The operational procedure provided in this Operational Guide is just an illustration for
the user for TOTP (Time based One Time Password) Login to APT application only. If
the reader has any doubt in the Department ruling and guidelines, he/she should refer
to the respective manuals and volumes only. This Operational Guide should not be
cited as Rulings.

1 Introduction

This Operational Guides outlines the procedure of TOTP (Time based One Time
Password) Login to APT application.

In order to implement 2FA (Two Factor Authentication) login, Department of Posts, will
introduce login to APT application through TOTP (Time based One Time Password) login
only to the Desktop / Laptop users.

User needs to download India Post 2FA Authenticator Android mobile application i.e
“APT TOTP” and install it. This document describes the procedure of downloading and
using it to login to APT application.

2 User Login.
2.1 URL & Login credentials

Login Credentials / Details:

 Login ID : Employee ID (8 digit).


 Password : As set by the employee

After entering login credentials, click on ‘Sign In’ button.

After clicking on “Sign In” button, following 2 options with radio buttons will be shown
and user will be prompted to choose either of one.

1) Authenticator App (TOTP)


2) Mobile OTP

2.2 OPTION-1 (Authenticator App)

Select 1st option i.e. Authenticator App (TOTP) radio button and click on “Continue”
button.

After clicking on “Continue” button, user can see two (2) QRs on the screen for the
1st time only.

 Note : 1st
QR is to download the TOTP Android application.

User needs to scan the 1st QR image to download the “APT TOTP” Android Application.
After the “APT TOTP” Android application is downloaded. User needs to install it and
launch the “APT TOTP” app.

In the “APT TOTP” app, user needs to enter 8 digit employee ID and mobile number
which is available / updated in the PIS (Personal Information System) of ESS (Employee
Self Service) and tap on “Sign In” button.

After entering correct employee ID and mobile number, OTP (One Time Password) will
be received on the mobile number. Enter the OTP to validate employee ID and mobile
number.

After successful validation of OTP, user will see home page of “APT TOTP” app as
above. In the “APT TOTP” app, tap on “SCAN QR” button available in the bottom.

Point camera of the Android phone and position the 2nd QR image available on the web
application within the frame to scan it.

After processing the QR image by the “APT TOTP” app, TOTP (Time based One Time
Password) will be displayed on the home screen of “APT TOTP” app.

 Note : Validity of the each TOTP will be for 30 seconds. After expiry of 30 seconds, fresh
TOTP will be generated by the app automatically in cycle of 30 seconds.

Enter the TOTP displayed in the “APT TOTP” mobile app in the space provided in the
web application and click on “Submit”.

 Note : For subsequent login, no need to this setup.


User needs to open “APT TOTP”
mobile app and enter TOTP displayed in the space provided after selecting
Authenticator app in the web application.

2.3 OPTION-2 (Mobile OTP)

This is alternative of TOTP application which should be used for Exceptional Cases only
as referred in the SOP.

Select 2nd option i.e. Mobile OTP and click on “Continue” button.

One Time Password (OTP) will be sent to mobile number registered / updated in the PIS
(Personal Information System) of ESS (Employee Self Service).

Enter the OTP received on the registered mobile number of user and click on “Verify
OTP” to validate the OTP.

After successful validation of OTP, home page of APT application of user will be
displayed.

3 FREQUENTLY ASKED QUESTIONS

1) What if I delete the OTP generating?

Ans. Logout from the Application and Reregister in mobile application.

2) What if, if I lost my mobile? and if I want to see the TOTP ?

Ans. In the new mobile reregister after downloading the TOTP Android application then
again Setup will come in the Mobile Application.

 Note : If logout and re-registration is done in the mobile again setup will come in the
web application and it should be completed for TOTP.
