GETTING THINGS
DONE
Mr. Allen
How did I get to this?
Have you ever....
HABIT
        21 days
HABIT 1. Clean your head
 Create an inbox
 Get all the things, tasks, ideas away from your
    head
 Dont use your brain as a memory card – you can
    remember around 7 things
 Create a system
 Iphone - Things, BB, Notepad, Paper notes – you
need to have it with you all the time and use head
    for thinking
 Firstly 2-3 hours and clear everything you have
HABIT 2. Define goals and purpose
 Why are you doing this things? Why are you working on
     this exactly?
 How does successful project looks like? What is goal of
     it?
 Remind yourself why you are doing this
  Find what motivates you:
„Nothing in the world can take the place of Persistence.

Talent will not; nothing is more common than unsuccessful men with talent.
Genius will not; unrewarded genius is almost a proverb.
Education will not; the world is full of educated derelicts.

Persistence and determination alone are omnipotent. The slogan 'Press On' has
solved and always will solve the problems of the human race.“
HABIT 3. Go to smaller actions
 What is project and what is action?
 The method makes you use actions in every project
 If you dont have actions in project defined usually
you procrastinate because it is too big
       Reminds you of something?
 Remind you of your colleges who are sending you
        urgent emails?
 What does every action mean? How much time for
action and for project? Can I delegate?
HABIT 4. Use context to define actions
 Computer, Phone, Office, Jake, Maybe/Sometimes,
      Waiting for
 Working on the things which are possible for me
      now! No stress!
 Waiting for – all the delegated things, helps you to
      have overview what you delegated
   Maybe/Sometimes – Things to do before I die –
      101 To do list

                                                                                                Actions
Time management
HABIT 5. Weekly review
 1-2 hours every week
 Usually the most difficult part
 BUT the MOST important!!!!
 Can be the reason for failure
 Review projects, what has been done, what needs to
    be done next week
ENERGY MANAGEMENT
Energy management

 It’s subjective  You need to treat it.
 Exercise of things that make you feel like

  ”wow”
 Will you use the 20% of your time for

these things that will bring you the 80%
  of energy?
Energy management
IN Addition:
 eat less but more often (every 3-4 hours instead of

  2 times full meal)
 stretch yourself - do exercises!

 music

 combine different activities – change type of work

 Motivation picture
Performance curve
EXERCISE

           How is your
           performance curve?
EXERCISE

           How can we use this
           information?

           How to divide your
           energy?
Planning your performance
 Plan just 60% of the day, leave 40% for
    firefighting. Plan also future work.
 When are you the most efficent – get to know
yourself and plan your work based on that
 Do not plan too many things – have buffers –
always plan rather less – psychology!!!!
 During planned work do not take phones, be in
DND, go away – if disturbed 15 min to get back
TIPS AND TRICKS
Communication Management
Principle
 OHIO
     Only

     Handle

     It

     Once

    Meetings E-mail Team Information
                        mates
Mails
 Do not download mail every 5 min – define time
when you are doing it during the day.
 4T: Task, Transfer, Toss, Tackle
 G-mail tips: use folders/labels, boxes, different
signs for “stared” mails, calendar, recently used
    google documents
Calendar
 Use only for fixed things
 60 %!!!
 Do not forget lunch, dinner...
Physical scenary
Why GTD?
 It will not make you to SUPERMAN who can do
    everything
 But it will help you to see what you can do and
    what not!
