 eTax is a website which connects the


taxpayer with Tax Authority using internet.
eTax Introduction

 eTax consists of 2 sides: public and private.


 Public = External Users(Taxpayers,
Institutions, etc)
 Private = Internal Users(Tax officers,
Administrators)

 eTax is linked to the SIGTAS


database, so all saved activities
occurring in eTax will be registered in
SIGTAS
 And also e-tax can brings all Notices
and Reminders produced in sigtas to
the customer message account.

1. USER REGISTRATION
USER REGISTRATION basic (Taxpayer)

 Taxpayers that request a username in eTax


must have an active TIN from Tax Authority.
(NOT ONLY FOR HIS but also ALL HIS EMPLOYEES)
 Taxpayers accounts can be suspended in
eTax for whatever reason
 Same TIN can have several eTax users
 Only Tax Officers with the Taxpayer

Deregistration Date if required
 Click on the Next button will open the Complete

give computer to the newly registered taxpayer
and have them check their information as well as
enter their secret password
 Usernames are generated by eTax concatenating
the names and a random number

eTax Login Page Introduction

 The login page is used by both tax officers and


taxpayers to enter eTax;
 Forgotten passwords must be retrieved by
contacting the tax centre;
 Usernames and passwords are both case sensitive;
 Validation will occur if either or both
username/password are entered incorrectly;
 There is no limit for the user to incorrectly login (no
lock will occur)

3. Filing Déclaration Step
Tax Declarations Introduction

 All tax accounts registered for the taxpayer in


SIGTAS will display in the Tax Declarations page
in eTax
 Each tax account is separated by an expandable
button
 Every tax period configured in SIGTAS for each
tax type will display in its corresponding tax account
section
 5 tax periods will be visible at a time for each tax
account
 Scrolling through all tax periods is possible for
each tax account

 If tax type requires supporting documents, you can add
one by one, upload in a csv format, or import the
previous tax period and edit on it during the filing
process.
 5 actions can be displayed for each tax declaration period:
 File Now: can be filed online
 In Progress: filing began but not completed
 Filed: declaration has been submitted to Tax Centre,
submission and document numbers are available,
once assessed in SIGTAS, assessment number will
also be available
 Suspended: Account Suspended, no need to file

 To File Contact Tax Centre: period to file online has

expired

 If a declaration is submitted in eTax, then a


Submission number and a Document number is
created and displayed beside the filed tax declaration
 The Submission number is a unique number
generated by eTax
 The Document number is the same unique
number for a remittance generated by SIGTAS
 Declarations that have been filed over eTax will
have the document status: E-Filed in SIGTAS (list
can be printed through DF136RS – Print List of
Documents)

 These document numbers are used to calculate


assessments on AS52S – Capture A remittance
in SIGTAS
 Once calculated, the assessment number will
display beside the filed tax declaration in eTax
 All information captured in eTax for supporting
documents will be captured and registered in
SIGTAS

 For all tax types (Schedule A-PAYE, Excise Tax,


Schedule B, WOP, VAT Withholding, Schedule D-
Withholdings, Schedule B, Schedule C-
Normal/Mining, and pension), the following steps
are the same, except for those with supporting
documents:
 Click on the File Now hyperlink which brings

user to the first step, Enter Line Details step


 Enter all amounts
 All starred fields are mandatory

listed

 For each declaration, an action is associated: File


Now (hyperlink for the taxpayer to file declaration
online), To File Contact Tax Centre (taxpayer
cannot file declaration online for some reason) or In
Progress (filing started but not finished through
eTax).
 Declarations with the File Now action means that the
taxpayer is allowed to file this declaration online via
eTax;
 The following is an example of configured rules for
declarations to have the File Now action:

 START: 4 months before the Filing Due

 END: 12 months after the Filing Due Date

action, the active period to file online has most
probably ended, so taxpayers will have to call or go to
the tax centre to rectify the situation;
 Declarations with the In Progress action have been
started in eTax but have not yet been submitted

 All tax accounts held by the taxpayer are listed

 5 records are visible at a time on the screen

 Scrolling through all tax accounts is possible

 Tax Account numbers and Balance can be sorted in

either ascending or descending order by clicking on the

 The Total of all Accounts is displayed at the bottom

 Clicking on the View all account balances hyperlink

brings user to the Tax Accounts page


 Clicking on any tax account number hyperlink brings user

to the details of the account on the Tax Accounts page

On refund section the default screen shows
requested refunds and their status.
To view all refund requests click on view all refund
button.

 If taxpayer has any unread messages, then the link

will show the number of unread messages;


 Clicking on the unread message button brings user

to the Manage Messages page


 if the customer choose the electronic only or both

 All tax accounts registered for the taxpayer in
SIGTAS will display
 Each tax account is separated by an expandable
button
 Every tax period configured in SIGTAS for each tax
type will display in its corresponding tax account
section
 All transactions in the tax account will be listed for
each tax account; including the tax period, the
assessment number, the amount, the action type,
the against type, the penalty type, whether if
transaction is a reversal or not, the transaction date
and the comments associated to the transactions
 Scrolling through all transactions Is possible

 Clicking on a ‘+’ button next to the tax account expands to
display all transactions associated to the tax account
 Clicking on a ‘–’ button next to the tax account hides the
details of the tax account
 Clicking on the Assessment number hyperlink brings
user to the View Assessment page
 The View Assessment page displays the completed
declaration submitted by the taxpayer via eTax (refer
to above screenshot)
 If there is a reassessment, then the columns in the
View Assessment page will be different (refer to
above screenshot)

 Amounts owed to ERCA is displayed with a
negative sign
 Amounts owed by ERCA to taxpayer is displayed
with a positive sign
5. Message Centre
Message Centre Introduction
 For those Tax payers preferred to receive electronics
only or both electronics and paper correspondence in
their information page e-tax will deliver all sigtas
generated reports as PDF to their message box.
 Email communication channel between taxpayer and
tax centre;
 Tax Officers with the role Customer Service are
identified as being responsible for this process;
 Facilitates communication, reducing costs and time;
 For security reasons, messages are stored in the
database, they do not leave the eTax application so
no risk of viruses or spam email
 Message Centre for taxpayer and for tax officer have
some differences

 Clicking on the Subject of a message opens the

5. TIN and Tax Clearance
validation
 For various reasons TIN used as identity for customers.
Seldom invalid tins presented to prevent such
misleading transaction tin validation required.
 E-filing request the validity of tin from sigtas and identify
all tins in sigtas as valid.
 To check the validity of a tin using e-filing click on
“validity and check”
To check validity of a TIN
 Click on “TIN validation button”.
 Enter the tin on the tin field and type the captcha on the
captcha field.
 Click on validate button, then message will appear.
To check validity of a TIN

 Click on “TCC validation” button.


 Enter the tin on the tin field and the tin
certificate no on the TCC number field.
 Click on validate button, then message will
appear
 The message inform the TCC issue date,
the TCC request type, and the valid date of
the TCC.
6. Refund and Tax Clearance

REQUESTING REFUND

To apply for refund


 Click on ‘Taxpayer service’,

To see the accounts with their respective


refundable amount click on ‘potential refunds’
button.(all accounts with positive balance
shows total refundable amount).
 Click on the + sign on side of the tax account to

see the list of refundable amounts against


assessment no or tax period.

 To apply for Refund click on the request


refund button on the line against which we
wanted to request the refund.
 The amount shown is the total refundable
balance against selected assessment or tax
period, we should re enter the requested
amount if we want to apply for the amount in
part or click on yes to request the whole
amount.

 When we confirm and submit the request, e-tax


automatically send the request to sigtas and reduce
the balance by the requested amount from potential
refundable amount.
 To see all refund requests submitted and their status,
click on “refunds” button
 All the requests shown with their current status,
regarding our request the tax officer can write
message. Or all requests approved and against which
voucher prepared are shown as voucher/check
prepared.

 Officers can see the refund requests submitted on e-tax.


 To see the list of refund requests, click on “approval and
validation”. The upper half of the page shows the refund
requests sent by the tax payers.
 Using the assessment no we can approve the request
by preparing the payment voucher on the register refund
screen of sigtas.

To apply for Tax clearance certificate


Click on ‘Tax Payer service’,
Click on the “request clearance” button,
Click on the “clearance type” to select the type we wanted
from the list of clearances. And click on the one which
we wanted.
Finally click on “submit” button to finish the request
process.
We can see the status of our clearance request by clicking
on the “clearance request list” button.

 sigtas immediately reply for clearances


requests intended for bid participation and
business renewal. And we can see the
reason if the request rejected.
 For all other types the officer will reply in
message and/or reject or approve
investigating our history. Until the officer
reply our request the status remain “pending
approval”.

8. Taxpayer Information
Taxpayer Information Introduction

 Some fields (Taxpayer details and Contact


Information) can be changed by the taxpayer
through eTax which will be updated in their profile in
SIGTAS;
 Other fields (Addresses) can be viewed only, and
must be changed by contacting the tax centre;
 Facilitates maintenance of Tax roll information,
reduces costs and time of having taxpayer comes in
to tax office in order to modify simple changes

 Clicking on the Edit button for either Taxpayer Details
or Contact Information allows user to modify certain
information via eTax;
 Any changes that are made but not saved (clicking on
the Cancel button) will not be reflected in SIGTAS;
 All changes that are saved but are not immediately
reflected in SIGTAS will be displayed in red;
 All changes that are saved and are immediately
reflected in SIGTAS will be in black and will be
available in SIGTAS
9. Security/ Other
Security/Other

 It is important to note that the eTax application is


secure for the following reasons:
 The server is encrypted with 128 bits using SSL
(secure socket layer), the web address uses the
‘’https’’ prefix which many banking websites use
 eTax is an in-house creation by CRC Sogema
and only installed in exclusive, known clients
environments, therefore it is virtually impossible
for hackers to obtain this secure installation
 eTax uses a combination of the most trusted
technologies in security, such as Java, Oracle
Database and Web logic
Security/Other
 Passwords are chosen by the users themselves, a
strength indicator is available to them as they type
their password, no one else is aware of the
passwords, not even the administrator. If forgotten,
they must go into the tax centre in person to change it
 There is a timeout session of 30 minutes of inactivity
for users’ security:
 A validation will appear after 30 minutes telling the
user has 2 minutes to click on OK in order to keep
the session active
 After 2 minutes, if user does not click on OK, then
the session terminates, user will receive a
message telling them that the session is
terminated, any unsaved changes will be lost
 User will have to log back in
