Form Lists

Use Form Lists to create and maintain a list of forms for a


group, as well as the form level triggers. A Form Lists file
(GRP - Unit Form File) defines the forms for a group
(KEY1/KEY2 combination) and provides the ordering
sequence for the forms within the group. Form level triggers
are also created and maintained within the Form Lists
manager.
Open Form
Lists

To open Form Lists double click on the Form Lists option in the
Workspace Area (or right click on the Form Lists option and
select open or checkout).

 On the open file screen highlight Form List and click OK.
 If you Open as read only, and click OK, the GRP file will only
be available for viewing and someone else at another
workstation would still be able to check it out.
 If the GRP file that you want to open has never been checked
into the library, then you would click on the Browse button on
the right of the screen to locate the file.
Create a Form
List

 To create a list of forms, you must have at least one form


created that need to be added to the Group.

 After at least one form is available, go into the Definition


manager.

 If the Key1/Key2 (typically, Company and LOB) has not yet


been created, add it, as described in the Definition manager.

 In the Definition, right click on a Key2 (LOB) where a Group


file does not already exist and then click on “Insert” . Add a
new LOB and then right click on new LOB and select the Edit
File option. The following question will appear.

 Answer "yes" to this question and you will be taken into the
Form Lists manager. The initial screen will look like below:

Detailed Description of Form List Options:

Form Name - (Max Length = 100) The name of the form, as


created in the Form Manager. This is the name displayed on the
forms' selection screen in Documaker Workstation (entry).

Form Description- (Max Length = 100) This is an optional field.


If entered will appear in the properties/option area of Form Lists
beside the form name. A user-friendly form description in
Documaker Workstation (entry) is beneficial to the user in helping
to select the correct form.

Dec Options - This option is only used in the ENTRY system. What
is selected here determines the manner in which AFEMNW32 (the
entry system) presents declaration pages at entry time. Option is

Pre-selected - Click the pre-selected option to have the system


automatically select the form at entry time. Option is ignored in
the batch processing environment.

Exclude from page count- Click if you wish the system to


exclude this form from page count in “form page num” and “form
page num of” counts. A welcome letter at the start of a document
where the letter is not considered part of the remaining document
would be an example of a form on which you might want to use
this feature.

Exclude in user selection - Click here if you wish to exclude the


form from the list in the entry environment. This provides you with
a means for having a form that is programmatically controlled and

Detailed Description of Form List Options:

Filename - Usually the form name would be used as the filename.


However, if there are characters in your form name that are not
valid characters for a filename on the platform on which you will be
running your processing system, you will need to enter a new
filename. Also, if runtime Library Manager will not be used, some
platforms have file length limitations that the form name might
exceed. In this case, you would need to modify the filename
accordingly.

If you don't enter a filename, the form name will default to the
filename field.

 From the File Menu, select Save. Click Save to save your
changes

 You now have a new form list with one form associated with it.
Check the form list into the library, as necessary.
