to:
• define an event;
• identify the elements of an event;
and
• differentiate the types of event
• Introduce the learner to MICE
Events refer to the things that happen
around us. There are generally two kind of
events:
Ordinary events- occur naturally in our
environment and in our daily lives.
Special events- people gather together for a
purpose; some people need to travel to
participate, while some spend a lot of time
and resources planning for the event and
making sure that everything unfolds as

Editor's Notes

  • #5: Of course before we will conduct an event there’s a specific purpose why we will conduct it and for us to have a guide to have a smooth flow of the event. Theres a participant or guests, so we can’t call it an event if theres no participants or mga attendees. So special event will be held in a special place also. Time bound- so what do you mean by a time-bound? Theres a time limit, of course conducting an event have a time duration right? We will start at exactly 8am and end at 3pm. Or it depends ghapon sa gusto ni client. Of course conducting an event is naa jud gasto sa mga resources, suppliers, foods, venues and etc. We will discuss all of these on the following slide.
  • #6: So based on the characteristics of special event we can now draw the basic questions we need to ask when we are organizing an event. So the questions can be summarized as the “5W and 1H”. What event are we organizing? What type of event, either birthdays 18th, 50th, 60th Weddings, baptism or any types of event. We will further discuss the types of event later. Why organize an event: Organized for specific purpose It helps you align your goals, objectives, strategies, and tactics with your target audience, stakeholders, and resources. It also guides your decision-making, evaluation, and communication throughout the event lifecycle. WHO so Attended by a number of participants, who are expected to attend and to organize the event? How many attendees and organizers? It is important to know the numbers of guests in an event for us to be guided if pila kabuok and expected participants nga mo abot. Kay if ang expected nga guests nga gi ingon sa imong customer is for 150 guests lang and during the event ang na abot nga guests kay lapas na sa 150 of course naa na nay charge kay wala na man na silay apil sa breakdown. it is important also to know para ma estimate ang space and location kung asa iheld We also need to know the gender, age group, nationalities and religion. For us to know what type of foods ang atong I serve sa mga guests. WHERE TO BE HELD In choosing a venue we must consider the space, the ambiance, the safety and the accessibility of the place for the guests For example ang expected nga guest ni client kay 150 so it is important nga ang location nga I offer nimo is kaya I accommodate ang 150 guests. Kay lain sad if sobraan ka gamay ang location so mag guot jud ang guests and ang tendency igang na kayo sa sulod kay crowded and also it is important to consider the ambiance sa place nga dapat nindot sad and safe sa mga guests. Remember nga as an event organizers we always ensure the safety and security sa client and guests as well as to reach their expectations. WHEN The date and time of the event Also theres a need to know if when siya mahigtabo ang event for the organizers to prepare everything ahead of time and before the event to avoid cramming. HOW Of course to know all the costs or expenses of the resources, it is important to breakdown all of the expenses from the venue, foods, tokens, sound systems, hosts, suppliers and others nga mga inclusions.
  • #7: So after knowing the questions of 5 Ws and 1H we can now distinguished the elements of an Event. What type or title of the event Why are we having this kind of event Who are the participants Where is the place of venue When was the time and date How much it costs
  • #8: Of course to know all the costs or expenses of the resources, it is important to breakdown all of the expenses from the venue, foods, tokens, sound systems, hosts, suppliers and others nga mga inclusions. So this isjust a breakdown guys, this is not the final cost or expenses kay mag base pa gihapon sa supplier if ma gather na ilang quotations and also if during sa event nay mga outsiders. When we say outsiders sila tong mga tao nga invited by the invitee, wala silay apil sa pax nga gi providesa client, diba diri sa debut ni ana 120 guests lang man iyang gibutang sa guest list if nay mo sobra ana they will pay it per head.
  • #12: This event is sponsored by a company and focuses on either its employees or clients. There are many reasons for organizing a corporate events, including: To educate staff or members to the public regarding various concepts promoted by the organization. It is where they do have fares where they can showcase and promote their products to their customers or target clients.
  • #13: trade show is an event held to bring together members of a particular industry to display, demonstrate, and discuss their latest products and services. Example ani kay mga cars shows, motors and the like.
  • #14: it is a gatherings or activities that are organized at a place in order to bring people together, build community bonds or attract tourism.
  • #16: Characteristics of Special Events Organized for specific purpose/s Attended by a number of participants Held in a specific ,pre-determined place Time-bound Cost a lot of resources Elements of an Event type and title of event; purpose for holding the event; participants of the event and the roles they play place or venue where the event is going to take place; date and time of the event; and Resources 3. We need to have a purpose or objective to have a smooth flow of the event and it is important to set a goal each event. 4. In choosing a venue we must consider the space, the ambiance, the safety and the accessibility of the place to the guests. 5.
  • #19: Okay so there are a lot of different definitions of each subsector of MICE vary from one author to another but among all of them the IAPCO provides the most comprehensive definition. So from different authors they have different acronym of the letter C in MICE. Which are CONGRESS, CONVENTION and CONFERENCE. We will discuss all if this 1 by 1.
  • #20: Okay so there are a lot of different definitions of each subsector of MICE vary from one author to another but among all of them the IAPCO provides the most comprehensive definition. So from different authors they have different acronym of the letter C in MICE. Which are CONGRESS, CONVENTION and CONFERENCE. We will discuss all if this 1 by 1.
  • #21: When we say AD HOC BASIS this means you do it only when you need to and in a way that is not planned before it happens. Or in short you do it AS NEEDED lang. like for example you encounter an emergency or problems so you there’s an urgent meeting or unplanned meeting or as what we called ad hoc basis. So when we say annual unsa man na siya? Its yearly or once a year.
  • #22: So we held convention to celebrate or commemorate an event. And those events that we held have different themes. So naga dpende ra pud ilang themes sa event nga I held.
  • #23: It is a formal meeting or series of meetings for discussion between delegates, especially those from a political party from different countries or organizations. diba when we heard congress the first thing comes to our mind kay politics murag connected siya sa politics. Its because political congress is one of the example of formal meeting where they will discuss issues and problems that a certain country faces. Like for example katong National Congress of the Men Opposed to violence Against women.
  • #24: The key word for this is “exchange of view” usually it is involves research input and sharing of findings and requires active contribution from the attendees. Okay so what are the difference gani between conference, convention and congress? A conference is a gathering of people to discuss a particular topic or issue. A convention is a large gathering of people for a specific purpose, such as a trade show or fan event. A congress is a formal meeting of representatives from different countries or organizations.
  • #25: Okay so what are the difference gani between conference, convention and congress? A conference is a gathering of people to discuss a particular topic or issue. A convention is a large gathering of people for a specific purpose, such as a trade show or fan event. A congress is a formal meeting of representatives from different countries or organizations.
  • #26: Incentives maybe a form of money or what they called incentive travel. So for example class if you’re working in a car company like Toyota, honda, ford and etc. if you’re a sales agent and you sold a car to a client you already have an incentives. Aside from your salary lahi pa jud nang incentive dpende pud if pila na ka percent imong madawat nga incentive. So nakasabot ra mo sas meaning sa incentive?
  • #27: So for example sa mga influencers karon diba makita nato nga naga launch sila sa ilang mga product may it be skin care, cosmetics or mga foods, so those are examples of exhibitons. For their product nga mailhan sa mga tao and so they can also promote it sa mga tao or sa mga target nila nga sutomers. So we will discuss on the following slides the 2 types of exhibitions
  • #28: Okay so what do you mean when we say consumer? Kinsa man na sila? a person who purchases goods and services or in short they are our customers. So in consumer show it is where the exhibitor showcase their products to their target consumer or customers. TRADE SHOW is an event held to bring together members of a particular industry to display, demonstrate, and discuss their latest products and services. So sometimes they contact influencers so that they can attract more customers to try their product or if they release a new product. For example mga beauty products diba karon social media is very sikat man jud and we also idolize some influencers or artists so they will use that platform para I market or advertise ilang mga products through the help of those influencers.
  • #29: EXHIBITION MNGR- they lead the exhibition organizers team and is responsible for managing the exhibit finance, sales exhibit space and operations. EXHIBITOR- they are the one who will conduct an exhibit BOOTH CONTRACTOR- they also provide temporary facilities to exhibitors such as the walling for the booth, carpet, table, chairs, signage, lighting, and power source--- for a fee. So nay bayad of course.
  • #30: So some of the example nga makita sa exhibitor manual are the limits in electrical load, so ang mga pwede lang ipang saksak to avoid electrical problems or mga sunog, then also schedules of the move in or “ingress” and move out or “egress”. Venue house rules and the like.
  • #31: This is an example of raw exhibition space and the other one is when it already have a display or when the exhibitor already designed put their product on it.
  • #33: This is an example of Shell exhibition space. So as you can see up here that’s what we called FASCIA BOARD. So it indicates the name of the exhibitor. So diba they all look the same jud nga booth naga differ lang siya sa mga services or product nga gina offer or showcase sa mga exhibitors.
  • #34: So some of the example nga makita sa exhibitor manual are the limits in electrical load, so ang mga pwede lang ipang saksak to avoid electrical problems or mga sunog, then also schedules of the move in or “ingress” and move out or “egress”. Venue house rules and the like.
  • #35: COST- common factor in decision making and its payment terms must also match the schedule and cash flow of the event CONVENIENCE- so isa sad ni sa gina consider in an event or venue if accessible ba siya sa mga attendees or guests. CHARM- So it is the thing that attendees will keep talking about after the event is over. Diba naka try na man jud ta maka attend ug event like birthdays or weddings and diba usually naa jud tay feedback after, like naa tay ma ingon rregarding sa venue nga igang or guot or baho or kulang ug bangko and pangit ang venue. So those are some of the negative feedbacks nga ma ingon nato sa isa ka venue when we attend an event. That’s why CHARM is one of the criteria in choosing the right venue for MICE so to have charm that appeals aesthetically to the attendees.
  • #36: Okay so lets recall, unsa gani tong meaning sa MICE sabay2 ta MEETINGS, INCENTIVES, CONVENTIONS, AND EXHIBITIONS 2. What are the 3 C’s in the criteria for evaluating a MICE Venue? COST, CONVENIENCE AND CHARM 3. What are the terminologies related to exhibitions? EXHIBITION MANAGER EXHIBITOR BOOTH COORDINATOR RAW AND SHELL EXHIBITION SPACE EXHIBITOR MANUAL
