ESSM PRESENTATION FOR HOD

SELF SERVICE
Spine ESSM is linked with spine HRMS which allows employee to access multiple information from profile to various reimbursement, leave,
loan details, payslip and tax plan sheets.

• Comprehensive dashboard on login with user definable widgets by ADMIN.

• Employees profile view along with change request on amendments, if any.

• Leave, loan, reimbursement summary and ledger view.

• Monthly, yearly and detailed month-wise Payslip.

• Income tax investment declaration in user friendly form and integration of same with TAX module in spine
HRMS/PAYROLL module.

• Complete and comprehensive list of documents provided by employee along with assets allocated to
employee by company.
LOGIN
• Login Page view to the Employee.

• Select the Company Name --> Enter Username provided by Admin --> Enter password provided by Admin --> click on Login.

If You have forgotten your

VIEW
• This module is available to the users having "Employee" web role.

• The employee can only view his/her details in this module.

Employee can view the following listed details:

1. Employment :- This will display employee's details.

2. Contact :- This will display employee's contact details.

3. Personal :- This will display employee's personal details.

4. Statutory :- This will display employee's Tax details.

5. Bank :- This will display employee's bank details.

6. Family :- This will display employee's family members details.

7. Nominee :- This will display employee's nominee details.

8. Immigration :- This will display employee's Passport & Visa details.

9. Driving Licenses :- This will display employee's driving license details.

10. Skills :- This will display employee's skills and experience details.

11. Languages :- This will display employee's known language details.

12. Qualifications :- This will display employee's qualification details.

13. Assets List :- This will display list of assets allocated to the employee.

14. Social Details :- This will display employee's active participation for social cause.
EMPLOYMENT
• This module will display employee’s Employment Details such as Date Of Joining, Date Of Birth, Grade, Branch, Department etc.

Procedure:

• Go to Self Service --> View --> Employment.


CONTACT
• This module will display employee’s Contact Details such as Contact Number, Residential Address, Pin Code, City, State and Email Address.

Procedure:

• Go to Self Service --> View --> Contact.


PERSONAL
• This module will display employee’s Personal Details such as Nationality, Caste, Blood Group, height, weight, Marital Status,
handicap status etc.

Procedure:

• Go to Self Service --> View --> Personal.


STATUTORY
• This module will display employee’s tax related details such as PF number, ESIC number, PT number and PAN number.

Procedure:

• Go to Self Service --> View --> Statutory.


BANK
• This module will display employee’s bank details such as Bank Name , Bank Account Number.

Procedure:

• Go to Self Service --> View --> Bank.


FAMILY
• This module will display employee’s family member details such as Family Member’s Name, Birth Date, Occupation, Age,
Contact, Gender and Relation.etc.

Procedure:

• Go to Self Service --> View --> Family.


NOMINEE
• This module will display employee’s nominee details such as Name of the nominee, Nomination Date, Birth. Date, Nom. Type,
Nom.Sub Type, Aadhar No. etc.

Procedure:

• Go to Self Service --> View --> Nominee.


IMMIGRATION
• This module will display employee’s Passport and Visa details such as Passport no., Issue Date, Expiry Date, Immigration Status,
Visa Name, Issue Date, Exp.Date ect.

Procedure:

• Go to Self Service --> View --> Immigration.


DRIVING LICENSE
• This module will display employee’s Driving License details such as License No. Issue Date, Expiry Date, Vehicle Details etc.

Procedure:

• Go to Self Service --> View --> Driving Licenses.


SKILLS
• This module will display details of employee’s Skills competency and Experience.

Procedure:

• Go to Self Service --> View --> Skills.


QUALIFICATIONS
• This module will display employee’s qualification details, such as degree, institute, type etc.

Procedure:

• Go to Self Service --> View --> Qualification.


SOCIAL DETAILS
• This module will display details of employee’s participation in an organization for social cause.

Procedure:

• Go to Self Service --> View --> Social Details.


ASSETS LIST
• This module will display the details of all the assets allocated to the employee, such as Assets Code, Assets Cost, Issue Date etc.

Procedure:

• Go to Self Service --> View --> Assets List.


EDIT
• This module is available to the users having "Employee" web role.

• This module allows the user to edit his/her details. In this module, employee can apply for 'n' number of times.

• The changes visible in the employee details will be the last changes approved.

Edit module has the following listed components:

1. Contact :- This module will allow to edit the employee's contact details.

2. Personal :- This module will allow to edit the employee's personal details.

3. Immigration :- This module will allow to edit the employee's passport and visa details.

4. Driving License :- This module will allow to edit the employee's driving license details.

5. Family :- This module will allow to edit the employee's family details.

6. Nominee :- This module will allow to edit the employee's nominee details.

7. Skills :-This module will allow to edit the employee's skills and experience details.

8. Languages :- This module will allow to edit the employee's known languages details.

9. Qualification :- This module will allow to edit employee's qualification details.

10. Prev.Experience :- This module will allow to add the employee's previous job details
CONTACT
• This module allows to edit the employee’s contact information. To edit the information, click on Add New request to send request to admin.

Procedure:

• Edit ---> Contact --> Add New --> Enter the required data --> Update.

language master can be updated.

• Go to Self Service -->Edit --> Languages --> Add New --> Enter details -->Save.

• Goto Edit --> Prev. Employer Details -->Add New

• Enter : Company Name ,Joining Date ,Left

• Select the record --> click on Finish.

• The employee can add new record or remove the record if required by clicking on Add Item or Remove Item.

SALARY

• This module is available to the users having "Employee" web role.

• This module will display the employee’s salary details and salary report which is published from Spine Payroll.

Salary module has the following listed components:

1. CTC : This module will display the CTC of the employee.

2. Payslip :- This module will display the payslip of the employee.

3. Download Payslip :- This module will allow the employee to download the monthly payslip.

4. Year Payslip :- This module will display the yearly payslip of financial year.

5. Monthly Report :- This module will display the monthly comparison report of the employee.
CTC
• This module will display the current CTC of the employee.

Procedure: Go to Self Service -->Salary --> CTC.


PAYSLIP
• This module will display the payslip of the selected period.the payslip will be displayed only if it is published in HR by the HR user.

Procedure:

• Go to Self Service --> Salary -->Payslip--->Select For the period -->Refresh.


DOWNLOAD PAYSLIP
• This module will download Payslip for the selected month.

Procedure:

• Go to Self Service --> Salary --> Download Payslip --> Select the month to download (e.g. Payslip for April, 2019).
YEAR PAYSLIP
• This module will display the Yearly Payslip for the selected Year.

Procedure:

• Go to Self Service -->Salary --> Year Payslip--> Select the Period For-->Refresh.
MONTHLY REPORT
• This module will display the Report for the selected period.

Procedure:

• Go to Self Service --> Salary --> Monthly Payslip --> Select For the period --> Refresh.
TAXATION
• This module is available to the users having "Employee" web role.

• This module will display the tax related sheets such as tax projection,declaration sheet.

Employee can view the following listed details:

1. View Tax Eligibility :- This module will display the tax flag for claiming extra exemption
for 80D and 80DDB for parents senior citizen,Physically Disable / Blind / Handicapped,
Additional deduction Under 80DD where Self/Dependent had Serious Disability.

2. Tax Projection :- This module will display employee's tax projection.

3. Download Tax Projection :- This module will allow to download theTax projection sheet.

4. Declaration List :- This module will display list of declarations added by the employee.

5. Edit Tax Eligibility :- This module allows to enter the tax flag for claiming extra
exemption for 80D and 80DDB for parents senior citizen,Physically Disable / Blind /
Handicapped, Additional deduction Under 80DD where Self/Dependent had Serious
Disability

6. Add Declaration:- This module will display list of declarations (Declared Amt.) of the
employee.

7. Submit Tax Declaration - Sheet :- This module will allow entry of multiple declarations.

8. Investment/Claim Made List :- This module will display list of declarations (Made Amt.)
of the employee.

9. Add Investment/Claim Made :- This module will allow entry of declaration claim (Made
Amt.)

10. Prev. Employer form16 :- This module will allow entry of previous job salary details.
VIEW TAX ELIGIBILITY
• This module will display the tax flag for claiming extra exemption for 80D and 80DDB for parents senior citizen,Physically
Disable / Blind / Handicapped, Additional deduction Under 80DD where Self/Dependent had Serious Disability.

Procedure:

• Go to Self Service --> Taxation --> View Tax Eligibility


TAX PROJECTION

• This module will display the Tax Projection for the selected period.

Procedure:

• Go to Self Service -->Taxation --> Tax Projection

• Select For the period -->Tick on Projection as per Web declaration amount (if required)

• Refresh.
DOWNLOAD TAX PROJECTION
• This module allows the employee to download the Tax Projection sheet.

Procedure:

• Go to Self Service --> Taxation --> Download Tax Projection --> Select the F.Y. to download (e.g. Tax Projection for 2019 - 20).
DECLARATION LIST
• This module will display the list of declarations of the employee . For displaying the list,the employee has to add the entries from
Declaration-Single module.

Procedure:

• Go to Self Service -->Taxation--> Declaration List --> Select the Period For --> Select the type in Filter--> Go.

• The employee can also remove the record .For deleting the record, tick the record and click on Delete.
DECLARATION LIST
• The employee can also get Form No.12 BB, to print form 12BB, click on Form No.12 BB.
EDIT TAX ELIGIBILITY
• This module allows to set the tax flag for claiming extra exemption for 80D and 80DDB for parents senior citizen,Physically Disable /
Blind / Handicapped, Additional deduction Under 80DD where Self/Dependent had Serious Disability.

Procedure:

• Go to Self Service --> Taxation --> Edit Tax Eligibility

• To set the flag, click on Add New -->Tick on the flag as per requirement --> Update.
ADD DECLARATION
• The user can do Perk, Recoveries and Investment Entries (Declared) in this module for current financial year only.

Procedure:

• Go to Self Service --> Taxation --> Add Declaration ---> Select the type of payment and enter other details --> Save & Agree.

While adding employee can also check

SUBMIT TAX DECLATION-
SHEET
• The user can do multiple Perk, Recoveries and
Investment Entries (Declared) in this module.

Procedure:

• Go to Self Service -->Taxation --> Submit Tax


Declaration-Sheet

• Enter the amounts for required declarations

• Save.
INVESTMENT/CLAIM MADE
LIST
• This module will display the list of declarations(Made Amt.) of the employee. The employee has to add the entries from Add
Investment/Claim Made module.

Procedure:

• Go to Self Service -->Taxation--> Investment/Claim Made List --> Select the Period For -->Select the type in
Filter--> Go.

• The employee can also remove the record .For deleting the record, select the record and click on Delete.
INVESTMENT/CLAIM MADE
LIST
• Employee can copy the declaration list (declared amount) into Made list (Made amount) by using option "copy declaration entries" .

• Employee can Copy Declaration Document file to Made Document file Incase both file are same, by selecting option Copy Declaration Document file to Made
Document file

Procedure:

• Goto Self Service -->Taxation--> Investment/Claim


Made List

• Click on Cope declation entries -->select the


entries--> Copy declaration amount (if amounts
are same)

• Select Copy Declaration Document file to Made


Document file (Incase both file are same)

• click on Save & Agree.


ADD INVESTMENT/CLAIM
• The employee can do the Perk, Recoveries and Investment Entries (Made) in this module for only current financial year.
MADE
Procedure:

• Goto Self Service --> Taxation --> Add Investment/Claim Made ---> Select the type of payment and enter
other details --> Save & Agree.

• While adding employee can also check limit, used amount, and balance amount of selected Type of Payment.

PRE. EMPLOYER FORM 16
• The user can enter the previous job salary details . Only the employee whose joining date is of current financial year can add the
details in this module.

Procedure:

• Go to Self Service -->Taxation --> Prev. Employer form16 --> Enter the required details --> Save.
QUICK INFO
• This module is available to the users having "Employee" web role.

• This module will displays other miscellaneous details apart from employee's
employment and salary details

Employee can view the following listed details:

1. Leave Balances :- This module will display the details of the selected Leave type.

2. Loan Details :- This module will display the details of the selected Loan entry.

3. Reim. Details :- This module will display the reimbursement claims of the
employee.

4. Holiday List :- This module will display the list of holidays assigned to the
employee.

5. My Documents :- This module will display the list of custom documents submitted
by the employee.

6. Employee search :- This module will display the list of employee.

7. Tax Calculator :- This module is used to calculate the Tax of the employee's.

8. Photo Gallery :- This module will display the photos saved in Photo Gallery folder.

9. Survey :- This module is for conducting survey for any events or for employee's
views.

10. Add Quick Links :- Quick links are provided for certain bookmarks to be saved as
as shortcut links.
LEAVE BALANCES
• This module will display the details of selected leave type. The leaves displayed here will be according to the processed data.

Procedure:

• Go to Self service --> Quick Info -->Leave Balances --> Select Employee --> Select For Period --> Select Leave
Type --> View.

• Click on the (+) button for more leave information.


LOAN DETAILS
• This module will display the details of the selected Loan entry.

Procedure:

• Go to Self Service-->MISC --->Loan Details.

• The employee can also view more details by clicking on view button.
REIM. DETAILS
HOLIDAY LIST
• This module will display the list of holidays assigned to the employee.

Procedure:

• Go to Self Service --> Quick Info -->Holiday List.


MY DOCUMENTS
• This module will display the list of custom documents submitted by the employee.

Procedure:

• Go to Self Service --> Quick Info --> My Documents.

• Document :- Employee can download the uploaded document, by click on "Document"

• Upload :- Employee can upload the document,by Click on "Upload"

• Remove :- Employee can remove the document,by Click on "Remove"


EMPLOYEE SEARCH
• This module will display the list of employee.

Procedure:

• Go to Self Service --> Quick Info --> Employee Search.


TAX CALCULATOR
• This module is used to calculate the Tax of the employee's.

Procedure:

• Go to Self Service --> Quick Info --> Tax Calculator --> Enter Required Amounts --> Click Calculate TDS
TAX CALCULATOR
PHOTO GALLERY
• This module will display the photos saved in Photo Gallery folder.The employee can also create albums by saving the photos in different folders in
photo gallery.

Procedure:

• Go to Self Service --> Quick Info --> Photo Gallery --> Select the folder in which the photos are saved --> Show Photos.
SURVEY
• This module can be used for surveying for any particular event or for knowing the general views of the employee regarding organization.

Procedure:

• Go to Self Service --> MISC --> Survey --> select answers --> click on Finish.
ADD QUICK LINKS
• Employee can add custom Quick links from Self Service --> Quick Info --> Add Quick Links --> Click Add New.

• Employee can select Quick Link Type : Menu, Custom.

• Quick Links is a list of unstructured links placed in a salient


place on a page. Employee can see the Quick Links on
Dashboard (Homepage).

• If Quick Links is selected as “Menu” then HRMS menus (Self


Service, Leave Apply etc)can be selected for which shortcut to
be added as quick link on Homepage.

• If Quick Links is selected as “Custom” then Custom Link (for


e.g. www.google.com) can be entered for which shortcut to be
added as quick link on Homepage.

• Maximum 15 quick links can be added in Quick Links.


ADD QUICK LINKS
• To Delete the added Quick Links click on Delete button.

WORKFLOW

• This module is available to the users having "Employee" web role.

• This module displays the information regarding the employee’s approver and workflow.

Employee can view the following listed details:

1. My Approvers :- This module will display the immediate approver assigned to the employee.

2. My Workflow :- This will display the Employees’ list reporting to the Employee for the selected Module.

3. App. Status Count - Manager :- This module will display Total number of Pending, Approved, Rejected,lapsed applications to approver(HOD).

4. Organization Chart :- This module will display the hierachy of the employees according to their designation.

5. ORG Chart Corporate View :- This module will display the hierachy of the employees according to their designation in corporate view.
MY APPROVERS
• This module will display the immediate approver assigned to the employee.

Procedure:

• Go to Self Service --> Workflow --> My Approvers.


MY WORKFLOW
• This will display the Employees’ list reporting to the Employee for the selected Module.

Procedure:

• Go to Self Service --> Workflow --> My Workflow --> Select the module --> Refresh.

• The employee can also view more details by clicking on Details button.
APP. STATUS COUNT-
MANAGER
• The employee can view the status report of applications of the employee who are under the approver's workflow.

Procedure:

• Go to self service -->Workflow --> App. Status Count-Approver --> Select the required criteria --> View.
APP. STATUS COUNT-

ORGANIZATION CHART
• This module will display the hierachy of the employees according to their designation.

Procedure:

• Go to Self Service -->Workflow -->Organization Chart.

• The employee can click on (+) and (-) buttons to hide or expand the chart respectively .
ORG CHART CORPORATE
VIEW
• This module will display the hierachy of the employees according to their designation.

Procedure:

• Go to Self Service -->Workflow -->ORG Chart Corporation View

• The employee can click on (+) and (-) buttons to hide or expand the chart respectively .
LOAN ADJUSTMENT

• This module is available to the users having "Employee" web role.

• Employee can apply for any loan adjustments from this module.

Employee can view the following detail:

1. Request : Employee can add request to suppress / add / modify any of the Installments of specific Loan in specific month.
REQUEST
• The employee can add Loan Adjustment request to respective HOD/Approver.
Procedure :

• Goto Self Service --> Loan Adjustment --> Request --> Add New --> Select Loan name --> Select Month year --> Enter amount.
e.g If an employees monthly installment amount is Rs.2000 and he wants access Rs.2000 to be deducted from his salary for the month of JAN 2020, then user
has to select the Loan Name, input the date as of JAN i.e., date on which employee has made the request to deduct access amount and Rs.2000 in‘Amount’
Column and Save it. Suppose, if the same employee requests not to deduct this installment for any specific month then in ‘Amount’ Column the amount of his
installment of Rs.2000 is to be entered in Negative i.e., -2000

• click on "Save".
REQUEST
• To Delete the added Request click on Delete button.
