FMS Development Case

Study
Overview

The purpose of this exercise is to give you an opportunity to showcase


your engineering thought process, problem-solving skills, and technical
creativity. We are more interested in your approach and how you justify
your decisions than in finding a single "correct" answer. Please use the
next 3-5 days to complete this assignment at your own pace.

General Instructions:
●​ Submission Format: Your final submission should be a single PDF document.
●​ File Naming: Please name your file in the following format:
TeamName_CollegeName_A-1Launchpad.pdf.
●​ Tools: You are encouraged to use sketches, diagrams, and CAD software (if
available to you) to illustrate your concepts. Hand-drawn sketches are perfectly
acceptable if they are neat and clear.
●​ Original Work: This must be your own team work.
●​ Deadline: Please email your completed PDF to 4th Aug,2025.
A Case Study on Digital Document
Preservation
Your Task:
To build an idea and method of document preservation method of all products as per project
from Sales to dispatch organisation wide.

The objective is to attain full traceability of documents for each project undertaken by A-1, so
that it can be shared with external auditors in external audit & customers during customer visit
as proof of keeping traceability of products & their related documents.

Notes:
Data & ideas should be stored on Google drive for tracking and analysing.
No recurring cost.

Input Source - Individual departments & Google

External - External Auditor, Customers


Internal - Internal departments from sales to installation, QMS

Process Flow
1.​ Customer PO (By customer)
2.​ PO Order (Indent from PPC)
3.​ Internal WO/SO (Sales support)
4.​ Technical Specifications (E.g.: QAP, ITP, FAT, etc) (Quality Department)
5.​ Invoice + RMTC (External Supplier)
6.​ Internal Testing Reports (E.g. : First piece inspection, Lot wise inspection report, etc)
(Quality Department)
7.​ Process reports (E.g. : Logbook, checksheets, etc)(Individual Department)
8.​ PDI Report (Quality department)
9.​ Packing list (Packing Dept.)
10.​Dispatch Report (Dispatch Department)
11.​A-1 Invoice (Dispatch Department)

Deliverables:
1.​ Folder management system (FMS) - Digitally or may be some other type.
2.​ End to end document traceability from all departments.
3.​ Feasible (Easily retraceable from FMS)
4.​ Easy identification within FMS

Example - If a Project name is ‘ABC’ and It covers the documents from sales to design,
estimation, drawing, PPC, production, planning and so on. How will all documents, records be
connected with each other and how will it be traceable back?
