I came to MindSea with the product already defined: the training method, the algorithm and its rules, the feature set and the written specifications were mine, and the screens came from our independent designer.
MindSea's role was engineering and release. They implemented the app to those specifications on iOS and Android, built the backend and database behind it, and took it through beta testing to a public launch on the App Store and Google Play on September 1, 2026.

What were the measurable outcomes from the project that demonstrate progress or success?

MindSea delivered both apps to a public launch on the App Store and Google Play on September 1, 2026, available in 175 countries on day one. Both stores approved the app, and subscriptions and free trials worked from the first day.
In the first two weeks we had close to 200 downloads with almost no paid marketing, and more than half of the people who finished a free trial became paying subscribers. Problems found in beta testing were fixed and shipped quickly in new builds ahead of launch.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

Project management was a real strength. Responses were very fast, usually the same day, and I always knew who to go to: Michael led the technical side and was my main point of contact throughout. The workflow was clear from start to finish. I would send a request, they would scope and price it, and each item arrived in a new test build I could check on my own phone before it went any further.
When I cut a request list down close to launch, they priced each item separately so I could choose what to go ahead with, and all three items I picked landed in a single build within two weeks. We launched on both stores on the date we planned. I am not a developer, and they explained things in plain language without ever making me feel behind.

What did you find most impressive or unique about this company?

Their health-only focus. MindSea builds nothing but health and wellness apps, so I never had to explain why the subject mattered. The team understood the space, handled health data with care, and were openly enthusiastic about the product. It never felt like a vendor working through a ticket list.

Are there any areas for improvement or something MindSea could have done differently?

Nothing comes to mind. They were fast, clear and easy to work with from the first conversation through to launch, and I would hire them again.

I’m the CTO of PointCare, a medical company. We provide a platform that helps health systems and organizations simplify and automate health coverage enrollment and management, ensuring patients retain coverage and reducing uncovered visits.

What specific goals or objectives did you hire MindSea to accomplish for PointCare's platform needs?

Medicaid enrollment remains one of the most persistent access barriers for the patients FQHCs serve, imposing friction that drives incomplete applications and delayed coverage. Reducing that friction was the primary requirement driving this work.

SOLUTION

What was the scope of their involvement?

MindSea has delivered a mobile-first web application that allows patients to authenticate and initiate enrollment. The architecture is natively mobile-compatible, positioning the platform for native app releases without structural rework. Security was a foundational requirement throughout: the application is deployed on our existing cloud infrastructure and inherits the security controls already governing that environment. The design phase was a joint effort between PointCare and MindSea, with MindSea handling development of both the application and supporting infrastructure. The underlying architecture is natively mobile-compatible, providing a direct path to native app releases without a rewrite.

We found them through an online search. We chose them because their pricing fit our budget, they had a great culture fit, their company values aligned with ours, and they had experience in healthcare.

What evidence can you share that demonstrates the impact of the engagement?

We’ve seen a 43% month-over-month increase in the app’s monthly active users. We’ve also seen an increase in submitted Medicaid enrollments.

How did MindSea perform from a project management standpoint?

MindSea is consistent with a well-functioning software development team. Our expectations have been met from a deliverables standpoint. We communicate via virtual meetings, emails, and messaging apps.

What did you find most impressive about them?

They invest significant effort in thoroughly understanding the problem space before beginning implementation.

Are there any areas they could improve?

As with any software development team, there are opportunities for continuous improvement. Our open communication and collaborative relationship have enabled us to adapt both contract terms and day-to-day development practices, reflecting an agile mindset and a shared commitment to improvement.

What challenge were you trying to address with MindSea?

We needed help with a greenfield design for a patient self-scheduling, medical assistant custom application, and primary care team strategic patient huddle.

SOLUTION

What was the scope of their involvement?

MindSea provided design, UX research (working with an MA), and UI application component building blocks. The team delivered initial high-level wireframes and refined them into medifidelity for iteration. The components were building block primitives and higher-level patterns used to create full user views. MindSea delivered the components as code with a storybook design library.

We worked with 2–5 teammates from MindSea. Project manager, primary designer, frontend programmers, and support designers.

How did you come to work with MindSea?

We found them through a recommendation using Claude AI to research potential agencies to work with. We were looking for a strong reputation and medical industry experience. We chose MindSea over other options because they had high ratings, and their pricing fit our budget.

What is the status of this engagement?

We worked together from September 2025–August 2026.

What evidence can you share that demonstrates the impact of the engagement?

MindSea delivered wireframes and quickly created interactive demo apps with rich interactions and realistic data. It was very effective. The apps aren’t live yet, so we don’t have metrics. However, stakeholders feel good about how MindSea incorporated feedback and are confident the final result will drive the right user behavior and adoption.

How did MindSea perform from a project management standpoint?

MindSea delivered on time. Their communication was clear, schedules were flexible, and the team was professional and fantastic to work with. We communicated via virtual meetings.

What did you find most impressive about them?

MindSea was good at balancing feedback with their own vision and engaging as a stakeholder.

Are there any areas they could improve?

We could have trimmed some of the tech deliverables. We got a full CI/CD pipeline that we didn’t need because we were incorporating the codebase into our own systems / processes.

I’m the executive director of a non-profit organization. We’re Nova Scotia’s provincial hub for equitable, compassionate palliative care and grief support. MindSea has helped us conduct a needs analysis and develop a hub technology platform. The project has five phases: project initiation and alignment, discovery and strategy, prototype design and validation, agile development, and ongoing tech support. We’ve used an agile development approach since we’ve been creating something from a concept and vision.

What evidence can you share that demonstrates the impact of the engagement?

We’re seeing growth in user access to the platform. We’re still making refinements, so we haven’t been able to assess the platform’s full impact.

How did MindSea perform from a project management standpoint?

We’ve had regular meetings with both teams. The product has been completed on time. We've had a good relationship with the MindSea team. and have been able to work through the issues. The relationship between MindSea’s team and our organization has been positive, and it’s been easy to have conversations where we might not be in alignment. We’ve also been able to escalate issues when needed, and resolution has been achieved.

What did you find most impressive or unique about them?

Our relationship with MindSea has been very positive.

Are there any areas they could improve?

Our project was milestone-based; however, the project was run more like a time-and-materials approach. I think MindSea could have been more open about the functionality of the backend and given us the opportunity to provide feedback during the project. This might have avoided some of the fixes after the fact.It would have also been helpful to know what the final product was going to look like. We saw the prototype with photos and had no idea it wouldn’t have them when we went live. This was a bit of a shock.

Do you have any advice for potential customers?

We needed a more defined internal process for managing scope. We also needed to ensure that before anything was signed off, we had a full understanding of how it worked and if it worked as planned.

What were the measurable outcomes from the project that demonstrate progress or success?

• There is a strong and consistent shift towards mobile apps usage especially among Gen Z’s and Younger Millennials, but our audience (demographically older) is still disproportionately spending their time on desktop/laptop devices as compared to the internet at large. Search investment has often prioritized desktop improvements over mobile that results in sub-par mobile products: Yahoo Search app # of active users, compared to ecosystem apps with users in the millions range. With a mobile-first strategy we tap into the primary platform where younger users already spend most of their time, allowing us to meet them where they are.
• Distribution - A mobile-first strategy opens up diverse distribution opportunities, not only through consumer-facing platforms like the App Store and Google Play, but also by leveraging strategic B2B partnerships.
• Freedom to Innovate without Revenue Pressure - we can craft an experience that is entirely aligned with our vision for user-centric design and engagement. This approach allows us to prioritize what’s best for our users, enhancing usability, personalization, and incorporating new and emerging technologies such as AI summarization and chat, rather than being limited by short-term monetization strategies.

MindSea is great at maintaining regular touchpoints throughout the project to ensure that things are being done on time and up to par with our expectations. They provide clear expectations and timelines on deliverables, and in the rare event that something is taking longer than expected, they readily communicate why and when to expect it to be finished or resolved. Dennis in particular (project manager) is great about taking the time to explain the "why" behind how things are done and effectively proposes solutions to problems either before they arise or as soon as they come up.

What I find to be the most impressive about MindSea is the way in which each person I have interacted with takes the time to explain things and make sure that we understand and are comfortable with what is going on. I'm an assistant professor in the Department of Computer Science at the University of Toronto.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with MindSea?

We needed help developing and designing a clinician-facing dashboard and a patient app.

SOLUTION

What was the scope of their involvement?

MindSea has helped us design and develop a clinician-facing dashboard and a cross-platform mobile app for patients. The idea is that patients can enter the symptoms they experience and the measurements they get from various medical devices they use at home. Ultimately, that data would be streamed to a dashboard that clinicians could review. Clinicians could see the patient's data and follow up with patients if they have abnormal readings.

We had a high-level idea of the specific technology we wanted to build, but we didn't have the time or availability to thoroughly scope out what all the features would look like. MindSea walked us through that process, and we discussed what we wanted to build. We started from the ground up, listing our design requirements, what the technology needed to do, and the different scenarios in which it would need to be used.

From there, MindSea built prototypes of the different app and dashboard screens using Figma to get feedback on what parts we liked and how we thought things could be improved. They've built the app for us once we were satisfied with that blueprint. We’re currently doing some internal testing.

The initial prototype will be finished within the next few months because there's some bottleneck due to the app needing to be hospital-ready. We're currently having conversations regarding data privacy and security to ensure we're up to standards.

We will continue working with MindSea if we get more funding. We've been discussing drafting a second contract to expand our app and dashboard and add additional features, like connection to Fitbit devices.

We work with a project manager, Paul, at least two programmers, and a designer. We've also worked with Alex, MindSea's director of CX. He has been helpful in terms of contracts and applying for grants. Alex and Paul have provided us with various written materials and design sketches that we've been able to include in our grant proposals.

How did you come to work with MindSea?

We spoke with multiple teams, and MindSea was a referral. We had to get quotes from at least two digital health consulting teams as part of the procurement process. We ended up clicking a little bit better with MindSea in terms of the way they went about things.
The idea of having a blueprint before we built out an app was something we liked. The fact that MindSea was in Canada was also lovely because it made scheduling meetings a little more convenient.

How much have you invested with them?

We’ve spent $310,000 CAD.

We're excited to launch the app. We know there will be things that need improvement. Our target demographic may not be smartphone-app-savvy, but we anticipate getting good feedback. MindSea has been helping us along the way, not just with building and designing the app but also navigating how to deploy it at a hospital.

How did MindSea perform from a project management standpoint?

MindSea has delivered the work on time and within budget and communicated well with us. We've had periodic Zoom calls. During the central part of the contract, we did weekly Zoom calls with their project manager. As things have wound down, we've done biweekly meetings. We also have a Slack channel, and we've used email.

What did you find most impressive about them?

MindSea has been very responsive. The team has been supportive in helping us with various written materials and design sketches that we've been able to include in our grant proposals.

Are there any areas they could improve?

Nothing has jumped out offhand. There have been some bugs, which we caught in our initial round of testing, but as a computer scientist, I know these bugs are to be expected, so everything has been great.

I’m an associate professor at the University of Manitoba and a clinical psychologist.

What challenge were you trying to address with MindSea?

We needed mobile app development services. We wanted our app to have a very smooth UX, flexibility for phones, and user plans with variable levels of data so that it could work on Android and iOS. We also wanted to integrate best practices in mental health in an app-based format.

SOLUTION

What was the scope of their involvement?

We had a previous version of our app developed by another company, and MindSea has been redeveloping it. We’ve had a series of meetings where we’ve walked through user profiles and had a blueprinting process and contracting. We’ve gone back and forth on various designs and looks, and we’re engaging in user testing later on.

The team provides us with maintenance services, and we continue to add new features and refine functionality. The app is for iOS and Android, and they use React Native.

What is the team composition?

We’ve worked with a wide variety of people over time. At any given time, we’ve worked with 3–4 people, but we’ve worked with them since 2023, so we’ve worked with probably up to 10 total teammates over the past few years.

How did you come to work with MindSea?

We found them through a Google search and a referral. We were looking for a Canadian company that had experience developing health-oriented apps, as well as a provider with whom we could have a respectful working relationship.

The app is still in the clinical research stage, and we’re running two large clinical trials through it. So far, we’ve served about 300 people and will serve about 600. The app will expand from there.

MindSea’s work is very high quality, and the app has a good UX. They continue to work with us to add features that improve that as well.

How did MindSea perform from a project management standpoint?

They deliver the work on time and budget and communicate well with us. We use Zoom, emails, and Slack.

What did you find most impressive about them?

MindSea is a good communicator, and they’re respectful of the expertise that everyone on the team brings to deliver a product that works within budget and does what we want it to.

Are there any areas they could improve?

No, they do a really good job. They’re not a super low-cost company, but the quality of their work is really high, and they do a really good job communicating and being transparent about the hours required for a high-quality product.

Do you have any advice for potential customers?

Get ready to jump into an intensive development process. It requires resources from both sides to get the product that you want and be able to communicate well. MindSea is fun to work with, and they’re really interested in long-term relationships.

I'm the manager of the digital trust and credentials team within a provincial government.

What challenge were you trying to address with MindSea?

We needed help with custom software development.

SOLUTION

What was the scope of their involvement?

MindSea provides custom software development services for us. We initally had a kick-off meeting to explain what we needed. MindSea was very clear, introduced the team, and reiterated the scope of our project. We discussed the end goal and the challenges. MindSea has worked on three different projects simultaneously. 

They've developed our primary key infrastructure (PKI) and automated it. MindSea has also worked on our driver's license and ID card, a very high-stakes project within the province. Additionally, they've provided testing services for us.

MindSea has customized and done the coding to develop a process with the automation part. They've also had to connect those processes to other parts of the application we commonly use in government.

What is the team composition?

We work with Reuben, two developers, and a tester.

How did you come to work with MindSea?

Another division within our government had used MindSea's services and recommended them to us. They had done similar work before and were highly skilled in that area. We can't hire whomever we want within government. We need to issue a statement of work and identify the best vendors. We requested MindSea to be added to the list.

How much have you invested with them?

We've spent between $100,000–$200,000 CAD.

We started working together in February 2024, and the engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

MindSea has done a fantastic job, and we couldn't be happier with the results. If we have another development project, we'll definitely consider MindSea again. The team has delivered what we asked for, and we have a complex project with a tight timeline.

How did MindSea perform from a project management standpoint?

We have biweekly meetings with Reuben and weekly meetings with the developers and the tester. They've provided updates and documentation at the end of the project. We also agreed on after-support services, and they've made themselves available.

We use Microsoft Teams for communication and Jira and Confluence for project management.

Are there any employees from the service provider's team that you would like to give a shout-out to in this review?

Kyle is fantastic. His expertise and attitude are excellent. Reuben is also fantastic and makes sure we're happy. He works behind the scenes and meets with us every two weeks to ensure we are satisfied with the service. He adjusts the project's timeline if needed and is responsible for ensuring work stays on scope and on budget. 

What did you find most impressive about them?

They're fantastic at meeting deadlines and delivering what we ask for.

Are there any areas they could improve?

I think it would be beneficial for Mindsea to expand their staff, even though we've had no issues and they've consistently delivered, meeting all our project deadlines
