Remember, every organization pays its employees for their hard work and efficiency. Individuals need to
achieve the assigned targets within the desired time frame. It is essential for employees to meet
deadlines and deliver results on time. Why would an organization promote you if you do not accomplish
tasks within the desired time frame? Employees need to be efficient and proactive for better
productivity.
Employees need to get their work done on time to expect timely appraisals and appreciation from not
only managers but also external clients. Delaying work leads to no solution. One needs to adopt a
systematic approach to be efficient at workplace. Do not start a new task unless and until you are
through with your previous assignments. Employees tend to be efficient when they take their work
seriously and do not treat it as a mere source of burden.
Your motive in life should be very clear. Why do you come to work? Ask yourself.
Is it only for money?
Or is it to grow professionally and make a mark of your own?
If you attend office just to receive your monthly pay check, think again!!!
Who asks you to sit in office till late? Finish your work on time, go home and enjoy with your friends and
family. Sitting late in office does not prove that you are a diligent employee but indicates that you have
poor time management skills and absolutely unorganized and inefficient. Your organization is not paying
you for loitering around and gossiping with fellow workers. Interaction among employees is essential but
make sure you finish your assignments on time. Organize your workstation. Get rid of things you no
longer need. Keep important documents in a proper folder so that you do not waste time in unnecessary
searching. Stay organized and get rid of clutter.
Do not waste your time chatting with friends and family over phone, on social networking sites, playing
games on computer and so on.
Prioritize your work and adopt a step by step approach. Important and urgent tasks should be finished
first.
Adopt a focussed approach at work. Focusing on the most important thing increases your efficiency.
Being efficient does not mean that you accomplish more work in less time, ignoring the quality of work.
Never compromise on quality. Employees need to concentrate on work not only to deliver results on
time but also yield high quality output. An employee is said to be efficient only when he accomplishes
assigned tasks on time, with minimum errors. You need to produce quality work in minimum possible
time.
Do not work alone. Prefer working in teams where each team member contributes his/her level best to
achieve targets within the stipulated time frame. Managers ought to delegate work as per specialization,
educational qualification, past experience and interest levels of employees. This way people tend to
enjoy their work and help their organization outshine its competitors. Give yourself a deadline and strive
hard to finish your work on or before time. Give yourself a pat on your back whenever you meet
deadlines and accomplish work on time.

For an organization to run smoothly, it is essential for employees to ensure tasks are accomplished
within the stipulated time frame. Why would a client come to you again if you do not deliver their
projects on time? Employees need to find their jobs interesting for them to feel motivated and deliver
results on time with minimum errors.
Let us go through some simple tips which increase efficiency at workplace:
Let employees speak to each other. What is the harm if they discuss their problems with their fellow
workers? After all, we are mature enough to understand that there are certain things which are
confidential and should not be discussed at any cost.
Responsibilities ought to be assigned as per the interest levels, specialization, past experience, expertise
of an individual. Problems arise whenever there is a job mismatch. How can you expect an accounts
professional to promote your brand effectively and increase the sales within the desired time frame?
Some one who is not even aware of the basic fundamentals of marketing would never be able to give
results if you put him in marketing or branding team.
As a team manager, you need to understand in which all areas, your subordinates would be able to
contribute their maximum. Do not make them feel overburdened.
Encourage them to reach office on time and also leave on time. Do not ask your employees to sit in
office till late. Trust me, such a practice not only decreases the efficiency of individuals but also increases
stress levels. Individuals need to take rest and spend quality time with their friends and family for them
to return fresh and happy, the next day.
Employees need to organize their workstations at least once in a week. Throw away what all you feel
would be of no use in future. Keep your desk clean. Stationery items need to be kept at their proper
places. File all your important documents neatly in a folder. Put labels on all your files. Trust me, this way
you would not waste your time in unnecessary searching. Develop the habit of using a planner and desk
top calendar. Jot down all important activities in the planner against their deadlines. Keep all important
contact numbers handy.
Learn to prioritize things. Do not concentrate on what all is not required at the moment. Assignments
which are urgent need to be finished first. Prepare a “TO DO” list. Write down what all you need to
complete before you call it a day. Once a task is finished, immediately put a tick mark against it.
Manage your time well. Be logical to yourself. There is nothing wrong in speaking to your spouse,
relatives or checking your personal mails at workplace. Believe me, everyone does that. Work suffers
when employees waste their time in loitering around, gossiping and spreading unnecessary rumours.
Limit the duration of personal phone calls at workplace. Nothing would help unless and until you are
intelligent enough to understand that you are being paid for your hard work and efficiency. Your boss
can’t keep a check on you everytime. Ignore unnecessary pop ups, sites with jokes, money making tricks,
games and so on.
Employees should be in a position to take some decisions on their own. Why always wait for manager’s
approvals even for minor things? It decreases efficiency of individuals and eventually delays work.
Filter your mails. You do not need to answer each and every mail. Ignore mails, you feel is not important.

ut do you really understand what it means to work systematically?
Let’s imagine a scenario with your kitchen at home. If you have been preparing and cooking for a dinner
party, it is pretty easy to systematically clean up your kitchen afterwards. You have your own personal
system for the order of your clean up: you know where the spice rack is, you have a preferred soak-then-
wash system for the dishes, you even have a system for organizing leftovers! In no time at all, your
kitchen is pristine. Surely, working systematically is pretty simple if you’re an organized person to begin
with.
But working systematically within an organization is obviously a little different from cleaning up your own
kitchen. First of all, as the parentheses in my title indicate, this article is mainly concerned about working
with others. Now, if you are an introvert, “with” is one of the peskiest prepositions around. We aren’t
talking about working under people, or around people, but with people.
Whether you work in a small organization or a large one, you should already know that collaborative
teamwork does not always function smoothly. If you are the control freak type, this statement probably
resonates even more for you. One of the difficulties of teamwork has to do with the fact that people in
an organization fulfill different functions and work at different pace; yet, a lot of work these days are
collaborative. Moving ahead on a project oftentimes does involve waiting for another component to
come together at another department. Most companies today also juggle multiple projects and
objectives simultaneously. And deadlines fluctuate. Under these conditions, working systematically
becomes more of a challenge than when you have complete freedom to decide on your own order of
work.
So how can you work systematically for the greatest efficiency and overall work satisfaction when
working with others?
1. Be a fox with keen, keen ears
You’ve probably heard of the distinction between the fox and the hedgehog. The fox knows many things
but none of them very well; the hedgehog knows only one thing and knows it deeply. In fact, the fox can
be accused of not being very serious. But when you work in an organization, it is beneficial to cultivate a
little bit of the fox’s synthesizing outlook.
Don’t get stuck in a tunnel vision about your own particular responsibility. Instead, listen well and try to
understand how each team contributes to an integral part to a project. Try to understand the unique
challenges each team faces. Listening well to the other people in your organization will help you to sync
your own work to theirs, ensuring greater efficiency across the board. If you are a website developer, and
you know that your customer service department is understaffed and overloaded for instance, you might
try to work out a “Contact Us” page that efficiently redirects to some thoughtfully prepared answers to
common questions. Good collaboration calls for a collaborative, synthesizing mind on everyone’s part.
2. Delegate tasks systematically
Delegating tasks in an intelligent fashion is one of the best ways to work systematically when working
with others. On top of this, we suggest that you delegate systematically as well. What we mean by this is
that after working at an organization for sometime, you should be able to get a sense of different
people’s strengths and weaknesses. If you find that Michelle, an intern, is a wiz at infographics and Excel
spreadsheets for instance, delegate all future work of the same nature to her. This helps everyone get
into a rhythm and saves time in the process.
3. Prioritize the glitches in your company before you prioritize the task
Let’s say you just signed a contract with an important client, and there is an urgent deadline looming
ahead. Many goal-achievers would focus singlemindedly on that deadline at the risk of causing undue
stress on everyone around them.
Now, the thing is that every organization has an Achilles heel. I don’t care if you’re a 3-person operation
or an established corporation. There is always a weak spot in the workflow. Maybe it has to do with the
fact that the suppliers you work with have the lowest price but also delivery problems; maybe it is that
your organizational design has a fundamental flaw. Whatever it is, when your company lands a big
project, your first priority is to identify a chronic glitch, understand it, try to resolve it, or if need be, work
around it for the time being.

You need a work culture that emphasizes transparency and honest communication in order to be able to
identify weaknesses and strengths of your organization accurately as a team. Personally, the
organizations I have worked at have really differed when it comes to this–I’ve worked in organizations

feedback from the people who know your organization most intimately.
To work systematically in an organization, you have to prioritize both the strengths and weaknesses of
that organization with a synthesizing vision. Banal advice like “set your work priorities straight,” “identify
the 3 more urgent tasks that day” do not really help if you fundamentally suffer from the mistaken
notion that man is an island. Listen well and understand how your work is interconnected to the rest, be
efficient about delegating tasks and finally, identify the real weakness of your company, These tips will
help to improve the infrastructure within which you are able to work systematically and productively.

The method to plan and organize your work may vary greatly based on the type of job you undertake.
Here are some factors you need to consider before you venture to organize the best way to get the work
done:
1. Nature of work:
The tasks involved in the project may be office based or outdoor projects. Planning and resourcing may

2. Size of the team:
The task may either be an individual task or a project for a team. The team size may also vary in different
cases. The planning should be done after keeping the team size in mind.
3. Length of the project:
Some projects may last only a few months. These are short term projects and can be planned easily.
There are long term projects where you need to plan meticulously considering several risk factors.
4. Work environment:
Work environment varies with the type of work. In IT industry, most of the tasks are handled in air
conditioned offices. The company sites, on the contrary, offer very poor work environment.
Here are some simple yet wise tips to help you stay organized at work and give the best output.
How to be Organized at Work?
We are taught from childhood to stay systematic and organized. Kids are taught ideals like neatness,
overall hygiene, tidiness and planning. The following are few ways to stay organized. These simple tactics
help you succeed in career and life.
1. Plan:
Plan It is vital to plan the entire project beforehand. Analyze the task at hand. If it is a team project,
identify the right candidates who can handle the particular project. Identify the core competencies of
each individual and assign the tasks as per individual abilities.
2. Schedule:
Create a systematic work schedule. For a team project, always maintain back up of individuals for every
single task.
The absence of one should not interrupt the work of other. Consider each individual’s work capacity and
assign the tasks accordingly.
3. Arrange:
The workspace should be arranged in a much organized fashion. There should be a place for everything
and should be placed in the right spot. This ensures to avoid wastage of time searching for tools,
equipment, basic accessories or gadgets.
Arrange the things in a fashion that appears tidy to the eye. It should also be easily accessible to all the
employees. Consider the convenience of each employee while designing the office space.
4. Prioritise:
Prioritise Often projects involve multiple tasks and it is essential to prioritize the tasks at hand. Arrange
the tasks in an orderly manner so that the most important task is completed first and by the most
