Clean Desk Policy

A clean desk policy is part of an overall company security strategy. It is, as it states, about keeping
your work desk clean. In general, a clean desk policy will mandate that at the end of each working
day, employees clear their desks. This means, for example, securely disposing of Post-It notes,
keeping written notes in a safe place, and ensuring that any removable media isn’t just lying around.
Keeping desks clear of clutter is less about making the office look smart, and more about preventing
the theft of sensitive information, or gaining access to a desktop because a carelessly left out paper
note has a password written on it.
We all have our own ways of creating our perfect working environment. Some of us like to have
photos of family on our desks, some of us like the minimal look and then there are those of us who
must delve through several layers of old Post It notes.
This policy outlines clearly how we manage our workspace as SIDGS Employees. The policy shall
apply to all SID Global Solutions employees, contractors, and affiliates.
Policy Guidelines
Employees are required to secure all sensitive/confidential information in their workspace at
the conclusion of the workday and when they are expected to be away from their workspace
for an extended period. This includes both electronic and physical hardcopy information.
Computer workstations/laptops must be logged out or shut down) when unattended and at
the end of the workday. Portable devices like laptops and tablets that remain in the office
overnight must be shut down and stored away.
Mass storage devices such as USB and Pen drives, or external hard drives must be treated as
sensitive material and locked away when not in use.
Printed materials must be immediately removed from printers or fax machines. Printing
physical copies should be reserved for moments of absolute necessity. Documents should be
viewed,, shared and managed electronically whenever possible.
All sensitive documents and restricted information must be placed in the designated
shredder bins for destruction.
File cabinets and drawers containing sensitive information must be kept closed and locked
when unattended and not in use.
Passwords must not be written down or stored anywhere in the office.
Keys and physical access cards must not be left unattended anywhere in the office.
Headphones should be wrapped up and placed on dividers, under desks, or in drawers.

We value our roots as a family-friendly workplace. Employees are encouraged to decorate their desks
with appropriate personal items such as family photos, decorations, and work-appropriate
memorabilia.

Maintenance
Here are some tasks to include on your cleaning plan:
Daily Tasks
Remove all food and beverage items from your work area.
Put items and files back where they belong.
Secure in-progress projects you leave out, so custodial staff feels confident cleaning around
them.
Recycle, shred or toss papers, snack wrappers and other refuse.
Rinse and stow coffee mugs or return them to the breakroom.
Flag stubborn stains on hard surfaces, upholstery and carpeting/flooring for custodial staff
attention.
Use a microfiber cloth to remove dust from your computer screen/monitor.
Wipe down your desk, keyboard and phone with antibacterial wipes.
Manage the cords on one's desk. Headphones and personal cords should be put away when
done using.
Weekly Tasks
Get your trash emptied and recycling into larger, centrally located bins, if available.
Clean your computer monitor/screen with an approved screen cleanser or wipe.
Sort through piles of documents that have accumulated despite your daily efforts.
Replace broken tools (the stapler that doesn’t staple, for instance) to reduce clutter and
improve productivity.
