INTRODUCTION
• Birth and Death Certificates are classified official documents
that provide information about a person's birth or death.

• Accurate information on births and deaths is important for


tracking progress towards the health-related Sustainable
development goals (SDG’s). Registration of vital events is
essential for accurately calculating birth and death rates.

• The computerization of birth and death certificate application


systems through web-based and geospatial technology adds to
the growing body of academic knowledge about e-government.

• Computerization of registering for birth and death application platforms
provide opportunities to improve registering processes in terms of
digitalization.

• The proliferation of big data in the birth and death registrar, which is a
challenge, requires the implementation of digital technologies to achieve
a positive impact on applicants and business performances as well.

• The birth and death registrar seeks to reduce the challenges of applying
for the certificates through the development innovative computing
technologies using geospatial data such as Geographical Information
Systems (GIS).

Previous studies have shown that the implementation of
web-based systems can have significant benefits in
various fields,
• For example, a study by Moyo & Mutonho (2017)
examined the use of electronic systems in the
management of birth and death records in Zimbabwe.

• Another study by Mahmoud & Al-Enezi (2019) explored


the use of a web-based system in the birth and death
registry in Kuwait.

• The study seeks to fill the gap of improving the registration of
Birth and Death, specifically in Accra using a GIS web-based
map.

• The study provides a framework for the implementation of


similar systems in other jurisdictions, highlighting the potential
benefits of such technology for public administration.

• The context of this study is relevant not only to the Birth and
Death Registry in Accra but also to other similar registries in
Ghana facing similar challenges.

PROBLEM STATEMENT
• The Birth and Death Registry in Accra, Ghana, faces a
significant challenge in attending to the number of applications
that they receive daily.

• These challenges have led to inaccurate maintenance of


records of births and deaths.

• One of the key ways to bridge this gap is through the adoption
of digital technologies such as geospatial data to computerize
the registration of Birth and Death.

PROBLEM STATEMENT (Cont’d)
• This problem is specifically related to the inefficiency of the current
system that requires the presence of the applicant, which has led
to delays in processing certificates.

• This study can provide an efficient and accurate solution to the


challenges faced by the registry that would see applicants
accessing the application form via a web based system.

• Applicants can fill the required information using the web based
application form without coming to the office physically and the
system can notify them when the certificate is ready for collection.

RESEARCH OBJECTIVES
The objectives of this research project are as follows:
• To investigate the current application system being used for
applying for birth and death certificates by the birth and death
registry in Accra.

• To identify the challenges faced by the birth and death registry in


Accra in regards to acquiring the certificates.

• To develop a web-based application system for applicants of birth


and death registry that will integrate geospatial mapping
technology.

SIGNIFICANCE OF THE STUDY
• This research project will have the potentials to improve the
current way of applying for birth and death certificates in the
Accra registry office, Ghana.

• The integration of geospatial mapping technology with the


web-based application system will be able to revolutionize the
way birth and death certificates are issued.

• Our proposed system intends to improve the accuracy of


demographic data for mapping and decision-making purposes.

• The study made use of a mixed research method
consisting of quantitative and build computer science
research method.

• The quantitative employed the use of questionnaire to


acquire data from applicants of the birth and death
registry

• The Build Methodology approach was employed to


develop the system called GeoBirth.

• The area of the study is Birth and Death Registry of
Accra.

• The population of the study involves registry staff and


some applicants who are familiar with the current
application system. The total number of population were
75.

• We used the standard formula from Yamane, and we


had a sample size of 63. and we received 60 responses.

• Based on our analysis, we identified that the birth and
death registry in Accra uses traditional methods in terms
of registering the applicants.

• From the responses we got from the applicants, majority


of the applicants are willing to adopt the use of GeoBirth.

• Our GeoBirth proposed solution will be used on


smartphones so that every one can use it. This will
enhance convenience mobility.

PROPOSED SYSTEM AND
IMPLEMENTATION
• GeoBirth is a software which provides precise details about the
locations of birth and death registry’s, and additional relevant
information to assist applicants in finding them easily.

• GeoBirth offers recommendations based on the simplest alternative


routes to reach the birth and death registry in case of traffic or other
hindrances, helping applicants reach their destination efficiently.

• The tools used in developing our computerized GeoBirth solution


are Android Device, ArcGIS Diagrammer, ArcCatalog, ArcMap,
ArcGIS Online, Microsoft Excel.

CONCLUDING REMARKS
• GeoBirth provides a platform that shows the location, address,
services and even contact details of the birth and death registry
within Accra.

• This will save applicants the time-consuming involved in


searching for the nearest birth and death registration office or
even identifying the time to acquire the certificates.

• The used quantitative method basically an online questionnaire in


collecting data from our targeted group of people shows that most
of our respondents are willing to embrace GeoBirth.

CONCLUDING REMARKS (Cont’d)
Our recommendations are as follows:
• The staff of birth and death registry should be trained on how
to effectively use GeoBirth.

• Future research should focus on how to make GeoBirth work


for people even outside Accra.

• Future research should also include a disability assistant map


to help the disabled applicants to be able use to GeoBirth.
