EBUMAMU UMOJA SELF HELP GROUP

CONSTITUTION

Article (i): NAME OF THE GROUP

The name of the group shall be called Ebumamu Umoja Self Help Group.

Article (ii): AIMS / OBJECTIVES

1. To promote moral, social and financial support in case of bereavement and


other genuine emergencies and celebrations.
2. To promote sustainable developments through profitable physical projects
and related activities within and for members and family at large.
3. To promote discipline among members through guiding and counseling with
a view of making them responsible, reliable, co-operative, social and honest.
4. To offer credit facilities to the group members at agreed interest rate per
month.

Article (iii): MEMBERSHIP

1. Any person willing to join the group shall be requested to pay a non-
refundable fee of Ksh. 200 (two hundred shillings only), late registration
shall be Ksh. 250 (two hundred and fifty only).
2. A member of the group shall be a married person.
3. Any member joining the group must sign down that he shall abide by the
rules and regulations guiding the functions and operation of the group,
failure to which should face the disciplinary committee that will decide
otherwise.
4. Members shall be restricted to Kenyans of sober mind, self-discipline,
temperate, sane and not...

Article (iv): RULES AND REGULATIONS


1. Members shall not indulge in misconduct activities against fellow members
such as fighting, committing adultery, drunkard, hooliganism, vandalism,
quarrelling and any other disorder.
2. Members who engage in such activities shall be asked to pay Ksh. 250 and if
he repeats the same misconduct shall be expelled from the group.
3. The group shall have two sits a month. Each member shall be expected to
attend and contribute Kshs. 200 for the table.
4. The meeting shall start at 2.00pm and lateness shall attract a fine of Ksh. 20
(twenty shillings).
5. A member absent without apology shall attract a fine of Ksh. 50 (fifty
shillings) per sitting.
6. A member who will be absent by sending an apology, should be accompanied
by table money for it to be approved. Apologies should not exceed two, the
third one a member should be warned.
7. Members shall maintain the integrity of the group at all times and shall not
for whatever reason disclose the secrets of the group to non-members, such
actions shall lead to disciplinary measures being taken against the members.
8. Members shall be free to join other groups so long as it does not interfere
with the group’s programs, aims and objectives.

Article (v): OFFICE BEARERS

The group shall have 8 office bearers only, who are:

a) The Chairperson
b) The Vice-chairperson
c) The Secretary
d) The Vice-secretary
e) The Treasurer
f) The Organizing Secretary
g) The Chief Advisor
h) The Auditor
Duties of the Office Bearers

1. Chairperson
- Shall be the chief executive of the group.
- Shall preside over all the group’s meetings.
- Shall give a final ruling after the members discussion.
- Shall be the spokesperson of the group.
2. Vice-chairperson
- Shall deputize the chairperson.
3. Secretary
- Shall be the secretary of the group.
- Shall be in charge of the group’s correspondences.
- Shall take minutes during the group’s meeting.
4. Vice-secretary
- Shall deputize the secretary.
5. Organizing Secretary
- Shall attend to cases of intruders and visitors when meetings are in
progress and ensure time keeping.
- Shall invite and introduce new members joining the group whose
requests have been accepted as stipulated in Article (iii) sections 1-4.
- Shall be overall planner of A.G.M and other meetings in case of any.
- Shall be in charge of benevolent and other celebrations.
6. Treasurer
- Shall keep accurate financial records of the group.
- Shall safely and honestly keep the group’s funds.
- Shall present a financial statement during the group’s A.G.M.
7. Chief Advisor
- Shall be the chief advisor of the group.
- Shall take the initiative of guiding and counseling a member if need
arises.
8. Auditor
- Shall ensure proper entry of the finances in the records by the
Secretary.
- Shall balance the books of accounts and finances by the Treasurer in
consultation with the Chairperson, and give proper reports to the
group.

Article (vi): THE BENEVOLENT FUND

This shall cover self, spouse, children and parents.

- Self and spouse members shall contribute Ksh. 500 (five hundred) each.
- Parents and children members shall also contribute Ksh. 500 (five hundred)
each. Children entitled shall be below 18 years.
- Only death calamities stated in the constitution will be addressed. Any
address outside this will be a special arrangement.
- Other celebrations like graduation, birthdays and dowry through the advice
of the Chairperson, a member shall contribute Ksh. 200 (two hundred
shillings) each.
- Each member shall contribute 4 tins of maize and 2 tins of beans annually for
the treasury.
- In case of the death of in-laws, the executive shall choose at least 2 members
to accompany the bereaved.
- For self and spouse the contribution shall be handled in before burial or as
the committee may find necessary.
- For the rest the contribution shall be handled appropriately.
- Each member shall have a minimum of Ksh. 500 in the benevolent account.
- Still births and miscarriages are not covered in the funds.

Article (vii) Savings and Investments

The savings scheme shall be used for investment if any.

Article (viii) Membership Cessation


1. Any member willing to withdraw from the group shall be allowed provided
that he put in writing.
2. Be cleared all outstanding loan and or other monies owed to the group.
a) In case of death, the members benefits shall be handed over to his
next of kin hence he shall be ceased from being a member.
b) Member must submit duly filled and signed next of kin forms.

Member who loses contractual capacity automatically ceases to be a member and


his next of kin shall receive his benefits.

Article (ix) Election and Voting

1. The group shall hold elections after every 2 years to elect office bearers.
2. The outgoing officials shall be eligible for re-election if they should wish.
3. Election shall be by show of hands or secret ballot.
4. Winning shall be by simple majority.

Article (x) The Annual General Meeting (AGM)

a) The group shall have an Annual General Meeting which shall be held at the
end of every financial year. In the AGM, members shall receive:
 The chairman’s report
 The treasurer’s report (financial report)
 Secretary’s report
b) Members shall also hold an A.G.M party celebration; members will contribute
for the party as it will be directed by the chairperson.
c) The group shall approve proposals for execution.
d) The group shall receive process and approve applications and attend to
suspended members.
e) Major projects for the coming year shall be discussed during AGM.

Article (xi) Special General Meeting


1. In case of any benevolent emergency, the group’s management shall take
remedial action immediately and inform members during the groups after
two weeks meeting.
2. If a member has been arrested for no genuine reason the group shall hold an
SGM to discuss his case and how to assist him (special loaning).
3. An SGM shall be called when an official has ceased being a member. A by-
election shall be done to replace the said official.
4. In case a member dies, the group shall hold an SGM to discuss how to attend
the funeral.

Article (xii) Projects

- All existing projects shall be fully under group executive.


- Each project shall have an independent report record which will be reflected
in the main cashbook.
- The executive shall make all purchases in preference to the requisition order.

Article (xiii) Dissolution

- The group can dissolve voluntarily if 70% of the members opt for it.
- If the government orders a dissolution or declares it illegal.
