify, share, or delete the schedule.
Reviewers cannot make any changes to the schedule.
Planners with whom you want to share a schedule must have assigned at least one work
center to themselves.
Only if this prerequisite is fulfilled will the planner's name be available in the Share
Schedule dialog.
Note
If all prerequisites are fulfilled but you still can't add another planner or reviewer in the Share
Schedule dialog, contact your key user or administrator. App users with whom you want to
share a schedule must be available as business users.
Q: Why does my schedule include more than the due operations that I selected for
scheduling?
When you set up a schedule, in addition to the due operations that you add to your
schedule, operations that have already been dispatched or are in process are added
automatically if they overlap with the target week and are in the same work center as the
selected operations. These operations make up a work center's base load.
Check if the schedule has been shared with other planners. Somebody else may have
added operations to or removed operations from the schedule.
It may happen that another planner changes an order operation in another app after you
added it to your schedule. Depending on the nature of the change and the processing
status of the order operation, the operation may automatically be removed from your
schedule.
Similarly, if an order operation is moved to another work center, this work center's base
load is added to your schedule, while some operations from the original work center
may automatically be removed.

Q: Anything to keep in mind before I start scheduling and dispatching order operations?
Before dispatching an order operation, make sure that any required materials, tools, and
permits are available and that any existing predecessor operations are dispatched.
You should schedule and dispatch all order operations in a maintenance order together.
If you schedule and dispatch order operations separately, make sure that you check the
status of the other order operations in the order as well as the status of any related order
operations in other orders.
When you dispatch an order operation using the resource scheduling apps, any existing
constraints on the operation dates are removed and a Must start on constraint is set.
This constraint remains in place even if you decide to cancel the dispatch again.
Tip
In the Maintenance Scheduling Board app, you can enable a setting to show Must start
on constraints for operations in the chart. Using this app, you can also remove any constraints
for order operations, for example, after canceling the dispatch of an order operation.
When you dispatch an order operation as part of a schedule and this operation has a
relationship to operations that are not part of your schedule, you do not see if or how the
related operations are moved. If the relationship is violated, you are not notified.
For you to be able to freeze a schedule, your key user or administrator must have
enabled the required setting.
Conflicts are shown for the operation that causes the conflict, not for all operations
involved in the conflict.
Conflicts are only shown if they occur in the schedule period. If you (manually) schedule
an order operation in such a way that it extends beyond the schedule period, the app
does not check the capacity situation beyond the schedule period.
Therefore, make sure to check for potential scheduling conflicts beyond the schedule period
and adjust the order operation dates as required.
If you dispatch an order operation that has a relationship to operations that are not part
of your schedule, you do not see if or how the related operations are moved. If the
relationship is violated, you are not notified.
Scheduling Conflicts
A scheduling conflict occurs, for example, when a work center does not have enough capacity
to schedule an operation for the selected day. Depending on the cause of the conflict and on
whether you use manual or automatic scheduling, scheduling is canceled or a fallback solution
is applied.
In the app, conflict warnings or error messages are shown for the operation that causes the
conflict, not for all operations involved in the conflict.

Conflicts are only shown if they occur in the schedule period. If an order operation is scheduled

Implicit relationships are used if, or when no explicit relationships exist. Implicit
relationships are only used for operations in the same order. The operation number is
used to determine the sequence of operations. Implicit relationships are finish-start (FS)
relationships.
Note
If the scheduling type set for a maintenance order is Only capacity requirements, the apps
don't show any implicit relationships.
Q: Can I create and delete relationships using the resource scheduling apps? Anything to
keep in mind?
You can create and delete relationships in the chart of the Maintenance Scheduling
Board app. To do so, you must be using a desktop or laptop computer and a mouse or
your keyboard. Touch input isn't supported.
As soon as you create a relationship in the chart, all implicit relationships in the order
are deleted automatically. Note that implicit relationships can't be deleted manually.
If you delete all explicit relationships in an order, all implicit relationships are restored.
The app adjusts the start date of successor operations automatically. However, this only
applies if no date constraints exist and if the related operations are included in the same
order. If you create a cross-order relationship, you must trigger order scheduling
manually to have the start dates of successor operations adjusted by the app.
Q: Do the resource scheduling apps take relationships between order operations into
account during scheduling?
To make sure that the successor operation is scheduled automatically when you create
a relationship between two order operations (in the same order), remove any date
constraints for the successor.
When you create cross-order relationships, you must manually trigger order scheduling
to schedule any successor operations accordingly. In the Maintenance Scheduling
Board app, you can do this one order at a time. To trigger scheduling for all a ected
orders at once, you can use the Manage Schedules app.
The Manage Schedules app takes into account finish-start (FS) relationships and start-
start (SS) relationships between operations that belong to the same order and between
operations that belong to di erent orders (cross-order relationships). The app takes into
account predecessor relationships for the operation that is being scheduled.
When determining a time slot for a predecessor operation, the app tries to schedule the
operation before its successor. If the app doesn't find a time slot that allows it to keep
the relationship, the result depends on whether you've used automatic scheduling or
whether you've manually set a start day:
o If you've manually set a start day, the operation is scheduled to start as soon as
the operation's work center opens on the selected start day.
o If you change the start date for an operation with successor operations, the start
date for these operations may also change. This depends on how automatic
scheduling (the standard function available in Asset Management) is configured
in your system. As a result, it may happen that successor operations are moved
to a date outside the time period shown in the apps.

Status FAQs
Browse through these FAQs if you have questions about the statuses shown in the resource
scheduling apps.
Some of the statuses shown in the resource scheduling apps are mapped to system
statuses that exist outside of resource scheduling. Others are only used in the resource
scheduling apps.
Processing This status indicates the stage in the planning and scheduling
status process for a maintenance order, order operation, or
suboperation. It is used only in resource scheduling, but is
mapped to one or more operation subphases and system
statuses.
Processing Status
Completion This status is shown in the Manage Schedules app after the
status schedule period has started. It indicates whether completion of
work for an order operation has been (partially) confirmed.
Schedule status This status indicates the current phase of a schedule. It is only
used in resource scheduling.
About Schedules
As a rule, the processing status for a maintenance order is set according to the lowest
processing status of the included order operations.
Example
If a maintenance order has five operations that have the processing status Dispatched, and one
operation with processing status Due, the processing status shown for the order is Due.
If you filter for a specific processing status and an order has at least one operation with
this status, this status is also shown for the maintenance order.
Other statuses (assignment status, completion status) used in resource scheduling are
only used at order operation level. They are not relevant at order level.
What if a maintenance order has more than one material availability status?
The material availability status shown in the resource scheduling apps is derived from
the relevant system status of the maintenance order. In rare cases, a maintenance order
can have multiple material availability (system) statuses at the same time. In the
resource scheduling apps, only the “lowest” material availability status is shown. The
following applies:
o No material

If the assigned material components are removed from the order and a material
