5 S – Definitions

Five S (5S) is a visually-oriented system of cleanliness,


organization, and arrangement designed to facilitate greater
productivity, safety, and quality. It provides a foundation for
more responsible behavior on the job—better work, better
products, better morale

Basically, 5S movement is a determination to organize work place, to


keep it neat, to clean, to maintain the discipline to do a good job They
require perseverance and determination. They require constant effort.
5Ss are like a mirror reflecting our attitudes and behavioral patterns.

If we do not do 5S, we can’t do any


other work efficiently. They are features which are common to
all places and are the indicators of
how well an organization is functioning

5 S Principle

In the early days, everything revolving around the two basic concepts
of clearing things up and organizing the work area. the concepts of
cleaning and systematic cleanliness were added, producing a 4s
approach. Finally the concept of training and discipline was added to
produce the final 5S idea

5S and Kaizen are identified as thinking systems, which shall improve


the Transformation capability of any individual, who practices it.

1st S SEIRI - Sort out_Definition

Sort, the first pillar of the visual workplace, corresponds to the just
in time principle of “only what is needed, only in the amounts
needed, and only when it is needed”.

This means sorting and organizing the items as critical, important,


frequently used items, useless, or items that are not need as of
now. Unwanted items can be salvaged. Critical items should be
kept for use nearby and items that are not be used in near future,
should be stored in some place. For this step, the worth of the item
should be decided based on utility and not cost. As a result of this
step, the search time is reduced.

The Red Tag strategy is a simple method for identifying potential


unneeded items, evaluating their usefulness, and dealing with
them appropriately.
Steps in Red Tag
1. Launch the red tag project – Make team / Time frame / Planning
for disposal of items red tagged
2. Identify red tag target – Specific type/Physical area
3. Set red tag criteria - Usefulness / frequency of uses / Quantity
required
4. Have red tags
5. Attach the red tag
6. Evaluate Red Tag item for options are Dispose, Keep at same
location, Keep away
7. Document the results of Red Tag
8. Define the frequencies for such activity repetition

2nd S SEITON – Organize_Definition

Set in order means that you arrange needed items so that they are
easy to use and label tem so that anyone can find them and put them
away. The Key word in this definition is “Anyone”

The concept here is that "Each items has a place, and only one
place". The items should be placed back after usage at the same
place. To identify items easily, name plates and colored tags has to
be used.

The Benefits – We are able to avoid following losses

•Searching Waste
•The Waste of Human Energy – Frustrated not finding give up the
work
•The Waste of excess inventory

3rd S SEISO - Shine the workplace_Definition

This involves cleaning the work place free of dust, waste, scrap etc.
No loosely hanging wires from PC’s, no broken furniture in uses,
Display board are well standardize, kept clean.

4th S SEIKETSU – Standardization_Definition

Standardization, the fourth pillar of visual workplace, differ from


sort,set in order and shine. This is becaz it is the method used to
maintain the first three pillars.

Standardization means creating a consistent way tasks and


procedure are done.

1. Decide who is responsible for achieving which activities with


regards to maintaining 3 S condition. Tools – 5 S Map, 5 S
schedule, 5 S job circle with set of frequency of the jobs.

2. Check on how well 3 S conditions are maintained – Audit


checklist / frequency / negative score system

3. 5 S talks becoming part of system – Regular meeting / review /


5 S campaign board

4. Use tool like 5 Why and 1 W for identification of regular


problem / cleaning area.

5th S SHITSUKE – Self Discipline_ Definition

Make a Habit of properly maintaining all the pillars.

Considering 5S as a way of life and bring about self-discipline


among the employees of the organization. This includes wearing
badges, following work procedures, punctuality, dedication to the
organization etc.

5th S SHITSUKE – Self Discipline_ How to implement

Most important and difficult to ensure.

The most important elements of sustenance are


• Trainings / Awareness
• Time – You need to have a scheduled time for this activity
• Structure – How / When / Who is the Leader / Steps
• Support – Management support required in terms of
acknowledgement, leadership and resources
• Reward and Recognition
• Satisfaction and Enjoyment through different ways viz .having
slogans, Posters, Photo exhibits and storyboards, newsletters,
Maps, Pocket manual, Departmental tours, Declaration of month
