Function keys in Excel

F1 shows Excel help


F2 Enter edit mode for the active cell
If a defined name exists, show the dialog box.
Take name.
F4Repeat the last action. Also, when writing a formula it allows to change
among relative, absolute, and mixed references.
F5 shows the Go to dialog.
F6Move between the panels of a divided book.
F7 Show the Spelling dialog.
F8Activate the Expand selection mode that allows you to increase the range
selected using the arrow keys.
F9Calculate the result of the formulas in all sheets of the books
open.
F10 activates the menu bar.
F11 creates a chart sheet with the selected range of cells.
F12 Show the Save As dialog.

Single-key shortcuts

AltActivate the menu bar.


Scroll down one screen within the sheet.
EnterComplete the entry of a cell and select the cell below.
Esc cancels the entry of a cell. It also closes any box
shown dialogue.
Space activates or deactivates a checkbox within a box
of dialogue.
Activate or deactivate Final Mode. When in Final Mode, it is possible to...

Shift+F8 Allows you to add another range of cells to the selection.
Shift+F9 Calculates the formulas of the current sheet.
Shift+F10 shows the right-click menu for the selection.
Shift+F11 Inserts a new sheet.

Keyboard shortcuts for navigating in Excel

Alt+Page Down Move one screen to the right in the sheet.


Alt+Page Up Move one screen left in the sheet.
Ctrl+. Move to the next corner of a selected range.
Ctrl+PgDown Move to the next sheet.
Ctrl+Page Up Move to the previous sheet.
Ctrl+Home Move to cell A1 or to the upper left visible cell in
the sheet.
Ctrl+End Move to the last used cell in the current range.
Ctrl+Backspace moves the screen to show the active cell.
Ctrl+Tab to move to the next open workbook.
Ctrl+Arrow key Move to the end of the current row or column
according to the pressed direction key.

Keyboard shortcuts to select data

Ctrl+* Selects the current region of cells with data.


Ctrl+Space selects the current column.
Shift + PgDn extends the selection down by one screen.
Shift+Page Up extends the selection up by one screen.
Shift+Home extends the selection to the beginning of the row.
Shift+Space selects the current row.
Shift+Arrow key extends the selection one cell in the same
direction of the pressed key.

Shortcuts for entering data and formulas

Alt+=Inserts a Sum of the adjacent cells.


Alt+Down expands the options of a data validation list.
Alt+Enter Inserts a line break within a cell.
Ctrl+, (comma) Insert the current date.
Ctrl+: Insert the current time.
Ctrl+" (double quotes) Copies the value from the cell above.
Ctrl+' (single quote) Copies the formula from the cell above.
Ctrl+Enter fills the selected range of cells with the current entry.
Ctrl+Delete deletes all text to the end of the line.
Ctrl+Alt+KInsert a hyperlink.
Shift+Enter completes the cell entry and selects the cell above.
Shift+Tab completes the cell entry and selects the cell to the
left.
ALT + F4 closes the active window.

Ctrl + Shift + R is the same as Reply to all.
