ORIGIN OF E-MAILS
 Electronic mail abbreviated as "e-mail" is a store and forward method of composing,
sending, storing, and receiving messages over electronic communication systems.

 Based on the Simple Mail Transfer Protocol (SMTP)

 E-mail started in 1965 as a way for multiple users of a time-sharing mainframe computer to
communicate.

 The world's first e-mail message was sent in late 1971 by Ray Tomlinson.

 E-mail saves time and money, is fast, easy to and less expensive than post.

 With e-mail, you can send or receive personal and business-related messages with
attachments, such as photos or formatted documents. You can also send music, video clips and
software programs.
MODERN INRENET E-MAIL
 TEXT/HTML
Both plain text and
HTML are used to convey email. While
text is certain to be read by all users
without problems, many users feel that
HTML-based email has a higher aesthetic
value.

Advantages of HTML includes-


 the ability to include inline links and
images
 set apart previous messages in block
quotes
 wrap naturally on any display
 use emphasis such as underline and
italics
 and change font styles.
HOW E-MAIL WORKS
 E-mail passes from one computer, known as a
mail server, to another as it travels over the
Internet.

 Once it arrives at the destination mail server,


it's stored in an electronic mailbox until the
recipient retrieves it.

 This whole process can take place in seconds,


even sending message around the world at any
time of the day or night at the cost of a local
phone call.

 Similarly to receive e-mail, you need an


account on a mail server.

 you need the correct address, e-mail, spelling


is critical

HEADER
From: The e-mail address, and optionally
name, of the sender of the message

To: The e-mail address[es], and optionally


name[s], of the receiver[s] of the message

Subject: A brief summary of the contents


of the message .

Date: The local time and date when the


message was originally sent.

Cc: Carbon copy.

Bcc: Blind Carbon copy.


E-MAIL FORMAT
BODY
The body is the meat of the message
whereyou write the content of what You
want to communicate.

Guidelnes to improve the quality of your


e-mail.
 Write the way you say it-use everyday
language.
 Vary the length of your sentense.
 Put a blank line between paragraphs to
organise your thinking
 Use the technology.
 Compose your message offline.
 Read the message before sending it
 Insert signature at the bottom of
the message.
ENCODING/ATTACHING
 By the help of MIME, (Multipurpose
Internet Mail Extension) and other
types of encoding schemes, such as
UUencode, we are now able to send
formatted documents,
photos, audio and video files.

 These protocols use a complex


mathematical formula to convert files
to text and then back to their original
form.

 This conversion process is known as


encoding and decoding.
E-MAIL PROGRAMS
E-mail programs, like MICROSOFT INTERNET MAIL, NETSCAPE MAIL, EUDORA, etc.
if you know how to customise one then it’s a child’s play to manage e-mails.

E-mail programs give you many options


 like you can reply to the author of the message by just clicking one button, you need not to
write the address and the subject.

 You can choose if you want to send your message in text or html format.

 Forwarding a message can be done easily.

 Signature can be added automatically while composing.

 Read and unread messages can be distinguished easily.

 You can filter spams easily.

 Save attachment easily.


E-MAIL ETIQUETTE
Here are a few pointers to help you communicate
more effectively.
1) Clearly summarize the contents of your message in the
subject line.
2) Don’t use the CC function to copy your message to
everyone.
3) Avoid sarcasm unless you know it will work.

4) Keep your messages short and focused.

5) Avoid using all capital letters.

6) Don't write anything you wouldn't say in public.

7) Use a smiley to make sure that a statement is not


misunderstood.
8) Avoid sending e-mails to large numbers of
people unless you have a serious reason to
do it.
9) Briefly describe yourself if the recipient
doesn’t already know you
10) As a courtesy to your recipient, include your
name at the bottom of the message.

You can personalize your written
messages by using a smiley.

PROBLEMS/ PRECAUTION
The usefulness of e-mail is being threatened by three phenomena: spamming,
phishing and e-mail worms.

 Spam, those obnoxious, unsolicited e-mail messages touting get rich quick schemes, miracle diets,
amazing beauty products and pornographic pleasures.
Here's how to fight back:

Use anti-spam software.

Use spam filters.

Set up multiple e-mail accounts.


 E-mail worms use e-mail as a way of replicating themselves into vulnerable computers.

 E-mail is not private and is without security precautions.



e-mail messages are generally not encrypted;
 e-mail messages have to go through intermediate computers.
 many Internet Service Providers (ISP) store copies of your e-mail messages on their mail servers before they
are delivered.

 There are cryptography applications that can serve as a remedy to one or more of the above.
